Step-by-Step Instructions for Medical Offices/Clinics That Do Not Receive State-supplied Vaccine (VFC or 317 vaccine) for the New Changes in CAIR - Coming Sunday, July 1, 2012
The following instructions are for medical offices/clinics that do not receive State-supplied vaccine (VFC or 317 vaccine) and therefore only use vaccine directly purchased by your office/clinic. As of July 1st, you will no longer be required to fill-in the VFC eligibility field in CAIR. In the past, you were instructed by CAIR staff to select the unknown code in the VFC Eligibility field because this field did not apply to your medical office. As of July 1st, you will be able to skip this field entirely. This will help make creating records in CAIR faster for your staff. 1. When logging into CAIR The Session Default Screen will now display the following message indicating that your clinic does not receive State-supplied vaccine (VFC and/or 317).
Note: This message will only display for users with Power-level access to CAIR (i.e., those staff who manage vaccine inventory in CAIR for your office/clinic). The message will not display for users with Regular or Read-only access. IMPORTANT: This status message must be accurate in order for the correct changes to display in CAIR for your office/clinic. If this status message is wrong - if the message says that your office/clinic does provide state-supplied vaccine, call the CAIR Help Desk immediately at 800-578-7889. 2. Adding a new patient When adding a new patient into CAIR, the VFC Eligibility field (which will now be called Vaccine Eligibility) will automatically fill with the code #6 - Privately-purchased vaccine for your medical office/clinic. This code indicates that you are giving the patient vaccine purchased by your office. The

other codes in this field (the VFC and 317 vaccine codes) will no longer display since they do not apply to your office/clinic. Therefore you will be able to skip this field entirely.

Inventory Screens The names of the Inventory fields have been changed from VFC to State-supplied (VFC/317). Since your office/clinic does not receive State-supplied vaccine, always select No in fields where CAIR asks if the vaccine is State-supplied. Example below - Add New Vaccine Lot screen.
IMPORTANT: If you have any questions or if you are unsure whether or not your medical office/clinic receives State-supplied vaccine (VFC/317), ask your management or call the CAIR Help Desk at 1-800-578-7889.
