2013-2014 PTSA JOB DESCRIPTION

Volunteers are needed and greatly appreciated. As an ASTI volunteer, you can help provide support for students and staff while working simultaneously with others. Choose the level of commitment and hours that suits your schedule including the flexibility of volunteering from home.

VOLUNTEER COORDINATOR - ongoing

Recruit volunteers by providing sign-up opportunities and maintain an up-to-date volunteer matrix. Serve as liaison and work closely with Staff, PTSA and ASB with volunteer needs. Send out necessary emails to volunteers about upcoming events or any additional volunteer jobs.

WEBSITE COORDINATOR - ongoing, (approx.1hr/wk)

Maintains and updates ASTI PTSA website by coordinating with the school Principal and PTSA Executive Board on pertinent information. Updates and maintain links to other websites and learning resources. Maintain professional presence of the site.

PUBLIC RELATIONS COMMITTEE- ongoing

Interface with ASTI-PTSA Community Outreach Chairs. Work with PTSA Executive Board on community outreach efforts. Coordinates press releases for specific events with committee chairs to inform the public of ASTI-PTSA events and activities and special accomplishments of students, staff and PTSA. Post published articles and photos on ASTIs Bulletin Board and Newsletter.

ALUMNI RELATIONS COMMITTEE - ongoing

Advocate and strive to build, maintain and integrate communication for ASTI alumni community. Expand opportunities for alumni involvement that will foster positive alumni relations and garner future supporters to ASTI. Organize alumni events which include but are not limited to Legacy Gala and inviting Alumni as Speakers.

Serves as Liaison for PTSA, ASB and Staff. Support Student Clubs on their projects, fundraising activities and other support needed. Representatives attends Board /Association meetings and report on activities and provides feedback.

TRANSLATIONS as needed

Help translate and interpret for non-English speakers as needed. Inform, support and educate parents about their role in the academic success of their children and provide updates and current events about the education system.

NEWSLETTER

Manages production of PTSA Newsletter. Collects, edits and arranges articles for each edition and submits to President and Principal for approval. Collects email addresses for distribution of e-newsletter and publish copy online.

ADVOCACY

OPEN

Advocate for our school with local, county, state and national leaders. Help operate an effective, efficient, and responsible PTSA. Keep abreast of legislative activities and provides information to the community.

SCHOOL DIRECTORY 40-60hrs, Aug.-Sep.

Collects data by using Directory Form, organizes the design, printing, collating of the directory in September/October. Takes orders for additional copies. Communicates with school secretary to ensure accuracy. Majority of the workload is data entry, editing, and sorting.

BACK TO SCHOOL BBQ July-August

Plan, organize and execute the annual Back to School BBQ. Create publicity materials, manage donation of items and create fun activities. Engage the entire community to welcome new students and their families, and welcomes back returning students and their families.

END OF THE YEAR PICNIC April-May

Plan, organize and execute the annual End of the Year Picnic and Community Appreciation. Create publicity materials, manage donation of items and create fun activities. Teachers Appreciation Week: May 5-9, 2013 ASTI Student Clubs

Organizes quarterly staff appreciation luncheons and/or breakfasts throughout the year. Coordinates appropriate, creative, thoughtful token of appreciation for Staff. Plan Teacher Appreciation Week in May and coordinates all logistics involve including food donations/preparation/set-up.

DIVERSITY & INCLUSIVENESS

Develop programs and activities that will create a diverse and inclusive environment. Serve as liaison between PTSA and international families. Work with Translation Committee to coordinate translation of key materials. Assist at Multi-Cultural potluck on March 6, 2014

WE CARE / COMMUNITY RELATIONS

Coordinate a collaboration of Student Clubs and assist them in doing a school-wide and community projects. Develop relationship with other organization relating to Student Clubs purpose mission like Alameda Food Bank Food Drive, Red Cross Blood Drive, Save SF Bay Restoration events, Warm Coat collection, visiting Convalescent Care Center and Childrens Hospital and many more...

CAMPUS BEAUTIFICATION / SCHOOL SITE IMPROVEMENT

Organize school wide work party for campus beautification project during summer and spring: clean-up, maintenance and improvement. Assess the need of the school community and submit proposed projects for evaluation and approval to PTSA.

GREEN INITIATIVE / COMMUNITY GARDEN

Plan and implement green practices and programs/activities for the school community. Provide related educational materials and promote sustainability and care for ASTI Community Garden project. Work closely with ASTI Green Initiative Coordinator.

PROM / GRADUATION

Traditionally assigned to Senior Class Students and Parents. Assists with decorations, reception set-up and hospitality.

RED RIBBON WEEK - Oct.21-25

OPEN

Build individual and school community awareness regarding alcohol, tobacco, and other drug use and addiction. Promote prevention of substance abuse through education and encourage commitment to a safe and healthy lifestyle.

PARENT LITERACY -

Coordinate educational programs, parenting and wellness speakers. Promote literacy and design workshops/trainings to support parents and guardians to better assist their students. Collaborate with other agencies to promote adult literacy and resources for our students and their parents.

HEALTH & SAFETY / EMERGENCY PREPAREDNESS -

Ensure Emergency Backpacks for each classroom are complete and replenishes supplies as needed and backpacks must contain a current Student Roster. Collaborate with local agencies to get ASTI students and their families trained and certified for safety and emergency preparedness at no/minimal cost. Promote healthy lifestyle by creating programs and activities relating to nutrition and healthy activities.

ACADEMIC ENRICHEMNT PROGRAMS : PTA REFLECTIONS PROGRAM (Dance, Film, Literature, Music, Photography and Visual Arts) OPEN

This is a National PTA event celebrating dance choreography, film production, literature, musical composition, photography and visual arts. Coordinator(s) plan and organize students art work, working with judges and PTA rules for the event. The event requires one day of judging and then transporting the *winning entries to Council level-to District-to National level and also procurement of awards/prizes to participants and winners.

MUN (Model United Nation)

MUN is an extra-curricular activity in which students typically role-play delegates to the United Nations and stimulate UN Committees. This activity takes places at MUN Conferences, which is usually organized by a High School or College MUN Club. At the end of most conferences, outstanding delegates in each committee are recognized and given an award certificate; the Best Delegate in each committee, however, receives a gavel. Thousands of Middle School, High School, and College Students across the country and around the world participate in MUN, which involves substantial researching, public speaking, debating, and writing skills, as well as critical thinking, teamwork and leadership abilities.

Science Fair:

Similar to Reflections. Coordinator(s) are responsible to find inspiring speakers for our students. Plan and coordinate a Science Fair event and entice ASTI students and their families to participate. Coordinate acquisition of awards/prizes to participants and winners. Notify participants with rules, organize judging and encourage winning entries to go on County Science Fair and assist them as needed.

ASTI Aztechs Robotics:

Formed in 2011, the ASTI Aztechs Robotics team is member of FIRST (For Inspiration and Recognition of Science and Technology). The FIRST Robotics Competition challenges teams of young people and their mentors to solve a common problem in a six-weeks time frame using a standard kit of parts and a common set of rules. Teams build robots from parts and enter them in a series of competitions d esigned by a committee of engineers and other professionals. The FIRST Robotics Competition is an exciting multinational competitions that teams and professionals and young people to solve an engineering design problems in an intense and competitive way. The competitions are high-tech spectators sporting event, the result of lots of focused brainstorming, real-world teamwork, dedicated mentoring, project timelines, and deadlines. ASTI Aztechs Robotics team creates an opportunity to inspire students by engaging them in an exciting mentor-based program that build Science, Engineering and Technology skills, that inspires innovation and that fosters self-confidence, communication and leadership. Their first competition in Spring of 2012 earned them 47th out of 50 teams and received the Inspirational Rookie Team Award and in 2013 placed in 31st out of 60 bro. The team works each year to construct a fully functional robot that can complete the assigned FIRST Challenge tasks. 2013-2014 Competitions: Cal Games (Oct.4-5,2013) Silicon Valley Regional Competition (Apr.3-6,2014) **Kick-Off: Jan.4,2014

Solicit and process applications, publicity efforts, determination of funding amounts and make recommendations to help make the final decision based on a set criteria. Develop an outreach and resource program with respective communities for funds and partnership.

AWARDS & RECOGNITION -

Provide visibility in the community and enhance motivation, retention and recruitment of members. The committee continually seeks new opportunities to recognize PTSA members and other individuals or groups by spearheading the effort to adopt new awards that recognize them in areas that support the vision and mission of PTA. Establish award eligibility and criteria for excellence and process submitted nominations as set forth in guidelines. Contact winners and invite them to awards presentation and collect biographical information and photos. Order plaques, certificates and gifts appropriate. Maintain historical records of awards distributed.

AFTER SCHOOL ENRICHMENT/ASSEMBLIES/TUTORING -

Pursue and secure assemblies /after school enrichment programs and coordinate logistics needed. Serve as liaison between the school, PTSA and the enrichment providers. Coordinators are responsible for collecting providers flyer. All flyers must be checked f or accurate registration and class dates, contact info, etc., and must be approved by school Principal prior to distribution and posting on website.

LEADERSHIP DEVELOPMENT/MENTORSHIP -

Facilitate ASTI program components such as leadership, team building and collaboration skills, college preparation and financial aid workshops including extra-curricular activities. Develop collaboration with other organization to increase knowledge to various access to educational opportunities and promote civic engagement. Incorporate an increase exposure to college experience, linking career choices to education and areas of study, and information on how to access college as underrepresented student.

BARNES & NOBLES HOLIDAY GIFT WRAP -

We need volunteers willing to work a min. of 2hour per shift wrapping presents at Barnes & Nobles Emeryville and Dublin store locations and also willing to supervise student volunteers.

INNISBROOK FUNDRAISER - Nov.

Innisbrook Gift Wrap Fundraiser is a catalog Fundraiser such as the Cookie Dough Fundraiser. ASTI PTSA will be collaborating with Innisbrook and ASTI PTSA will be receiving a percentage of the sales. Volunteers with help market and motivate students to sell grift wrap to family and friends. Along with that the volunteer is in charge of placing the order for the gift wraps once the fundraiser has ended.

E-WASTE & RUMMAGE SALE - April

E-waste is a simple way to recycle your old electronics, save the planet and help the school all at the same time! The Rummage Sale is held at the West End Flea Market on Saturday in the COA parking lot. Donate your old, gently used items and you can help ASTI make a profit. We need volunteers willing to work a minimum of 2 hour per shift selling items at the West End Flea Market. We also need volunteers to assist the recycling company during the E-waste.

WRITE AND PROCURE GRANTS-

LEGACY GALA DINNER AND AUCTIONApril 12, 2014

This year will be our 2nd Legacy Gala Dinner and Auction, it will be held at the Elks Lodge-Alameda. This is a great way to bring the ASTI community along with the outside communities together to have fun and to raise money and raise awareness/advertise the school. Volunteer needs are in the areas of procuring donation items, sponsorship, ticket sales, marketing/publicity, alumni engagement and more.

CHANGE FOR CHANGE

Encourage the community to engage in bringing their change as contribution to bring about a change in the ASTI Community to help bridge the education funding gap. Assist the Executive Board with Direct Donation and Pledges.
