WORKING WITH

ACCESS TABLES

You can display tables in one


of two view modes:Design
view or Datasheet view.
You use Design view to define and modify the
structure of a table.

You use Datasheet view to add records and to


edit records in a table.
You use Datasheet view to add, edit, and
view the records in a table. In the following
exercises, you will view a table datasheet, move
around a table window, and add, edit, and save
records.
You can open a table from data a base
window in either Datasheet view or Design
view. After you open a table, you can switch
between views.
In Datasheet view, the table contains the
following components:
FIELDS

Each column is a separate field or


category information. Each column in
datasheet view corresponds to a field
you defined when you created a table.
RECORDS

Each row is a separate about a person,


place, item, or event. Each row in Datasheet
view corresponds to a record you defined
when you created a table.
FIELD SELECTOR

Areas at the top of each column that


contain field names. You can click on a
field selector or select all data in a field.
RECORD SELECTORS

Areas at the top if each row. You can


click on a record selector to select all data
in a record.
NAVIGATION BUTTON

Navigation buttons are located at the


lower-left-side of the table datasheet. You
can click on the navigation button to move
from one to another.
1. Create the Database.
Opens in Datasheet view.

You can also double-click on a table


name in the object list to open the table
in Datasheet view.
2. Choose View Design view.
Switches to Design view.
*You can also double-click in the tool bar to
switch to design view.

3. Choose View Datasheet.

Datasheet view.
Every datasheet contains a blank record that
follows the last existing record. Your blank
record to add new data to a tale. The record
selector of a blank record displays indicating
a new record.
You can choose two commands to add
new records to table:

Records Go To New

Moves to the blank blank record at the end of


the datasheet. Existing records continue to
display in the datasheet. You can also use the
mouse actions and keys described in the
previous lessons to move to the blank record.
Records Data Entry

Moves to the blank record at the end of the


datasheet. Existing records are hidden during
data entry. You can display all records by
choosing the Records Menu, then use Show
All Records command.
