Parent Handbook
This handbook contains the rules and regulations governing this childcare.
Please read the handbook thoroughly as it contains many important policies
and procedures that pertain to the care of your child. If you have any
questions or need clarification, please do not hesitate to ask.
Enrollment:
Enrollment is open to children zero to twelve (12) years old. Parents can
apply for enrollment for their child(ren) by completing enrollment packet and
paying the required fees. Listed are the forms to be completed and returned
before or on the child's first day.

Registration fee: There is a thirty dollars ($30.00) non-refundable


registration fee for all new applicants.
Deposits: A security deposit is required for all families.
For private pay childcare, the deposit is equal to two (2) weeks of full tuition
for childcare. This deposit will be applied to your childs last two (2) weeks of
childcare.
For subsidized childcare, the deposit is equal to two (2) month subsidy
(parent) fee. This deposit will be applied to your childs first and last month
of childcare.
In the event your child does not start childcare by the agreed upon date,
your slot will be forfeited and the deposit will be nonrefundable.
As we are reserving this space and unable to fill it with another child, should
the parent decide not to enroll the child in this facility after our agreement,
the deposit will not be refunded.
Trial Period/Withdrawal:
A two (2) week trial period is given upon enrollment to determine the
suitability of the arrangements. If at any time during the trial period the
arrangements have not proven to be workable, the parent or provider may
terminate immediately.
A two (2) week written notice is required if a parent intends to withdraw a
child from providers care. This will be a paid two (2) week notice.
Rates and Fees:
All childcare payments must be received on Friday in advance for the

following week. Subsidized payments must be received on the first (1st) of


each month. When the first falls on a weekend or holiday, payment is due on
the Friday before.
A late fee of $5.00 per day will be charged if payments are not made on
time. Failure to pay fees on time, will subject the child to termination until
outstanding balance is paid in full.
Childcare payments are based on the childs age and hours contracted for by
the parent(s), not the hours the facility is open. If a child is dropped off
before or after the contracted hours, the parent will be charged an overtime
fee. The overtime rate is $7.50 per fifteen (15) minutes. Late drop-off does
not constitute late pick up.
Parents will be charged for the time their child(ren) is in another program
(preschool, dance lessons, headstart, etc.), since a place is kept open for the
child during that time.
Full-time care takes priority over part-time care.
Hours of Operation:
Facilitys regular operating hours are Monday through Friday, first (1st) and
second (2nd) shifts. Some weekend care and third (3rd) shift is provided.
Holidays/Vacation/Sick
Childcare facility will be closed on the following PAID holidays. Please
arrange alternate care for these days.

-Labor Day

-Martin Luther King Day

-Veterans Day

-Good Friday

-Thanksgiving Day

-Memorial Day

-Day after Thanksgiving

-July 4th

-Christmas Eve
-Christmas Day

If a holiday falls on the weekend, provider will take one (1) or two (2) days
during the week as a holiday.
The provider will be allowed two (2) weeks paid vacation per calendar year.

Parent will receive a written two (2) week notice prior to vacation. Childcare
payments are due prior to vacation.
The provider will receive three (3) paid sick/personal days per calendar year.
Termination:
Provider reserves the right to terminate childcare immediately for the
following, but not limited to:
1. Failure to pay childcare fees
2. Late payments
3. Excessive absences without notice
4. Failure to complete required forms
5. Excessive late arrivals or late pick-ups
6. Lack of parental cooperation
7. Failure of child to adjust to facility
8. Providers inability to meet the childs needs without additional staff
Transportation:
This facility does not provide transportation to and from school nor to this
facility.

Arrival/Departure:
All children must be brought in by an adult and will only be released to an
adult. Parent is required to sign child in and out of facility.
No one other than the parent/guardian will be allowed to pick up the child
without prior arrangements. Parents must fill out form of who is authorized
to pick up child. Designated persons will need to show a current pictured ID
before child is allowed to leave with the individual.
Medications:
Parents are encouraged to give child medications at home or parent may
come by facility to administer medication themselves. If a child is on

medication for a chronic illness (asthma, diabetes, etc.) and it must be


administered at facility, the medicine must be in original container and
labeled with childs name, doctor, name of medication, dosage, and when to
be taken. Parent must also fill out a medication form.
Health/Safety:
Promoting good health and safety is a goal at this childcare facility. To
prevent the spread of childhood diseases and illnesses, please do not bring a
sick child to childcare. Proper handwashing is strongly encouraged to help
prevent the spread of harmful germs and bacteria.
A child is too sick to attend or remain in childcare if he/she has one or more
of the following symptons.
-fahrenheit temperature of 100 degrees or more orally; child must be
fever free for 24 hours without the use of a fever reducer.
-constant/excessive coughing
-congested with and coughing of phlegm
-sudden diarrhea
-vomiting
-unusual irritability or terribly uncomfortable
-red eyes with eye discharge
-excessive running nose with thick mucous
If child becomes sick while at childcare, he/she will be isolated from the other
children and parent will be notified for pick up. If unable to contact parent,
the designated contact person will be notified.
If a child is unable to go outside or participate in daily activities, please keep
child home. Special needs required by one child, restricts the activities of all
children.
If child has a contagious illness, communicable disease, or infection that
could affect the health of others, a Physicians Permission to Return to
Childcare form must be completed and signed by attending physician.
Should provider become ill before or after children arrive, parent will be
contacted as soon as possible. Parent will need to find alternate care.

Smoking/Alcohol: This is a non-smoking childcare home. There will be no


smoking anywhere by anyone on the premises. Cigarette butts are not to be
discarded on the driveway, on walkway, or in the yard.
Alcohol will not be consumed on this premise.
Please respect our policies and refrain from smoking or drinking on/near this
childcare home.
Abuse and Neglect:
As a licensed provider, I am required by law to report possible cases of child
abuse and neglect to the proper authority. Your childs welfare will always
come first. Provider will consult with parent if possible, please understand
that I have few options.
Evacuations:
Evacuation procedures from this facility due to weather conditions or fire, are
posted on the bulletin board in childcare facility.
Fire drills are conducted monthly to help educate children and staff on fire
safety.
Inclement Weather:
During inclement weather, parents may call provider for schedule of
operation.
If schools are closed due to inclement weather, then it is not safe for your
child to be at childcare.
Childcare payments are required for absences due to weather conditions.
Absences:
Children can benefit from the opportunities offered at childcare when they
attend regularly. Therefore, consistent and prompt attendance is advised.
Please bring children on time. Tardiness interrupts our schedule and causes
a child to miss activities. Children will not be accepted thirty minutes after
scheduled time of arrival unless prearranged with provider. NO EXCEPTIONS!
Payment is still required.
If your child is ill or for any reason the child will not be attending childcare,
please call to inform provider the night before, if possible. This courtesy is

appreciated. Payment is still due for the day.


Children grow up so fast and sometimes parents miss out on memorable
events due to other commitments. I encourage parents to spend days off,
vacation, and holidays with your child when possible.
Meals:
This facility is a participant in the Child and Adult Care Food Program
(CACFP). Nutritional, balanced meals and snacks are served, based on
guidelines set by the federal food program at no extra cost to the parent.
Breakfast is served from 7:00am to 8:00am, lunch is served from 11:45am to
12:30pm, afternoon snack is served 3:00pm to 4:00pm. Dinner is served
6:30pm to 7:30pm, and late night snack is 9:00pm to 9:20pm.
If your child arrives after scheduled meal/snack times, parent is responsible
to feed child. DO NOT BRING FOOD to this facility unless prearranged with
provider!
Mealtime should be a pleasant time, therefore children are offered all the
food group items, but are not forced to eat them. Children who choose not
to eat, will not be able to eat until the next meal/snack.

Naptime:
All children are to lie down for a rest period in the afternoon. Mats and
sheets are provided. Please avoid picking up your child during rest time, as
it disturbs the other children. Children that are not sleeping after thirty (30)
minutes rest can get up to have quiet play (eg. books, puzzles, coloring).
In order to reduce the risk of SIDS, the following rule will apply:
1. All infants will be placed on their backs to sleep.
2. No pillows or comforters. Only a thin blanket will be used.
3. Infants head will remain uncovered at all times.
4. When an infant can roll over from back to stomach, they will be put
down on their backs but will be allowed to adopt whatever sleep
position they prefer.
5. If a child is asleep when they arrive, the child will be arouse a bit.

Learning Experiences and Playtime:


Attending childcare should be an enjoyable experience for a child as well as
the parent. While here your child will be exposed to many kinds of learning,
including but not limited to:
arts & craft, music, story time, large & small muscle play, colors,
self-initiated play, numbers & letter recognition
Parents can be confident their child is being cared for in a cheerful
environment.
Parent/Provider Communication:
An open stream of communication will be maintained with parents regarding
the child. Any issues surrounding childcare will be communicated through
daily discussion or written notice. Any new policy changes will be writing.

Open Door Policy:


Parents can always be assured the door is open. Of course for safety
purposes, my door will be locked, please ring doorbell or knock. This mean
you can stop by during business hours while your child is attending childcare.
Adjusting to new environments is something that all children experience.
Keep in mind, a child adjusting to new surroundings ma want to leave with
the parent during pop-in visits.
Parents may call to check on their child. If provider does not answer the
phone, please do not become alarm. Leave a message and I will return your
call as soon as possible.
Miscellaneous:
Any changes in personal information should be given to provider as soon as
possible. Names and phone numbers on emergency forms must be kept
current.
Please send an extra set of changing clothes in case childs clothes become
solied. Provider does not have extra clothing on hand.
Please treat provider as a PROFESSIONAL, this is a career choice. I am a
CHILDCARE PROVIDER not a babysitter.
