Monte Sano Village Directors Meeting

March 16, 2015

The Monte Sano Village Directors Meeting was called to order by Delia Siegrist at 7:00 p.m. at Monte
Sano United Methodist Church.

Treasurers Report Chair/Liaison, Bob
Bob reported the balance in the account is $2,045 with expenses to date totaling ~$510 of which
includes start-up costs.
The Department of Labor sent a notice about unemployment taxes. Since we have no employees
at this time we owe no taxes. Bob notified the DoL of this status.
Survey Committee Liaison, Leela; Chair, Peggy
Leela presented a survey. Survey was approved by all Directors with simple revisions:

o identify 1 paragraph as the Mission Statement
o add organized support after hospital stays and organized support for weather
emergencies to home service section
o delete routine from wording of home service section
o add age range options to staying in touch section; create age ranges for individual to
check
o change suggestions to comments
Committee will test the survey on selected neighbors.
On April 17, MSV volunteers will distribute survey to attendees of Monte Sano Civic Association
during the spring potluck.
Mountain neighborhoods have been divided into 12 sections.
Discussion was held on whether to have monthly, bi-annual or annual dues. Decided to wait on
responses to survey to decide on this issue.
Brochure Committee Chair/Liaison, Pam
Pam presented a draft of a brochure to accompany the survey.
Suggestions were made for revisions: remove logo until MSV has one, reduce text by creating
bulleted sections, relate brochure to MSV, update fees section to reflect the text from the survey,
revise font size (larger) and color (black) making it easier to read.
Revised brochure will be reviewed by Directors before printing.
Social Services Committee Liaison, Elsie; Chair, Betsy

Elsie reported that the SS Committee is busy collecting lists of services with contact names and
numbers
They will test the list to see if it is user-friendly.

Public Media Committee Chair/Liaison, Pam

Pam reported that Bobbie is working on a masthead for the newsletter; she has some ideas about
thematically connecting the masthead and logo for consistency.
Insurance Committee Liaison, Bob; Chair Robert
Bob reported that the committee is looking into various options such as the insurance that is
carried by MS Club and various other organizations around town.
Communication Committee Web, Pam/Chair; FB, Leela/Chair; Newsletter/Bobbie, Liaison, Delia
Website (Pam) updated monthly with minutes and next meeting notice.
A visitor asked how volunteers receive feedback from filling out the volunteer sign-up sheet
posted on the web. Delia responds to these postings.
Facebook (Leela) updated monthly with community news and next meeting notice.
Newsletter (Delia) - working on a masthead; next email will be to whole community thru mail
chimp; neighbors who do not have computer/email access will receive a hard copy of the
newsletter from a connected individual.
501c3 Research Committee Chair/Liaison, Delia
EZ form now available; making application much easier file

~$400 cost for of a Village our size/budget

Bylaws Committee Co Chairs/Liaisons, Elsie and Rusty
Bylaws committee co chairs presented a draft of Bylaws articles 1-3. By-Laws were approved by
all Directors with simple revisions:
o Article III a) revise to read, Membership in Monte Sano Village shall be restricted to
residents who are living within the boundaries established by the Board of Directors, and
who have paid current membership dues.
o Article III c) revise to read, Voting rights shall be conferred upon members of Monte
Sano Village who have paid current membership dues. Voting rights shall include: 1)
Voting on amendments to the by-laws. 2) Electing individuals to serve on the Board of
Directors.
o Article III f) revise to read, A quorum shall consist of twenty (20) members.
