Business Writing Style

Business writing focuses on the

audience and how they will
interpret and respond to the
message

T he “Y ou” V iew
The “YOU” View
Positive expression and Reader
Benefit
“We cannot process your loan application until we
receive your mother’s maiden name”

Focus on the positive aspect of the message

:

“Your loan application will be processed as soon as

we receive your mother’s maiden name”

Replace negative words : can’t, won’t,

unfortunately, reject, bad, boring, unacceptable,
Active Sentences & Concrete Language

Active sentences emphasize the person and the subject

carrying out an action.
In passive sentences the subject receives or is granted the
action
Avoid passive verb structure. Often verbs are weakened when
they are used as nouns. When a verb is used in a noun form,
several other words have to be added as well, which makes
the sentence longer, and harder to read.
Grammatical Correctness
• Grammatical errors make it more
difficult to grasp your meaning, and
make you seem unprofessional.
