Rules and Regulations: Admissions & other academic matters


PART-A: ADMISSION TO UG PROGRAMME:

5.1 Admission to B.E. First Year 1. Before the commencement of the admission procedure a letter of consent has to be given by the institute, to the Directorate of Technical Education (DTE), Mumbai for participation of the institute in the admission procedure conducted by the DTE, Mumbai. The details of which can be had from the website: www.dte.org.in/ 2. The total number of seats to be filled should be as per the sanctioned intake (The approval of which has to be taken each year) from AICTE, New Delhi. The overall process of admission to B.E and MBA is governed by the Directorate of Technical Education (DTE), Maharashtra State, Mumbai. 3. Out of the sanctioned intake, various quotas are to be filled through entrance examination, State level (MHT-CET) and all India (AIEEE), as governed by DTE are defined in the Admission Information Brochure. The process conducted for filling these seats is called as the Centralized Admission Process (CAP). 4. For the above mentioned quotas, the CAP is carried out by the DTE and the guidelines are to be referred from the information brochure published by the DTE for the academic year. While admitting the candidates, the applicable procedure for documents and fees, is mentioned in CAP admission brochure. 5. The procedure for filling the seats at Institute level (20% seats of sanctioned intake) is followed as mentioned in the admission brochure of DTE. 6. For filling up the vacancies (if any) remaining after the CAP rounds, the procedure as given by DTE is followed. 7. The Over and above Seats are filled up as per the rules and regulations of the Directorate of Technical Education (DTE), Maharashtra State, Mumbai. After the admission of such candidates they report to the institute for the confirmation of their admission. 5.2 Change of Branch

Students are eligible to apply for a change of branch only after successfully completing the first two semesters. The rules / guidelines shall be as per directives given by the DTE, Mumbai. 1. A change of branch shall be offered to the candidate, if clear vacancies exist, as per DTE directives. 2. Students must apply for change of branch immediately after the declaration of the result of first year (both semesters) and can give their choices in order of preference as and when notified in the prescribed form available in the office. 3. All such transfers can be affected only at the beginning of the academic year. 4. No change of branch will be affected in the First year once the student has been admitted for a particular programme. 5. A student admitted in the TFWS, Jammu & Kashmir (J&K) and Central Government Quota (CGQ) is not eligible for change of branch. A student from other university / college (whether autonomous or affiliated University in the country) is not allowed for admission to an Autonomous institute.

Admission To Direct Second Year B.E. 1. For direct second year admission, the rules and regulations are followed as per the directives given by the DTE, Mumbai accordingly. The rules and regulations are published in the admission brochure for direct second year admission. The number of vacancies available for students is mentioned on the website of DTE i.e. www.dte.org.in/dse

5.4 ENROLMENT 1. Procedure for Allocation of Enrolment Number to a student: The enrolment number assigned to a student shall be a ten digit number as given below:

First four digits will be the Year of Admission; e.g. admission year is 2012: so the first four digits will be: 2012

Registration of Students (Higher Classes) 1. The calendar/dates of registration are mentioned on Academic Calendar prepared by dean academics and the copy of these are given to all first, second and third year students before going for their summer vacation. Notices are also displayed on various notice boards at college and hostel. 2. The registration committees include faculty members and lab assistants as nominated by HOD, are formed for different branches year wise and the information of the schedule and necessary instructions are circulated to all the concerned faculty and staff members. As per the notice, staff members are informed to collect the related stationary from the office, one day before. The registration committee members give the necessary registration forms and documents to the students to fill. Duly filled-up forms, with required number of photos, all previous semesters mark lists, and the DDs for the tuition and hostel fees, are collected. Receipt for the tuition fees and a separate receipt for the hostel fees as paid by the students are issued to the student. At the end of the day, all the particulars of the fees collected along with the DDs/Chalan are submitted to the account section and the documents are submitted to the office. A list of the registered students is prepared for a particular class and a copy of the same is given to the concerned departments.

Preparation of Roll List 1. In the beginning of every academic session, new admissions take place for (i) BE first year, (ii) Direct second year, 2. 3. 4. After completion of the admission process, the roll lists are prepared. The admission register of the admitted students is prepared. The various details of the admitted students viz. Name, Father's / Mother's Name, Permanent Addresses with Pin Code, Caste, Date of Birth, Year of Passing 10+2 Examination, PCM Marks, MHT-CET/AIEEE Marks, Board of Examination, Roll No. of Exam., Personal Contact No., Admission Date and Remarks, are filled-up in admission register. A copy of the branch wise list admission of students is sent to the concerned HOD for their records, well before the starting of the regular classes.

PART B : ADMISSION TO PG PROGRAMME


5.7 Admission to M.E. First Year 1. 2. 3. The total numbers of seats to be filled are as per the sanctioned intake from AICTE. The seats are divided into Open / Caste Category and Sponsored Candidates. Minimum Qualifications for the eligibility: The candidate should have secured minimum 55% in B.E. / B.Tech. or any equivalent degree recognized by AICTE. 4. 5. 6. 7. 8. The advertisement is prepared and given for publishing to the various newspapers to be decided by the management. The application forms from the aspiring candidates with attested copies of all the required documents are received. The application forms are scrutinized and as per the criteria for merit list, the merit list of all eligible candidates is prepared. The written test and interviews of the candidates are conducted. The GATE qualified students are exempted from the written test. Based on the performance of the candidates, the selection list and waiting list is displayed on the departmental notice board. The GATE qualified students are given preference for selection. 9. 10. The GATE qualified students are eligible for receiving the scholarship from Govt. of India. For documents and fees, the applicable procedure as given in Sr.No.4 (f-l) admission to B.E. first year is followed.

Admission to MBA First Year 1. All admissions are made as per the rules and regulations issued by the DTE and published in its brochure every year. A copy of the brochure is sent by the DTE to the department through post before the commencement of admission procedure. Accordingly DTE advertises and conducts the admission procedure and displays on its website (www.dte.org.in/mba) list of applicant students allotted on 80% seats of the department.

Students allotted of the department and reporting here for admission during the due dates are given admission forms which they fill and submit along with required credentials as specified in the DTE brochure for verification by the HOD. The student then deposits fees in the administrative office as prescribed by the Shikshan Shulka Samitee (SSS) and obtains fee receipt and thus finalizes his/her admission. 4. 5. Vacant seats are reported to DTE for subsequent allotment. The department advertises (stored as records in the file) in newspaper(s)/website (www.ssgmce.org) for admission on management seat i.e. 20% of intake. Students apply against the same by submitting / emailing filled up form to the department at email ID principal@ssgmce.ac.in

Registration of Students (M.E./M.B.A.): 1. PART- C: DISCIPLINE AND CONDUCT

5.12 Students discipline A student shall conform to a high standard of discipline and conduct himself within and outside the precincts of the college in a manner befitting the students of an institution of national importance. He / She shall have seriousness of purpose and shall, in every way train himself / herself to lead a life of earnest endeavor and cooperation. He/ She shall show due courtesy and consideration to the employees of the college and the Hostels, good neighborliness to his / her fellow students, respect to the wardens of the Hostels, and the teachers of the college and pay attention and courtesy to the visitors.

5.13 Discipline Committee For the maintenance of discipline amongst the students of the college, the competent Authority may appoint a Discipline (Standing) Committee each year to examine the cases of any student or student involved in any breach of rules of conduct and recommend to the Principal for suitable disciplinary action or punishment.

5.14

Act of Indiscipline Breach of Rules and Regulation of Hostels, lack of decorum, ungentlemanly conduct or willful damage of college or hostel properties, or of the belongingness of a fellow student as well as adoption of unfair means in the class rooms, laboratories, field or in the examination hall shall constitute the Act of indiscipline by the students.

5.15 Punishment A student whose conduct has not been up to the standard expected man be imposed monetary fine, temporarily or permanently suspended or rusticated from the college or debarred from taking examinations.

5.16 Redressal The Principal may give hearing to the students reported against and pass orders on the recommendations of the Discipline Committee.

5.17 Attendance 1. Regular 100% attendance is expected of all students for every registered course in theory, tutorials, laboratory and workshop. Hence attendance is compulsory and will be monitored in the semester and students will be informed at the end of the month and at the end of semester. 2. A maximum of 25% absence for the attendance may be condoned only on valid grounds such as illness, death in family or other emergency beyond students control and approved by the Head of the department and Dean Academics. Sanctions to be taken within a week after joining if on medical grounds. 3. A student having attendance lower that 80% in a course whatsoever may be the reason is detained and debarred from appearing in the EndSemester Examination (ESE) for that course in that semester and the student will have to re-register for the course as and when it is offered. The continuous assessment of laboratory course shall be null and void in such cases and the student shall have to re-register for the course as and when it is offered. In such cases the student is given XX grade.

5.18 Leave of Absence 1. If the period of leave is for a short duration (less than a week), prior application for leave shall have to be submitted to the Head of the Department concerned, stating fully the reasons for the leave requested for, along with the supporting document(s). The Head of the Department shall grant such leave. 2. Absence for a period not exceeding one week in a semester due to sickness or any other unavoidable reasons for which prior application

could not be made may be condoned by the Head of the Department provided he/she is satisfied with the explanation. 3. If the period of absence is likely to exceed one week, a prior application for grant of leave will have to be submitted through the Head of the Department to the Dean - Academics with supporting documents. In each case the decision to grant leave shall be taken by the Dean Academics on the recommendation of the Head of the Department. 4. The Dean Academics on receipt of an application may decide whether the student be asked to withdraw from the course for that particular semester because of his long absence.

5.19 Temporary Withdrawal from the Programme A student seeking temporary withdrawal is granted permission by the Dean Academics to withdraw from the Programme for one semester/year for reasons of ill health or other valid reasons on the recommendations of concerned HOD on the following terms: 1. The student applies to the institute within six weeks of commencement of the term or from within six weeks of his / her last attendance in class whichever is earlier, stating the reasons for such withdrawal with supporting documents and endorsement of his/her parents. 2. The student shall have settled all dues at the college including those of hostel, library and department, etc. 3. Normally, a student shall be permitted to avail of temporary withdrawal only once during the Programme duration at the institute and for a maximum duration of two semesters. 4. Such student who has discontinued and re-joins again will be governed by rules and regulations, courses of study and syllabi in force at the time of his joining the Institute. The joining time shall be the normal commencement of the term. 5.20 Re-registration:

This is applicable to a student who falls in one/both of the following categories:

a) A student who has failed in examination (Discontinues) and is not eligible to


register in the next higher class.

b) A student who is detained due to less attendance (as per the criteria decided
by competent authority) in previous session because of a valid genuine reason/ involvement in academic malpractices/ involvement in matters of breaking the institute code of conduct and discipline. The admission fee shall be as per the rules laid down by the competent authority from time to time. 5.21 Academic Calendar 1. The academic activities of the Institute are scheduled in the academic calendar by the Dean Academics at the beginning of each academic year. It is mandatory for students / faculty to strictly adhere to the academic calendar for completion of academic activities. 2. The academic year shall be divided into two semesters. The Semester that begins in July shall be called as Autumn Semester and the semester that begins in January is known Spring Semester. 3. The total duration of the each Semester shall include registration, teaching, continuous internal evaluation, testes, end of semester examination, evaluation, result declaration & vacation. 4. There may be a summer term of two months which will be declared in advance at the beginning of the Academic Year at the sole discretion of the Principal / Director / Dean of the Institute.
