PROBLEM SUMMARY Happy Enterprise is a firm which has been in the business of Air-conditioner Sal es and Service since

last 15 years. They are authorized sales and service dealer of four companies - HITACHI, OGENERAL, BLUE STAR and LG. Branch Manager, Rahul Kamdar, helped us as our industry guide in the company. He gave us whole information about the companys working methods and explained us va rious tasks involved in the entire process. The whole process and related import ant details are stored, retrieved and analyzed on paper and by Microsoft Excel. The task of maintaining everything on paper is tedious and poses a huge problem. Moreover, the data and information can be accessed by any employee who is not a uthenticated person to access those data. Hence, data privacy issue occurs which is of crucial concern. It is very difficult to maintain all the departments details manually by the admi nistrator. Additionally, the distribution of work among the employee is tough. T hese issues can be efficiently solved through the use of an ERP.

DETAILED DESCRIPTION OF PROBLEM Why is Enterprise resource planning required? ERP is required to maintain all the departments of the industry without any kind of mismanagement. ERP software reduces the chance of mismanagement and converts the human resource into more productive work. Data security and privacy is one of the major issues. Only authenticate person s hould access the data. This helps the industry to provide good service to the cu stomers. The problem can be analyzed in following aspects 1. Admin 2. Employee Detail 3. Customer Detail 4. Daily schedule 5. Sales Detail 6. Service Detail

1. Admin: It is difficult to manage employee defaults. Additionally, it is arduous to main tain all the reports of stocks, employee performance, product, sales, and purcha se department details. 2. Sales: They maintain all the sales details manually so they cant search customer details and pending installation of AC quickly. Details related to payment due are also being mismanaged. 3. Services: They provide the service of AC quarterly so everyday they need to search which c ustomers services are due. 4. Schedules: They cant decide routes of employee quickly. They need to check books and records as to find the number of pending services. 5. Employees: Employees personal details are difficult to maintain on paper. Moreover, work rec ords and performance of the employees cannot be judged effectively. 6. Customer Detail: Customers address, contacts, purchases and services records need to be maintained . Also person has to remember the type of customer. It is difficult to remember number of services done, pending services and schedule of next services and paym ent details. 7. Complain Management: When a customer registers a complaint, an employee has to find customers address and also details related to his/her AC. It is very time consuming process to fin d these all records and chances of wrong information are more. 8. Sales: Clients requirement and details are maintained manually and they cannot have curr ent installation status as well as payment details. They dont get perfect idea ab out payment issues as well AC installation status. 9. Inventory: In inventory, it is very difficult to find current stock of a part as well as fu ture requirements. They do not have perfect approximation of availability of par t elements or things that might be required at the time of service or sales. 10. Product: They need to count daily stock of machines and compressors. It is difficult to j udge, without information of sales report and current stock details, the current stock status and future requirements. Additionally, product price and detail ch ange very frequently. So they need to remember these facts and have to check dai ly for the changes. EXPECTED OUTCOME The ERP system will give the Admin full control (create/edit/update/dele

te) over all the modules like employee detail, inventory, products, etc. The adm in will also be able to set permissions of different users based on their role a nd requirement. Employee Module: It will cover Employee login & logout timing Employee personal details Role of employee Enrolment details Performance of the employee (technician) Customer Module: This module will have all the details related to customer. Along with cu stomer database, this module will provide information about Number of ACs purchased by a particular customer Type of customer (Annual Maintenance Contract (A.M.C.)/AC Service) Number of services done and details related to service like type, time, etc. Payment details and dues Services Department Module: Reports generated by this module will help the company to track the clients serv ed by the Services Department and store the information related to number of ins tallations. This information helps in allocation of technician to customers on t he basis of their priority and information. Complain Management Module: This module will help in keeping records of complaints like type of fault, area of fault, etc. It also helps to manage. Auto numbering of customer complaints Convenient time of customer, status of AC (warranty/AMC) and status of complain. Sales Module: This module will record the data of sales person as well as customers. It will g enerate reports that will help in analysis such as Number of ACs required for A.M.C., ACs owned by the customer Kind of AC required (new/old) Details of sales (machine unique number, payment status, installation time, etc. ) Total cost including installation, frame, piping and offer price. Technician details (like service type) Customer and service detail Sales and stock details of parts (like remote, copper pipe, rubber slave, capaci tors, etc.) Stock Management Module: This module will bear the data which includes company name, price, machine type, offer price, and also ratings and benefits. It will enable to maintain quotation as per requirement. Purchase Module: This module will help in purchase management which helps in analysis of overall profit/loss of the company. This will enable the company to record and retrieve Number and location of purchase of ACs and their component and parts Cost of purchasing Payment method and dues Type of customer (organization, small scale industry) Inquires and follow up management which includes convenient time, current status

Thus, with full control over all these modules, the company will be able to optimize all its activities giving a huge hike in its profits. This system g ives full insight to the entire business and direction of its development.
