Role of Site Coordinator and Student
Support Structures.
Establish Relationships
 It is vitally important to establish EXCELLENT
relationships with key people at your student’s
schools.
 School Co-ordinator e.g. connections, supervision
of work, assessments, resources, liaison with staff
 Subject teacher e.g. Content help, books,
resources, student support.
Job Descriptions
 It is important that you establish who is responsible
for what and be sure that both are aware of
requirements and responsibilities. See your cluster
job descriptions. e.g.
School Co-ordinator
 Each OtagoNet school should identify and appoint an OtagoNet ‘School Co-
ordinator’ whose responsibility shall be to deal with the local day-to-day
OtagoNet operations within their school.
 The appointee may already be responsible for Distance Learning in the
school.
 Guidelines – the School Coordinators responsibilities are likely to include;
 acting as the primary OtagoNet communication point for all local school
interactions (- check email daily so as to pass on relevant information to
students as required.)
 enrolling and withdrawing eStudents.
 reporting and following up eStudent and eTeacher absences and make sure
students do not forget their VC lessons.
 ensuring all eStudents have email accounts accessible from school and
home, and have usernames/password for OLEs used in the OtagoNet
course.
 ensuring eStudents receive required course documentation.
 ensuring eStudents have the necessary textbooks, course materials need
for the course (- the cost of purchase of these materials is the home school
responsibility)

arranging the installation of any required software on the school computers
eStudent will use
 ensuring eStudents have access to ICT equipment to send/ receive emails, print
files, log onto online learning environments (Scholaris and Moodle) and the internet.
 ensuring that all students receive adequate training to operate the
videoconferencing gear (and peripheral) independently, and have access to online
class PINs
 ensuring all student work is sent on due dates (eTeachers should alert School
Coordinators of upcoming dates)
 Liaising with the eTeachers of the eStudents from their school.
 Where behavioural or work issues arise, ensure that these are processed through
the school’s pastoral care system and ensure that there is follow through. Liaise with
the eStudents’ year Deans where necessary
 ensuring reports are sent and/or received
 ensure all eTeachers have sent reports. Pass on reports received to the
respective parents via your usual school practices. (the ePrincipal should be
contacted if reports don’t arrive when scheduled)
 laison link with parents to clarify courses, talk about progress (parent interviews
may be arranged and occur via VC)
 organising transport and/or accommodation for eStudents and eTeachers involved
in any ‘face to face’ OtagoNet activity e.g eDays, Camps, Fieldtrips, etc .
- OtagoNet’s first eDay is normally held at Roxburgh on the 1st
Friday after Waitangi Day. A second eDay is held later in Term 3. Attendance is

 organising for eStudents are supervised during assessments, tests and
examinations
 ensuring any NZQA sssessment activities conform with the required protocols.

assessed student work to verify the assessment conditions and the authenticity
of submitted work
 Troubleshoot any problems associated with VC classes, eStudents

students and advise OtagoNet leadership and the school Principal as soon as
possible to ensure a speedy resolution.
 Follow up on reported problems received from eTeachers or eStudents
regarding the functioning of the VC equipment.

 Promote eTeaching and eLearning to professional colleagues and the wider
community.Attend OtagoNet PD days and conferences, cluster group meetings and/
or any other eLearning opportunities as required/able.Follow up on reported
problems received from eTeachers or eStudents regarding the functioning of the VC
equipment.

eTeacher Responsibilities
 Ensure all video-conferencing equipment is functioning correctly.
 Be confident to carry out minor trouble-shooting on VC equipment

 Develop sound pedagogical practices relating to distance education
and teaching in an eLearning environment.
 Ensure the course is developed in a form suitable for eLearning.

 eTeachers need to be well organised and must be aware of the unique


communication requirements of eLearning using VC.
 Ensure course outlines, standards to be tested and assessment
policies are updated regularly and sent to students or posted on the
intranet.

 Mark student work and return it in a timely fashion (this will vary
from subject to subject).
 Ensure that all eStudents have the correct course materials
(textbook, practical work resources). It is the responsibility of the
eStudent’s school to provide these.
 Check to ensure that all student work is received by due dates (by
post, email and attachments or submitted onto the intranet).
 Inform the eStudents’ School Coordinator where there are
problems with behaviour in class or the non-submission of work.
 Establish contact with the eStudents’ year Dean so that academic
issues can be reported and dealt with should the need arise.
 Inform the Principal’s Nominee (PN), in writing or by email, of the
standards that eStudents need to be registered for on the NQF
framework. Grades for internal assessments, similarly, need to be
forwarded, in writing or by email, to the PN for data entry into the
schools Student Management System (SMS).
eTeacher Responsibilities cont.
 Request written confirmation from the eStudents PN regarding the
Achievement Standard/Unit Standard numbers for which students have been
enrolled, and the ‘External Provider’ school Ministry of Education (MoE)
number used for enrolment. The MoE number used should be the delivery
school’s number.
 Forward summative assessment results to the PN at a student’s schools. This
must be done in writing.
 Request written confirmation from the eStudents’ PN regarding internal
grades entered into the SMS and reported to NZQA to ensure grades
reported are the grades recorded by the eTeacher.
 The eTeacher is responsible for NZQA moderation. The eSchool class
provides the samples. (N.B. the delivery school is the eStudent’s ‘External
Provider’ for NCEA.)
 Request reporting dates for reports from the eStudent’s schools
 Prepare Reports on students (in writing, at least twice a year, signed and
posted to the School Coordinator).
 The appraisal of an eTeacher is ultimately the responsibility of the delivery
school, but may be done in conjunction with the ePrincipal.
 Attend eDays and/or eHuis.
 Give collegial support to other eTeachers
 Keep in regular contact with ePrincipal via email, VC or phone.
