KEY POINTS TO REMEMBER
YOU ARE RESPONSIBLE for the protection of the data
whether the data is in email, on your laptop, or on a
removable media device such as a thumbdrive or USB.
Any time data is lost, it puts our patients (or you) at
risk of fraud, identity theft, and loss of privacy.
ASK YOURSELF THESE QUESTIONS
Do I send emails that contain sensitive data outside
the company for business purposes?
Do I save sensitive data to my laptop and take my
laptop home with me or on business trips?
Do I save sensitive data to thumbdrives, USBs, CDs,
DVDs, or other forms of media for business purposes?
Do I mail or ship removable media to others for business
purposes?
If you answered yes to any of the questions above, then
YOU ARE RESPONSIBLE for the protection of the data.
Any time data is lost, it puts our patients (or you) at risk
of fraud, identity theft, and loss of privacy. It can also
result in bad publicity for HCA, and cost us hundreds of
thousands of dollars. Regulations like HIPAA and PCI also
require you to protect certain data.
Read below to nd out what you need to do to protect
senstive data in emails, on your laptop, and on removable
media.
EMAIL
To encrypt an email, simply place <encrypt> somewhere
in the Subject line of the email. You can also use (encrypt),
{encrypt}, or [encrypt].
Important Notes about Email Encryption
This only works with email messages going to
recipients outside of the HCA email environment. You
are not required to encrypt emails to recipients with
HCA-provided emails.
The Subject line of the email is not encrypted. Do
not put sensitive information in the Subject line.
Attachments are automatically encrypted and
require no additional steps.
LAPTOP
To conrm that encryption is installed and working on
your company-owned laptop or desktop, follow the steps
in the Information Security Procedure: Verify Your Laptop
is Encrypted document on Atlas. Laptops should be
encrypted by your local IT Support Staff.
Important Notes about Laptop Encryption
The document above also provides next steps if you
nd that encryption is missing or not working properly
on your laptop.
If you plan to travel with your laptop, contact
your FISO or local IT Department to learn more about
protecting sensitive data and your laptop.
REMOVABLE MEDIA
(THUMBDRIVES, USBS, CDS, DVDS)
To encrypt removable media, contact your FISO or local
IT Help Desk. They can help determine the appropriate
encryption options for you and your situation.
Important Notes about Encryption on Removable Media
If you are sending the removable media to someone
else, contact the recipient via phone to provide the
recipient with the encryption key or password.
Another option is to send an encrypted email with this
information. Never include the encryption key with the
encrypted le(s)!
If you plan to mail or courier the media outside
of your facility, be sure to use a service that tracks the
package and requires signature upon receipt.
It is very easy to misplace or steal a removable
media device. Even if you expect to keep the disk at your
desk, make sure the sensitive data le is encrypted.
QUESTIONS
If you have questions about your role in protecting
sensitive data, contact your FISO, DISO, or local IT Help
Desk. There is no such thing as a dumb question when
it comes to protecting the information of our patients,
employees, and our company.
