Welcome!
Welcome to eReceptionist! This User Guide walks you through the initial configuration of your eReceptionist account. It also provides instructions for answering and making calls, checking voicemail, and using each of the advanced features. Most of the procedures in this Guide require that you log into the account either online or by telephone. Refer to the Access Your Account section below for details.

Access Your Account


After account sign-up, log in information (main number, extension, and password) is sent to the Admin in a Welcome Email. Each extension user set up by the Admin also receives a Welcome Email with their access information.

Log In Online
1. Go to www.ereceptionist.co.uk. 2. Click Log In at the top of the screen. 3. Enter the main eReceptionist number, the extension, and the password for the extension in the appropriate fields. IMPORTANT! For the main number, include the country code and drop the initial 0. For example, the UKnumber beginning with 0207 is input as 44207. 4. Click the LOG IN button.

Log In by Telephone
1. Dial the main eReceptionist number. 2. Enter the extension when the Welcome Greeting starts. 3. Press the * key when the Extension Greeting starts. 4. Enter the extension password and press the # key. If the password includes the letters Q and/or Z, press 7 for Q and press 9 for Z.

Keep Your Account Secure


It is a good idea to regularly change your password and to activate the Secret Question and Answer user verification feature.

Change Your Password


Passwords must be 4-10 alphanumeric characters. To change your password: 1. Click the Account Settings link at the top of the My Account page. 2. Click the Password link. 3. Click the Change Password tab. Follow the onscreen instructions to change and save your password.

Change Your Secret Question and Answer


If you forget your password, the Secret Question and Answer feature verifies that you are an approved user of the account. To modify your secret question and answer: 1. Click the Account Settings link at the top of the My Account page. 2. Click the Password link. 3. Click the Secret Question tab. Follow the onscreen instructions to change and save your information.

Quick Set Up

Quick Set Up
Here are three quick steps for getting started with eReceptionist.

Step 1 Manage Extensions


Each eReceptionist account comes with three extensions. The Admin Extension is created during account sign-up. For help setting up the other two extensions, refer to Set Up Extensions. Each extension must have at least one Call Routing number and an email address for receiving voicemail. Depending upon the size of your company, you may need to purchase additional extensions. Refer to the Add Extensions section for details. If you decide you do not want to use extensions, turn off the Auto Attendant.

Step 2 Set Up Call Routing


Each extension can forward calls to up to three different numbers before going to voicemail. This allows the extension user to receive calls anywhere at any time of day. Determine where you would like to forward calls and whether you need to create a schedule for the time of day/days of the week. If no Call Routing numbers are added, calls go straight to voicemail. For more information, refer to the steps in the Call Routing section.

Step 3 Create a Welcome Greeting


After you have determined the number of extensions you need and configured them for use, you'll need to create a welcome greeting. This greeting is the first thing callers hear when they call your eReceptionist number and will assist them in selecting an extension. To record a new Welcome Greeting over the phone, or to request a professionally-recorded Welcome Greeting, refer to the Admin-Controlled Greetings section. Each account comes with one free professionally-recorded greeting to get you started!

Manage Extensions
Effective extension management includes editing contact information for extensions already set up in the account, as well as setting up Call Routing and Call/Voicemail Options. Additional tasks may include overriding or deleting your Call Routing schedule or activating user-recorded greetings. Most of these tasks can be performed by both users and the Admin. If the procedures differ by role, then those differences are noted where applicable.

Edit Extension Info


Extension Info is contact data for a particular extension for all system-related communication and extension log in. If you have not yet set up the extension you want to edit, then follow the steps in the Set Up Extensions section. To edit extension info: 1. Log into your account online and go to Manage Extensions. Users skip to Step 5. 2. Admin only: Click the Edit link that corresponds to the extension you wish to edit. 3. Admin only: Change the number assigned to the extension in the Extension # field (on the Info tab). This number can be up to two digits. IMPORTANT! Changing the number assigned to an existing extension deletes ALL voicemail messages stored for that extension (you may also have to change your greetings). 4. Admin only: Change the extension assignee in the Name or Department field. This data populates the Manage Extensions table. 5. Change the password assigned to the extension in the Password field (on the Info tab). It must be 4 to 10 alphanumeric characters. 6. Re-enter the password in the Confirm New Password field. 7. Change the email address associated with the extension in the Email Address field. This becomes the default voicemail forwarding address, unless the Admin or user has already changed the voicemail forwarding address in the VM Options tab. Users skip to Step 9. 8. Admin only: Check the Set this user as administrator checkbox to assign Admin rights to this extension. IMPORTANT! Only one extension can have Admin rights. Each time Admin rights are assigned to an extension, they are removed from the previous Admin's extension. 9. Click Update.

Set Up Call Routing


Lets consider an example of how Call Routing works. I work Monday through Friday, from 9:00 a.m. to 6:00 p.m., but since I work from home occasionally, I may not be at my office desk when callers attempt to reach me. I also have a mobile phone that I carry with me at all times. So, I have three numbers that I manage through my eReceptionist account my work number, my home office number, and my mobile. When someone calls me during the work week, they dial my eReceptionist number. I have Call Routing set to dial my office phone number first. If I do not answer the phone, the system then rings my home number and my mobile phone simultaneously. This is all seamless to the caller they simply wait for me to answer the phone. If I still do not answer the call, they are then asked to leave me a voicemail. This message is left at my eReceptionist account and also forwarded to my outside email. Setting up Call Routing is a two-part process:

First, for each extension, provide up to three numbers where you can be reached and the order of their use (this is the default Call Routing list). Second, decide if you want to create a daily schedule for using these numbers.

Set the Default Call Routing List


To set the numbers used in your default Call Routing list: 1. Log into your account online and go to Manage Extensions. 2. Admin only: Click Edit next to the extension requiring Call Routing. Users are already in Edit mode. 3. Click the Call Routing tab. 4. Input in the provided text fields the telephone numbers to which calls forward. Do not include spaces or dashes. Include the country code and remove the national prefix, if any. For example: for the UK, enter (0)203 070 1000 as 442030701000. NOTE: Each incoming call forwards to the numbers in your list in order (first, second, third). If all the fields in the list are left empty, all calls go to voicemail. 5. Select the number of times each forwarding number should ring, using the Max Rings drop-down menu. 6. Click Update to save your default Call Routing list.

Create the Daily Schedule


Now that the numbers have been set, create the daily schedule for when they should be used (these steps are also performed in the Call Routing tab): 1. Click the Edit Status link in the Advanced Call Routing Schedule section. 2. Click the Active option and then Update. The Call Routing calendar opens. The default schedule is Monday-Friday 8:00 a.m. to 5 p.m. and is set to use your default Call Routing list. You have three options regarding this default schedule: a. Use it as is. b. Adjust it by dragging the black squares on the calendar box to the days/times you want in your schedule. c. Delete it and replace it with a new one. After deletion, click in the empty calendar where you want your schedule to begin and drag the calendar box to the days/times you want in your schedule. NOTE: Time periods not included in a schedule remain white. Calls arriving during these times forward directly to voicemail. 3. Click Update to save any changes or new schedules.
TIP: You can create multiple, non-overlapping schedules that use different phone

sequences. Simply set the time and days for each schedule. To use a separate phone sequence for a schedule, unclick the Default Call Routing List option in the Phone Sequence dialog box, enter the new sequence of numbers, and click Update.

Delete a Call Routing Schedule


Follow these steps to delete a Call Routing schedule: 1. Access your Call Routing schedule in the Advanced Call Routing Schedule section of the Call Routing tab. 2. Click the colored square that covers the days and times you wish to delete. 3. Click Delete. The system asks you to confirm the deletion.

Manage Call Routing Schedules


Once set, it may become necessary to override or delete your Call Routing schedule. The following sections describe each of these actions.

Temporarily Override the Call Routing Schedule


This option is useful if you are ever unavailable at the numbers in your schedule. This temporary override does not erase your schedule; when the override option is unchecked, the saved schedule is reactivated. Follow these steps to temporarily override your Call Routing schedule: 1. Log into your account online and go to Manage Extensions. 2. Admin only: Click the Edit link next to the extension requiring Call Routing. Users are already in Edit mode. 3. Click the Call Routing tab. 4. Check the Override Call Routing option. 5. Select either the Send to Voicemail or Send to <email address> option. If the email option is selected, provide the email address in the text box. 6. Click the Update button to save this change. To remove the override, simply uncheck the Override Call Routing option.

Deactivate Call Routing Schedule


Deactivating your schedule does not erase it, it simply changes your Call Routing back to the default Call Routing list (the list is in use at all times during the day/night if there is no schedule set). If there are no numbers in your list, calls go directly to voicemail. Follow these steps to deactivate Call Routing: 1. Log into your account online and go to Manage Extensions. 2. Admin only: Click the Edit link next to the extension requiring Call Routing. Users are already in Edit mode. 3. Click the Call Routing tab. 4. Click the Edit Status link in the Advanced Call Routing Schedule section. 5. Select the Inactive option. 6. Click the Update button to save this change. To reactivate the schedule, click the Active option and then Update.

Set Call Options


Use the Call Options to tailor the user's call forwarding experience to your business needs:

Call Screening: this default option plays a recording of the caller stating their name, after which the user decides either to answer the call or send it to voicemail (the waiting caller hears hold music). NOTE: This option is only available if Call Routing is enabled.

Non-Call Screening Options: these options, used when Call Screening is not required, allow the extension user to choose hold music only, ring tones only, or a connecting call prompt (followed by ringing). Call Accept: this option allows the user to choose whether to answer a call or send it to voicemail. This option is only available if the Call Screening option is NOT selected; if Call Accept is turned off, the user immediately connects to any call answered. When activated, Call Accept is a great way to tell the difference between incoming calls to your eReceptionist number and incoming calls going directly to your mobile phone.

Follow these steps to change your call option selection: 1. Log into your account online and go to Manage Extensions. 2. Admin only: Click Edit next to the extension requiring the change. Users are already in Edit mode. 3. Click the Call Options tab. 4. Follow the onscreen instructions to set your Call Screening or Call Accept options. 5. Click Update.

Set Voicemail Options


Use the Voicemail Options to customise how you receive your messages:

Voicemail Forwarding: when enabled, this option forwards (as .wav attachments) a copy of all voicemails for an extension to a specified email address. NOTE: The Admin Extension defaults to the email address provided during account sign-up. If an email address is not present, then voicemails are only available through the TUI.

Notifications: knowing when you have a message waiting is important. Notifications alert you as soon as a message is received in your account. You can set either an email notification or a phone notification, or both. NOTE: Phone notifications do not continue until you listen to the previous phone message through the TUI.

Follow these steps to change your voicemail options: 1. Log into your account online and go to Manage Extensions. 2. Admin only: Click Edit next to the extension requiring voicemail forwarding. Users are already in Edit mode. 3. Click the VM Options tab. 4. Follow the onscreen instructions to set your voicemail forwarding and notification options.
TIP: The values input into the text fields are activated only when the relevant check-

box is selected. To turn an option off, come back to this tab and uncheck the appropriate box. 5. Click Update. To exit without saving your changes, click Cancel.

User-Recorded Greetings
Extension users can record their own messages for the following greeting types: Greeting Type Description Unavailable Extension Greeting callers hear when calls forward to voicemail. Greeting callers hear after they dial an extension, but before the call is connected to another number or to voicemail.

IMPORTANT! Recording your own greeting overwrites any greeting already assigned to the extension, including professionally-recorded greetings. Always check with the Admin before recording a new greeting.

Record Your Own Unavailable Greeting


The default Unavailable Greeting is This extension is currently unavailable. Please leave a message after the tone. Either the Admin or the extension user may record a custom Unavailable Greeting through the Telephone User Interface (TUI): 1. Log into your extension by telephone. 2. Press 8 to access Personal Options. 3. Press 4 to access the Greetings menu. 4. Press 1 to record the Unavailable Greeting. 5. Follow the instructions to record a new greeting.

Record Your Own Extension Greeting


The default Extension Greeting is Please hold while you're being connected, or press 1 to leave a message. Either the Admin or the extension user may record a custom Extension Greeting through the Telephone User Interface (TUI): 1. Log into your extension by telephone. 2. Press 8 to access Personal Options. 3. Press 4 to access the Greetings menu. 4. Press 2 to record the Extension Greeting. 5. Follow the instructions to record a new greeting.

Admin Customisations
The following tasks can only be performed by the account Admin.

Set Up Extensions
For each extension included with your account but not yet activated, a Setup link is displayed in the right-hand column of the Manage Extensions table. Follow these steps to set up an extension: 1. Log into your account online and go to Manage Extensions. 2. Click one of the Setup links. 3. Assign a number to the new extension in the Extension # field. This can be up to two digits. 4. Enter the name of the person or department assigned to this extension. This data populates the Manage Extensions table. 5. Enter the Password you wish to assign to the extension. It must be 4 to 10 alphanumeric characters. 6. Confirm the password in the Confirm New Password field. 7. Enter the Email Address associated with the extension. This becomes the default email address for voicemails. TIP: After setup, you or the extension user can add a separate email address for voicemail forwarding in the VM Options tab.

Add Extensions
Follow these steps to purchase up to six additional extensions: 1. Log into your account online and go to Manage Extensions. 2. Click one of the Buy links displayed in the right-hand column of the Manage Extensions table. The system asks you to confirm the purchase. 3. Enter the extension information as described in the Set Up Extensions section above, beginning at Step 3. TIP: If you do not wish to set up the extension(s) at this time, you may exit after purchase. You can return to this screen at any time by clicking the Setup link next to the new extension on the Manage Extensions table. NOTE: If 10 or more extensions are required, contact our Sales Department.

Remove Extensions
You cannot remove extensions online. To delete an extension, call Customer Service.

Admin Customisations

Disable the Auto Attendant


The Auto Attendant is activated by default when the account is created, and manages the different extensions and settings that the Admin and users build into the account. When the Auto Attendant is deactivated by the Admin, all user extensions and settings are temporarily disabled this includes all user-created extension greetings. All callers are directly forwarded to the Call Routing list in the Admin extension. Follow these steps to disable the Auto Attendant: 1. Log into your account online and go to Manage Extensions. 2. Check the Turn Auto Attendant off, activate Call Forwarding option box. All extensions in the Manage Extensions table except for the Admin extension appear grayed out to show that they are inactive.
TIP: To enable the extensions, uncheck the Turn Auto Attendant off box.

Admin-Controlled Greetings
As the Admin, you decide whether to use the default account Welcome Greeting, record your own greeting, or request a professionally-recorded greeting. In addition, you can also request professionally-recorded Unavailable and Extension Greetings for each active user on the account.

Record Your Own Welcome Greeting


When the Auto Attendant is activated, the Welcome Greeting is the first thing callers hear when they reach your main eReceptionist number. The default Welcome Greeting, activated with the account, is Thank you for calling. Please enter the extension number followed by the hash key. Alternatively, stay on the line while we try to connect you. A typical Welcome Greeting announces the name of the company and the extension to dial for each employee or department. To record a new Welcome Greeting over the telephone (free of charge): 1. Dial the main service number for your account. 2. Enter the Admin extension number. 3. Press * when you hear the extension greeting. 4. Enter the Admin password and press #. If the password includes the letters Q and/or Z, press 7 for Q and 9 for Z. 5. Press 8 for the Personal Options menu. 6. Press 4 for the Greetings menu.

7. Press 3 for the Account Welcome Greeting options. 8. Follow the directions to record the greeting.

Request a Professionally-Recorded Welcome Greeting


Currently, eReceptionist offers one free professionally-recorded Welcome Greeting with each account. Contact Customer Service for current pricing of additional professional greetings. Every effort is made to have professionally-recorded greetings activated for your account within 48 business hours. Follow these steps to request a professionally-recorded Welcome Greeting that directs callers to each of your individual extensions: 1. Log into your account online and go to Account Settings in the right-hand menu. 2. Click Welcome Greeting. 3. Enter your Welcome Greeting in the provided text box.
TIP: If the pronunciation of a word is not obvious from its formal spelling, spell it pho-

netically. For example, for Theresa, type Tuh-rees-uh. (After the text is submitted, an eReceptionist Customer Service Specialist may contact you if there are questions regarding pronunciation.) 4. Click Submit. The system asks you to confirm the request before continuing. IMPORTANT! There is a fee for greetings exceeding 50 words; however, before you are charged, an eReceptionist Customer Service Specialist will contact you to confirm that you approve the charge. Fees also apply for each revision of a professionally-recorded greeting.

Additional Professionally-Recorded Greetings


As the account Admin, you may purchase professionally-recorded Extension and Unavailable Greetings for any or all extensions.

Request an Extension Greeting


The Extension Greeting is the greeting a caller hears after they have dialed an extension but before the call is forwarded or sent to voicemail. The default Extension Greeting is Please hold while you're being connected, or press 1 to leave a message. To create and submit a professionally-recorded Extension Greeting: 1. Log in online and go to Manage Extensions. 2. Click Edit next to the extension for which you wish to submit a greeting. 3. Click the Greetings tab. 4. Enter your greeting in the Professionally Recorded Extension Greeting text box. 5. Click Submit next to the Extension Greeting text box. The system asks you to confirm the request before continuing.

Request an Unavailable Greeting


The Unavailable Greeting is the message callers hear when they reach your voicemail. The default Unavailable Greeting is This extension is currently unavailable. Please leave a message after the tone. To create and submit a professionally-recorded Unavailable Greeting: 1. Log in online and go to Manage Extensions. 2. Click Edit next to the extension for which you wish to submit a greeting. 3. Click the Greetings tab. 4. Enter your greeting in the Professionally Recorded Unavailable Greeting text box. 5. Click Submit next to the Unavailable Greeting text box. The system asks you to confirm the request before continuing.

Use Your Extension


We recommend putting your eReceptionist information into the body of your email signature, into your electronic business card, and on your standard business card. This is a great way to distribute your eReceptionist number/extension to colleagues, co-workers, business associates, family, and friends!

Answer Calls
Calls may only be answered if Call Routing is enabled for the extension. If Call Routing is not enabled, calls forward directly to voicemail.

If Call Screening is activated, when you answer the telephone you hear the prompt You have a call from [recording of caller identifying him or herself]. Press 1 to accept the call or 3 to send the call to voicemail. If Call Screening is not activated, you hear Press 1 to accept the call or 3 to send the call to voicemail.

Make Calls (Dialing the Full Number)


Follow these steps to make a call using your eReceptionist number and extension: 1. Log into your account by telephone. 2. Press 5. 3. Dial the telephone number you want to reach followed by #. Do not include spaces or dashes in the number. Include the country code and remove the national prefix, if any. For example: for the UK, enter (0)203 070 1000 as 442030701000#.

Make Calls (Using Speed Dial)


Follow these steps to make a call using your eReceptionist speed dial feature: 1. Log into your account by telephone. 2. Press 5. 3. Dial the two-digit speed dial code you assigned to the telephone number followed by #. For example, if the Speed Dial Code is displayed in the list as 10, dial 10#. If the Speed Dial Code is displayed as 3, dial 03#. For information on creating a Speed Dial directory, see the Maintain Your Speed Dial List section.

Transfer Calls
At any point during an incoming call, you may transfer the call to another extension of the eReceptionist account or to an outside number.

Transfer to Another Extension


1. Press *9 to place the call on hold. 2. Press 2 to transfer the call to another extension of the eReceptionist account. The system prompts you to enter the extension number. 3. Press *9 again when the third party answers or you reach their voicemail. This completes the transfer. NOTE: Press * at any time before completing the transfer to cancel and return to the call.

Transfer to an Outside Number


1. Press *9 to place the call on hold. 2. Press 3 to transfer the call to an outside number. At the system prompt, enter the telephone number (do not include spaces or dashes). Include the country code and remove the national prefix, if any. For example: for The Netherlands, enter (0)20 717 6860 as 31207176860. 3. Press *9 again when the third party answers or you reach their voicemail. This completes the transfer. NOTE: Press * at any time before completing the transfer to cancel and return to the call.

Hold Calls

Check Voicemail by Phone


Each voicemail box holds approximately 100 minutes of messages. When full, each new message triggers the deletion of as many old messages as needed to make room for the new message. To check your voicemail by telephone: 1. Log into your account by telephone. 2. Press 1 to access the voicemail box. 3. Press 5 to open the most recent voicemail. While listening, you can... Press...

Block Calls
To block someone from making calls to an extension, list that persons telephone number(s) in the Blocked Phone Number List. Upon dialing the extension, a blocked caller hears Thank you. Goodbye and the call terminates. To add a number to the Blocked Phone Number List: 1. Log into your account online. 2. Click Call Settings in the right-hand menu. 3. Click Blocked Numbers. 4. On the Blocked Phone Number List page, enter the number in the Phone Number to Block field. Do not include spaces or dashes. Include the country code and remove the national prefix, if any. For example: for the UK, enter (0)203 070 1000 as 442030701000. 5. Click Add Number to Blocked List. The number appears in the list at the bottom of the page. (To remove a number from the list, select it and click Delete Selected Numbers.)

View Call History


For each call made to or from an extension, the Call History table displays the start time, end time, and if available from the carrier either the number of the calling party (for inbound calls) or the number of the answering party (for outbound calls). To check the Call History: 1. Log into your account online. 2. Click Account Settings in the right-hand menu. 3. Click Call History. 4. Use the From and To fields to set a range of calendar dates. Dates appear in the dd/mm/yyyy format. 5. Click Display. When the call history appears, click any column header to sort the list according to the information in that column.

Maintain Your Speed Dial List


You can call anyone on the Speed Dial List by dialing a two-digit code instead of the full number. The Speed Dial List holds up to 20 entries. To add a number to the Speed Dial List: 1. Log into your account online. 2. Click Call Settings in the right-hand menu. 3. Click Speed Dial List. 4. Enter the telephone number in any available Phone Number field. Do not include spaces or dashes. Include the country code and remove the national prefix, if any. For example: for France, enter (0)1 70 70 76 60 as 33170707660. 5. Enter the name of the person or company using that number into the Description field. 6. Click Update. (To remove a number from the list, delete the number and description and then click Update.) To use the Speed Dial, refer to the Make Calls (Using Speed Dial) section.

The following terms are used throughout this document: Term Admin Extension Auto Attendant/IVR Definition Primary extension for an eReceptionist account through which all other extensions are managed. Answers calls, announces extensions, routes calls to extension of choice. Allows the user to answer a call or send it to voicemail. This option is only available if the Call Screening option is NOT selected. One of up to three numbers to which a call forwards prior to being sent to voicemail. Sets Call Routing rules for time of day/days of week. Allows the extension user to hear a recording of the caller stating their name, after which the user decides whether to answer the call or send it to voicemail. Recording played when a caller dials an extension. Person with login rights to an individual extension on the eReceptionist account.
