Membership and Finance Manager Position: Membership and Finance Officer Hours: Part-time 28 hours/4 days per week Location: XXX Salary : XXX pro rata Benefits: 5% contributory pension Background information XXX Membership and Finance Manager Job Description Job purpose The Membership and Finance Manager will manage XXXs membership database and keep XXXs financial records. The post holder will also be responsible for daily office administration, including opening post and responding to communication in XXXs generic email inbox, as part of a small team. Managing XXXs financial systems, including billing, invoicing and tracking of income and expenditure. Managing all aspects of membership: registrations, renewals, address changes and queries General office administration duties as part of team with other employees Responsible to: Development Manager Main tasks and responsibilities Financial Management 40% - Manage XXXs financial recording systems, using SAGE - Prepare for annual audit including liaising with auditors - Budgeting and budget monitoring - Manage XXXs payments including processing invoices - Raise payments for incoming invoices - Track expenditure - Create quarterly financial reports for XXXs governing board - Carry out monthly bank reconciliation - Prepare and issue invoices and chase late payments - Financial forward planning and preparation of annual budget and cash-flow - Communicate financial data with other XXX staff and trustees - Hold regular update meetings with XXXs Treasurer Membership Management 40% - Manage communications regarding membership, including invoicing and members queries - Ensuring the timely payment of membership fees - Record accurate membership information in database

Office Administration 20% - Making weekly data back-ups of membership and finance data - XXX as the first point of call for enquiries by telephone, post and email together with other staff members - Maintain efficient office systems, including information storage, and monitoring and purchase of stationery - To undertake any other task that may be reasonably required within the overall functions of the post - Basic website updates (CMS training provided)

Membership and Finance Officer Person Specification Essential - Accountancy qualification or part qualification (CIMA or ACCA) - Knowledge of SAGE accountancy software or equivalent - Experience of working in a busy office environment - Understanding of best practice in the field of charity accounting - Ability to prioritise work effectively to meet deadlines - Ability to work independently as part of a team with excellent team-working skills - Good communication and interpersonal skills - A strong commitment to accurate work - Interest in and understanding of XXXs work Desirable - Experience of working in the education and/or charity sector - Experience of working with full-time staff and volunteer trustees - Experience of working in a membership organisation
