Communicating with your manager Knowing the importance of having all necessary documents prepared before travelling. I will first explain to the manager the significance of having all documents fixed prior to the travel date and at the same time explain to him/her the difference between a passport which she already have and the visa which she needs for the trip. According to Burton and Shelton, a passport is an internationally recognized travel document that verifies the identity and nationality of a bearer. It entitles the bearer to the protection of his or her own country and that of the countries visited. A visa on the other hand is a stamped permit to travel within a given country for a specified length of time. With this definition I will be able to clearly explain to my manager the differences of the two travel documents. As the person assigned, part of my responsibility is to have a list of documents needed for the pre-departure processing and at the same time gather all necessary information that will be useful for her flight/ travel to make everything light and easy for him/her. As the one in charge, I will explain all the details concerning her trip and at the same time point out the need for visa application as she goes to Istanbul Turkey. Part of the deal is that, I will lay all the possibilities that might arise during her trip without the specific documentation as required by the Turkish Law for tourists. 2. Missing Materials As requested by Ms. Orlando, I will make sure that she gets all the materials/notes shell need prior to her presentation. Given that even if its a Saturday and a difference in date and time, part of my responsibility is to assure her that she will have all needed requirements for her presentation, even if it entails going to work on a Saturday. As a response to her request to call her and dictate to her the notes she made, I will tell her that it will be much easier for her if I will email the needed materials. This will also serve as a back up document if and if something wrong will happen again. But then, if she has no Internet connection, I might as well give in to her request of dictating to her the needed material. 3. Handling changes in Travel Upon hearing the request of the third executive, I will inform the airline and the travel agency of the changes of the travel arrangements that has been made. I will make sure that I will be able to be grant the requests of the third executive if time and chance permits. Knowing that there wouldnt be any seat anymore, I will make arrangements if it is possible if I could book the executives on the next flight so that they could travel together. If not, I will make sure that the third executive will be able to travel on the same time and date but in a different airline. I will also tell the reservations clerk to give me updates whenever there would be January 26, 2012 Professor Phanie Allenda

changes in the seat availability of the flights in order to accommodate and comply with my request. 4. Preventive Measures As the person assigned for arranging the trip, I will make sure that all his concerns will be addressed in his next trip. I will make sure that I have a list of his specific requests that will guide me particularly in his travel. a. In terms of hotel room reservations I will double-check whether all his requests for a nonsmoking room has been requested and reserved prior to travel. In this way, I will be able to make sure that his reservations are granted particularly to his requests.

b. Second, car rental reservations must be checked and requested car and car size will also be specified. It will also be helpful if a reservation fee will be settled prior to departure so that everything will be formalized. In this way you will be able to address the mangers concern directly. c. A schedule of appointments will be the most important document which will help me plan for the trip of the manager, thus I will make arrangements with the secretary of the hosting body to send me a copy of the appointments that will guide the manager in all her activities or never the less, I will talk to the manager to ask about his/her work related appointments for me to set and a lot specifics for the trip. 5. Ethical Dilemma Definitely it may be considered stealing in the company you are working at primarily because you are expanding the expenses to gain additional money for personal use. This will definitely give you a bad impression and at the same time could be a reason for immediate termination. This event will also define your own personal integrity and honesty as a person, which is needed in any kind of work. Other than that, one must never engage in such activity because you are putting your own morality in such a level that is lower than what is expected of you. One must always take good care of her reputation by doing what is correct and what is best at all times.
