DEGREE COURSES - 2012-2013 SOFTWARE PACKAGE OPERATING INSTRUCTIONS 1) 2) 3) IMPORTANT INSTRUCTION : Download this package in a Desktop Computer system with Windows XP Operating system. The software will not work in Windows 7 operating system. How to use the Package: The downloaded PG_Approval_Package_2012_13 (Zipped Folder) should be unzipped using WinZip or WinRaR. The unzipped Package should be saved in the Desktop. The unzipped folder contains the folder name PG_Approval_2012_13. Double click the PG_Approval_2012_13 folder and view the contents of the Folder. The PG_Approval_2012_13 folder contains the Executable file Project1.exe. Double click the Project1.exe. The Main Menu will be displayed. Follow the instructions given below for further operations. Data should be entered in the following Order: DATA ENTRIES: 1) In the Main Menu under Data Entry i) ii) iii) Select College Entry. The Form will be displayed. Enter / Edit the Details of the College and press SAVE. Select Branch Entry. The Form will be displayed. Select the Courses offered during 2012-2013 from the Drop down menu, Enter the Sanctioned Intake in the respective branch and press SAVE. Select Students Details. The Form will be displayed. Enter all the details in the Form and Save. a) Entering New Record: To Enter the Data for a Student Select the appropriate branch and then Press the New Button. The Sl. No. will be automatically displayed. Enter all the necessary details in the Form. b) After Entering the details of a student Press Save to save the details. c) Editing a Record: For Editing the details of a Student, Press the Edit button. The cursor will blink in the Sl. No. Field. Enter the Sl. No. displayed in the accompanying table and press TAB Key. The Data Entry UG_MARKS_ENTRY Print Reports

details of the student already entered will be displayed. Make necessary corrections and once again press Save button to save the details. d) Deleting a Record: To Delete a record press Edit button and Enter the Sl. No. of the student in the Sl. No. box and press TAB. The details will be displayed. Now press Delete button to delete the record. UG_MARKS_ENTRY (For MBA / MCA / M.E. / M.Tech. Degree Courses only) 2) In the Main Menu under UG_MARKS_ENTRY i) ii) iii) iv) v) vi) vii) viii) ix) The Sl. No. and Name of the Students admitted to various Courses will be displayed by selecting appropriate course from the Course Details Box. The list will be displayed in the order of students in Form B. Take the printout of Form B and arrange the students mark sheets in the order of Form B and enter marks obtained by the student in the qualifying degree examination as per steps given below: From 5th column onwards enter the qualifying marks obtained, maximum mark in the orders of semesters in UG Degree examinations I, II, III, IV, etc. For 3 years UG Degree Course (including Arts and Science) enter marks from I semester to VI semesters. Fillup 0 in VII to X semesters. For 4 years B.E. / B.Tech. Degree Courses enter marks from I semester to VIII semesters. Fillup 0 in IX and X semesters. For 3 years Lateral Entry B.E. / B.Tech. Degree Courses enter marks from III semester to VIII semesters. Fillup 0 in all other semester columns. For 5 years B.Arch. Degree Courses enter marks from I semester to X semesters. If the UG qualifying examination is of annual pattern enter 0 in Odd semester columns and marks in each academic year in Even semester column. Corresponding to the semester / years the marks should be entered if semester / year is not applicable for a particular UG Course enter a 0 in those columns. Grade Entries : If the University has awarded Grades for each semester enter the grade obtained under marks obtained column and maximum grade under maximum marks column for each semester. Saving the Mark Entries : For a particular course say MCA enter the mark for the students consecutively and click the SAVE button then and there. Whatever entries made for students will be displayed. Editing the Mark Entries : Go to the particular row corresponding to the student and the corresponding column in the same row and over write the marks entered. IMPORTANT : Enter marks obtained under marks obtained column and maximum marks under maximum marks column.

PRINT REPORTS: 3) Under the Main Menu Print Reports print the following forms: i) ii) iii) iv) Form C Form B Form A Form M Community wise details Admitted Student details Sanctioned Intake, Admitted Quotawise details Qualifying examination marks details.

If any change is made in the Data Entries, once again take printouts to get updated Print Reports. How to Save the Data Entered in a CD-RW: The Folder PG_Approval_Package_2012_13 is in your Hard Disc now. After completion of Data Entry and taking Printouts, Save the Folder PG_Approval_Package_2012_13 back on to a CD-RW and bring it during your approval schedule. In respect of students admitted to PG Degree Courses (MBA / MCA / M.E. / M.Tech. / M.Arch.) the Xerox copy of proof of marks obtained (Consolidated mark sheet or Individual semester mark sheet) should be arranged in the order of Form B and spiral bound (Branchwise) and submitted while coming for verification. Without Xerox copy of mark sheets approval for the candidate will not be accorded. In the Xerox copy of consolidated / Individual mark sheets mark the Form B Sl. No. in Pencil.
