GUIDELINES FOR THE MAGIS GRANT AID 1.

PURPOSE OF GRANT The Department of Extra-curricular and Networkings Magis Grant Aid (MGA) program aims to harness the recognized XU Organizations skills, resources, and capabilities to spur and attain sustainable development in the university and the greater community at large. Through the funding of relevant projects, activities and undertakings, the MGA program is designed to contribute to productivity and output improvement and to assist in the execution of these sound initiatives. Likewise, it also aims to fortify participation and collaboration, foster ties and bonds, and maximize the full potentials and abilities of XU student leaders. The MGA provides grants (fixed allocation of funds) for the implementation of programs or projects that will embody the XU student leaders commitment to be of greater service to the university or community through their fields and expertise. The selection will be a rolling basis in which the earlier an organization submits an entry, the greater chances for that entry to be considered. The recipients of this grant will be selected after abiding the sets of guidelines that are identified hereunder. 2. DEFINITION OF TERMS The terms herein used shall mean as follows: 2.1 Department of Extra-curricular and Networking (DEAN) This is the only recognized department of the CSG to fully exercise the responsibility of choosing, evaluating and approving entries. This refers to CSGDEAN singly.

2.2 Magis Grant Aid (MGA) - refers to funds allocated for a program or projects by the CSG- DEAN. 2.3 Recognized XU Organizations- refers to accredited and established organizations in the XU Community whose existence does not violate the university policies. 2.4 Program- refers to a set of interconnected and complementing projects that entail both interdisciplinary and multidisciplinary approach to meet goal(s) within a specific time frame. 2.5 Project- refers to an organized unit of work or advocacy with predetermined object(s) to be accomplished within a specific time frame. 2.6 Project Proposal- refers to the design and plan and description of a certain project developed in accordance with precise requirements and specifications set by CSG- DEAN. 2.7 Selection Committee- refers to the specific committee that ensures fair selection of the recipients of the MGA program in accordance to the regulations and guidelines set by the CSG- DEAN. 2.8 Monitoring Committee- refers to the specific committee that ensures efficient, timely and smooth implementation of approved projects coursed through them and that set of objectives of the projects are attained. The appointment of the members of this committee will be under the discretion of CSGDEAN within the approval of the CSG President. 2.9 2.10 Project duration- refers to the time-frame of the given project starting from the implementation to completion within the academic year. 3. SELECTION CRITERIA

3.1 Eligibility to Apply 3.1.1 Any recognized XU organization may apply for MGA.

3.1.2 The eligibility of the Project shall be determined on the organizations record of financial need of the grant aid fund to implement a certain project. 3.1.3 A student organization may submit a maximum of three entries. 3.2 Application Requirements The interested organizations shall submit documents that are required by the CSG- DEAN. These shall include the following. 3.2.1 Complete project proposal following the official format provided by the SACDEV. 3.2.2 Official SOF statement of cash flow from the University Finance Office for the current academic year. 3.2.3 Breakdown of the expenses to be covered by the grant. The maximum grant for a single project is 5,000.00 PHP. 3.2.4 Entries should be submitted at least 30 days before the target date of implementation. 3.3 General Criteria The project proposals shall be evaluated and assessed by the CSG- DEAN Selection Committee. This committee is tasked to evaluate sent entries based on established specific criteria, but not limited to, any combination of the following criteria. 3.3.1 Capacity of the Organization- competence of the organization to spearhead the project. 3.3.2 Scientific value- dedication in generating new knowledge or to apply existing knowledge in an innovative manner.

3.3.3 Design methodology or Strategies used- efficiency on the method and process and the strategies used. 3.3.4 Socio-economic impact- potential of the project to address any current or pressing national problem. 3.3.5 Environmental impact- potential of the project to address environmental issues and concerns. 3.3.6 Cultural sensitivity- adaptability of the project to Philippine culture and tradition. 3.3.7 Reasonable timeframe- the period of the project should be within the academic year. The project must be implemented in not later than January 18, 2014. 3.3.8 Relevance to the Mission and Vision- the weight and significance of the project should be in line with the organizations Mission and Vision. 3.3.9 Significance and continuing impact- projects are bound to be unique and innovative, repeatable and replicated on a larger scale and should address the causes of the problems rather than simply masking the symptoms. 4. MAGIS GRANT AID PROCESS

4.1 (1st wave: Application) All recognized XU student organizations are invited to apply for MGA and are requested to conform to the specific application requirements. 4.2 (2nd wave: Deliberation) The Selection Committee is the principal committee that ensures fair selection of the recipients of the MGA program in accordance to the rules and regulations set by the CSG- DEAN.

4.3 (3rd wave: Delegation) The selected recipient organizations must send an official representative to take part in the handing-over. This will be the entrustment of fund and giving signal for them to move. 4.4 (5th wave: Monitoring) A Monitoring Committee will be assigned to monitor and oversee the project implementation. Documentations like pictures and videos are highly needed to ensure whether or not the project is taking place. 4.5 (6th wave: Evaluation) The project will be evaluated based on the weight of its outcomes. 5. MAGIS GRANT AID ADMINISTRATION

5.1 Roles of the concerned committees and their functions 5.1.1 The Monitoring Committee shall safeguard efficient, even and opportune implementation of approved projects. It shall also review and analyze activities conducted and reports submitted along with the documentation and evidences of some kind. 5.1.2 The Selection Committee shall ensure fair selection of the recipients of the MGA program in accordance to the regulations and guidelines set by the CSG- DEAN. 6. DISCONTINUANCE OF THE MGA ASSISTANCE

6.1 Should there occur a termination of the project, the organization should return the grant to the Finance Office, through XU- CSGs account number. The organization must present the official receipt of this transaction.

EVALUATION AND AWARDING CEREMONY

7.1 The Project Evaluation Committee is entitled to a very important event and this will be the awarding ceremony. After the evaluation and deliberation, the recipients will be invited to an awarding ceremony on a date provided by the CSG- DEAN. Top performing organizations will be credited and awarded for doing their best in the light of magis. This will mean a wrap to the whole process. * Application starts on August 24, 2013- October 12, 2013.
