PERMISSION FOR ABSENCE REQUESTS SUMMARY FOR STUDENTS

NEW PROCEDURE
Permission for Absence Procedure will now follow a simpler system for the new academic year going forward. Why is it necessary to seek permission to be absent? All Trinity Laban commitments must be your first priority whilst enrolled as a student here. Absence must be sought for all activity prior to accepting any activity (external to Trinity Laban) you may wish to do. This enables staff to plan your time more effectively, creating as few clashes for you as possible.

HOW THE PROCESS WORKS


For any absence from Trinity Laban, even if it doesnt clash with any timetabled or schedule activities you are aware of, please complete a Permission for Absence Request Form (located under both TL links and Performance sections on Moodle) and email it to absencerequest@trinitylaban.ac.uk. Deadlines for 2013/14 are: Autumn term: Friday 20 September 2013 by 10.00am Spring Term: Friday 15 November 2013 by 10.00am Summer Term: Friday 7 March 2014 by 10.00am

Your request will automatically be circulated to the relevant members of staff who supervise activity that potentially clashes with your request (eg Head of Departments, Course Leaders, the Music Manager). The final decision on your request will be emailed to your Trinity Laban email address. Any requests received before each deadline will be looked on more favourably, and wherever possible requests for absence will be factored into performance project allocations. You will be notified in one of three ways: Approval: permission granted for you to be absent from Trinity Laban on the dates covered by your Permission for Absence Request form Conditional Approval: permission granted for you to be absent from Trinity Laban on the dates covered by your Permission for Absence Request form subject to certain criteria. For example:

o Approved, on the condition that the student attends all remaining horn classes this year. o Approved, on the condition that the student submits assignment 1 before their period of absence.

Rejection: Your Permission for Absence Request is rejected. You must attend all Trinity Laban activity as normal. Any unauthorised absences on these dates will be dealt with under the guidelines set out in the Student Code of Conduct (circulated at the start of the academic year)

Absences during assessment periods (prior to assessment schedules being confirmed) are likely to be rejected.

HOW THE PROCESS WORKS - AFTER THE DEADLINE


Absence Request Forms submitted after the deadline will be dealt with on a case-by-case basis, by the same method as detailed above. If dates create clashes with Trinity Laban activity, the absence needs to have the potential to make a significant contribution to your learning and progression as a musician to be considered .

It is not necessary to approach your Head of Department before you submit the request. Please ensure you give concise relevant details about your absence on the form, so that an informed decision can be made. Note that it may not be possible to grant your absence request, even if it is supported by your Head of Department, should it be decided that your absence will have a negative impact on other students or Trinity Laban activity. The final decision will be emailed to you as detailed above.

This form must be completed by any student who wishes to be absent from Trinity Laban for any reason during term time. You should not make any travel arrangements or accept an external engagement of any sort until the Permission for Absence Request is granted by email. You must submit this form before the planning deadlines for the relevant term: Autumn term (23 September 14 December): must be received by Friday 20 September 2013, 10am Spring Term (6 January 28 March): must be received by Friday 15 November 2013, 10am Summer Term (28 April 5 July): must be received by Friday 7 March 2014, 10am Any requests received before each deadline will be looked on more favourably, and wherever possible requests for absence will be factored into performance project allocations. Full details of the Permission for Absence Request procedure can be found in your student handbook. You must complete the section on the reverse of this form, detailing all Trinity Laban activity that you will be absent for. Any activity omitted from this form will not be covered by the Permission for Absence request . Remember: If your request is granted, you are still expected to meet all deadlines for coursework submissions that coincide with your proposed absence. It is not possible to grant a leave of absence which clashes with an assessment. Any requests received that

clash with an assessment (or planned assessment period) will automatically be refused. Once complete, please email this form to absencerequest@trinitylaban.ac.uk
