3. Context for the task:


This task requires students to draw on their learning, from the topic “Developing Information
Systems”. Students should work in a group to create a website or another web authoring tool.
The topic for their website is negotiable with the teacher. Students will use their technical and
writing skills to also create relevant project documentation.

4. Task Description:
You and your partners have just formed a new company. Your first job has been a request to
create a website.

At the completion of this project, you will have created a new website and project
documentation that will demonstrate your knowledge of information systems. You will present
this website to your peers.

It is important that you follow the project development life cycle, producing documentation and
keeping an accurate and timely process diary.

5. Task Rubric:
 There are three GROUP deliverables for this task:
o Documentation (word processed hard copy document)
o Working solution of your website (electronic copy or URL)
o Electronic process diary (provide URL to teacher)
 See Appendix 1 for a detailed description of the task

Documentation Stages
Stage 1 - Understanding the Problem

 Writing a User Requirement report


1. A description of the problem
This section should restate the scenario you have been presented with. In this assessment,
please detail who you are working for and what the company produces.

2. Carrying out preliminary investigation


This involves data collection to understand the problem. Each of the information processes in
the present system is examined and any weaknesses in the existing system are to be
recorded. To obtain this information you will need to identify your client and then speak with
them. All conversations should be documented in your process diary.

3. Needs of the user


This is a statement about the need for a new system. It outlines the aims and objectives of
the new system and how it will help the organisation. It must match the goals of the
organisation to ensure that management is satisfied with the solution. It should also provide
an overview of the new system in terms of the data/information, information processes and
information technology to be used.

4. Recommendation / Approval
This is a signed agreement between the client and your company. It will involve you
specifying that the project lifecycle will continue to the next stage and that you have
authorised permission to do so.

Stage 2 - Making Decisions

 Writing a Feasibility report


1. Identifying 3 to 5 ideas
Brainstorm different ways to solve the problem and then using whatever method is most
suited, select 3 to 5 ideas that seem like reasonable ways to solve the problem. Remember
to include how you brainstormed and how you reached your final ideas, in your process diary.

2. Feasibility of ideas
Begin with a description of the actual idea, so that the reader can understand what you are
thinking. This could also include some drawings. Then examine the idea from 4 different
viewpoints (technical, economic, schedule and organisational). Once you have a good
understanding of these levels of feasibility (viewpoints), create an advantages /
disadvantages list.

You will need to complete this activity for every idea you are examining.

3. Your selection
After presenting all of your ideas and evaluating them, you need to select one which is
reasonable and able to be implemented. There will probably be a lot of justifications to reach
this final decision, and these all should be included in your report and in your process diary.

4. Social and Ethical Issues
Every solution you create will be inherent social and ethical issues attached. Identify and
examine at least TWO issues with relate to your selection.

5. Recommendation / Approval
This is a signed agreement between the client and your company. It will involve you
specifying that the project lifecycle will continue to the next stage and that you have
authorised permission to do so.

 Create a Project Plan


This must provide an overall schedule, details of tasks, a schedule for each task as well as
identifying the people who will be completing the task. You are to use a Gantt chart to show
the schedule of your plan diagrammatically. Every week this Gantt chart should be updated
and available in your process diary.

Stage 3 – Designing Solutions

 Writing a Design report


1. Develop 2 or 3 prototypes
This is a first model of the new information system. It will have screens but little or no
processing. Hand drawn screen shots with explanations should be provided in your
documentation. This includes labels of elements and also comments regarding good screen
design. The prototypes may be refined at later stages to produce the finished system. This
will be done by means of showing the prototypes to your client and discussing it with them
OR by asking the general public to complete an analysis of them. The best way for this
analysis to occur is through surveys. Suggestions they make should be included in your
process diary.

From these suggestions you should be able to select one prototype which will become your
solution. Your justifications for this selection should be found in your process diary.

2. Modelling Tools
You need to illustrate HOW the Information System will operate, by presenting system
documentation. This system documentation varies depending on the type of system you are
creating. Examples of modelling tools include screen designs, report layouts, data
dictionaries, decision tables, decision trees etc. For this assessment, you will need to
include:
• A context diagram
• A data flow diagram
• A system flowchart
• A storyboard

 Create your Information System


At a minimum, your website should contain:
• 4 different pages
• An identifiable use of theme that is well designed
• A form that allows data input
• Text, Image, Audio, Video and Animation data types
• One ‘enhancement’ which may be created through scripting (please check with your
teacher to see if your enhancement is appropriate)

Stage 4 – Implementing

 Writing an Implementation report


1. Marketing
This section of your report should explain how the general public will find out about this new
system. In marketing terms, this is the 4 P’s (product, place, promotion and price). See
http://en.wikipedia.org/wiki/Marketing#Four_Ps for more information.

2. Conversion method
Select one conversion method from the four available (direct, phased, parallel and pilot) and
then explain why this method is best suited for this situation. Include all justifications you can
think of, including comparisons between the conversion methods.

3. Training of users
Once the new system is implemented, users should be trained in its operation and use.
There are many different ways to train users including the provision of training manuals,
online help, hosting / running training sessions. You need to select which method suits your
user’s skill level and the timeframe you have available. Provide justifications why you chose
these methods.

Stage 5 – Testing, evaluating and maintenance

 Writing a Testing report


1. Testing process
This section of your report should explain how you will be testing your Information System.
You can test your system by getting your group members to complete testing, or by asking
people outside of your team to complete the testing. The testing should be rigorous and
should cover ALL parts of your system. You will need a way to record this testing process –
an online form through www.surveymonkey.com or http://creator.zoho.com may help you.
Remember to include a copy of this testing form, in your assessment. Complete at least part
of the testing yourself and include your individual findings in your process diary.

2. Analysis of Testing
Once the testing has completed, you will need to produce a short summary of what was
discovered. This may include analysis of closed questions (ie 59% of the testers found the
layout to be satisfactory) but should also include comments from the open questions (ie It
can be assumed that the screen design is not user friendly as we received the following
responses…).

3. Modifications
From your testing summary, you should have a list of modifications that need to be made to
your Information System. Identify these and then indicate a time frame and person
responsible.

 Writing an Evaluation and Maintenance report


1. Developers evaluation
In this section of your report you should compare the needs of the users (listed in stage 1)
with the actual functionality provided by your Information System. The best way to do this is
to take each need and then check your system can fulfil it. You will need to explain how your
system completes each of these tasks.

2. Users evaluation
Locate a few of your users and ask them to comment on the Information System. To capture
this information create an online form and add this to your documentation. The evaluation
should allow the user to comment on what they like, what they don’t like, what they would like
changed and whether the system meets their needs.

3. Evaluation summary
With the information from the users and developers evaluations, you should now be able to
comment on how well your Information System solves the need that was initially explained.

4. Maintenance summary
Based on the evaluation summary, what maintenance or changes need to be made to keep
the users happy? You will need to include a timeframe around these changes.

Regardless of the amount of maintenance required, you also need to address:


• How regularly you will perform maintenance
• What type of maintenance will be required
• Who (if anyone) will be maintaining the system, outside of your team
• What after sales service you will be providing
• Recommendations regarding backup procedures and storage procedures

Additional deliverables

 Keeping a process diary


Your process diary should document all the stages you went through to produce your project.
You should record all the problems you encountered and what you had to do to solve them.
You should record any discussions you had with your teacher or within your group. The diary
should be electronically created on a blog site like www.edublogs.org – please provide the
URL of your process diary on the FRONT of this assessment form.

NOTE: Throughout the course of the project, students are invited


to approach the teacher with their draft documentation, process
diaries or information systems to receive advice on how they may
improve their responses or end product.

Students are reminded that file organisation is an important part of


website development and problems based on file organisation are
the responsibility of the student.

Students are reminded that regular backup and versioning of their


work is an important technical process and computer problems are
not an excuse for non-submission of project or documentation.
Students should backup daily in order to ensure that data loss only
affects that day’s work.
