Hopefully you have found your parcel packed with exciting
goodies and information to get you started! Be sure to keep
the University Notepad and this Guide to hand the Notepad
contains a handy Campus map which will help you navigate
around the College, whilst the following pages make up your
own complete essential A-Z guide to living in halls. Youll fnd
answers to commonly asked questions as well as perhaps
learning something you might not have expected to!
Imperial aims to provide you with quality accommodation
for your year with us, along with effcient services delivered
by friendly staff. In return, as a resident you have a
responsibility to make a positive contribution to your new
Imperial community by following hall rules, being courteous
and considerate to your fellow residents and respecting the
neighbours who live in the vicinity of the hall.
Our halls of residence are divided into three Villages:
(i) South Kensington (ii) Evelyn Gardens and Silwood Park
(iii) Outlying Halls - looked after by Village Managers who are
supported by their Deputy Village Managers, Senior Village
Supervisors and an excellent team of very experienced and
knowledgeable Hall Supervisors. Your frst point of contact will
be your Hall Supervisor, who is responsible for coordinating
the day to day running of the halls; including cleaning,
security, safety and maintenance services. If you have any
issues which your Hall Supervisor cannot resolve, then please
do not hesitate to contact your Village Senior Supervisor or
Village Manager who will be happy to assist.
Welfare and discipline within the halls are the responsibility
of the Hall Wardens, assisted by the Subwardens. The
Wardening team will rely on your support and consideration
in maintaining a harmonious living environment so that
residents can study, sleep, relax and enjoy themselves.
Contact details for your Hall Warden and Village team
members should be on display in your hall entrance area.
In addition, the Student Accommodation Centre team (with
whom you may have already corresponded during the
application process) are here to help you settle in and assist
you with your accommodation needs. They are located next to
the Student Hub on Level 3 of the Sherfeld Building and you
can fnd out more about them at:

We really want you to enjoy your your time living here so
please do make the most of the facilities and let us know if
you experience any problems. If things go wrong, we will work
hard to make sure that they are put right as soon as possible.

hesitate to get in touch. Also, if theres something you feel

Bicycles
Imperial is keen to promote cycling as a healthy, sustainable and effcient way to travel around London.
As such, bike parking is provided at most halls of residence; check with your Hall Supervisor for local
arrangements.
There is secure, dedicated bike storage provided at the South Kensington Campus - below the Faculty Building and on Queens
Gate (between the Huxley and Blackett buildings) - or at any one of the dedicated areas with bike locking points. To use the
secure facilities you must frst register your bike with Security; you can do this online at the web address below. Also, if you live
in one of the halls around Princes Gardens you are able to store your bike securely in the Southside store; your Hall Supervisor
can provide further information.
For health and safety reasons, bikes should only be parked in designated areas and are not permitted in bedrooms or any
communal areas (including corridors, stairways or fre exits). Bikes should not be chained to any railings or lampposts; any
bikes found stored in this way, or left in hazardous positions, will be removed. Students will also be expected to take their bikes
with them at the end of their stay.
The College does not want you to lose your bike but theft is common in Central London- so please mark it, lock it or lose it!
Following these tips can help you to protect your bike:
Use a Solid Secure British Standard approved lock i.e. D type locks. These are available to buy from the Security Offce in
room 150 in the Sherfeld building
Lock the frame of your bike to the locking point and, whenever possible, include the wheels and saddle
Never leave your bike unattended overnight unless in secure storage
Record the make, model, and serial number of your bike, along with any unique identifying features a recent photo makes
an excellent record
Make the most of the sessions held on campus, throughout the year, where you
can get your bike frame marked with your personal details
It is strongly recommended that you take out insurance for your bike, as
Imperials insurance provision does not cover bikes

Cars & Motorcycles
There are no parking facilities available for students living in halls of residence. We actively discourage the use
of any motorised vehicle; there are good transport links and bike routes between College sites. Motorbikes
and mopeds (or component parts) must not be brought into halls.
At some halls there are limited parking facilities but these are exclusively reserved for students, staff or visitors with disabilities.
These facilities are managed locally; please contact your Village Manager for further information.
Cleaning
With the exception of College closure periods, a daily cleaning service (Monday to Friday) is provided for communal areas within
the halls and a fortnightly service for bedrooms. At Clayponds (with the exception of the studio fats) the communal kitchens
and bathrooms in houses and blocks will receive a weekly clean and a fortnightly bedroom clean. Students living in fats at
Princes Gardens and Evelyn Gardens are expected to clean for themselves. If you are living at Orient House, please refer to the
cleaning notice displayed in your fat.
It is important that you make all areas easily accessible and non-hazardous for cleaning staff so that they can carry out their job
effectively.
In kitchens, cleaning staff will:
empty refuse bins
clean all surfaces and sink areas
clean the cookers, fridges, grills and microwaves
wipe clean cupboard doors and drawer fronts
sweep and mop the foor
Bedrooms:
Cleaning rotas are displayed around the hall- please make a note of when your room is scheduled for cleaning and allow access
to cleaning staff. Once every two weeks cleaning staff will enter your bedroom to:
wipe clean all surfaces
empty bins
vacuum carpeted areas
clean washbasin or ensuite facility

In communal areas, cleaning staff will:
mop, sweep or vacuum all corridors, stairs and foors
clean toilets, baths, washbasins and showers
replenish toilet consumables
The cleaning staff are here to keep halls clean and tidy, but this service does not
absolve you of your own responsibility for the upkeep and cleanliness of your
bedroom, shower-room, fat corridor and kitchen. Please clean surfaces and
appliances after use to make sure they are left in a satisfactory condition for the next
person to use.
To help us deliver the cleaning service to a high standard we would ask that you:
keep all surfaces clear of clutter, e.g. worktops; tables; draining boards; so that cleaners can complete their duties
wash up and put away all crockery and cutlery; cleaning staff will not wash dishes
keep fridges/freezers tidy: ensure out of date food is disposed of and spillages inside and outside of fridges and freezers are
cleaned up
keep the cooker top, oven, grill pan and microwave free of cooking debris
clean up spillages to the best of your ability
sort your bedroom waste into the appropriate kitchen bins, but do not overfll the bin as it makes removal by cleaning staff
diffcult; spare bin bags are provided
do not throw food waste down the kitchen sink, in your wash basin, toilet or en-suite facilities as this can cause blockages
try not to leave personal belongings in kitchens, corridors, common rooms or bathrooms
report defects as soon as possible
Any requests/complaints about the cleanliness of halls should be directed to the Hall Supervisor.
Comments, Compliments & Complaints
We do hope that you are happy with your new home and all the services and facilities provided but we recognise that occasionally
things might go wrong. If they do, we want to hear from you so that we have an opportunity to resolve things if we can. If you have
a suggestion for how our service may be improved please feel free to get in touch. Likewise, if you are happy with any part of
the service you receive (or any particular member of staff) we would like to hear about this too. Our Comments, Compliments &
Complaints policy can be viewed on the Accommodation website: www.imperial.ac.uk/accommodation
Communications
Important information relating to hall services will be posted on noticeboards around your hall; please check the boards on a
regular basis to keep yourself informed. You are also advised to check your College email account regularly, since this is a key
communication route for many departments within the College.
Drinking water
The College has a good supply of drinking water, although in some halls the cold taps in the kitchens are the
only designated sources of drinking (potable) water. You should avoid drinking water drawn from other taps
(such as those located in bathrooms). Please check notices in your hall lobby area or ask your Hall Supervisor if
you are unsure.
Drinking water is also available in buildings throughout the College campuses. A directory of locations can be
found on the Facilities Management website:

Electrical safety
We take electrical safety very seriously. All College owned portable appliances are tested annually and
all wiring is tested every fve years. You must not interfere with any electrical installation, equipment or
ftting provided by the College.
The number of sockets in your room/kitchen should be adequate. Do not overload your electrical sockets
as this can be very dangerous and can result in a fre. Multi-plug adaptors must not be used. If an
extension socket is used, it must be safe (preferably with surge protection) and it must not cause a trip
hazard to you or any member of staff entering your room.
You may bring some electrical equipment in to the halls but you must ensure that it is working correctly so that it does not
present a hazard or risk. If you have any items that are not compatible with UK voltage (240V) you must buy a voltage adaptor/
converter. All items (including adaptors or converters) must conform to the appropriate British standard, display the CE mark
and be ftted with a correctly wired and fused plug. Failing to do this can trip the fuses serving your room/
kitchen, resulting in the loss of power supply to you and your neighbours.
Electrical equipment should be switched off after use and unplugged whenever you leave the room.

Fire Safety - VERY, VERY IMPORTANT! Reading this might help save lives
Fire is the main hazard in residential accommodation. However, sensible precautions will reduce the likelihood
of fres starting and will protect against its consequences. These notes outline the Colleges fre regulations; the
rules and procedures that must be followed at all times to avoid the common fre hazards.
Most people underestimate the speed at which a fre or smoke spreads in a building. For your own safety always follow the rules:
Please take some time to read your nearest Fire Action notice. If you do not understand the instructions, or if the notice is
missing, please do not hesitate to inform your Hall Supervisor.
Make yourself familiar with the emergency escape routes from your room, kitchen, common room etc - your nearest emergency
escape route may not be the same as your normal route. Fire Exit routes are marked by green exit signs above doors. Familiarise
yourself with the location of the assembly point.
Do not obstruct fre routes or doors - If you fnd that these are blocked inform your Hall Supervisor straight away. Do not leave
rubbish or belongings in corridors, as these can become a trip hazard along fre routes when visibility is
poor.
Do not tamper with, obstruct or remove any notice or equipment provided for fre safety; it is a criminal
offence to do so. For your protection the halls have comprehensive fre alarm systems and equipment,
all of which is inspected and tested regularly. Any person who knowingly or recklessly misuses the
fre safety equipment or who sets off any fre alarm without good cause will be subject to disciplinary
procedures. Such irresponsibility could endanger the safety of fellow residents and cause considerable
inconvenience.
Keep fre doors closed - fre doors prevent the spread of fre and smoke - they must not be wedged or
propped open for any use other than emergency evacuation. Make sure they are not obstructed.
Exercise care carelessness could cause a full-scale alarm! The fre and smoke detection system is very sensitive. Detectors
can be accidentally activated if exposed to considerable amounts of steam from showers and cooking, hair or deodorant sprays
and cigarette smoke. Use the kitchen extractor fans and keep all doors closed so that steam or smoke does not fow into the
corridors and activate the smoke detectors situated there. Smoking anywhere inside the building is strictly prohibited action
will be taken against students found smoking in any area.

The burning of any substance and/or use of a naked fame represents a fre hazard and is not permitted portable
barbecues, candles, incense sticks, oil burners, hookah and shisha pipes or similar items may not be brought into (or used
in) halls.
Do not leave the kitchen unattended when cooking or using kitchen equipment - cookers, stoves and appliances should be
switched off when you have fnished cooking. Chip pans and other deep frying utensils are strictly prohibited. Please note
that safety regulations prohibit the use of cooking equipment (including toasters, kettles, rice cookers, hot plates, coffee
makers and microwaves) in bedrooms.
IF YOU DISCOVER A FIRE:
Immediately and before attempting to fght a fre operate the nearest fre alarm call point by pressing the glass panel.
Warn other residents in the immediate area and inform staff of the location of the fre.
Only attempt to fght the fre if it is small, there is no immediate danger to yourself and others, and only if you have a clear
escape route to safety. Fire extinguishers and fre blankets are located in all halls but should only be used if you feel it is
safe to do so; please read the instructions before use. Should you use a fre extinguisher or a fre blanket (or notice that
one has been used) please inform your Hall Supervisor immediately.
Different types of fre extinguisher are appropriate for different types of fre. The type of fre extinguisher is indicated by the
distinct colour band on a red extinguisher.
If you cannot extinguish the fre or if your escape route is threatened, immediately leave the room closing the door behind
you after making sure that no one is left behind. Evacuate the building and report the location of the fre to the person in
charge.
IF YOU HEAR THE FIRE ALARM:
It is vital that all fre alarms are taken seriously and the hall is evacuated as quickly as possible so please co-operate with staff.
We do realise that these are stressful occasions for everybody; your patience and co-operation is appreciated.
Should the alarm be set off at any time, stop whatever you are doing immediately and evacuate via the nearest
stairs/ exit route - do not stop for personal belongings
Do not use the lifts and do not run - leave the building in an orderly manner
If you have a visitor, make sure you bring them with you
Do not stand in the lobby or directly outside the hall, as this may hinder fre fghters access to the hall.
Please make your way directly to the designated assembly point.
Do not re-enter the building until the all-clear has been given by the person in charge.
It should only take you a few minutes to leave the building. You may face disciplinary action if hall staff
consider that you have delayed your evacuation.
FIRE ALARM TESTING
It is a legal requirement that the fre alarm system is tested frequently. The fre alarm will usually be tested weekly at times
displayed on the notice in your hall entrance area. The weekly test will consist of only a few rings and you do not have to
evacuate when you hear this. If the alarm sounds for any length of time please evacuate the building immediately.
We are also obliged to carry out at least one fre drill during the academic year. Fire drills can take place at any time.
Health and medical arrangements
All residents living in College accommodation must register with a local National Health Service (NHS) General Practitioner
(doctor) near to their College term-time address, in order that a doctor may be called in case of an emergency illness. It is
essential that all students register as soon as practicable after their arrival. Even if you are ft and healthy, you may have
problems with your treatment in an emergency if you are not registered.
If you live at South Kensington, Evelyn Gardens, Orient House, Parsons House, Pembridge Gardens or Wilson House, you are
eligible to register at the Imperial College Health Centre; registration forms are enclosed in your welcome pack. At Clayponds,
postgraduate students are encouraged to register at the Ealing Park Health Centre and at Silwood
Park, students are encouraged to register at the Kings Corner Surgery; registration forms are
available upon arrival at the hall.
Details of staff who are qualifed to offer frst aid treatment should be displayed on notices in the
main entrance area of your hall. Wardening staff should all be trained in First Aid and frst aid boxes
are located in their accommodation and in the Hall Supervisors offce. All accidents should be
reported to the Warden or Hall Supervisor immediately.

Heating & Hot Water
Imperial is committed to reducing its impact on the environment and actively pursuing
a low energy, low carbon emission approach to all its activities wherever possible.
The College has developed a Carbon Management Plan and included within this are
the agreed heating temperature settings for residential buildings during occupied and
unoccupied hours, with the objective to conserve energy.
The Policy supports the Colleges sustainability goals and will result in:
Reduced levels of CO2 emissions
Reduced energy consumption and operating costs
Under the carbon policy, the heating season has been set as mid-October to late April.
Consequently there may be days outside this period where heating is not provided, even
though the outside temperature may require it. For halls without individual controlled
heaters the current heating timetable is as follows:
Heating Times in October, November, March, and April:
Monday to Friday 07.00 to 09.00 17.30 to 00.30
Saturday and Sunday 07.30 to 23.30
Heating Times in December, January and February:
Monday to Friday 07.00 to 09.00 17.30 to 01.00 (Wednesday: 14.00 - 01.00)
Saturday and Sunday 07.00 to 01.00
Space Temperatures
All College managed halls will have the temperature set at 20 degrees Celsius during occupied hours, with the temperature
set back or with frost protection during the night, to reduce energy consumption and improve sleeping conditions.
Some students may fnd that halls are not as warm as a domestic home so it is important to wear
appropriate warm clothing. You will notice that there are periods during weekdays when
heating does not operate; these are times when most students are in lectures or
using other campus facilities.
In implementing this carbon plan, the College endeavours to maintain all spaces

some of the halls and the inability to control individual rooms, you may experience temperatures that are a few
degrees either side of the set point.
Use of Space Heaters
As a general policy additional space heaters are not allowed in bedrooms due to energy and health and safety
considerations. The Facilities Management Department will only approve current PAT tested space heater units in those limited
circumstances where the building systems cannot provide temperatures within acceptable variations of the ranges stated above.
Hot Water
Please note that hot water temperatures are maintained at 50 degrees Celsius at the point of supply in all College managed
buildings.
Insurance
Your accommodation fees include the cost of a basic cover insurance policy, arranged with Endsleigh Insurance, which will cover
property within your room for loss or damage up to 4,000 (5,000 if you are a registered disabled student). Please read the
details of the policy carefully to ensure it is adequate for your needs. Additional cover is available from Endsleigh Insurance for
accidental damage to expensive items such as laptops and bikes. Any losses must be reported immediately to your insurers.
If theft is suspected the Police must be called before an insurance claim can be made, as you will be required by Endsleigh to
provide a crime report number.
Your insurance policy certifcate can be cut out and kept for your records.
Internet Access
Network connection points in the halls allow residents to connect their computer or laptop to the Colleges network. Although not
available in all halls, there are Wi-Fi access points distributed around the College enabling you to connect to the internet remotely.
To use the internet in your room and the Colleges wireless networks, you will frst need to register for the
Student Halls Network service as follows:
1. Connect your computer to the network socket in your room
2. Switch on the computer, and open a web browser
3. Browse to any external webpage (e.g. www.google.co.uk).

You will be automatically redirected to the registration pages. Please follow the instructions carefully. You
should pay special attention to any notices on computer security or conditions of uses.

discounts, please visit www.imperial.ac.uk/ict/services/newstudents. Students living at Orient House should
refer to their welcome letter and the Unite website.
Inventories
You will be given an inventory form to complete when you arrive. Please fll it in and return it to your Hall Supervisor within three
days of arrival.
Your room/fat will be checked against the inventory at the end of the year
and you may be charged for anything beyond fair wear and tear, so it is
important that you note any problems when you frst move in. Subject to
any items reported to the Hall Supervisor as being missing within three days
of arrival, and which are not replaced, the inventory shall be prima facie
evidence of the room/fat contents.
Keys and door entry cards
All Imperial College Halls operate different door and room entry systems. Residents should carry their keys and student ID cards
with them at all times and should take great care not to leave them lying around, even within the communal areas of the halls.
Keys should not be lent to friends or relatives. Rooms should be locked at all times.
Any loss or mis-shaping of keys or cards must be reported to your Hall Supervisors offce immediately, from where you can
obtain duplicate copies. If you fail to report any lost keys (or if you leave your bedroom door unlocked) you may invalidate the
insurance policy.
If you need a replacement key, a non-refundable charge (including an administration fee) will apply; replacement costs will be
on display in your hall. Under no circumstances are residents permitted to change or install additional locks to their rooms, fats
or cupboards.
Kitchens and appliance usage
Most halls provide access to shared kitchens. Kitchen users are responsible for keeping the kitchens clean and for any damage
sustained that it is not deemed to be general wear and tear.

Kitchens can have very sensitive electrical fuses which, whilst protecting life, can trip regularly. This can result in the loss of
power to kitchen appliances, leading to the failure of fridges/freezers and food going off. If you notice that the electrical sockets
have lost power report this immediately to your Hall Supervisor, or Duty Warden, who will arrange for someone to attend and
reset the fuse. This is especially important if a fridge/freezer is affected; never re-freeze food that you suspect has defrosted.
To reduce the risk of fuses tripping, please try to avoid using your own electrical appliances in the kitchens. The most frequent
cause of a tripped fuse is using an unsound or incompatible electrical appliance, but equipment provided by the hall is checked
regularly.
Instructions on how to use the kitchen appliances safely are available from your Hall Supervisor, but here are a few helpful tips:
Never leave cooking unattended and always make sure you turn appliances off after use
Fridge/Freezers
do not adjust the temperature settings fast freeze options can burn out the motor if left on too long
do not overload if the door does not close, the appliance will not work properly and food will be ruined
keep appliances clean and defrosted a build-up of ice may prevent the freezer door shutting properly
keep the inside of the fridge and freezers clean at all times
Microwaves
never put metallic items in the microwave
if food splatters, clean it up immediately
do not cover the ventilation slots
Cookers
to prevent overheating only use the number of hobs that you require
if you use the grill, do not close the door as your food is likely to catch fre
if you use the oven, always put items on a baking tray and never directly on the shelf as your food is
likely to catch fre
never leave the cooker unattended
Please keep kitchen doors closed whilst cooking as wedging the door open will set off the fre detectors
in the hallway
Kettles
ensure the plug and cables are not wet before using
do not overfll the kettle as this can cause water to boil over
only use kettles for boiling water, nothing else
Laundry rooms
There are 24 hour launderette facilities at each site (except at Clayponds Village), which use coin-operated
machines; these are emptied on a regular basis. Please note that you will need to provide your own washing
powder and softener.
Please read the instructions posted on the laundry room wall before attempting to use the machines. You should ensure that
the machines are not overloaded and the doors are closed properly. It is also wise to clean the tumble dryer flter before use.
Please remove your laundry as soon as possible after your washing/drying has fnished so that others may use the machines
after you.
The launderette is operated by a company called Circuit Launderette Services who regularly visit to check and maintain the
machines. However, in the event of a problem you are encouraged to report faults directly to them using their freephone fault
line 0800 0924 068.
When reporting a problem, remember to quote:
the hall name and location (if you can, please quote the site reference number)
the faulty machine number
basic details of the fault
your name and room number
Please also let your Hall Supervisor know so that they can track the fault for you. Please note, hall staff do not have keys to open
machines so please do not ask them for refunds.
Maintenance and defect fault reporting
We aim to maintain high standards in our halls but it is possible that you will experience occasional defects during your stay.
In the event that this happens, we want to assure you that the process for resolving your problem is as quick and effective as
possible.
Please report defects straight away to your Hall Supervisor or by completing the online form at
www.imperial.ac.uk/accommodation/defectsreporting/defectsform. In an emergency, please call your Hall
Supervisor (during offce hours) or the Duty Warden (outside offce hours). Please note, a defect is considered
urgent when it represents a danger to health or security e.g. food, failed emergency lighting or power loss.
Students living at Orient House should refer to instructions given by Unite.

By reporting a defect, you are giving permission for authorised personnel to enter your room to investigate and carry out any
necessary works. A team of maintenance contractors will visit each hall once a week to deal with non-urgent defects. The
following schedule shows when non-urgent defects will be attended to at your hall:
Day Hall
Tuesday Wilson House and Garden Hall
Wednesday Weeks Hall and Evelyn Gardens Halls
Thursday Beit Hall, Eastside Halls and Clayponds Village
Friday Southside Halls and Pembridge Gardens Hall
Attending to faulty kitchen appliances would not be considered a top priority if you have access to
alternative facilities. The Hall Supervisors will install temporary appliances (such as a fridge or a
freezer) in the event of failure. If your main light fuses but you have an alternative source of light, such
as a study lamp in your room, this will be dealt with on the contractors weekly visit to your hall.
We are committed to maintaining a safe environment in which students and staff can work. Before a
contractor attends you must ensure that your bedroom surfaces and foor are free of obstacles and clutter; communal areas
are the responsibility of all residents. When a contractor enters your room they should leave a Maintenance Calling Card,
which will detail the operatives name, time of attendance, defect description and an explanation of whether the defect has
been resolved or if a return visit is required.
Please note that there is a continuous programme of planned maintenance within halls and staff may be required to
visit bedrooms, kitchens and communal areas to carry out routine or emergency works. We may also experience a fault
elsewhere which could involve some inconvenience to you. If a specialist contractor is required, things may take a little
longer to resolve. We ask you to please be patient in these circumstances - we
will keep you informed of what is happening and ensure that any disturbance is
kept to a minimum.
Refuse and Recycling Arrangements
You have a responsibility to keep all areas clean and tidy. Please sort your waste into the appropriate kitchen
bins on a regular basis; cleaning staff empty these each weekday. Rubbish left around the residence looks
unsightly, encourages pests and can be a fre hazard. Please do not leave rubbish outside your bedroom door or allow it to
accumulate in kitchens. Students living at Orient House should refer to their welcome letter and the Unite website.
Remember the 3 Rs: Reduce Reuse Recycle
Reduce the amount of rubbish you generate - for example: buy loose foods rather than pre-
packaged produce; only print documents when necessary and be sure to print double-sided
Reuse items whenever you can - for example: reuse carrier bags; use rechargeable batteries;
buy washing powders in refllable containers (this will also save you money!)
Recycle as much waste as possible! Sort your waste into the recycling bins provided; you will
fnd these in halls and throughout the College. Where possible, choose products in recycled
or recyclable packaging

Student Switch Off
The Student Switch Off is an energy saving competition running
between the halls. The hall that saves the most energy by the
end of the year will be rewarded with a free party in the summer
from the College. Last year, the Eastside halls won, reducing their
consumption by 59,271 kW hrs and saving 32 tonnes of CO2.

Security
Imperial takes the safety and security of its students, staff and buildings very seriously. It is up to you to cooperate and play
your own part to ensure that the best practices are followed at all times. Please help us to help you by remembering the
following:
The Basics
Carry your security pass (ID card) with you at all times and produce it when requested by a member of Security or College
staff
Report lost cards immediately to Security (see telephone numbers later in this section)
Be alert for any suspicious package or behaviour and report it to your Duty Warden or Security
If you are worried by something you have seen or heard, please report it to your Hall Supervisor (during offce hours) or Duty
Warden (outside offce hours) in the frst instance. If they are not available please do not hesitate to contact Security
Tailgating - if a door has card access, it means that entry to that area is restricted. Please be aware of people behind you
and do not allow unknown people to follow you in
Do not leave personal valuables lying around. Lock them securely and out of sight
If your debit/credit cards are lost or stolen report the matter to your bank immediately, as well as to the Duty Warden

You can contact the Metropolitan Police, who have an offce on the South
Kensington Campus, by email: police@imperial.ac.uk. They will hold
occasional surgeries and details can be found on the Imperial College
Security website and via the Student Union. However in the event of an
emergency on Campus please call Security on 4444 (or 42444) and they
will call the Police for you. If you have an emergency off campus, please
dial 999 as normal.
Security in Residences
Halls of residence can sometimes attract undesirable visitors, so here are some sensible security steps to follow:
Never label your keys with your name and address or room number
Lock your bedroom door even if youre only going to the kitchen or bathroom - and remember not to leave your keys
behind
Check doors and windows are locked at night or when going out dont assume your room mate(s) will do it for you
Do not leave money or valuable possessions where they might be seen by a would-be thief, or in communal areas
Do not allow strangers to enter the hall or your room, whatever reason they may give, unless they can provide you with
suitable identifcation. All staff are issued with personal identity cards. Investigate politely and, if you are suspicious, report
to a member of staff
Do not, under any circumstances, pass your keys or access card to anyone else. Report the loss of a card or key immediately
Always be on the alert for intruders and, if any incident or person causes you to be suspicious, do not hesitate to report it to
a member of staff or security on 4444 immediately
Looking After Your Personal Possessions
Do not advertise your laptop - when carrying it around use an anonymous bag like a rucksack. Make sure your laptop is
password protected, updated with the latest security/virus software from ICT and that you have a separate back-up of your
work stored somewhere. Do not leave laptops or mobile phones unattended near open windows
Keep your phone with you but do not leave it lying around or carry it on your person prominently
Register your phone with your network operator. If you report your phone stolen, the operator can then
bar the phone on all networks
Bicycles - follow the security advice in the Bicycles section under B in this guide
Register your property on the free website: www.immobilise.com or mark your property with an
ultraviolet pen
Out and About in London
London is an exciting and dynamic place to live and study, but like any city in the world you need to be
sensible and its important that you look after yourself and your belongings. We do not think that our
locality is any more or less dangerous than other parts of London, but we would like you to consider these
sensible precautions:
Look after each other - keep an eye on the rest of your group during the evening, make sure you know
where people are and who they are with; do not forget anyone
Never talk to strangers or allow them to persuade you to do anything you do not want to do
Never leave your drink unattended in a bar or a club - ask your friends to keep an eye on it for you
Be careful when using an ATM - watch for people trying to see your PIN number
Wherever you travel in London try to plan your journey in advance and avoid travelling alone, walking along badly lit roads
or waiting at isolated bus stops. If you go out alone at night, make sure that someone knows where you are going and
when you expect to be back
If you do need to travel late at night, use a reliable taxi company. Use the free Cabwise text service to book taxis and mini
cabs - text the word HOME to 60835 and get local cab frm telephone numbers sent to your phone. Never use mini-cabs or
private hire cars that tout for business
It is a good idea to carry a personal attack alarm. These are provided free of charge at the Student Union
Remember to keep your valuables hidden iPods and mobile phones in particular. If someone grabs your
bag, let it go - safety is more important than your property
If you need more information, or if you have any concerns, please talk to a member of hall staff or your
wardening team. We do not want to suggest that London, or our local areas, are unsafe but we do want you to take sensible
precautions; fear of attack or crime should not prevent you from enjoying Londons wide number of attractions.
Smoking
Non-smoking is the norm at Imperial and the College complies with all legislative requirements. Smoking is only permitted
where it will not cause nuisance to others, create safety risks or contravene NHS Trust smoking policies. Consequently, smoking
is not permitted:
Inside any building, or substantially enclosed spaces (including in basement light well areas), owned or used by College for
the conduct of College business
Within the immediate vicinity of building entrances
Inside any vehicle owned or operated by College
Anywhere on medical campuses
On major pedestrian routes, or areas where prohibition is designated with signage
All Imperial College Halls are designated no smoking residences. Further smoking guidance can be found at

Telephones
Please note the College telephone service does not operate at Orient House. Students living at Orient House should refer to
instructions given by Unite.
Every bedroom has a College telephone handset (except at Orient House). Internal calls within the College are free of charge for
both incoming and outgoing calls.
If you wish to make external calls you will need to register with Uni-Tel, which is a prepaid account service

Finding your telephone number
You will fnd your personal fve digit extension on a label on the handset in your room:
To receive an external call you need to ask your friend/family to dial 0207 85 followed by your fve digit extension.
To receive an internal call, give out your fve digit extension starting with a 2.
Voicemail
Voicemail is provided free of charge but you must frst set up your voicemail box by dialling 41000 from your room telephone.
When you are asked for a security code please enter 6 zeros and follow the prompts to set up your voicemail successfully. To
reset voicemail completely or reset the voicemail security code please ring 45500 and choose option 4.
To log a telephone fault
Telephone Faults for extensions in Student Halls of Residence should be logged by calling 45500 and choosing option 1 from
any College Telephone or if you are using an external line dial (020) 7594 5500. Broken sockets or data faults need to be
reported to ICT on extension 49000 or (020) 7594 9000 if you are calling from an external line.

Televisions
Residents who have a television, or watch television through a computer, are required by law to have a valid TV licence. A
licence is obtainable online or by post. Failure to have a licence may result in you being fned and / or taken to court by the TV
Licensing Authority. For further information see the advert on the back cover of this guide and visit

The digital switchover of the Crystal Palace transmitter, which serves most of London, is currently
scheduled for April 2012. Analogue transmissions for BBC2 will be switched off on 4 April, with all
remaining analogue channels being switched off on 18 April 2012. After the switchover, you will need
a digital box or digital TV to watch TV.
The TV Licence laws for digital TV are the same as for traditional analogue TV. So after the switchover,
youll still need a TV Licence to watch or record TV programmes as theyre being broadcast. This
includes the use of devices such as a computer, laptop, mobile phone or DVD/video recorder.
Vacating your room early?
If you wish to leave before the expiry of your licence you will remain liable for rent until the end date given on
your licence agreement, unless the room is re-let to another Imperial College student not currently living in halls.
If you wish to leave your room during the licence period, you should talk to staff from the Student Accommodation Centre (SAC)
on Level 3 of the Sherfeld Building and complete a notice to quit form. The SAC team will seek to re-let your room, considering
the following points:
True voids will always be let frst (i.e. rooms that are not under liability)
After true voids are flled, we will re-let rooms in date order of receiving notice to quit forms
If you are living in a room with particular criteria (i.e. a single sex only fat/corridor) this could affect the time taken to re-let
your room
If you are allocated to a twin room and your room-mate leaves, depending on the time of year we will either:
i. Seek to fnd a replacement student
ii. Relocate you to another shared room or offer you the option to take the whole twin room at a higher rental value
There is no guarantee that we will be able to re-let your room.
If you formally withdraw, interrupt your studies or are de-registered from Imperial you must inform the SAC team immediately.
In these circumstances you will not be eligible to remain in College accommodation and will be released from your Licence
Agreement, from the date you vacate your room and have returned your keys. Unless you have formally ceased to be a student
at Imperial College London, you will remain liable for accommodation fees.
Note: students at Silwood Park who wish to attend a feld-trip should refer to specifc terms and conditions within their licence
agreement.
Window Restrictors
In order to comply with Health and Safety regulations and to improve security, all windows have been ftted with window
restrictors. Please close windows when youre not occupying your room, particularly if you live in a ground foor room.
Regular inspections will be conducted and if any window restrictors are found to have been damaged or
tampered with, repair charges will be brought against the individual (or individuals) involved.
