JOB DESCRIPTION Systems Administrator: Document Management

Department: Reports to: Prepared by: Approved by: Approved date: SUMMARY Systems administrator for the document management system. Responsible for all aspects of system development, operations, maintenance and production processing. Must ensure all routine processes complete on schedule including the input of metadata, routing of documents for storage, archiving and file restoration. Responsible for modifications and enhancements to software as required to meet business needs. Technical lead for all problem resolution and disaster recovery related to the document management system. ESSENTIAL DUTIES AND RESPONSIBILITIES Work with all ICAT departments to development functional requirements for the document management system, including system performance standards. Periodically update the functional requirements for ongoing system assessment. Research, analyze and summarize document management system software options for initial purchase and upgrades as new technology or systems become available. Conduct demonstrations of product offerings and summarize findings. Purchase, install, configure and place a document management system into operation. Provide all technical support as required to deliver documents through web based interfaces. Convert all existing and new documents as required to reside in the new system. Train staff on using the document management system. Ensure that the document management system is available and fully functional during normal business hours (7:00 a.m. 7:00 p.m. Monday through Friday) for online access to all policy administration functions. Must wear a pager when out of the office during normal business hours. Serve as the backup systems administrator for the policy printing and accounting systems. Take full responsibility for system availability and function during normal business hours in the absence of the System Administrator: Policy Administration. Configure, setup and run routine processes such as metadata input, routing of documents for storage, archiving and file restoration Routine monitoring of all daily logs and exception reporting produced by the system. Investigate and resolve all events reported on the logs and reports to ensure the system runs at optimum performance levels. Perform routine preventative maintenance and evaluate the system for capacity planning on a regular basis. Ensure that all backups are performed as required. Routinely sample backups to ensure backups are executing properly and data intact. Participate in disaster recovery planning and tests. Lead all recovery activities for the document management system and assist with the recovery of other ICAT systems as required. Design and create moderately complex software systems including relational databases, business applications using SQL, data exchanges with information repositories, data input handling applications, applications to implement business rules and other data processing as required. Analyze code for problem resolution and performance optimizations. Provide technical consulting and respond to error reports, problems or questions. Write and maintain operational procedures and troubleshooting procedures. SUPERVISORY RESPONSIBILITIES None. SKILLS, KNOWLEDGE AND ABILITIES A Bachelors degree or the equivalent. At least three years of experience as a systems administrator for a Windows NT or Unix system running a mission critical application based upon Microsoft SQL Server 7.0 or Oracle software. At least three years experience managing a Documentum document management system for a mid-sized organization. At least three years experience writing complex SQL procedures in support of a document management system. At least three years experience in a production environment with responsibility for the timely production of business processes and output. Demonstrated ability to configure and maintain a Microsoft SQL Server or Oracle database in support of document management.

Demonstrated ability to consult with staff to determine business requirements, functional requirements and input/output requirements. Demonstrated ability to define systems architectures and hardware and software requirements. Demonstrated ability to define and document system requirements for data, workflow, logical processes, interfaces with other systems, auditing and reporting requirements and production configuration using common documentation tools such as Visio, Microsoft Word and Microsoft Project. Demonstrated ability to define technical requirements and technical quality assurance requirements. Maintains current documentation on all specifications. Ability to develop test plans, test data sets and analysis of system performance. Experience with formal, structured, application development processes including the use of project management documentation, source control software for document and application management. Ability to read, analyze, and interpret general business documentation, professional journals, technical specifications and project management documentation. Ability to write reports, business correspondence and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, business partners and customers. Demonstrated ability to work as part of an application development team, document work for maintenance in a production environment, create task lists, timelines and deliverables, work to meet project schedules determined by others. Demonstrated ability to define problems, collect data, establish facts and draw valid conclusions. Ability to develop systematic testing plans for problem resolution. Demonstrated ability to work to short timelines, to consistently meet routine deadlines and work as required to resolve problems in order to meet deadlines which may be impacted by unforeseen problems. Demonstrated ability to work in a calm and professional manner in stressful situations. PHYSICAL REQUIREMENTS Must be able to spend at least 75% of work time sitting and using standard desktop computing equipment. Must be able to hear and speak clearly enough to participate in highly interactive, fast paced conversations. Must be able to work in an open office environment with moderate noise levels and frequent interruptions. Must be able to work in a smoke-free workplace. Must be able to work during normal business hours and occasional overtime to meet deadlines.
