General Procedure for Looking up Case Information:

• What you need:


 Case Log: Camner, Bakalar, Watson or any other client represented.

 List of Florida County Clerks Phone Numbers in the event that you need to call a
clerk to find out some information or verify info- found here:

 Note: each clerk website has at least two ways to look up case information. The links
listed below are shortcuts that have been extensively tested and found to be the most
important and pertinent ones.

How to Look-up (PST):

1. Begin with a case sheet, a list of main defendants, reference numbers i.e., “1610-23456 or
211508.9078”, and the county the case is being filed in.

2. What you need to find: 1.) Case Number 2.)Date Filed 3.) Judge Name.

3. Example Case Lookup:

4. In PST go to the “Lookups” tab. Scroll to and choose “By Client Ref Number”

5. Enter the reference number, such as: 1610-23564 as noted in the log above and press
“Return”

 A box containing a list of each Defendant in the case appears

6. Choose and highlight any of the listed defendants and click on “Affidavit.”

 The “Edit Existing Job #” box should appear


7. Click anywhere within the “Case” box
 “Case Information for Job” box appears

8. Click “Edit”
1. The “Edit a Case” box appears
9. One or all of the following fields may be empty.
1. Judge
2. Case Number
3. Date Filed
This is the information that needs to be found and filled in! Also remember to write
this information on the log sheet to be presented.

How to Look-up (Clerk Sites):

2. Enter the last name of the defendant and begin your search. IMPORTANT :

 To account for misspellings of defendants name you should also try


partial name searches. For example, Wallace may in fact be “Walace.”
So try looking up “Wal” and all spellings will appear afterwards.

3. Refine your search!


 Narrow the Date fields
 Choose “Circuit” cases only
 Look for cases with filing dates in the current year
 Look for cases only listed as Circuit cases
 Look for cases with the letters MF denoting Mortgage Foreclosure

4. When the appropriate case has been found check against information in PST:
 Attorney name against information in PST
 Filing Date
 Type of Case
 Law firm if given
5. Fill in the missing information in PST and also the log sheet!

6. Click Accept for all boxes in PST to close out and begin a new case information search.

 PST automatically fills in the same case information for all the
defendants in the case.

Questions:

1. What if I can only find some of the information?


a. Call the County clerk’s office or the Server
b. Ask for circuit civil for assistance
c. Clerks can assist you by the last name of the defendant or case number.
2. How long does it take for filing?
a. Each County files cases at different times. Some are slow. Others are
sloooooow.
b. At the earliest cases outside of the tri-county (Dade, Broward and Palm Beach)
can be found within 4 days and as long as 2 weeks in Flagler County.
3. What other problems?
a. Sometimes it may be necessary to check the notes of a case in PST to see
whether there is a reason for a filing delay.
b. Filing problems should be noted and reported to a manager.
