Policies and Procedures


.overning "ystems Preventative $aintenance Northwoods has a significant investment in the hardware and systems we have purchased. Part of the ownership of this equipment is the necessary preventive maintenance. This P&P outlines the recurring maintenance procedures for the IT Department and the frequency with which those procedures are to occur. DataCenter Cleaning Procedures: The DataCenter floor should be vacuumed with the oomba on a wee!ly basis. The DataCenter should be vacuumed manually by an IT "taff member on a monthly basis on the #rd $onday of each month. The filters in the %&C unit should be cleaned once per # months. o Confirm that the 'acility ()%C system is online and wor!ing properly. o Turn off the DataCenter %&C unit at the Thermostat. o The filters should be removed from the DataCenter %&C *nit. o The filters should be washed in the mechanical room slop sin!+ dried and returned to the DataCenter %&C unit. o ,nce the filters are reinstalled the %&C unit can be turned on. The filters in the (oneywell air filter should be replaced every # months. o The removal and installation of a new carbon filter must be performed in the mechanical room to avoid introducing a high volume of airborne particles in the DataCenter. Backup Power and Generator Maintenance Procedures: The -ac!up Power .enerator will be maintained by the Campus "ervices Department. This includes a test of the generator once per month. % simulated power failure should be performed every / months as documented in the Power 'ailure 01ercise Policies and Procedures Document. The %PC "ymmetra *P" system should perform self2tests every 3 Days. Server and Network Maintenance Procedures: Review of Server Event Logs: The event logs for all servers will be reviewed with a frequency of at least # days per wee!. o This includes the "ystem+ %pplication+ and "ecurity 4ogs for each server 5virtual or physical6. Review of Anti-Virus Logs: The %) logs for the domain will be reviewed with a frequency of at least once per wee!. o This includes reviewing that the servers7 definitions are the most recent available+ all wor!stations are updated and are chec!ing in with the %) "erver+ and the alerting is wor!ing correctly. o This would suppose the %) server is configured to alert the ,TI" "taff of any virus outbrea!s. % report of networ! trending will be provided by the "ystems Networ! %dministrator and presented during the IT "taff meeting that occurs on the 8th Thursday of every month. Networ!&"ystem Integrity and Penetration tests will be performed once per quarter. % report of the tests will be provided by the "ystems Networ! %dministrator and presented during the IT "taff meeting that occurs on the first Thursday of each quarter. The report will include9 o esults of Port "can o esults DN" 4oo!up > noting changes if any Defragmenting "erver (ard drives9 o The physical server local hard drives will be defragmented with the frequency of once per month. o The virtual guest servers hard drives will be defragmented with the frequency of once per month. o The "%N )olumes ??? "erver Cleaning Procedures o 0ach physical server will be ta!en offline for hardware cleaning with the frequency of once per every @ months. This cleaning includes9 emoval of the hardware from the DataCenter and using compressed air to remove any dirt or dust build2up. %n inspection of the operation of the servers7 components including case fans+ CP* cooling fans+ power supply fans+ and hard drives. "witch Cleaning Procedures o 0ach switch will be ta!en offline for hardware cleaning with the frequency of once per @ months. This cleaning includes9 emoval of the hardware from the ID' and using compressed air to remove any dirt or dust build2up. %n inspection of the operation of the switch cooling fans and boot sequence.

Data Backup and Disaster "ecover! The content+ frequency+ and location of the system and data bac!ups are documented in the Data -ac!up and Disaster ecovery Policy. o % Disaster ecovery 01ercise will be performed once per every @ months. The Disaster ecovery 01ercise will include a recovery of %ctive Directory+ 01change+ "A4+ %C"+ and files on the file server. %ction steps for Disaster ecovery 01ercise can be found in Disaster ecovery 01ercise Procedures documentation. #orkstation Maintenance Procedures The image of each type of wor!station should be maintained and updated every three months including9 o ,perating "ystem updates o %ntivirus *pdates o "oftware *pdates 5,ffice+ Bava+ 'lash+ %dobe eader6 0ach wor!station should be reviewed every @ months including9 o Cleaning out the hardware and chec!ing all components. o Physical inspection of the CP* and motherboard for failed components. o estoring the operating system to the image for that hardware.
