Integration of BPS layouts with CRM Planning

Introduction
Business Planning and Simulation (BPS) enables the configuration and development of manual input layouts along with automated planning functions that directly update data in a real-time BW InfoCube. If you want to provide an efficient planning interface to your SAP CRM users, you can incorporate Business Planning and Simulation (BPS) with your CRM planning. The options for enhancing SAP CRM planning with BPS can become a bit confusing, because several steps are involved. To clarify the steps involved in this process, Ill focus on an opportunity planning example.

Live Scenario
In BW system, we will create a BPS layout for Business Planning. This is an example for opportunity planning. Through this layout, the end user can plan the targeted sales and targeted volume when volume increment percent (vol inc %) is entered and vice versa. To plan in CRM system, this layout should be first integrated with CRM. I will now explain the steps to create this layout in BW system and integrate it with CRM. BW side We have created two Infocubes. One Infocube holds actual data and other holds plan data. The infocube which holds actual data is a standard infocube. The structure of infocube which will be used for Illustrating the scenario is given below:

The real-time infocube must contain a keyfigure '0KEYFG_FLAG' which is an indicator for planning layout display. This keyfigure is necessary for technical reasons. The structure of real-time infocube which will be used for illustrating the scenario is given below:

Load data to ZBP_C11 standard infocube from a flat file by creating datasource, transformation, data transfer process, infopackage. The mode of the real-time infocube ZBP_C12 should be ' Real-Time Data Target can be planned, Data Loading Not Allowed '. Now, go to Business Planning Simulation (BPS0 is the tcode) and create two standard planning areas. The first area is based on ZBP_C11 infocube and the second area is based on ZBP_C12 infocube. The first area created is ZBPPA01. The second area created is ZBPPA02. The multiplanning area ZBPMPA is created based on ZBPPA01 and ZBPPA02.The planning level 'ZK1' is created in which all the following characteristics are included. The screen shot is given below:

An adhoc package will be created by default, which is shown below:

The layout in manual planning which I created was 'TEST11'.The initial screen looks as given below. Select characteristics in header, lead and data columns as shown below.

The second screen contains 3 subscreens. The first subscreen looks as follows:

Integration of BPS layouts with CRM Planning

We have created a planning function for planning target volume when vol Inc % is entered and vice-versa. The first parameter group is used to calculate target volume when vol Inc % is entered by the user. The second parameter group is used to calculate vol Inc % when target volume is entered by the user. Now, create a planning profile 'ZOPPPF' which include the multiplanning area 'ZBPMPA' with all its subordinate objects. Now, Enhance the above created layout.Goto UPX_MNTN tcode.Select the planning area and then click on preview and save the layout.

CRM side Now logon to CRM system and Goto SPRO SAP Reference IMG Step 1: Now follow the path: Integration with other mySAP componentsStrategic Enterprise ManagementDefine RFC connections. Ensure that BW and CRM systems are connected. Step 2: Now, Goto SPRO SAP Reference IMG Integration with other mySAP componentsStrategic Enterprise ManagementDefine Target Systems. Here, the logical systems should be maintained. In RFC Destination, give the logical name of the BW system.

Step 3: Check whether the mapping between CRM fields and BW Infoobjects is correct or not. To do this follow this navigation: SPRO SAP Reference IMG Integration with other mySAP componentsStrategic Enterprise ManagementChange Mapping between CRM fields and Infoobjects. Here, all the planning applications will be displayed. As the scenario is related to opportunity planning, select 'OPP' planning application and click on mapping table-system entries available on the left side pane.

Now, check whether the infoobject and field name mapping is correct or not. In addition to this, there are 2 columns 'Empty' and 'Update'.'Empty' indicates whether the empty field within a structure is a valid value or not.'Update' should be checked if you want the BW master data to be updated . Step 4: Now, a transaction type should be defined. To do this follow the path: SPROSAP Reference IMGCustomer Relationship ManagementTransactions -->Basic Settings -->Define Transaction Types. Now, execute 'Define Transaction Types' and click on create new entries and define a new transaction type 'ZBPD'. Sometimes a planning profile group should be defined instead of transaction type. Examples for such cases are Trade promotion Management, Marketing Planning and Campaign Management etc. To create a new planning profile group (for example, for Trade Promotion Management related planning), follow the path: SPRO SAP Reference IMGCustomer Relationship Management --> Trade Promotion Management--> KeyFigure PlanningDefine Planning Profile Groups. Now, execute 'Define planning profile Groups' and click on new entries and define a new planning profile group. Enter the name of the planning profile group, description of the group, select a category and then save it. Step 5: In this step, planning profile will be assigned to the transaction type. Now, select the transaction type 'ZBPD' and click on 'Assignment of Business Transaction Categories' available on the left side pane.

Now, select the 'Opportunity' and click on 'Customizing Header' available on the left side pane.

Find the planning profile which was created in BW system and append it with /PRF/.For example, as our planning profile which was created in BW system for illustrating opportunity planning is 'ZOPPPF', it should be specified as '/PRF/ZOPPPF' in profile of SEM planning. Now, click on save button and go back.

As per the requirements, if a planning profile group is created in step5 then the planning profile should be assigned to the planning profile group. Assign the planning profile to the planning profile group by selecting the planning profile group to which you want to assign your planning profile and click on Assignment of planning profiles available on the left side pane. Here, click on new entries and select the planning profile from F4 help and specify the plan type, version, Inactive and source profile. Finally, save it. Step 6: So, now the linking of planning profile is done. Now, Goto CRM web client by typing the transaction code 'CRM_UI' in the entry bar. Logon to the SAP Web Application Server and select a business role. Step 7: Search for an existing opportunity which was created with plan type as 'Dist Business Plan'.

Step 8: Click on planning available in 'More' options.

Here, the planning layout which corresponds to the profile 'ZOPPF' is displayed. In the planning layout the header details of the layout will be populated with the selections made. For example, the business partner which was chosen while creating the opportunity '130' is 90000497 and division is '20', so the header of the layout will be populated with these details. The item details corresponding to the header will be displayed accordingly. The planning functions are also displayed. Now, plan the data and click on 'back'. We have entered vol Inc% for each product and clicked on the Target Calculation(%->Vol) function. The following screen shot illustrates this:

Result
Log on to BW system and display data of the plan cube. You can find that the data which was planned for the opportunity in CRM system is available in real-time infocube (plan cube). Data of Real-Time Infocube:

This way planning can be done with BPS layouts in CRM system .The data available in plan cube of BW can now be used for reporting purposes. The main step that should be done carefully is linking the planning profile to the transaction type. This is the procedure that is followed for Opportunity planning. Here, transaction types are used to link planning profiles. The procedure is same for Trade Promotion Management, Marketing Planning and Campaign Management except that the planning profile groups will be used instead of transaction types to link the planning profiles.
