Content A10.4 Essential documentation & Records for Handover of Air Conditioning, Refrigeration, Ventilation and Central Monitoring & Control System Installation A10.4.1 A10.4.2 Clause A10.4 ESSENTIAL DOCUMENTATION & RECORDS FOR HANDOVER OF AIR CONDITIONING, REFRIGERATION, VENTILATION AND CENTRAL MONITORING & CONTROL SYSTEM INSTALLATION Information and Details to be Included Essential Documentation and Records Required

A10.4.1 Information and Details to be Included Information and details such as the design consideration, design logic, estimated cooling and heating load, the design parameters, the control sequence logic, etc. are all considered essential for future operation and maintenance work and shall be included in the hand over documents. The information shall also include the idea and concept of the original design especially for those relating to operation criteria. All these details and information shall be able to provide a suitable platform for future improvement and expansion work. A10.4.2 Essential Documentation & Records Required Apart from the system description, all essential documents and records including the operation and maintenance manuals, as fitted drawings, manufacturer details, testing and commissioning records, spare parts list, installed equipment and material schedule, handing over records, etc. shall be incorporated in the hand over documents. The following documents and records shall be included in the hand over document :-

Manufacturersliterature. Manufacturersshop drawings. Manufacturers operation and maintenance manuals for specific material and equipment. Manufacturerstest certificates, statutory certificates and spare parts list. The operation and maintenance manuals of the entire system by the contractor. As-fitted drawings including all installation drawings, layout plans, schematic wiring diagrams, schematic diagrams, detailed conduit run diagrams and etc. under the contract. Points list including hard and soft points for automatic control system. Terminology and references of the all maintenance, operation and inspection manuals. Testing and Commissioning Records including the procedures, testing data, testing & commissioning certificates, inspection records and list of testing & commissioning equipment with calibration certificates. Hand Over Records. 24 hours emergency contact persons list from contractors and suppliers. Comprehensive instruction for switching on, operation, switching off, isolation, fault finding and procedures for dealing with emergency condition. Plant and equipment logging records during the free maintenance period. Special equipment and tools list for operation and maintenance. Records of Approval from Water Supplies Department for water connection. Records of Approval from Electrical and Mechanical Services Department for electrical installation. Records of Acceptance from Fire Services Department for ventilation control installation. Copies of certificates for all electrical appliances. Records of all guarantees. Copy of Practical Completion Certificate. Copy of Maintenance Certificate. (to be submitted after the final completion) Copy of Final Contract Completion Certificate. (to be submitted after the final completion) Copy of all insurance and warranty of specific equipment. Schedule of installed material and equipment with on site or off site test certificates. Proposed instrument list with the recommended calibration certificates. - END -
