ARTICLE I. NAME AND PURPOSE Section 1. Name: The name of this organization established by this constitution shall be ________________________________. Section 2. Section 3. Affiliations: This organization is under the jurisdiction of the Student Body Organization of ICI Cagayan de Oro. ARTICLE II. NON-DISCRIMINATION STATEMENT Section 1. Non-discrimination Statement: Membership in this organization shall be without regard to race, religion, age, color, sex, disability, sexual orientation, national origin, marital status, veterans, status, or political belief or affiliation. ARTICLE III. MEMBERSHIP Section 1. Requirements for Membership: A. Anyone may become a member who: 1. Is a full-time student at ICI 2. Is a faculty/staff member at ICI (for the Advisor) 3. Is an officer of the Student Body Organization(SBO Coordinator) B. Voting members shall consist of all members who: 1. Have paid the required dues. 2. Have fulfilled the attendance requirements as specified in the bylaws. C. Non-members cannot vote on the following: 1. Election or removal of officers. 2. Removal of members. 3. Amendments to the constitution or bylaws. 4. Financial matters. D. No academic credit shall be offered for participation and/or membership in this organization. Section 2. Removal of Members: A. Grounds for removal of members include: 1. Violation of Schools Policy and policies written on Students handbook. 2. Non-payment of dues. 3. Violation of attendance policy as stated in the bylaws. B. A member may be removed by the following process: 1. A petition to remove the member should be submitted to the (President and disciplinary committee). Such a petition must contain the signatures of at least 50% of the voting

members. When such a petition is received, the President shall call a meeting of the organization to decide upon removal. 2. The grounds for removal are to be presented by the President at a regular or special meeting of the organization. 3. The member in question shall be provided one week to present a defense either in person or in writing. 4. Voting is not to occur sooner than 3 days week after the presentation of the grounds and defense have been made. In order for a vote for removal to take place, at least simple majority of the voting membership must attend the meeting, and simple majority vote of the members present at that meeting is required for removal. Section 3. Appeal of Removal of Members: A. Members may appeal their removal, but the appeal must be made within, two weeks after the voting by requesting the President to call a special meeting of the organization. The President shall notify all members of this meeting, which is to occur at least 3 days and not more than one week after the appeal request is received by the President. B. The decision to repeal the vote for removal shall require at least simple majority of the voting membership to attend the meeting, and a simple majority vote of the members present at the special meeting. ARTICLE IV. OFFICERS Section 1. Elected Officers: The officers of this organization will be: A. President B. Vice President C. Secretary D. Treasurer E. Auditor Section 2. Qualifications for Holding Office: In order to be eligible to hold an office in this organization, the following qualifications must be met: A. The candidate must be a student member of the organization. B. The candidate must have held membership in the organization for at least one semester. (For President only) Section 3. Elections: A. The officers of the organization shall be elected for a term of one semester. B. There will be no restrictions placed on the number of terms of office a member may hold. C. Elections will be held by the first week after the start of class. D. Election to office will be by simple majority vote of the member. Section 4. Duties of the Officers: A. President A1. Executes the provisions of the Club/Organization Constitution A2. Calls and presides over meetings of the organization. A3. Submits to the organization budgets for the upcoming year. A4. Appoints members of all committees of the organization A5. Veto acts of the organization if deemed necessary. A6. Reviews documents kept by the Secretary and Treasurer. B. Vice- President 1.1 Executes the duties and powers of the President in his/her absence. 1.2. Have a voting right in the Student Senate when not fulfilling duties of the President. 1.3. Performs such duties as the President of the Club/Organization may assign to him/her subject to Senate approval. 1.4. Presides at organizational meetings in the absence of the President.

1.5. Succeeds to the office of President in the event the President does not fulfil his/her term in office. 1.6. Liaison between the club and other organization external to the institute. 1.7. Available for attendance of meetings and committees with organizations external to the institute. 1.8. Works in conjunction with the President, events as the primary contact in organization of activities involving other persons or groups external to the institute. C. Secretary C1. Keeps an accurate, permanent record of all meetings of the organization. C2. Serves both as recording and corresponding Secretary of the organization with a voting right in the Student Senate. C3. Places a copy of the above records on the bulletin board the day following a Student Senate. C4. Keeps and make available to the organization a permanent record of the Constitution of the ________________ and all actions of the Organization. C5. Publishes all pertinent acts and decisions of the Organization in the school bulletin board. C6. Performs such duties as the President of the organization may assign to him/her subject to members approval. D. Treasurer D1. Keeps an accurate record of all money received and distributed by the organization. D2. Presents a report on finances at each meeting of the organization. D3. Establishes and maintain audit system for the Organization. D4. Provides Treasurers reports at the request of the President or Organization. E. Auditor E1. Provides Auditors reports at the request of the President or organization members. E2. Oversees the funds; ensure the proper acquisition and allocation of student fees. E3. Shall give a report to the Student Senate a minimum of every two-month detailing the expenditures of the Executive Officers. E4. Shall work in conjunction and in full communication with the Treasurer. Section 5. Vacancy of an Office: A. In the event of a vacancy in an office other than the President before the expiration of a full term, a special election shall be called by the President within two weeks to fill the vacancy. Section 6. Removal of Officers: A. Grounds for removal of an officer include: 1. Violation of Schools policy. 2. Violation of the policies written on the Students Handbook. 3. Failure to perform the duties of the office as set forth in the constitution and bylaws of the organization. 4. Failure to uphold the provision of this constitution and bylaws. B. An officer may be removed by the following process: 1. A petition to remove the officer in question must be submitted to another officer. Such a petition must contain the signatures of 50 % of the voting members of the organization. When such a petition is received, the officer shall call a meeting of the organization to decide upon removal. 2. The grounds for removal are to be presented by the officer in charge at a regular or special meeting of the organization. 3. The officer in question shall be provided one week to present a defence either in person or writing. 4. Voting is not to occur sooner than 3 days after the presentation of the grounds and defense have been made. In order for a vote for removal to take place, at least a simple

majority of the voting membership must attend the meeting, and simple majority vote of the members present at that meeting is required for removal. Section 7. Appeal of Removal of Officer Appeal of Removal of Officer A. An officer may appeal his/her removal, but such appeal must be made within two weeks of the vote for removal by requesting a special appeal meeting of the organization. If the President or Vice-President is the officer being removed, shall notify all members of this meeting which is not to occur less than two weeks, and not more than one month after the appeal request is received. B. The decision to repeal the vote for removal shall require at least a simple majority of the voting membership to attend the meeting, and simple majority vote of the members present at the meeting. Section 8. Changes in Officers. All changes in officers shall be submitted to the SBO coordinator within two weeks of such a change. ARTICLE V. ADVISOR Section 1. Advisor Selection A. The Advisor to this organization must be a member of ICI faculty or staff. B. The organization Advisor shall be elected by a simple majority vote each year at the time of the regular organization elections or the organization Advisor shall be appointed by the head of the Student Body Organization. Section 2. Role of the Advisor. A. The Advisor shall plan for activities for the whole semester. B. The Advisor must co-sign all financial transactions of the organization. C. The Advisor shall assist the officers and the members in accomplishing the purpose of this organization. D. The Advisor shall regularly review the financial records of the organization and forward mailings to the appropriate officers. ARTICLE VI. MEETINGS Section 1. Meetings: A. Business meetings of the organization shall be called by the President for at least 5 times in a semester during the academic year. B. Non-business meetings for the purpose of instruction, practice, or other activities shall be held regularly, once per week. C. Meetings must be general, regular, special or emergency. D. General meeting shall be held at least 5 times per semester, preferably by the end of the month. E. Regular meeting shall be held once a week whenever it is convenient among officers schedules. F. Special or emergency meeting shall be made for urgent matters only. G. General meetings shall be conducted by the advisor and regular, special and emergency meetings shall be carried out by the president. H. Dues shall be collected for unreasonable absence/s, late/s and tardiness of an officer during meetings. P5.00 for absence P2.00 for late and tardiness I. Members clearance will signed based on the attendance of the member. J. Members clearance shall not be signed by the SBO Advisor unless signed by the Organization Advisor or the President in his behalf.

Section 2. Special Meetings: A. Special meetings may be called by the President upon 3 days notice to the members. B. The President shall call a special meeting when requested by 25% of the voting membership. Section 3. Quorum: A. A quorum at business meetings shall consist of 50% of the voting membership. B. A quorum at non- business meetings shall consist of 25% of the voting membership. ARTICLE VII. EXECUTIVE COMMITTEE Section 1. Responsibility: Management of this organization shall be vested in an Executive Committee responsible to the entire membership to uphold this constitution. Section 2. Membership: Membership shall consist of the President, Vice President, Secretary, Treasurer, and Auditor, head of the DSA, the Advisor and the SBO Coordinator. Section 3. Meetings: The Executive Committee shall meet at least once before each business meeting, five times a semester to organize and plan future activities and agenda items for meetings. Section 4. Quorum: A quorum of this committee shall consist of simple majority of the members. ARTICLE VIII. COMMITTEES Section 1. Authority to Establish Special Committees The President shall have the authority to appoint any special committees, with the approval of the Executive Committee, as well as meet the needs of the organization. Section 2. Special Committees: These committees may include, but are not limited to the following: A. Membership Committee B. Program Committee C. Publicity Committee D. Conference Committee E. Fund-raising committee F. Clearance Signing Committee ARTICLE IX. FINANCIAL STRUCTURE Section 1. Semestral Budget Each Club/Organization shall be entrusted with a 5% budget from the total budget of the Student Body Organization based on the Article IX Section 3 of the Student Body Organizations Constitution and By-Laws. Section 2. Dues Dues for this organization such as lates and absences of a member during school activities shall be approved by a simple majority of the voting membership and the Executive Committee.

ARTICLE X. BYLAWS Section 1. Provision for Bylaws: A. The organization may approve bylaws for the specific operation of the organization. B. No bylaw shall be adopted that is contrary to the provisions of this constitution. Section 2. Vote Required: A. The organization may adopt, amend, or rescind any bylaw by simple majority vote of the membership. B. Any proposed bylaw must be publicized to the members at least a week prior to the meeting at which it is going to be voted upon. ARTICLE XI. AMENDMENTS Section 1. Ratification: A. A proposed amendment to this constitution shall be presented to the members at least one week prior to the meeting at which the vote shall be held. B. Ratification of an amendment to this constitution shall require a simple majority vote of the members present at a regularly scheduled business meeting of the organization and all amendments to this constitution shall be approved by the Department of Student Affairs before they take effect. List of officers based on what is written in your Constitution and By-Laws. 5. Officers Profile Forms (You can ask for a soft copy of the said form). When to Submit? These requirements should be submitted on or before the 25th of November 2011. These documents shall be bind together with the SBOs Constitution and ByLaws which we will be presenting to the students and shall be posted on the Bulletin Board. Thank you everyone!
