Nokias usage of Kronos workforce management solutions for last 6 years has brought transparency and control.

CHALLENGES
Nokia India was managing attendance and leaves manually. Attendance was marked manually in a register, HR team would look at the details and apply appropriate rules to create the payroll file at end of the month. Additionally overtime and comp-offs needed to be done manually. Statutory compliances were to be met as well. Manual processes resulted in: Strain on resources in HR Inaccuracies in internal and external statutory reporting Some employees taking undue advantage of the manual system

The Story Nokia India

Nokia started its India operations in 1995, and presently operates out of offices in New Delhi, Mumbai, Kolkata, Bangalore, Hyderabad and Ahmedabad. The Indian operations comprises of the companys handsets and network infrastructure businesses, R&D facilities in Bangalore, Hyderabad and Mumbai and manufacturing plant in Chennai. The handset business is supported by a team of professionals across 3 business groups namely Mobile Phones, Multimedia and Enterprise solutions. Nokia established the manufacturing facility in Sriperumbudur, Chennai. This is Nokias tenth mobile device production facility globally and has been created in line with Nokias global philosophy of developing world class manufacturing systems that enable best-in-class quality, lowest cost, world class responsiveness, just in time delivery and a challenging and joyful work environment. The company has more than 7,000 employees in India. allows for the following 1. Automating workforce data collection and time and attendance processes. 2. Reducing premium pay 3. Accurate payroll calculation eliminating any inadvertent or intentional payroll leakages.

Self service and Zero Disputes

Kronos also helps in driving frontline employee engagement by enabling self-service on kiosks available as part of the Kronos 4500 attendance terminals. These one touch kiosks are used by front line employees to perform transactions like leave application etc. Kalyan says, Self-service on the kiosks not only drives employee engagement but also eliminates paperwork that Time office needs to manage. This helps is automatic reconciliation of data and with zero disputes from the workforce

Manual process resulting in inaccuracies and inefficiencies

Nokia was managing the timekeeping, managing schedules, leave details through manual methods. The attendance was marked manually in a register, the HR team would look at the time details and apply the appropriate rules and end of the month create the payroll file. HR had additional task of mapping employee time to Schedule, calculate OT or provide compensatory Off (depending on the category of the employee) so the amount of effort was huge and to add to the confusion there were employees who were abusing the system. HR was also required to prepare labour reports both for internal as well as statutory bodies within time constraints and this required lot of effort and hence put a strain on the HR team. As the systems were completely manual driven there were bound to be errors and this led to the discomfort/distrust among the employee and line managers category and this had the management concerned.

Compliance and Ease of Use

Kronos for Manufacturing helps Nokia minimize the time, resources and risk associated with managing compliance. Keerthika, ER Coordinator at Nokia says, Kronos Time & Attendance systems seamlessly integrate to our HR and payroll systems making it easy for HR to manage month end activities. There are virtually no errors and the payroll closure process is quick. It is also very easy system to use.

Integration with other systems and upgrade

To have a seamless user experience it was decided to integrate Kronos with Nokias deployment of SAP HR. The integration brings in seamless movement of data across systems and eliminates lot of maintenance hassles. Kronos workforce management is a mission critical system for Nokia now and an extremely stable system delivering the benefits expected of the system. Given the benefits that Nokia derived out of the implementation of Kronos, Nokia went ahead with the Upgrade to Kronos V6.0.

Standardization, Visibility and Control

Kronos helps bring in complete standardisation, visibility and control through deployment of its automation tools. The tools provide real-time workforce visibility to the managers and higher up on the three key working dimensions of an employee viz., Employee Schedules, Employee Presence and Planned & Unplanned Absence. Real-time visibility provides shop floor managers the ability to quickly identify employees who have not come in and quickly take decisions on replacements. Complete punch-to-pay automation

Mr. Kalyanasundaram also said: As one of the largest employer in the region, 24X7 operations with multiple patterns and many relays, staggered off, movement restrictions it was critical to have the right workforce management system right from the beginning of our operations as the complexities of managing this workforce is immense. We chose Kronos as Kronos was the only solution capable of handling this complexity and we have been using it for 6 years now.
