WorkSite Communication Server 9.0 Update 1a (version 9.0.1.1) addresses an issue wherein the Email Filing Service (EFS) could potentially assign someone other than the mailbox owner, or delegate filer, to the Operator field of emails filed using EFS (i.e. server-side filing) and where emails could be inadvertently set with a default security of private. This FAQ addresses common concerns and questions regarding this update release. Who should apply WorkSite Communication Server 9.0 Update 1? Autonomy recommends that all customers currently running WorkSite Communication Server 9.0 in production download and apply the update to all WorkSite Communication Servers in their environment. I am running WorkSite Communication Server 9.0 in a test environment. Do I need to apply the update? Yes. If you are running WorkSite Communication Server 9.0 in test, we recommend that you discard that version and apply Update 1. I am running WorkSite Communication Server 8.5 SP1. Do I need to apply the update? No. This issue was introduced in WorkSite Communication Server 9.0 and 8.5 SP2. Customers running any version of WorkSite Communication Server prior to 9.0 (or 8.5 SP2) do not need to apply this update. I have been running WorkSite Communication Server 9.0 in production. How do I identify and fix emails that have been affected by this issue? We have provided a clean-up utility (UpdateEFSDocs.exe) that addresses any Operator discrepancies. Both the utility and detailed documentation instructions are available for download from the iManage Support site. This utility should be run after applying Update 1 to the WorkSite Communication Server. Who needs to run the UpdateEFSDocs.exe utility? It is only necessary to run the UpdateEFSDocs.exe utility under the following circumstances: - WorkSite Communication Server 9.0 was running in production. - Server-side filing was enabled. In other words the Email Filing Service (MarkingWorker and FilingWorker) was used to file emails. - Delegate filing is used at the firm. I am running WorkSite Communication Server 9.0, but I am not using the Email Filing Service (EFS) for the server-side filing of email. Do I need to run the UpdateEFSDocs.exe utility? No. Firms that are only filing emails to WorkSite using Send and File or client-side filing are not impacted by this issue. I am running WorkSite Communication Server 9.0, but only for the SMTP based Send and File. Do I need to run the UpdateEFSDocs.exe utility? No. This issue only impacts emails filed using the Email Filing Service. Emails filed using Send and File are not impacted. However, it is still recommended that you apply Update 1 to your WorkSite Communication Server 9.0 environment.

I am running WorkSite Communication Server 9.0, but I have not enable server-side filing. Do I need to run the UpdateEFSDocs.exe utility? No. This issue only impacts emails filed using the Email Filing Service. Emails filed using client-side filing are not impacted. However, it is still recommended that you apply Update 1 to your WorkSite Communication Server 9.0 environment. Does WorkSite Communication Server 9.0 Update 1 have any other fixes in it? Update 1 is a very targeted fix that addresses the Operator issue and an issue wherein emails were filed with Private security applied. No other fixes or features are added. What does the UpdateEFSDocs.exe utility do? The UpdateEFSDocs.exe utility will look for emails imported by the WorkSite Communication Server using import audit records, and if the Operator does not match the Author (the mailbox owner), it will update the Operator on the Email Document profile to be the same value as the Author. The utility will also mark an entry in the emails document history audit trail indicating that the profile has been changed. The history record will be noted as executed by the UpdateEFSDocs application under the WorkSite user ID used to run the utility. Does the utility identify and fix emails that were inadvertently marked as private? No. There is no feasible way to determine emails inadvertently marked as private, and no way to determine what the security setting should have been. Therefore, no attempt will be made to alter the default security. Should I run backups before running the UpdateEFSDocs.exe utility? Yes. The UpdateEFSDocs.exe utility updates document profile information. It is recommended that customers backup their WorkSite databases prior to running the utility. How long will the UpdateEFSDocs.exe utility take to run? The UpdateEFSDocs.exe utility has two modes. The first mode is a report mode to discover and generate the list of emails impacted. The second mode updates items based on the input file generated in report mode. In update mode, the UpdateEFSDocs.exe utility will process approximately 30k items per hour. Details about the utility options and operation can be found in the UpdateEFSDocs.exe release notes. Does the UpdateEFSDocs.exe utility need to be run off hours? While execution of the UpdateEFSDocs.exe utility does not require downtime, it will place load on the WorkSite system. Therefore, we recommend running the utility outside of peak production hours. In most cases, the utility should complete within a weekend timeframe.
