Minutes of meeting on space allocation and setting up of Irrigation offices of
State of Telangana and state of Andhra Pradesh in various buildings located
in different places of Hyderabad on 20-05-2014 in the chamber of Engineer-in Chief (Admn). Officers present: (1) Sri L. Narayan Reddy Engineer-in-Chief (Admn). (2) Sri M. Venkateshwara Rao Engineer-in-Chief(ISPP) and (3) All Chief Engineers / Unit officers.
Welcoming all the CEs/Unite heads of Irrigation Offices located in Hyderabad city to the meeting to finalise the office space allocation to the Irrigation offices of the state of Telangana and state of Andhra Pradesh in Jalasoudha Building, Ground water Department New Building, Hydrology Project Circle building, BRKR Bhavan, Gagan Vihar and Manoranjan Building in MJ Road and take the following decisions.
(1) Once office space allocation is finalised, it is decided to start shifting all the offices to their respective new locations from 26 th of this month.
(2) It is decided that every office should make their own arrangements to shift their offices. All the expenses have to be incurred from their own contingencies.
(3) All the unit officers shall mobilise sufficient man power and should engage proper transportation arrangements on their own to shift the office files any other important material without any problems.
(4) Every officer shall prepare their office name boards and sign boards ready to put them at their respective offices by June first.
(5) In Jalasoudha building the furniture is customised Modular Furniture. Hence it is not possible to change its position or location. Hence all unit heads are requested to accommodate their offices accordingly.
(6) Ground water building is a new building and chambers, rooms and cubical are ready but there is no furniture, A.Cs, fans and other comforts. The offices which are allotted space here have to bring their own furniture and other items on their own.

(7) It is already instructed to keep all the unwanted T&P in PWD work shop, mint compound. It is noted with displeasure that some of the officers have not yet vacated the rooms occupied by their offices. One huge shed is kept ready there and all the offices located in Jalasoudha and other buildings are once again requested to make arrangements to shift their unwanted material there before 26-05-2014. This should be treated very urgent as some of the rooms in Jalasoudha building which are allotted for different offices in basement and other floors are presently being used as store rooms for unwanted material by various offices.
(8) Similarly lot of furniture is being kept in the corridors of the Jalasoudha Building by various offices. It is already instructed to shift such kind of furniture and any other items immediately to the mint compound.
(9) All the unit officers whose offices allotted space in new Ground water building has to take the responsibility of maintaining the building like taking care of security, sweeping and other issues.
(10) Superintending Engineer, Hydrology project circle shall take the responsibility to complete all the works in New Ground Water Building like Electricity, Drainage, Water etc., in all respects and make building fit for occupation by 25 th of May 2014.
(11) Project Director/NSP is proposed to be accommodated in the 3 rd floor of BRKR Bhavan. It is proposed to locate all technical officers of state of Andhra Pradesh in the 3 rd and 4 th floors of Jalasoudha for better interaction. As Project Director, NSP is a liaison office, the same is located independently at BRKR Bhavan which is easily accessible to the secretariat and sufficient space is not available in Jalasoudha Building.
(12) Presently the NSP PPMU is located in 4 th floor of Jalasoudha in about 4600 Sft space. Now NSP PPMU is requesting about 4500 Sft space in Jalasoudha for NSP PPMU of Telangana State. Right now space is not available in Jalasoudha to accommodate NSP PPMU for Telangana State.
(13) It is decided to install separate meters for Andhra Pradesh state and Telangana state offices in Jalasoudha. The cost of electricity bill will be shared in proportion to calculated KW usage till installation of separate meters.
(14) Parking will be shared by both Telangana and Andhra Pradesh states as first come First Served basis.

(15) Water charges, Electricity charges for lifts, Common lights, security and other maintenance will be shared in proportion to floor area by Andhra Pradesh and Telangana States.
(16) It is decided to shift all unused vehicles parked in Jalasoudha to work shop. It is already instructed to remove all the unused vehicles parked in the cellar portion of Jalasoudha.
(17) The existing baby care centre will take care the needs of the staff of both the states.
(18) All other common amenities of JSB will be shared on the basis of floor usage area of the respective states.
(19) List of offices of AP state and Telangana state are proposed in Annexure I and Annexure II respectively.
(20) These allotments are tentative and subject to final approval of Government.
(21) Layout of Andhra Pradesh and Telangana State offices are marked on plans and displayed on the notice boards of stilt floor of Jalasoudha Building, Erramanzil Hydrabad.
