GENERAL
1 AIM OF MANUAL
This manual is intended as a guide to normal Processing, Raw Seed Intake and
storage routines and procedures in which staff will be involved in from day to
day.
It is necessary to be as complete and as specific as possible, but it is inevitable
that changes will be necessary, or that some instructions may require further
clarification.
ll staff have a responsibility to report with suggested improvements to their
!anager where they consider this manual to be unclear, inadequate or
inappropriate.
!anagers must make sure that all members of staff, who are involved, are
completely familiar with requirements, give suitable training in all fields and
ensure staff members perform their duties efficiently and in a safe manner.
"hen alterations are made to this manual, you will receive alteration pages. #or
your information after an interim period new staff will be required to demonstrate
that they understand procedures relevant to their $ob. Regular audit sessions will
be conducted to enable all staff to maintain their knowledge on procedures.
2 WORKING CONDITIONS AND UNIONS
The Pacific Seeds %mployee &andbook gives a detailed description of the work
conditions including working hours, career opportunity and superannuation. ll
employees are to make themselves familiar with the Pacific Seeds &andbook.
Processing employees are covered by the %' and the gricultural Produce,
#ruit and (rain ward. ll employees have the opportunity to become members
of the )ational *nion of "orkers and a *nion +fficial will visit periodically.
3 WORKPLACE ENTRY
If a person is not a Pacific Seeds employee they must be signed in to the
visitors book, located at the ,ispatch +ffice prior toseek permission of the
respected supervisors before entering the work place. ll staff and visitors must
adhere to warning signs and safety rules in the work place.
The workshop can only be entered with the permission of the maintenance staff
to ensure the safety of all employees. "orkshop staff are to seek permission of
the Processing Supervisor or Parent Seed Processing Supervisor to carry out
work in their designated areas

4 QUALITY ASSURANCE
The Processing and 'ulk Storage ,ivision is one of the key areas in quality
assurance.
-uality assurance is a vital priority to every staff member to ensure the best
quality product reaches Pacific Seeds customers.
Product quality and bag appearance, stitching, stenciling, and the overall
condition of the product is the concern of every staff member in the Processing
and 'ulk Storage ,ivision. ll staff members should remember that if a $ob is
worth doing, it is worth doing well. -uality is our business.
5 STAFF DEVELOPMENT AND PERFORMANCE REVIEW
Staff ,evelopment and Performance Reviews will be conducted at least once per
year by your !anager. This process is to assess your training needs and set
goals and ob$ectives for the ne.t period.
6 PROCESSING VEHICLE USE
The vehicles within our division represent a ma$or capital investment and are vital
to our ability to e.ecute our duties.
These vehicles must be well maintained both mechanically and in appearance.
!aintenance Program
ll vehicles are to be serviced on a regular basis.
#orklifts / %very 012 operating hours or every quarter whichever the
sooner.
Truck 3 *te / !inor Service every 1222kms or every three months.
!a$or service every 42222kms.
The truck maintenance is to be arranged by the Site +perations !anager and
*te maintenance is to be arranged by the "orkshop Supervisor.
ny faults or problems with any of our vehicles should be reported to the person
in charge of each vehicle and repairs undertaken as and when necessary to
ensure safe and continual operation.

If any of these vehicles need to be borrowed for work purposes, permission must
be obtained from the person in charge.

'orrowed vehicles must be returned as quickly as possible to either the location
borrowed from or to the normal storage area.
If vehicles are requested and approved for private use the vehicle must be filled
with the company fuel card on leaving and then the vehicle must be returned full
of fuel. 9og book must be filled out.
The International truck and *te have a fuel card each contained in the vehicle.
#orklifts are to be refueled from the bowsers near the despatch office.
ll fuel taken must be recorded in the >#uel *sage 'ook? held in the despatch
office. 'oth the meter reading and litres taken record and the individual fuel
pages report are to be filled out and signed each time fuel is taken.
The Processing dmin officer is responsible for the ordering and supply of #uel.
5 PERSONNEL 6 PAYROLL PROCEDURES
Refer to %mployee@s &andbook.
The %mployee@s &andbook covers safety, company structure, career
opportunities, workplace rehabilitation, leave, retirement, superannuation,
working conditions, dress, confidentiality and numerous other areas related to
Pacific Seeds personnel.
Permanents )ormal Time Sheets 7P"I ttachment 4/248 are to be filled out
fortnightly. The fortnight starting the !onday before the pay day and finishing 42
days subsequent to the pay day. +nce filled out and signed give it to your
supervisor to sign.
5asual %mployee Individual Time Sheets 7P"I ttachment 4/208 are to be filled
out weekly. 5asuals pay week start on #riday and finish on the Thursday of each
week. The pay sheet is to be handed in on the Thursday morning of each week.
ll types of leave taken require an pplication for 9eave 7P"I ttachment 4/ 2A8
form to be filled out.
7 THE UNION OFFICIAL
The union official must be authorised in writing by a commissioner, registrar or
industrial magistrate to have the right to enter premises where any person carries
on work to which such union is registered. If he has this authority the union
officer 7reference Industrial Relations ct 4BBB8<
/ must give notice of their presence to the employer.
/ may have access to time sheets, pay sheets and history cards.

/ may interview the employer or any employees during lunch time or non/
working time. They may not hinder the employer or employees during
working hours.
/ obstructing the union official in refusing lawful entrance or undue delays is
an offence and liable to a penalty of C022 ma.imum8.
/ the employer may apply to revoke the officials@ authority, suspend the
official@s authority, or attack such conditions that may be proper in the
circumstances.
/ 5ompany may suspend entry if work schedule does not permit time.
Should the union official abuse this authority, for e.ample, fail to report their
presence, e.ercise their power of entry in an unreasonable or ve.atious manner,
or misuse information obtained from the employers records, the employer may
apply to revoke the officials@ authority, suspend the officials@ authority to attack
such conditions as may be proper in the circumstances.
8 THE INDUSTRIAL INSPECTOR
The industrial inspector must produce a certificate of appointment if requested by
the employer 7not merely an identification disc8. +nce they do, the industrial
inspector may at any time enter, inspect and e.amine premises where they
believe work sub$ect to an award is carried out.
The inspector may also, at any time during business operations require the
production of time sheets, pay sheets and employee history cards for inspection
7they may take copies if they wish8. They may also question any employer in any
calling sub$ect to an award / question any person, even an employee out of
hearing of the employer.
The inspector may call to their assistance a policeman should they be obstructed
or hindered. *nnecessary delay or refusal to comply with lawful request or
questions may result in fines or legal action 7there is a safeguard that no person
must answer or give information tending to incriminate oneself8.
