A Web Based ERP Solution for Housing Societies

As the phrase say’s “Society Manager” it means it when it comes to managing the various
resources and requirements of residents in Various Housing Societies in Urban and Sub-Urban
areas at various places.
In Modern World of globalization it is hard to take responsibility of running the various services in
Housing Societies and managing resources in efficient manner from one’s busy schedule. Now the
Society management and related reports are at your door steps. If you have internet and required
permissions you can access the centralized SM with complete integration of various management
processes.
 Objective & Modules of Society Manager:
This software will computerize the following process, which are manually handled till now:
 HR Module:
1. Entire Flat Information including Flat No, Pocket Type, Block with Parking & CGEWHO No.
2. Owner / Tenant Information including Owner Name, Previous residence information with
Family member information.
3. Housing Society Employee Information with complete detail like Employee personnel details,
early leave application, Wages Information with daily attendance, so that every month
salary can be easily calculated.
4. Maid/Servant Information with there Photo and address detail.
5. Vendors Information With there contact details including Taxation details.
6. Multiple HR Reports which can be easily exported and printed with enhanced search options.
 Security Management:
1. Security Guards Company Information with contact personnel details.
2. Security Guards Information including Daily Attendance with allocation of site with there
supervisor name.
3. Visitor Entry for Residents / Service Provider / Visitor with Vehicle Information Gate No.,
Date and Time of entry, Purpose, Vesting flats.
4. Multiple Security Reports which can be easily exported and printed with enhanced search
options.
 Complaint Management:
1. Booking of Complaints with each possible information which can help the solution provider.
(This Module is internally linked with Subscription Paid by the society owner and if not if not
paid then inform user about that.)
2. Department wise Pending Complaints Report with complaint detail.
3. Resolve complaint status on a single click with remarks, if any.
4. Multiple Complaints Reports which can be easily exported and printed with enhanced search
options.
 Stock Management:
1. Item Master with Item Name, Unit of Measurement with Opening Balance.
2. Issue Items to Society Staff with Staff details.
3. Multiple Stock Reports which can be easily exported and printed with enhanced search
options.
 Account Management
 Receipt (Incomes)
1. Monthly Subscription Receipt for every flat (With Last payment detail so that late fee can
be easily calculated.)
2. Shift In / Shift out Charges for Tenants with Flat information.
3. Community Center Booking Receipt with all the possible additional charges like
electricity charges, Cleaning charges and etc.
4. Security Deposit Receipt for Society shops or a Vendor who is willing to serve housing
society.
5. Vehicle Sticker Charges Receipt against issuing a new Vehicle sticker.
6. I.D. Issue Charges for Maid/ Servant/ Others.
7. Receipt for Rent against Shop with different charges.
8. For Every Receipt Type payment can be made in multiple options like Cash, Cheque or
Demand Draft.
9. After Saving the Receipt a Print of receipt is generated for the payee.
10. Update the Cheque status after getting response from bank.
 Voucher (Expenditures)
1. Generate Vouchers for Multiple Heads like Electricity, Water, Office Expenditure and etc.
2. Every voucher head have 5 different types of minor head like AMC Expense, Wages
Expense, Emergency Expense, or other expense.
3. Freedom to pay by any Mode e.g. Cash/ Cheque / Demand Draft.
4. After saving the Voucher a Print of voucher generated for internal office.
 Admin Module:
1. Create User (System User or System Administrator)
2. Assign Module wise User Permissions with Read Write and Update or full permission
3. Search User Activity like a Particular Receipt generated by which user.
4. Elected Committee Information with there name and address.
5. Set the default value of charges like subscription charges charged to a flat owner for a
month, late fee amount which charged after non payment after an administrator defined
days for every month.

 Development Technologies:
 Programming Language (Server Side Script): ASP.NET in Visual Studio
2005 environment is used for development of SM, which is highly secure and reliable server
script. This provides freedom to user to login from any computer which is connected to the Web
Server by using LAN/WAN and login to there respective account by using there User name and
Password. To use this software, there is no need to use any special client software to install,
simply use the internet browser to use this software.

 Database Server: MySQL is used as database server. MySQL is a multi-threaded,


multi-user, database management system (DBMS). MySQL is cost-effective, easy to install and
use, and does not compromise on speed or reliability. Also MySQL has enough support around
the world, it is easy to find people that can support and maintain the database. Although, we
have design the database is maintenance-free as much as possible. The MySQL database is
usually installed on the same system as the Web Server; however, it may also be installed on a
different server.

 Web Security: This software is developed as a secured web application, which


manages sessions for each user login and destroy that session when user logout or after a
given duration of time (when no activity is done timeout is fired). The entire system user’s
password is kept encrypted in the database; by using one way encryption that means only user
can know there password and even administrator cannot view the user password. In case
forgot password, system administrator can reset the user password, and the new password is
forwarded to the User.
