PROCEDURE IN THE PREPARATION OF COST INDEX

1. Check all CSI Codes and corresponding Item Descriptions, with regard to CSI Masterformat:
Division, Subdivision, Major Classification, and Individual Line Number.

2. Example: Division 03

Line No. 0450
It will be written as: 031 011-0450

3. Check the spelling of Item Description and provide a brief specification of material for the supplier to
verify the description against the Manufacturers Product Line.

4. Combine material items that are relevant to each and every supplier: e.g. 031 111-0800: Anchor
bolt with hex nut & washer,zinc plated,M8, 8mm Diameter x 100mm Long, together with 031
111-0050 Bolt accessories for Concrete Formworks.

5. Send by fax, letter, phone, or hand carry the request for Quotations to the suppliers and/or
manufacturers. Some manufacturer are asking extra information e.g. 051 238-0010: Space Frame:
Steel 1.2m modular, 12m spans, supported on boundary frames, total imposed load 100
kg/m2, please provide relevant architectural design drawings (plans, sections, details, wall section,
etc.). In this case, even though the description is already enough to get quotations, we have to
provide more information to the manufacturers.

6. Make at least three (3) suppliers and/or manufacturers for every material, and make follow-up for the
Request of Quotations and update the Unit Cost by using the Average Cost provided by at least (3)
suppliers and/or manufacturers.

7. All documents (Request for Quotation, Suppliers data; names, address, tel., fax, and contact person)
shall be recorded and put in the proper files.

8. Consolidate all information for submittal to the Chamber.

1. Daily output is based on the time and motion performed by Contractors, as will as the data gathered by
interviewing the construction personnel from at least 3 reputable contractors.
