Strategies For Successful Group Meetings


INTRODUCTION:

AFSHAN:

Group Meeting:

Purposive discourse between two or more people is called a group


meeting.

• Informal Group:
Casual or informal group meetings are very common, like
we casually chat over coffee, meet after work. These
meeting are mostly without direction and plan.
• Formal Group:
Often called the task oriented groups. They are to find
answers for problems, look for a course of action, make
recommendations and important decisions. These
meetings are with directions.

FAIZAN:

Formation of Groups:

Most of groups go through four formative stages in becoming a group;

1. Forming (here the group tries to get started. It is the


orientation phase)
2. Storming (members begin to stake out their positions. Conflicts
and arguments)
3. Norming (progress begins here. Members work to solve
conflicts)
4. Performing(here the group begins to achieve the goals)

Solving A Problem:

Whenever a group figure out a problem, they solve it in the following


steps;

1. Orientation ( Discussion, asking questions, information,


ambiguity )
2. Conflict (opinions, evidences, conflicts occur)
3. Emergences (exchanges, search for the ways of solution,
compromise, decrease in conflicts)
4. Solutions (positive attitude, completion and agreement on a
solution)

ZARAK:

Planning Steps Before The Meeting:

The following steps are taken before the meeting by the chairman;

1. Review the problem and determine the precise purpose


2. Decide who should participate
3. Arrange the meeting date, time and place
4. Creating agenda
5. Distribute the announcement for the meeting
6. Check on physical arrangements

FARAZ:

Procedures During The Meeting:

After the meeting starts, the following steps are taken;

1. Beginning with an opening statement


2. Stimulate the discussion (the leader encourages all the
participants)
3. Understand the roles of the participants(classify the role of each
person in the meeting)
4. Interpret data for solution evaluation
5. State the major conclusions and plan of action

AHMED:

Effective Participant Roles In Meetings:

Commonly the following roles are present in a group meeting;


1. Organizer
2. Clarifier
3. Questioner
4. Factual Contributor
5. Energizer
6. Idea Creator
7. Helper
