Programme Planning & Institutional Funding Coordinator

JOB DETAILS

Designation Programme Planning & Institutional Funding Coordinator (PPIF)
Job Status 01 year extendable
Reporting To Head of Programme Planning, Learning & Quality Assurance (PLQ)
Salary PKR 70,000 to 85,000 Gross Per Month
Duty Station Islamabad

REQUIREMENTS

Qualification & Experience Master Degree in Social Sciences or equivalent with minimum
03 years of relevant Experience on same nature of role/job in
Development Sector, donor funding management.

PURPOSE OF THE POSITION

The main purpose of the position is to have a highly skilled professional to support programme teams
for planning and development of quality proposals and improve institutional fund raising and donor
liaisoning. The job encumbant will report to the Head PLQ for his/her role and responsibilities.

SCOPE

Represent organization in different forums including meeting with donors, cluster meetings,
meetings with other relevant stakeholders particulalrly as and when assigned by the Line Manager
and in general for the relevant on going tasks and programs.

RESPONSIBILITIES

To continuously think for betterment of MAP, its progress and its ability to fulfill its mission.
To maintain highest standards of honesty and integrity in all disciplines.

Major Responsibilities
Supports MAP teams based in Islamabad and in field and coordinate the submission of
quality proposals, reports and proposal/contracts/ amendments.

Liaise with Field Office Program Team, all functional departments and capitalizing on the
outcomes of MEAL function to design and develop timely quality proposals and compile
accurate narrative and financial reporting for submission to donors and respective
stakeholders.
Disseminates information and research on donors and funding opportunities internally to
respective MAP team.
Acts as a focal person of Field Office Pakistan for coordination and communication with the
donors for sending reports, responding to queries and other requests as and when assigned
by the Head PLQ.
Ensure quality by maintaining consistency in relationships with institutional donors directly
and via Headquarters in the guidance of line manager.
Supports country programme with information to enhance knowledge base and build
capacity for in-country funding opportunities.
Responsible for efficient and effective management of new and existing donor contracts.
Provides support and coordinate with the programme, MEAL and other relevant functional
departmenmts to ensure the regular monitoring of all donors obligations in accordance with
the signed contracts.
Ensures quality contract management (risk-monitoring, management and use of mandatory
procedures / adherence of audit action plans, quality proposals and reports, etc.)
Ensures that Contract Information Summary Sheets/Funding Grid is updated and shared with
management and relevant teams in the Country Office regularly.
Provides training and orientation to staff on donor requirements, expected outcomes and
MAPs internal procedures regarding external funding as per the proposal plans.
Provides field trainings for preparation of donor proposals and reports, budgets, recording
and charging of expenditures, management of budgets.
Supports the enhancement of capacity of partner organizations on resource mobilization and
develops their linkages with donors/potential funding opportunities. This may also including
holding project mobilisation workshops at the beginning of funding contracts and so on.

Required skills and experience

Muslim Aid is looking for a dynamic, creative and result-oriented person with
Ability to work with rights based approach in entire funding cycle
Ability to grow and expand business in line with strategic priorities of Muslim Aid
Communication and presentation skills, for example; ability to represent Muslim Aid in
meetings with donors effectively and ability to engage with private businesses and corporate
sector in coordination with PRC.
Have knowledge and experience of working with institutional donors such as ECHO, EU, UN,
CIDA and DFID etc
Experience/understanding of humanitarian, development and campaigning work
Ability to produce clear and timely written communications in the form of proposals and
reports.
Research and analytical skills, numeracy, budgetary and financial reporting skills.
Ability to take initiative and effectively manage own time.
Ability to manage a multi task work load and be flexible to altering priorities in order to
respond to changing demands.
Experience in training and building the capacity of others.
Ability to live and work well with others in a team situation.
Strong administrative skills and ability to effectively use technology and follow departmental
procedures.

IT skills: knowledge and experience of MS Office packages (Word, Excel and PowerPoint)
essential.
Demonstrate a commitment to gender and diversity issues.
