PROCED URE:

Staff members bring agenda items with them to the staff meeting.
The agenda sheet is passed
around to the staff members at the beginning of the
rneeting.
Each member puts
down the agenda item, his/her name, and a check in the
appropriate column. These columns may differ according to the parish, but in
general, the columns are as follows:
A. lnformational items
(announcements, people who are sick, inforrnation on
meetings, dates, etc.). These items can be handled easily and quickly.
B. Decision items
(these
are items that have been talked about before and
people have been thinking about, but sorne decision must be reachedl.
These items take more time but can be handled relatively quickly if people
have been thinking about them before the meeting.
Feedback items
(these
items have to do with existing programs
or projects
or the way someone is coming across, etc.). These items presurne a high
level of trust in the group but are put here so that everyone knows that
there will be room to air gripes, feelings, positive strokes, etc..
Planning items
(these
items require some thinking by the staff both during
the meeting and after,;varCs. They might be imrnediate planning for an
upcoming event, or more long range issues). lf the planning item needs a
great deal of time, then time is set aside at a future meeting, or a special
meeting called to deal with the issue. But at least the issue is raised at this
meeting.
E. New business items
(these
are whole new items that
peopl.e want to bring
up, usually to be dealt with later, but to get people
thinking). These items
come at the end of the meeting as time
permits.
Atter every staff member has a chance to put down his/her agenda items at the
beginning of the meeting, then the person chairing the meeting
(usually
ti- is rotates
each meeting) takes the agenda sheet and takes all the itenrs checked in the first
column in order as they were written down. Once all the iterns are dealt with, and
so forth, until the agenda sheet is covered or time is expired. Those items not
covered in the staff meeting are put at the top of the column forthe next meeting,
