PREFACE

The objective of Industrial Training is to get sound understanding of the theoretical principle.
The main purpose of practical training is to get us acquainted with the industrial environment, industrial
scale work and about its overall working.

Undergoing a 4-week training at GACL (Gujarat Alkalies & Chemicals Limited), Vadodara Complex, has
given a broader view about the working of an Industry in a very conductive environment.

During the training, we learned in general about various departments. Learning about even the tiniest detail
available and its crucial role in the process has given a more clear view of the industrial working and the
environment prevailing there.

To be able to have a fruitful insight in a large-scale industry such as GACL has boosted up our confidence to
channel it in a very effective manner. In a nutshell, it has been a thorough productive period for us, and we
believe that this training would play a major role in our future.

INTRODUCTION

Gujarat Alkalies and Chemicals Limited, popularly known as GACL located 15km North of
Banyan city of Vadodara was promoted by Govt. of Gujarat in 1973 through Gujarat Industrial Investment
Corporation Ltd.
The Company commenced commercial production of only 3 basic chemicals production. GACL
commenced its operations in 1976. GACL is the single largest producer of Caustic Soda in India with
installed production capacity of 412550 MT on 31
st
march, 2008 and enjoys the economies of scale. The
company has about 18% market-share in the domestic chlor-alkali industry.
The company is accredited with IS/ISO 9001:2000, ISO 14001:2004 and IS 18001:2000
certifications. From an initial capacity of 37,425 TPA Caustic Soda, it has grown to be the largest producer
in India, with a capacity of 270,000 TPA spread over two complexes at Vadodara and Dahej. Gujarat has the
longest coastal area and the company has proximity to the salt pans leading to uninterrupted supply of the
major raw material i.e. Salt.
After 1976, when the company commenced its operations, through diversification, forward and
backward integration has emerged as a multi-product company manufacturing twenty six products.
Power being the costly and basic raw material, the company has achieved self- reliance to meet
its power requirements to maintain its sustained cost effective performance in the long run.

Power and salt are major raw materials for the manufacture of caustic soda using electrolyte process.
A major reason for location is: GACL has ensured self-located to west coast& therefore has advantage of
being close to source of major raw material i.e. salt.
GACL has also an advantage in terms of quality & price for selling its products. The raw materials
used for production is also manufactured by GACL itself. GACL sells its products to companies producing
chemicals, fertilizers, pharmacy co. etc. GACL also export its products to countries like Tanzania, Nepal, Sri
Lanka, Turkeys, Mauritius, etc.

History

GACL is a forward-looking company, was listed on 29
th
march, 1973 with initial investment of
425 crores in the state of Gujarat by Gujarat Industrial Investment Corporation limited (GIIC), a wholly
owned company of government of Gujarat, as a Core Promoter, company is listed in Mumbai, Delhi, &
National Stoke Exchange.

Exporting its products to USA, Europe, Australia and Middle East and SAARC; GACL has two
units located at Vadodara and Dahej, both in the State of Gujarat. It has integrated manufacturing facilities
for Caustic Soda, Chlorine, Hydrogen Gas, Hydrochloric Acid, Chloromethane, Hydrogen Peroxide,
Phosphoric Acid, Potassium Hydroxide, Potassium Carbonate, Sodium Cyanide, and Sodium Ferro cyanide.
The Dahej unit also has 90 MW Captive Power Plant (CPP) for regular and economic power supply.


The Company commenced its operations in 1976 with 37,425 MTPA Caustic Soda Plant based
on the then, state-of-the-art Mercury Cell process at its Plant which is situated 16 km North of Vadodara
near Village Ranoli on the main Railway track route between Ahmedabad and Mumbai.
Right from the inception, GACL has been following the strategy of continuous capacity
expansion in core areas. The first stage expansion of the Caustic Soda Plant raising the capacity to 70,425
MTPA was undertaken in October, 1981 followed by a diversification programmed to produce 2000 MTPA
of Sodium Cyanide in December, 1982.



In 1984, the second stage expansion to increase the capacity of Caustic Soda Plant to 103,425
MTPA was undertaken. Simultaneously, the Company undertook the diversification project for manufacture

of 10,560 MTPA of Chloromethane using Chlorine, a co-product of the Company and in 1991, the capacity
of Chloromethane production was doubled.
As power is the major input for production of Caustic Soda and constitutes about 65% - 70% of
the cost of production, the Company along with other Corporations likes M/s. GSFC, Petrifies Co-operative
Ltd. and Gujarat Electricity Board promoted a gas based power unit in Vadodara under the name of Gujarat
Industrial Power Company Ltd. (GIPCL) during the year 1985. As a promoter of GIPCL, the Company gets
low cost power, as the plant is gas based and is depreciated.


Since production of Caustic Soda is highly power intensive, in order to reduce power cost and to
eliminate mercury pollution, the Company during the year 1989 converted one of its Cell Houses producing
Caustic Soda from Mercury Cell Technology to environment friendly Membrane Cell Technology, thereby
eliminating the use of mercury. The Capacity of Caustic Soda was also increased to 132000 MTA.
The conversion of second Mercury Cell to Membrane Cell was carried out during March, 1994,
thereby eliminating the total use of mercury from the Complex for production of Caustic Soda and
increasing the capacity of plant along with this conversion to 170000 MTA including Potassium Hydroxide
facility.


As part of this Membrane Cell Conversion Project, a new facility for manufacture of 16500 MTA of
Potassium Hydroxide Lye based on Membrane Cell was also set up. The Company has further set up facility
for converting part of this Caustic Potash Lye into Potassium Carbonate with a capacity of 13200 MTA.
In order to add further value to its products, the company had set up manufacturing facility for
production of 11000 MTA Hydrogen Peroxide (100%) at Vadodara Complex during the year 1996 to utilize
Hydrogen gas, which is a co-product from Caustic Soda Process.

In 1995, as a part of diversification programmed and to meet the growing demand of its products in the
State of Gujarat and nearby areas, the Company had set up a plant for manufacture of Technical Grade
Phosphoric Acid with capacity of 26400 MTA (85% Phosphoric Acid) at a new location at Dahej, District
Bharuch. The Company also set up Membrane Cell based grass root Caustic-Chlorine Unit with a capacity
of 100000 MTA at Dahej. Along with this, a captive 90 MW co-generation Power Plant was set up so as to
ensure uninterrupted and low cost power for its captive operations.

CONCEPT OF HR

Human resource development is the wave of future but in each country HRD is the history of its own and of
the potential divergent futures direction must be recognized.
Every human being has a potential to do remarkable thing to enable every person to understand develop and
utilize his or her potential, organization should provide a development climate as well as opportunities for
such a development. Due to our fighting operation, profit etc. The Human resources are being neglected
done the work live of most organization and development agents on this neglected aspects of a potential
resources the HRD movement has taken safe. The above description of HRD was treated as a definition of
HRD however recently HRD as a continuous process of process to ensure the development of an employees
competencies, dynamism, motivation and effectiveness in a systematic and planned way.
HRD may be defined as a system and a process involving serious of activities designed to product
behavioural change in the available human resources for a maximization and proper utilization of their
competence level as well as their potential abilities for their present or future role to optimize the

1) JOB ANALYSIS
Job analysis is the process of collecting job related information. Such information held in the preparation of
the job description and in the job specification.
Jon description is an important document, which is basically in descriptive in nature and contents a
statement of a job analysis which provides both organisational and functional information.
GACL does not have any specific job description at a managerial level. They allot a job according to the
recruitment and believe that of a specific job is assign practically no one will be ready to accept the job or
activity to be performed.

2) RECRUITMENT
The process of recruitment begins after man power recruitment is determined in terms of quality through
forecasting and planning. It is the process of identifying the source of prospective candidates and stimulates
them to apply for the job in the organisation.
GACL adores basically two sources of man power:
INTERNAL SOURCE
EXTERNAL SOURCE

In internal source, transfer and promotion of other section of the organisation and fill the vacancies. The
transfer may be helpful in avoiding the replacement, job enrichment, shift changes and removing
individuals grievance.
As far the external sources are concerned vacancies are filled through:
Advertisements
Employee recommendation
Recommendation of the trade union
Government employment agencies

RECRUITMENT PROCEDURE AT GACL:
1) Identify the recruitment, scrutinize it and obtain MDs approval
2) Issue office order regarding creation of post
3) Prepare the advertisement draft
4) Receive application and classify them
5) Verify the rejected application against its norms.

3) SELECTION:
Selection is the process of individual (out of a pool of job applicants) with requisite qualifications and
competence to fill the job in the organization the selection is the process of ascertain in whether or not the
selected candidates possess the requisite qualifications, training and experience require.
Process of Selection in GACL:
1) Obtain a Managers approval for the nomination committee for a different grade.
2) Decide data and time of interview, issue call letter in a prescribed form of candidate.
3) Prepare a candidates bio-data for the time of interview.
4) Verify certificate and testimonial at the time of interview and conduct a test interview.
5) Obtain a list of selected candidates verify antecedent from by sending them to public and previous
employer prepare a prescribed appointment and dispatch.
6) Issue copies of appointment letter and joining letter to the concern.

4) ORIENTATION:
Orientation, also called induction is designed to provide a new employee with the information he/she needs
to functions comfortably and effectively in the organization. Orientation is the technique by which a new
employee is re-habilitated in to the changed surrounding and introduction to the practices, policies and
purpose of the organization.
The process in GACL is carried out by the way that the new employee is shown time of arrival, place of
reporting work, he meet boss and boss welcomes him and he should complete administrative work and then
is introduced to the department. GACL completely believe in a socialization of employee with the friendly
culture of the organization at the time of orientation.

5) TRAINING AND DEVELOPMENT;
Training is function, providing management with professional support in meeting the organizational
objectives. It is concerned with people relationship and organizational success.
Training is defined as a process by which specific skill of an employee is enhanced. This usually means
changes in specific knowledge, skill, attitudes or behaviour. Training is the function providing management
with professional support in meeting the organizational success.
GACL arranges training for entrants as well as existing employees aim at the holistic growth of employees
by providing them guidance in the mode of need base training. The company is committed to provide
adequate opportunity to enrich their knowledge, skills and attitudes, contributing to growth to the company.
GACL arranges for training of employees after assessing their capability and potential. It provides training
to the top executives as well as to the employees. Professional experts from outside are called for imparting
training. Depending on the need basis the training topic and venue are selected.

An annual training chart is prepared at the beginning of the year. A monthly schedule is prepared wherein
details are mentioned about the various topics of training, the persons required for training, date, time and
faculty of the training program. This schedule is signed by the section I/C (HRD) DEPARTMENT.
The company conducts three types of training for its valuable human resource which is mentioned in the
Need identification by self & HOD.
1) ISO 9000 related training:-
Since 1995 GACL is an ISO 9001-2000 certified company and so it has to maintain the
standards. Therefore training is conducted under the supervision of HRD department.

2) Behavioural training:-
Discipline is very important aspect, which reduces the rate of absenteeism, work stoppage of
plant, which one of the goals of GACL. So training is carried out regularly.

3) Technical or functional training:-
Technical training converts an unskilled worker to a skilled worker, which strengthens the
competencies of the worker, which is beneficial to the company hence; such training is
conducted in GACL.

For an effective training
Determine the training needs objectives.
Translate them into a program that meets to needs of the selected trainee.
Evaluate the results.

6) PERFORMANCE APPRAISAL:
Performance appraisal done every year in the month of January and for this, forms are sent to various
departmental heads in the month of December. It is compulsory for all the employees irrespective of their
categories i.e. whether they are in management category or non-management category based on such
system.
Department head takes the appraisal meeting annually together with the employee and after discussion they
fill the forms. Performance appraisal is an essential management activity. It is necessary for all important
decision making relating to people such as placement and promotion rewards or punishment, training as well
as long term planning of the organizational development. Performance appraisal however employees are
performing their duties and meeting their job responsibility.
In GACL performance appraisal is implemented for the following objectives:
1) For providing a feed back to the employee about their performance levels, this serves them for
improving and changing their behaviour toward effective working habit.
2) For analysing the strength and weakness of current employees and identify employee who have the
potential of growth and advancement.

In GACL, performance appraisal certificate is provided to the new employee joining the organization
after completing their training period. Performance appraisal is basically for promotion or up
gradation. Performance appraisal from after duty filled up by immediate boss and employee in the
meeting and it forwarded to top person and it is with a recommendation of immediate boss and give a
positive remarks then after it is sent to the HR department read each and every performance appraisal
and made a positive and negative remarks. Through performance appraisal form they decide
promotion for an employee.

At GACL there are various appraisal forms like:
1) Management category
2) Non-management category and
3) Security category


7) PROMOTION
Promotion is the upward advancement of an employee in particular job which commands better status and
higher challenges, responsibility and authority, better working environment for higher risk.

GACL considers employees:
Attendance seniority, past performance, merit for deciding promotion or up gradation of certain post.
GACL gives promotion:
To put the worker in a position were hi personal satisfaction and income increases
Increase organisational effectiveness and attract him for competent work for the organization.
Promotions are made for the basis of ability, hard work, co-operations, and honesty. GACL provides
education, training, etc.
The managerial level employees are to be given promotion after six to eight years as per their
qualification.

8) TRANSFER
A transfer is a horizontal or a lateral movement of an employee from one job, section, department,
shift, plant or a position to another place where his salary status and responsibility is the same. It
does not involve the promotion other than the movement from one job or place to another.

In GACL, the following are the reasons/causes of transfer:

WAGE AND SALARY ADMINISTRATION

Wage and salary are payments made to employees are compensation for a service rendered by them
to the organization. Wage and salary represents a substantial part of total companies from wage and
salary policy in such away, the maximum satisfaction of an employee decided keeping in a view
having a standard and need of employee. The wages are paid to the employee who directly engages
in the production. The term salary refer to record to be paid to employee make who are engage in
clerical and official work which are not direct activities to the production.

Determinants of wage and salary:
a) Demand and supply of money
b) Governments rule
c) Basic qualification and merit
d) Urgency of a requirement
e) Surrounding industry



Pay Practices

GACL has devises a fix practice depending on the various categories. The main pay structure is
basic pay, dearness allowance, house rent allowance and city compensatory allowance. GACL
gives statutory benefits like PF, Gratuity, bonus etc. In addition to this GACL provides various
liberal fringe benefits like canteen subsidy, education expenses, professional skill development
allowance, medical reimbursement, gardening allowance, shift allowance, conveyance
allowance, birthday gift, leave travel assistance etc.

It has annual performance based increment system divided in various quarters on the basis on
date of Joining of employees.

Time keeping office s keeping attendance, level record of all employee or trainee or apprentice and also
looking after the welfare item to be provided to all the employee or trainee or apprentice. The function of
TKO at CS plant, NSCN plant (Baroda) and PAP complex (Dahej) are on same line.

1) Canteen facilities:

The company provides canteen facility to all its employees. All employees get coupon of Rs.46/- pm
the person who does not avail the canteen facility where the allowance of Rs.630/- p.m.

2) Bus facilities:

Company provides bus service to their employees. They can pick the bus at a certain selected points.

WELFARE SCHEMES


If you employ people and they are under your control, you must provide adequate and appropriate
welfare facilities or arrangements for them while they are at work. If you control a worksite where
other employers or self employed people work, you must ensure, so far as is reasonably practicable
that these requirements are met.

Welfare means the provision or making available of facilities that are necessary for the well-being
of people at work, such as adequate washing, toilet, rest and changing facilities and somewhere clean
to eat and drink during breaks.

Welfare facilities should be planned for all work except regular short-duration maintenance or short-
duration emergency activities. Access to the facilities must be via a safe route.

Welfare may refer to: Well being, quality of life style

Organizations provide welfare facilities to their employees to keep their motivation levels high. The
employee welfare schemes can be classified into two categories viz. statutory and non- statutory
welfare schemes. The statutory schemes are those schemes that are compulsory to provide by an
organization as compliance to the laws governing employee health and safety. These include
provisions provided in industrial acts like Factories Act 1948, Dock workers Act (safety, health and
welfare) 1986, Mines Act1962. The non- statutory schemes differ from organization to organization
and from industry to industry.

STATUTORY WELFARE SCHEMES

The statutory welfare schemes include the following provisions:
1. Drinking water: At all the working places safe hygienic drinking water should be provided.

2. Facilities for sitting: In every organization especially factories, suitable arrangements are to be
provided.

3. First aid appliances: First aid appliances are to be provided and should be readily assessable so that in
case of any minor accident initial medication can be provided to the needed employee.

4. Latrines and Urinals: A sufficient number of latrines and urinals are to be provided in the office and
factory premises and are also to be maintained in a neat and clean condition.

5. Canteen facilities: Cafeteria or canteens are to be provided by the employer so as to provided hygienic
and nutritious food to the employees.

6. Spittoons: In every work place, such as ware houses, store places, in the dock area and office premises
spittoons are to be provided inconvenient places and are to be maintained in a hygienic condition.

7. Lighting: Proper and sufficient lights are to be provided for employees so that they can work safely
during the night shifts.

8. Washing places: Adequate washing places such as bathrooms, wash basins with tap and tap on the
stand pipe are provided in the port area in the vicinity of the work places.

9. Changing rooms: Adequate changing rooms are to be provided for workers to change their cloth in the
factory area and office premises. Adequate lockers are also provided to the workers to keep their
clothes and belongings.

10. Rest rooms: Adequate numbers of restrooms are provided to the workers with provisions of water
supply, wash basins, toilets, bathrooms etc.

NON-STATUTORY WELFARE SCHEMES

Many non- statutory welfare schemes may include the following schemes.

1. Personal Health care (Regular medical check ups): Some of the companies provide the facility for
extensive health check-up.

2. Flexi- time: The main objective of the flexi- time policy is to provide opportunity to employees to work
with flexible working schedules. Flexible work schedules are initiated by employees and approved by
management to meet business commitments while supporting employee personal life needs.

3. Employee assistance programs: Various assistant programs are arranged like external counselling
service so that employees or members of their immediate family can get counselling on various matters.

4. Harassment Policy: To protect an employee from harassments of any kind, guidelines are provided for
proper action and also for protecting the aggrieved employee.

5. Maternity & Adoption leave: Employees: Employees can avail maternity or adoption leaves. Paternity
leave policies have also been introduced by various companies.

6. Medi-claim Insurance scheme: This insurance scheme provides adequate insurance coverage of
employees for expenses related to hospitalization due to illness, disease or injury or pregnancy.

7. Employee referral scheme: In several companies employee referral scheme is implemented to
encourage employees to refer friends and relatives for employment in the organization.

PROVIDENT FUND:
As per Provident fund Act, 12% of Basic pay plus dearness allowance is deducted from employees salary
and company is equally depositing in Provident Fund Account.

LONG SERVICE AWARD:
All the staff employees who are continuously serving for the company and after the completion of 20 years
will be reimbursed the service award 500 grams and after completion of 25 years will be reimbursed the
long service award of 750 Grams of silver medal.

Different kinds of leaves available to employees:

SICK LEAVE:
Sick leave is admissible for 12 days in a calendar year. Medical as well as fitness certificates are required to
be submitted if the leave applied for is more than 3 days. Sick leave can be encashed at the time of
retirement and in case of registration provided that 10 years of service in the company is completed at the
time of leaving on resignation. In case of death, balance Sick Leave shall be encashed and paid to his/his
legal heir.

CASUAL LEAVE:
Casual leave is admissible for 12 days in a calendar year. If not availed, are merged with the Privilege leave
at the end of the calendar year. Sundays, holidays and Weekly off days falling before, after or within the

Period of casual leave are not counted as part of casual leave. It can be availed to a maximum of six days at
a stretch.

MATERNITY LEAVE:
Female employees are allowed maternity leave for a period of 90 days from the date the employees desires
to proceed or from the date of actual confinement and for 6 weeks in case of miscarriage or abortion on the
basis of medical certificate. It shall not be granted for more than 2 confinements during entire service period.

PRIVILGE LEAVE:
The company provides 33 leaves as PL per year.

ACCIDENT LEAVE:
In case of accident while on duty, special leave will be granted from date of accident it will be with full pay
and allowances and will not be deducted from employees leave account.


SHORT LEAVE:
It shall be for total of 3 hours in a month and can be availed in only one instalment only. It cannot be availed
during the beginning of any shift. So it cannot be carried forward.

SPECIAL LEAVE FOR OTHER PURPOSES:

FAMILY PLANNING OPERATIONS: In case of family planning operation for female employees then
15 days special leave will be granted.

FOR BLOOD DONATION:
An employee who is donating blood for any employee or his/her dependent will be entitled to special leave
for one day.

FUNERAL EXPENSES:
The amount of Rs 5000/- is paid to the heirs of the deceased employee to meet with the funeral expenses.

CANTEEN FACILITY:
As a part of welfare, the company is extending canteen facility at both the complex at Baroda and
Dahej. The food items are served against coupons at subsidized rates. The canteen facility is
available on all working days for 24 hours. The snacks and Tea are served at the working place and
lunch dinner is served at canteen of the factory premises. The rates of the various items are served
at the canteen are as follows:





The details of other items served and coupon rates are displayed in the canteen. Each staff employee
is issued coupons of Rs 46/- worth per month. In case the employee does not wish to avail canteen
coupons in a calendar monthly, he shall be eligible for reimbursement of Rs 700/- provided he/she
has attended his duties for minimum 13 days in that calendar month.

LIBRARY FACILITY:

The company has provided a rich library facility for all the employees with a wide range of various
subject books, news papers and magazines and cassettes, compact disks on thesis for reading and
references. The company has also provided Internet facility for all the employees in the library. The
library has 1 lac different books on different subjects.


PERSONAL INFORMATION FACILITY AT MIS:

The company has also provided a very good facility of all employees on local network about all
personal details about PF, Medical Salary, Leave status, Credit society data, etc online by companys
management information system department without requesting anybody, but on his network

The company authorities run a very rich credit society by an elected body from employees with a
president and a General Secretary from management directly. The employee contribution of Rs 100/-
per month is collected through salary. After 3 years of membership an employee is eligible to get all
the facilities provided by the society like personal loans up to Rs 50000/- as per the period of
membership. Also this society arranges Group Benefit purchase of essential items like notebooks,

HEALTH CLUB FACILITY:

The company has provided a very good facility of very rich Health club with various types of
physical exercise instruments with a trainer and guide. The company has spent a huge amount of

personal health in the company premises on duty with permission from department as per schedule.

GROUP INSURANCE POLICY:

The company has provided a group insurance policy for the benefit of the dependent members of the
employee as it is under Provident Fund Act of insurance coverage for Rs 100,000/- This is in case of

WORKING OF E.S.I SCHEME:

The employee state insurance scheme is nothing but the scheme which regulate under the government
act 1948, this act is to introduce certain facilities to the employees to cause of sickness industry and may
other relation compensation this scheme has not adopted by GACL because the company pay medical
allowance to its employee and company also cover the insurance contract with LIC which is applicable
to them. According to the employee state insurance act 1948, employee is extent to the whole India
including the state of Jammu and Kashmir the insurance scheme contend in the act has up till death been
applied to a selected industries in a certain selected by amendment of 1960 to 1991. All contribution paid
and money received by the employees state insurance corporation are to be paid on to hand called
employee state insurance scheme and contribution are to be paid on to hand called employee state
insurance fund.




PROVIDENT FUND SCHEME:

The provident fund scheme is a king of financial security of employee. After recruitment of employee,
they have to contribute certain amount money from their wages and salaries. The company also
contribute equal amount in respect of each employee toward provident fund scheme in every month.

The present prevailing provident fund contribution is 10% of the basic pay plus D.A. maintain equal
contribution is being made by the company as share of each employee which includes contribution
toward fund for family person. After deducting this fang company shall credit at to the employees

Supervising RM Quality at process centres& finished goods whether they are as per specification or not and
then only samples are analyzed to check the quality.

Once finished goods are approved by the concerned officer then they are ready for dispatch.
Department head will convey the interpretation of prior analysis to the respective process
department. Laboratory technician collects the samples from respective stores then studies and tests
the sample according to the specifications given by the purchase & inventor.

Section in-charge instruments calibration i.e. solution preparation & sees whether the same results are
obtained using standard material. Then department head approves it that everything is as per order.

Shift head looks after all general activities .i.e. practical work which includes undertaking of specified tests
and administrative work.

Function of the Quality control department is to give remarks but not to take actions. It is done by the
inventor and if in the process anything happens then control room takes in-charge of the remaining process.

Because of the large demand of caustic soda and low level of supply the government decides the
government decide to produce caustic soda per annum. The location of the plant decided at Baroda keeping
in a view, the availability of infrastructure and also convenience transport facility.
At this time the procedure of chlorine and hydrochloric acid also increase. Initially the old technology of
mercury is adopted by GACL. GACLS latest technology helps company to manufacture mercury free
product in India.

STORES INVENTORY MANAGEMENT

The raw material are stored in the stores section, GACL is manufacturing 26 products. Raw materials of all
the products are stored in the stores section, there is no specific storage facility required for the materials.
General spares and include all the mechanical electrical process instruments.
While the trucks full of goods enter the gate following documents are enclosed;
1. Challan
2. Lorry/railway receipt
3. Excise, moderate gate pass (I G P)
These documents are issued against purchase order to the supplier.
After goods inward receipt voucher inspection is done, RM is checked by the engineers. They are verified
according to the Challan given by the supplier, quantity is checked and measured.
Then comes GRV approve, i.e. if RM are as per specification then are stored in the stores section.
If any RM is rejected the reject voucher is prepared, in case of materials being not as per specification, then
they are returned and material return voucher is prepared .Similarly materials are issued to the respective
plants and the details are noted and CGIN is prepared.
Selling of scrap materials is also done; they are disposed from the plant after shut down and are sold by the
stores section. Mineral state transport corporation (MSTC) is dealing with purchase and sale of scrap of
scrap of goods to which it is charging 3.306% commission from GACL on scrap realization.

E-TENDERING:
The annual rate contracts are finalized electronically so as to cut the cost and save the time.GNFC is the
service provider for E-TENDERING and is done through a GNFCs (n) code solution. The suppliers who
bid for the tenders can directly send their quotations through internet and after receiving quotations from the
suppliers, the lowest bidder is issued the contract.But since the quantity required by GACL is large, so the
other bidders are also asked to match their prices with the lowest bidder and then the quantity is distributed
amongst different suppliers. The contract is finalized by a committee in which chief general manager
(purchase), chief financial officer and the executive director (electrical) is member.


SETTING OF INVENTORY LEVEL:
The various inventory levels like minimum stock level, maximum stock level, and recorder level are set
through the annual budget prepared by the top level management.

Major raw material inventory levels at GACL are:
1) SALT: Minimum 300MT
Maximum 2200MT

2) POTASSIUM CHLORIDE: Minimum 500MT
Maximum 5000M

3) ROCK PHOSPHATE: Minimum 3000MT
Maximum 18000MT

These above levels are set annually and are fixed throughout the year.
ORDERING OF RAW MATERIAL
The raw material is ordered on receiving an indent in which the details about the quantity and the order is
mentioned. The purchase department then places the order on the basis of the indent received and then the
order proposal is approved by the committee and then finally the order is placed.

Collective bargaining

Collective bargaining is an agreement under which employees jointly or collectively resolve their
conflicts or differences through negotiations usually between the concerned parties & if necessary
with the assistance of a third party.
At GACL generally conflicts are collectively resolved by the union & the management. In some
cases are management agrees to their demand and in some cases the management doesnt. In short
the relation between union and management is very cordial and all the matters pertaining to
collective bargaining are settled by discussion.

GACL employees are not affiliated with any union but the employees of non-management cadre are
the members of Gujarat Alkalies and Chemicals Employees Union. The election of the union is held
once in 3 years and the members of the union are giving their vote to the members of the union and
elect president, vice- president, treasurer, secretary, joint secretary and the elective members are
discussing the problem of employees with management and resolve the issues.


PUBLIC RELATIONS

The industrial corporate communication is planned and organized effort on the part of an individual
or institution to communicate the vision, mission and goals, actions which the organization
undertakes for public to know, and in order to arrive at a mutual understanding.
It provides support to every department in their communication efforts. Every person in the
organization is a PR officer, because in some way or the other these individuals reflect the image of
the organization to the outside world.
For example Marketing dept. is helped in development of the advertisement; the finance dept is
helped with the presentation that itll have to show to the bank and other investors etc.
This department plays an important role when the company on the image, logo, name a tag lines.
This is to convey to the public that the company has a better edge over compliments in many aspects.

Their functions mainly evolve around establishing the companys image as a leader in chlor alkali
sector.
In these processes major PR activities are involved. The company also has a corporate song, written
by the employees. All this is to harness in the individuals a sense of belongingness and cohesiveness.

1) SALES ACCOUNTING SECTION :

Sales accounting has to deal with the external parties such as government bodies, sales
representatives, dealers, manufactures and retail traders, etc. It also maintains the details of sales
and debtor account and related adjustment.

In GACL different kinds of discounts are as follows:

Trade discount
Price discount
Quantity discount
Dealer discount
Long distance discount , etc

2) BILL PASSING SECTION :

Make the payment of routine expenses like payment for purchase as per order made by purchase
department. All the bills related to plant come to this department for sanction.

For example, purchase of raw materials, equipments, machineries, etc. Here all the particulars are
checked and approved for local purchase bills.

GRV (Goods Receipt Voucher) is needed only after the bills have been approved payment will
be made. The company enjoys E-payment for CENVAT, EXCISE and also the salaries

3) INCOME TAX AND INSURANCE SECTION :

This section takes care of all tax related issues. It is involved tax planning and update of all the
laws with respect to taxation. This becomes very important for the company because many
decisions are taken, keeping in mind its tax implication. The budget in this respect has also to be
made for the payment and provision of advance tax. They also manage the insurance part. GACL
basically has the insurance for the fixed assets and also a Group Insurance for the employees. For
deciding on Insurance the company calls in for the quotations from various companies and
decides on the lowest and also considering the reputation.

Involved in updating of taxation as per rules Tax Planning is under this department as
part of prior responsibility.
Insurance of all the fixed assets.
Tax consultants are appointed to follow up with tax laws.

4) BANKING SECTION :

Check out the details of the banking transaction and maintain the balance of bank (Bank
Reconciliation Statement) Bank section looks after deposits in cash and bank account. It also
collects cheques from marketing department. Banks like HDFC, IDBI, SBI, AXIS BANK are
involved in the transaction with GACL.

Following are the various tasks performed by this section:

To consolidate the bank account.
Take into account the cash credit limit.
Cash Credits are monitored so that interest payment can be controlled.
Every month cash flow statement is prepared.]
GACL is using E-Payment for ease in payment.


5) CENTRAL ACCOUNTING SECTION :

Central accounting section is the art of finance. Activities of all other sections are connected
with central accounting section. The different functions of this section are preparation of
Balance Sheet and the profitability Statement, Financial Statement and accounts are prepared
on monthly, quarterly and annual basis as per the requirement and sent to SEBI and the Stock
Exchange. Profitability is calculated on day to day basis and reported to Managing Director.

Verify the accounts maintained by all the departments and make financial analysis of the
statement and also give suggestions and recommendation.

They are also involved in Annual Report preparation and provide all required all required
information to the management.

Find out profitability ratio every day to check whether the company is going correctly as per
the target.


6) CASH AND ESTABLISHMENT SECTION :


It prepares pay bill of employees, income tax, pension, gratuity, leave encashment, LTA etc.
It works in union with the HR department. The calculation of the salary for both management
and non- management cadre is done here. All the deductions like PF, loans etc are done here.
It also incorporates into the salary the allowances like:

7) LOAN SECTION :

When new projects are taken up, a project report is prepared on the basis of market survey.
The report includes the present and future estimates, financial aspects i.e. estimated cost,
budget, production capacity market trends and the likely sales. When project pass through
then it goes to the financial institution for its final approval by this section. This section does
negotiations with bank for payment terms and rate of interest and makes long term
arrangement of financial assistance for new project.


8) COSTING AND BUDGETING SECTION :

Make estimation of cost to the company (CTC) and budget in advance and try to reduce the
cost and improve efficiency. Costing is done not only for the whole activity but also for
individual items.
This section prepares the monthly cost incurrence budget and monitors it. They have to
ascertain the variable cost of the items being produced. This is because the knowledge of the
variable cost is very essential as if an item is sold below the variable cost it would incur loss
to the company. This section has a major hand in ascertainment of the prices of the items
because it provides data about the cost of production.

9) INVENTORY ACCOUNTING SECTION:

This section is concerned with the valuation of inventory. The Stores Department prepares a
goods receipt voucher. Based on this voucher, cost of inventory is calculated. It also prepares the
Variance Report based on the purchase order placed and the materials receive Monthly statement
of inventory send to bank for the hypothecation of the stock of capital. Many of the items
company need for day to day maintenance and operations. The time to procure these materials
may be longer due to various reasons and it is not possible to procure these materials
instantaneously. Therefore it is necessary to keep stocks of such items.

On the one hand inventory is very valuable resource foe uninterrupted production, and on the
other hand excess of inventory holding locked up capital. So optimizing level of stock is
necessary. GACL is having continuous production so optimum inventor has to be maintained so
that production is not affected due to shortage of raw material.

CONCLUSION

The Summer Placement, overall, was an enriching experience that enhanced the practicalities of the
theoretical base of Management.

Being able to work in all the major Management Departments gave me the clear idea and distinction of the
work done by each Department and its importance.

It helped me decide my choice of the Management Branch/ Department that Id like to pursue my Masters
degree in.

GACL has an apt management background that helped us learn better. The employees and Managers at
GACL were warm and kind, helping us with our internship at every step. We learnt something, however big
or small, from everyone at GACL. It had become an extended family by the end of our Internship.

GACL provided us with the practical exposure necessary to adopt proper Managerial conduct and shaped us
as the future Managers.
