SYSTEM ANALYSIS [NUR ABIDAH BT ZULKIFLI] [HND3C] 1
1. OVERVIEW OF THE CURRENT SITUATION
I have appointed as a system analyst from my company and the management has assigned me to purpose and develop a system for KPM Seri Iskandar which is System Parking in a college. As we know, while I am taking the interview and observation with the student, staff and lecturer, the current situation that I can observe in that KPM Seri Iskandar is, the college does not have a systematic parking. This is because this college still uses a manual system parking which is traditional method. As the number of students is increased from year to year, the usage of vehicles also is increased which is have cause the cark park that available in KPMSI is not enough to accommodate the vehicles. This situation can be seen at the condition from outsider students motorcycle parking which is very full and limited on weekdays in every morning. We already know that, a manual parking had been structure and organize well. Even though, manual parking had been structure, but manual parking system also cannot recognize the car enter and out in KPM Seri Iskandar. This can cause many people from outside KPM Seri Iskandar other than from staff students and lecturers can enter and out in KPM Seri Iskandar. They also can bring student hostel coming out of college without knowledge guard and fellow. Other than that, manual system parking also has not specific parking for outsider student or hostel. So, it would be inconvenient for students to bring cars and parking in college and also cause the parking in KPM Seri Iskandar are not systematic while using a manual system parking. By having a system parking, it can make the parking is systematic. We also know who are entering in college such as student, staff, lecturer or outsider. Systematic can also tell us about whether the parking is full or not. So that, if the parking, full, others cannot enter for parking. From that, we can see, by having a systematic parking It can really help the student, staff, lecturer and others to parking car without have any problem.
KPM Seri Iskandar should take the action how to overcome the problems about the system parking car so that student, staff, lecturer and other can park car easily when they come to enter KPM Seri Iskandar every day. SYSTEM ANALYSIS [NUR ABIDAH BT ZULKIFLI] [HND3C] 2
2.IDENTIFY PROBLEM AND USER REQUIREMENTS
Based on the current situation that I have made, there are no many problems that occur in that KPM Seri Iskandar. But there is still have the problem that can make the KPM Seri Iskandar is not good for the student, staff, lecturer, staff, others and also the system parking of the KPM Seri Iskandar. Firstly, the problem that faced by KPM Seri Iskandar on the manual parking system is using a manual system in the parking would create a chaotic situation. This is because by having a manual system parking it can cause a trouble and problem for student, lecturer, staff and other to parking their car or motorcycle. Here we can see, students will scramble to parking in the same place even though there is lots of other parking. For example, Suzana want parking her car at the first parking but at the same time the other students also want parking their car at the first place so it will give the effect such chaotic scramble of car parking and late come to class. Besides that, the other problem that faced by KPM Seri Iskandar on the manual parking system is the student, staff, lecturer and others, such as visitor or parents will park their vehicles where never they want not exact place. Here we can see, manual system parking can cause the parking in KPM Seri Iskandar is unorganized and not systematic. At the same time it also gives the effect to others to parking their car in KPM Seri Iskandar. Other than that, the other problem is there are not enough space parking for all students such as hostel siswa and siswi. Here we can see many student hostels also bring their car come to KPM Seri Iskandar. But KPM Seri Iskandar had provided small area parking car to all students. We already know that, many outsider students also bring their car and parking car always full. So, it hard to student hostel for parking their car because of not enough space parking car. Lastly, the problem that faced by KPM Seri Iskandar is do not have proper parking for lecturers. This is because staff also parking their car at the parking for lecturers. So, it will give the effect to lecturer for parking their car and does not have enough space to parking. SYSTEM ANALYSIS [NUR ABIDAH BT ZULKIFLI] [HND3C] 3
The user requirement for student staff lecturer and others wants is increase parking enforcement, especially late in the afternoon and night. This is because they can park their car easily without think and worry about their car safety. For example, if the student or lecturer or staff have the activities outside of college, and they can leave their car in the KPM Seri Iskandar parking. This is because of the increased parking enforcement, car safety will be assured by the Systematic parking and car thefts will not happen with the car security controls. Other than that, the others user requirement for student, staff, lecturer and others is increase the size of parking signage and put the signboard such as Lot A, Lot B, Lot C, LOT D and LOT E. It is important that student, lecturer staff and others are to recognize of where they are parking. For example, if an outsider student wants parking their car in KPM Seri Iskandar they can park their car in LOT A. This is because LOT A for parking student, LOT B for lecturer parking, LOT C for staff parking, LOT D for student hostel and LOT E for visitor, parents and others. So, it will give all student, lecturer, staff and others park their car easily. This is the problem that I had seen happened in the KPM Seri Iskandar. This problem should take an action to avoid any problem in future.

3.CHOSEN FACT-FINDING AND FACT RECORDING TECHNIQUES Primary Data According to the website (businessdictionary.com, 2010) Discovery stage in an inquiry or investigation where information is procured (using tools such as questionnaires), verified, and assembled in a report, with or without the recommendations of the investigator. Based on the definition above, fact finding can be described as the method that used to get the collection of data. So, the fact finding that I had used is primary data. According to the website (businessdictionary.com, 2011) , primary data is data observed or collected directly from first-hand experience. So, the primary data is the first hand collection of data. Based on my understanding, using the primary data, lot of techniques that can be used to make the collection such as interview, observation, questionnaire and so on that the information that will get is the first hand.
Figure 1 primary data
For this task, I made the interview with the students who are study in KPM Seri Iskandar, a lot of question that I had framed to been asking to the student KPM Seri Iskandar. The outline of the question that I had made is for I want to know the system that had been applied in their college. Based on the interview, I had the answer that can fulfill of this task. (Refer picture: table 2) Firstly, I made the interview with the students who are study in KPM Seri Iskandar that is Nur Amyliyana bt Mohd Jalin. So, typically this KPM Seri Iskandar has the parking car. From this interview that I had made, I found that KPM Seri Iskandar is using the traditional method that lots of KPM in Malaysia that had using nowadays. This college had using the manual parking system as their method for entry and exit student, lecturer, staff and others. This manual parking system that had been used by KPM Seri Iskandar is document books and fills the form before buy the sticker college. The student needs to bring the car or motorcycle PRIMARY DATA INTERVIEW OBSERVATION QUESTIONARE SYSTEM ANALYSIS [NUR ABIDAH BT ZULKIFLI] [HND3C] 5
grant Photostat, IC Photostat and permission letter from parents to bring the car. After that, the students will get the sticker. Even though KPM Seri Iskandar had used manual parking system, the students of KPM Seri Iskandar which is Nur Amyliyana bt Mohd Jalin state that she has does not satisfied with that. Based on the interview, every year KPM Seri Iskandar change their sticker and student need to buy the sticker car or motorcycle because it is compulsory. If the student does not have the sticker of car or motorcycle, they cannot enter in KPM Seri Iskandar and at the same time they need to park their car outside KPM Seri Iskandar. So, it will give the burden to the student because the student needs to walk and also waste their time to go to the classes. Other than that, before buy the sticker they need to fill the form to get the sticker. Every Semester they need to buy it. Other than that, using the sticker college also have the disadvantages. This is because from the student that I had interview said that she has lost her sticker in twice. The others student had stolen their sticker in motorcycle. Next, KPM Seri Iskandar are not applied any information system on their college. I had asked the question about the any information system at the student. But she answered it that KPM Seri Iskandar does not apply any information system at all. Lastly, the student also said that they have a problem by using manual system parking especially for new students. This is because they do not know the location parking that available. If they parking everywhere in KPM Seri Iskandar such prohibited area, it can cause a trouble for themselves. This is because guard will lock their car with pedal lock and need to pay penalty RM10. Next, the fact finding technique that I have used is observation. According to the website (humanresources.hrvinet.com, 2010), Observation method is a technique in which the behavior of research subjects is watched and recorded without any direct contact. Based on the definition above, observation can be described as the way to people using the senses eyes to observe to get the information or knowledge. That is the method which is people receive, record and collection information based on the observation that had been made. Based on my observation that I have had, I have observe that KPM Seri Iskandar only use the SYSTEM ANALYSIS [NUR ABIDAH BT ZULKIFLI] [HND3C] 6
manual parking system car such as the guard just wait in the front gate to see the sticker car of student, lecturer and staff who had enter in KPM Seri Iskandar. If the visitor or other who wants to enter in KPM Seri Iskandar, they need to get the visitors passes card at guard. Other than that, when parking is full, the student just park their car in parking motorcycle. Based on the picture below, we can see that the student put their car in parking motorcycle not parking for car.
Figure 2 student put their car in parking Motorcycle
The last fact finding technique that I have used is questionnaire. According to the website (businessdictionary.com, 2011), questionnaire is list of a research or survey question asked to respondent, and designed to extract specific information. Based on my understanding, by using the questionnaire we can collect the appropriate data, make data comparable and amenable to analysis, minimize the bias in formulating and to make questions engaging and varied. I have created the questionnaire with total of eight structured questions that related with the study which is will distribute to the students. The reason why I choose questionnaire as one of the method to develop the new parking system is because of the easiness and quick to analyze the collection of data that have been obtain from the students. As by the questionnaire, it have allowed me to create simple, clear and straightforward with the point that I wanted to know and as results, the students are able to give precise answers that will meet with the requirement to develop the new parking system.
SYSTEM ANALYSIS [NUR ABIDAH BT ZULKIFLI] [HND3C] 7
Figure 3: gender
The above pie chart graph shows the gender among 20 of respondent of student in KPM Seri Iskandar. As in the figure, we can see that the majority of the gender for male represents 70%. This is means majority of student male likes to bring their car because they have self-reliance and does not like to share their car with others student. Compared to female it represents 30%. This is means female does not like bring their car because it concerned about personal safety such as the accident and if the car was damaged it will give the burden for her because she does not know to repair the car. In conclusion, we know that all the about demographic information is important to us because we need to analysis about gender. As we know, gender is main important because the user need to complete the questionnaire and need to understand each step the process. We already know that the most gender that brings the car in KPM Seri Iskandar is male.
Figure 4: occupation
SYSTEM ANALYSIS [NUR ABIDAH BT ZULKIFLI] [HND3C] 8
The above pie chart graph shows the occupation among 20 of respondent of student in KPM Seri Iskandar. As in the figure, we can see that the majority of the occupation for student and staff in KPM Seri Iskandar is represents 35%. The lower percentages for occupation of staff is represent 30%.This result is important to because I want to know the occupation of respondent who had works and study in KPM Seri Iskandar.
Figure 5: how often park in college
The above bar chart graph shows how often park in college among 20 of respondent of student in KPM Seri Iskandar. As in the figure, we can see that the majority respondent often park in college is represents frequently. This is means majority of respondent is student and staff. This is because every day student comes to the class and parks their car in college parking while staff wants to go works and park their car in college parking. Compared to rarely, the respondent is visitor. This is because visitors to come to college when there have a business and want to take their children. This result is important because I want to know who had entered and exit in Kpm Seri Iskandar.
Figure 6: average parking hour SYSTEM ANALYSIS [NUR ABIDAH BT ZULKIFLI] [HND3C] 9
The above pie chart graph shows average parking hour among 20 of respondent of student in KPM Seri Iskandar. As in the figure, we can see that the majority respondent for average parking hour in college is represents 45%. This is means majority of respondent is student and staff. This is because every day student and staff which is lecturer have a classes So, here we can see, they had stay in college in long time period because of works and student have the activity in college. Other than that, the average parking hour in college represent 30%. This is because student and staff have the activity outside college. For example they have the activity such visit uk education fair at Kuala Lumpur. So that we can see they had parking a long time which is more than 6 hours. The lastly the average parking hours in college is represent 25%. This is means visitor or parents or others come to college for a business or want to see Tuan Haji Jussoh. Here we can, they only just parking between 1 hours and 2 hours. This result is important because I want to know the available parking for other student, lecturer, staff which is want to park their car
Figure 7: Number of parking provided
Based on the bar chart graph above it can be concluded that mostly respondent said that the number of parking that provided by KPM Seri Iskandar is Poor with quantity 7 respondent. Other than that, 6 of respondents said that number of parking that provided by KPM Seri Iskandar is very poor. 4 of respondents said that number of parking that provided by KPM Seri Iskandar is moderate. 2 of respondents said that number of parking that provided by KPM Seri Iskandar is good and the lastly 1 of respondents said that number of parking that provided by SYSTEM ANALYSIS [NUR ABIDAH BT ZULKIFLI] [HND3C] 10
KPM Seri Iskandar is very good. Here, I can concluded that, KPM Seri Iskandar need to provided more parking for student, lecturer, staff and others because it will give student, lecturer, staff and others easy to park their car without compete with others to get the parking.
Figure 8:Location of the parking
Based on the pie chart graph above it can be concluded that mostly respondent said that the location of the parking that provided by KPM Seri Iskandar is represent 45% which is poor. This is because the student who does not have the sticker they need to parking outside college at need to walk go to the classes. From that we can see, it also wastes the time and also late to come to the class. Other than that, 25% of respondent said that the location of the parking that provided by KPM Seri Iskandar is moderate. 15% of respondent said that the location of the parking that provided by KPM Seri Iskandar is very poor. 10% of respondent said that the location of the parking that provided by KPM Seri Iskandar is good and the lastly 5% of respondent said that the location of the parking that provided by KPM Seri Iskandar is very good. Here, I can concluded that, KPM Seri Iskandar need to provided strategic location and need to provide a signboard for parking car or motorcycle so that it will give the student easy comes to college

Figure 9 the security of the parking
Based on the bar chart graph above it can be concluded that mostly respondent said that the security of the parking by KPM Seri Iskandar is represent good. 3 of respondent said that the security of the parking by KPM Seri Iskandar is representing moderate. 2 of respondent said that the security of the parking by KPM Seri Iskandar is representing poor and very good. 1 of respondent said that the security of the parking by KPM Seri Iskandar is represent poor. Here, I can concluded that, KPM Seri Iskandar have a good security of parking. This is because guard always round in area of KPM Seri Iskandar. Other than that, it always wait in front gate KPM Seri Iskandar to see who are entered and exit in college.
SYSTEM ANALYSIS [NUR ABIDAH BT ZULKIFLI] [HND3C] 12
Figure 10: opinion of respondent
Based on the pie chart graph above it can be concluded that mostly respondent said that the opinion of respondent that provided by KPM Seri Iskandar is represent 30% of respondent wants to add roof. 29% of respondent want KPM Seri Iskandar provided proper parking and add space and the lastly 12% of respondent want KPM Seri Iskandar add a sticker. Here, I can conclude that, KPM Seri Iskandar need to provided roof so that it can prevent from the heat of sunlight and rain. So that, it easy to student, lecturer, staff and other park their car. Other than that, KPM Seri Iskandar needs to provide a proper parking and add space. So it will give many of student, lecturer, staff and other park their car without worries to compete to get the parking with others.
SYSTEM ANALYSIS [NUR ABIDAH BT ZULKIFLI] [HND3C] 13
Fact Recording. Next, the fact recording can be defined as the techniques that had been used to store or record the data. That because, the record must be stored in order to making the analysis First, the method that I had used is paper based fact-recording method. This technique can be defined that use the paper or journal in order to collect the data. So, the fact recording that I had applied for this interview session is, I had made the question outline before I Interview with the student KPM Seri Iskandar. The entire question that I had made is based on the system for car parking that used KPM Seri Iskandar. Interview outline Interviewer : Me (Nur Abidah bt Zulkifli) Interviewee : Nur Amyliyana bt Mohd Jalin Location:KPM Seri Iskandar Date : April 22, 2013 Agenda : Approximate time Question 1 1 minutes Question 2 1 minutes Question 3 1 minutes Question 4 1 minutes Question 5 1 minutes
So, based on the outline above, I had framed that the entire thing that include in the interview session. Thats because, using the outline the interview will be run smoothly depending on the plan that I had done. With the approximate time that I had setup, I can manage the time better because the student which is Nur Amyliana is busy and have classes. I also had list out the question that I want to ask in order to know the system that had been using in KPM Seri Iskandar. Next, the second technique that had I used is based on computer based. Which mean the collecting data using the electronic or gadget devices like camera. For interview session, I had used the gadget as the fact recording in order to collect the data. I had captured the picture during the session of interview had held. Table 1: interview outline SYSTEM ANALYSIS [NUR ABIDAH BT ZULKIFLI] [HND3C] 14
So, based on the picture above, it shown that the interview session had done, it shown that KPM Seri Iskandar is used manual system parking car. Based on the picture also, that is the prove that I had observation and interview the student in KPM Seri Iskandar. Interviewer : Me Interviewee : Nur Amyliyana bt Mohd Jalin (Student of KPM Seri Iskandar) QUESTION 1 : What is the system that had been used in KPM Seri Iskandar? ANSWER : KPM Seri Iskandar had used manual system parking. QUESTION 2 : Do you satisfied with the system that used in KPM Seri Iskandar? ANSWER : No. Actually every semester KPM Seri Iskandar always change their sticker for car and motorcycle. It gives the burden for student, lecturer and staff to buy the new sticker. Other than that, student needs to fill the form to get the sticker car and motorcycle.
QUESTION 3: Do you have been lost the sticker? Yes. I have lost twice. QUESTION 4 : Do you know KPM Seri Iskandar have used specific software for your college? ANSWER : No QUESTION 5: Do you feel that there is a problem with using manual parking system? ANSWER : Yes. Actually, when to park my car I do not know which parking is available. This is because this KPM Seri Iskandar does not have a signboard location for parking car.
4. SUGGESTED SOLUTIONS TO THE SYSTEM CHOSEN FOR KPM SERI ISKANDAR
Figure 13: Traffic Tech Group
I want to suggest KPM Seri Iskandar used the Traffic Tech system . According to the website (Traffic Tech Group (Middle East/ Gulf), 2009) Traffic Tech is an award winning ISO certified total solutions provider of integrated systems in traffic management, intelligent transportation, parking management, security, communications and truck weigh stations. Other than that, it founded in 1987, Traffic Tech brings along a Quarter of a Centurys Experience in Traffic Engineering, integrating systems to meet customized needs, using the most advanced technologies available in the market. Based on my understanding, Traffic Tech is one stop shop parking solutions provider offering end-to end services from design, supply, system integration, installation and to operation and maintenance. As we know, Traffic Tech Group have executed large scale parking management system projects in the region with over 20,000 parking slots in total. Relate to the case study, we already know that KPM Seri Iskandar still uses a manual parking system. So here, I want to suggest KPM Seri Iskandar uses Traffic Tech system because this company which is Traffic Tech Group is professional partner that providing parking management solutions. By using this system KPM Seri Iskandar can create good environment in college. This is because it has systematic parking. So, it will give students, lecturer, staff and other easy to park their car and at the same time it also can create user friendly in parking facility.
SYSTEM ANALYSIS [NUR ABIDAH BT ZULKIFLI] [HND3C] 16
As we know, by using Traffic Tech it will inform student, lecturer, staff and others on parking slot that are available to parking their car and location as they approach. Based on the picture below, show that it will display on electronic signs car parking system made by company Traffic Tech Group. Relate to the case study, we can apply this system in KPM Seri Iskandar because when student, lecturer, staff and others had entered the area KPM Seri Iskandar they can know location to park their car by see system car parking location that provided by company Traffic Tech Group. So, it will give student, lecturer, staff and others easy to park their car and at the same time it will save their time without looking and find the parking car.
Figure 14: parking available
Other than that, show direct for student, lecturer, staff and others to vacant slots at each parking location. This is because by using this system it will guide for student, lecturer, staff and others with variable directional signs that display green arrows at directions with vacant slots and red cross signs at directions that are full compared to manual parking system it does not provided variable directional sign. Relate to the case study, by using this system in KPM Seri Iskandar it will leads the driver such as student, lecturer, staff and others directly and quickly to the first available space. Based on the picture below it shows that variable directional signs that provided by company Traffic Tech Group.
SYSTEM ANALYSIS [NUR ABIDAH BT ZULKIFLI] [HND3C] 17
Figure 15: variable directional sign
By using Traffic Tech system, it also provided LED indicator. The purpose is to display the current parking space status. LED indicator it installed at the front of every parking space. Relate to the case study, by using Traffic Tech system that provided by Traffic Tech Group it can give student, lecturer, staff and others can know the parking available in KPM Seri Iskandar compared to use the manual parking system they does know either the parking still have or no. Relate to the case study when the indicator displays green, it means there is an available parking space. When the indicator displays red, it signals that there is a car parked and at the same time it can reduce congestion in the parking facilities. The picture below shows that LED indicator made by Traffic Tech system.
Figure 16: led indicator
As we know, Traffic Tech system also has a variety of automated technologies to register entry time and other vehicle information. This is because Traffic Tech systems are provided Barcode Technology (tickets), Magnetic Stripe Technology (cards/tickets), and Transponder Technology (chipcoin/cards) .The purpose is automating entry of vehicles such as Automatic Barriers, Vehicle Detection Loops, and Entry Log Devices by using the technology such as Ticket/card dispenser, ANPR camera. Relate to the case study, when student, lecturer, SYSTEM ANALYSIS [NUR ABIDAH BT ZULKIFLI] [HND3C] 18
staff and others wants to enter in KPM Seri Iskandar they need to have cards, ticket, and chipcoin. This is because it keeps a record of number of valet parking spaces available and occupied. Compared to the manual parking, KPM Seri Iskandar had used sticker for recognize student, lecturer, staff or others who had enter in KPM Seri Iskandar.
Other than that, Automatic Number Plate Recognition (ANPR) that provided by Traffic Tech System is a technology that provides automated access on number plate contents for secured parking facilities. Relate to the case study, when KPM Seri Iskandar is using the ANPR that provided by Traffic Tech System it can tracks entry of unwanted vehicles in secure parking facilities in college and in case of lost parking ticket, operator or guard can easily track entry time of vehicle of student, lecturer, staff and other who are parking in KPM Seri Iskandar.
Figure 19: ANPR
SYSTEM ANALYSIS [NUR ABIDAH BT ZULKIFLI] [HND3C] 19
As we know, Traffic Tech also has Full control over parking facility. Relate to the case study, KPM Seri Iskandar can ease worries with overseeing parking facility's user management. This is because Traffic Tech solves parking management solution with software features that included device control. Here we can see device control can Control and status monitoring of all the devices connected to the system.
Traffic Tech also has the user management. Relate to the case study, KPM Seri Iskandar need to use this system because every operator of the system is assigned a user name, a password, and an authorization profile. Furthermore, it also has Authorization profile controls the use of systems functions. Here we can see, each operator can only access functions that are assigned to them. Then, the system continuously logs user and application activity that provides traceability for future use.
Figure 22: the user management
SYSTEM ANALYSIS [NUR ABIDAH BT ZULKIFLI] [HND3C] 20
Lastly, Traffic Tech also provides information on occupancy of each level and the complete car park, number of reserved and unreserved spaces, booked space and total spaces. Relate to the case study, when KPM Seri Iskandar uses this system it can automatically entry blocking when the car park is full. Other than that it also has the automatic sign control (free/full) depending on the number of cars in the car park..
Figure 23: provides information
The benefit of parking management system for Entries & Exits System Back-up is all entries & exits have individual computers that stores data or transactions in case of network failure and transmits all the stored data to the server once network connection is reestablished. The others benefit is operator or guard have visibility on utilization of each parking location. The features of parking management system for multi-purpose network is the systems network can be used by multiple services needed for parking operations. For example, IP Cameras, digital CCTV systems, Automatic Number Plate Recognition(ANPR), Intercom-over-IP, Facility-control systems, Remote support and Web interface.
SYSTEM ANALYSIS [NUR ABIDAH BT ZULKIFLI] [HND3C] 21
CONCLUSION As a conclusion, from the overall overview of current parking system in KPM Seri Iskandar, there is few of problems that have been faced by students and also to the KPM Seri Iskandar staff. This problem might be because of the cost that needs to use for upgrade the Parking system. Therefore, as a system analyst I also identify the problem and user requirement in in KPM Seri Iskandar. Other than that I also use fact finding and fact recording which is interview, observation and questionnaires. The lastly I also give a suggestion to use the system Traffic Tech System made by Traffic Tech Group. By having such technology implement, it can make KPM Seri Iskandar parking system to be much more efficient and systematic parking.
