This Orientation Handbook describes the structure of the Biomedical Engineering Program and
is meant to serve as a survival guide for new students in the BME Graduate Program here at
Western University.

Biomedical Engineering is a program that promotes the cooperative involvement of clinical and
basic researchers in allied disciplines such as biomaterials, biomechanics and imaging. This
program encourages multidisciplinary links between the faculties of Engineering, Medicine &
Dentistry, and Health Sciences, Robarts Research Institute and London Health Research
Institute, and Westerns teaching hospitals.

The BME program currently consists of four main areas of research:

BME students can be found in laboratories across campus in the Faculty of Engineering,
Robarts Research Institute, Lawson Health Research Institute, St. J osephs Health Centre and
London Health Sciences Centre (University Campus), and in the Faculty of Medicine &
Dentistrys clinical departments. Students have the opportunity to interact with each other at the
weekly graduate seminars as well as various other activities organized by the Program or by the
Biomedical Engineering Student Committee (BMESC).


NEW STUDENTS

Please ensure that you have accepted your offer of admission online (SGPS offer letter).


INTERNATIONAL STUDENTS

Please ensure your VISA Study Permit is up-to-date. The Faculty of Graduate Studies has
initiated firmer rules and regulations. You will NOT be able to enrol, have a TA, or receive your
stipend if your VISA permit has expired.
Please allow yourself approximately 4 months .


BIOMEDICAL ENGINEERING STUDENT COMMITTEE

BMESC is a group of volunteers who aims to enhance student life and to increase interaction
between people in BME by organizing events for the students, faculty and staff of the program.


SOCIETY OF GRADUATE STUDENTS (SOGS)

As a graduate student, you are automatically a member of SOGS. They administer items such
as the health plan and bus passes and also run the Grad Club. They are located in Room 260 of
the UCC (University Community Centre). Please visit http://www.sogs.ca

TUITION FEE DUE DATE



Tuition payments can be made at any Canadian financial institution or through online banking.
Tuition fees can also be paid by cheque or money order payable to Western University.
Payment can be put in the drop box at the Student Central Office or mailed to Student Financial
Services. Please ensure you include your name and student number on all cheques or money
orders. Receipts are not issued for payments received by mail or in the drop box. Cheques must
be received in their office by the due date.

Tuition fees can also be paid by debit in person at Student Central, Western Student Services
Building, Room 1120. Please note that debit cards have a default spending limit, so please

contact your bank to increase your daily spending limit temporarily, while you are trying to meet
the fee payment deadline.


SCHOLARSHIPS

There are three major scholarships that BME students apply for, however, if you wish to apply
for others (i.e. Heart and Stroke, CIHR, etc.), please feel free to do so.

NSERC - due usually in September
OGS - due middle of October
OGSST - due mid-March

BME requires that you complete a Referee Form and submit your application to your referees to
review before final submission Scholarship Intent to Apply. All instructions are posted at

SALARY

The University guarantees all graduate students a minimum level of funding. You can help your
income by securing a scholarship or bursary from agencies such as:

NSERC - National Science & Engineering Research Council
CIHR - Canadian Institutes for Health Research
OGS - Ontario Graduate Scholarship
QEIIGSST - Queen Elizabeth II Graduate Scholarship in Science and Technology

STUDENT CARDS - WESTERN ONECard



Western ONECards are issued in the Western Student Services Building. You should be
warned that there will be long line ups at these locations, so it is recommended that you get
there either before or after the rush. If you lose your Western ONECard, there will be a

PARKING

The Parking Office is located in the Support Services Building, Room 4150. Students can pre-
register for their pass online at www.uwo.ca/parking or can register at the office directly. Student
card and vehicle registration are required for pickup. http://www.uwo.ca/parking/


HEALTH PLAN OPT-OUT

If you already have health insurance from another source, you may opt-out of the SOGS health
plan. Forms can be found in the SOGS office or online and must be submitted before the last
business day of the first month of each term. You must have proof of insurance. See the SOGS

PIN

Go to https://studentservices.uwo.ca/secure/PIN/GetPinInfo.cfm with your Student Number,
Social Insurance Number and Date of Birth to obtain your PIN. If any information is missing and
you are unable to access your PIN, please call (519) 661-2100.

NEW EMPLOYEE TRAINING



You will ALL be required to take New Employee Training and WHMIS training. WHMIS is now
mandatory for all University employees (comprehensive version). Also, mandatory for those
working in a lab, is the Laboratory Safety Training. It is your responsibility to discuss with your
supervisor any necessary training courses that maybe specific to your lab/work environment. To

REGISTRAR

You will be able to change your student information, check your marks, order transcripts and

COURSE SELECTION

You will be required to take certain required courses depending on your specific program and
area of study. You will also need to discuss with your supervisor elective(s) that would be
appropriate. If you wish to audit a course, there is a form you will need to complete and submit
to the BME Office.

It is the responsibility of the student to familiarize themselves with all policies, procedures,
deadlines and submission of paperwork.
If you would like to take a course from another program, please complete a Form 021
Graduate Course Credit Form. This may be counted towards your required course if approved.
If you would like to audit a course, please complete Graduate Audit Form.
If you would like to take an undergraduate course, please complete Undergrad Course Form.

SEMINAR

All students are required to present a talk in a Seminar once a year. There are visiting speakers
scheduled as well throughout the year. If you have someone you would like to invite to give a
talk, please let the BME Office know.


TEACHING ASSISTANT TRAINING

If you will be doing a Teaching Assistantship, TA Training is available free of charge through the

WHAT IS A PI?

PI stands for Principle Investigator. Your supervisor is one.


ADVISORY COMMITTEE

Your Advisory Committee consists of your supervisor and at least two other faculty members in
applicable fields (1 member MUST be Biomedical Engineering and can be a co-supervisor).
They will help to guide you in writing your thesis and will confirm when you are ready to defend
your degree. You should meet with your committee within the first six months of your program
and at least once a year thereafter. You are at liberty to meet more often if you have questions
or problems.

All students are required to have an Advisory Committee. The Form 101 (Advisory Committee)
MUST be completed and submitted to the BME Office by the end of the students first term. It
is the students responsibility, in consultation with their advisor, to complete the Form 101.

Advisory Committee Meetings

Advisory Committee meetings are crucial and mandatory. They are required ONCE a year (due
at the end of August), however it is advised that you meet on a regular basis throughout the
year. During these meetings progress and future expectations are discussed.

Form 104 (Annual Progress Report) must be completed with all advisory committee signatures.
For the first advisory committee meeting, a written report detailing areas such as research
objectives, progress to date (including any results), future plans, and potential publications is
required. This report should be given to the committee members no less than two days in
advance. The students will make an informal presentation outlining the above areas during
which the committee may ask questions or for clarifications. It is the students responsibility
to schedule the meeting date, meeting room, and any necessary equipment.


ANNUAL PROGRESS REPORT

This is to be submitted each year at the end of August every year. You are to meet with your
Advisory Committee to complete this report.

THESIS

MESc STUDENTS

Please read the SGPS website thoroughly before submitting: http://grad.uwo.ca/. Once you
know when your exam will be held, please complete MESc Recommended Examining Board
and submit it to the BME office. You must also complete MESc Supervisor Form and submit
to BME Office.

TRANSFER / RECLASSIFICATION

This is when you start as a Masters student and transfer to a Doctoral program without
defending your Masters degree. In BME, this must be done by the 5th term of your masters
program and must be submitted four weeks prior to the end of term. A Form 103 (Transferring
from MESc to PhD Form) must be completed, a 3-5 page PhD research proposal, and a
presentation to the students advisory committee.

Once the Committee recommends approval, a Transfer to PhD Form must also be complete
and submitted to the BME office.


PhD STUDENTS

Comprehensives

Comprehensives are general exams for PhD students during the preparation of the thesis. The
first attempt must be made within the first 18 months of registration with BME. Please read the
SGPS website thoroughly before submitting: http://grad.uwo.ca/

Once you know when your exam will be held, please complete PhD Recommended Examining
Board Form and submit it to the BME Office. You must also complete a PhD Supervisor Form
and submit it to the BME Office. SGPS arranges your defense. BME may arrange your public
lecture room, if you wish. Please ensure you follow SGPS instructions. Your thesis MUST be
handed in six weeks prior to your defense.

PhD Comprehensive Exam

Every PhD candidate is required to complete their PhD Comprehensive Exam. This must be
completed 18 months into your PhD program:
