Not to forget a big credits are given to our respectful lecturer Madam Salasiah Bt Said,
lecturer of this subject IMD 308(Extension Services In Information Agencies) for giving us
tutoring and guidance so that we can complete this assignment and not make mistake when
preparing this proposal.

1.0 Title of extension services
1.0.1 Microsoft Workshop
In today, rapid global proliferation of information technology we hope to develop
within the participants a computer literacy skill. We understand that most students from
rural area do not have a basic knowledge of technology and that is a shame. Therefore,
our group has agreed to conduct a Microsoft Workshop for primary school students as
our extension services activity. The complete set of Microsoft Office consists of Word,
Outlook, PowerPoint, OneNotes, and Excel but we will only cover two software which
are Word, and PowerPoint due to lack of time. Participants will be using Microsoft Office
2010 and Windows 7. Microsoft Word is one of the most common word processing
programs available and Microsoft PowerPoint on the other hand is the most common
graphic presentation package use nowadays. Hence, it is very important for today Y
generation to master the use, knowledge, and skills of this software.

1.0.2 Book Mobile
Besides the Microsoft Workshop as our main program we also provided Book
Mobile as our supplement activity. Book mobile here means that, we bring out library
materials from Perpustakaan Awam Merbok and bring it to Sekolah Kebangsaan
Semeling. The type of materials that we bring is books and interactive compact disc
(CD). The materials are specifically chosen by our group members according to the topic
that will interest our target audience. Since our target audience is standard 5 primary
school students, we decided to choose folk-tales, storybook, educational, academic, and
many more. The reason behind this activity is to attract students to visits Perpustakaan
Awam Merbok regularly and make it as their second home. Library is often seen as a
quiet and boring place, thus we want to shape this children mind and educate them that
the library is an evolving organism. We want to nurture them about the importance of
library and make them aware of the materials and services provided by the library.

2.0 Introduction
To fulfill the requirement for the subject IMD 308 (Extension Services in
Information Agencies) we have been assigned to hold an activity about extension services
in any desired institution. After a consensus discussion, our group members has agreed to
choose Perpustakaan Awam Merbok as our information agencies and we also has choose
to held the activity at Sekolah Kebangsaan Semeling. Both of the institution is in the
nearby area of district region to maximize the use of its resource to the given community.
According to Reitz, J.M. (2004) library is a collection or group of collections of
books and other printed or non-printed materials organized and maintained for the use of
reading, consultation, study, research, etc. There are many different types of library that
are available in Malaysia, such as academic library, national library, special library,
public library, schools library, and etc. For this task we have choose public library of
Perpustakaan Awam Merbok as the information agencies that we going to promote the
extension services of. Public library is a library or library system that provides
unrestricted access to library resources and services free of charge to all the residents of a
given community, district, or geographic region, supported wholly or in part by public
funds. The reason behind this decision is because in every public library they have many
collections of materials and services offered to the population in a given state.
We decided to conduct a one-off event based program on Microsoft Workshop.
Outreach service is a service that reaches out to the community beyond the information
agencies wall. There are a number of people who relatively near to library but unable to
travel to library because of the distant or other limitation. Hence, it is the information
agencies staff responsibilities to reach out to the communities beyond their own premises.
Therefore, we have chosen Sekolah Kebangsaan Semeling as the place where we going to
hold our program at and the program that we going to hold is a seminar about Microsoft
Office software. The complete set Microsoft Office consists of Word, Outlook,
PowerPoint, OneNotes, and Excel but we will only be focusing on two software which
are Word, and PowerPoint only. The seminar will be conduct by our group member
alternately, with the help by other group members to assist the students of SK Semeling.

3.0 Goals and objectives of extension services
Goals:
The initiative was aimed to exposed students to computer technologies and
to inform those who do not use the library services and to attract them to
those services.

Objectives:
Attract children of SK Semeling to visits Perpustakaan Awam Merbok
regularly and thus increase the number of visitors.
To establish a knowledge, thinking, and creative society through
Information Technology (IT).
To inform the SK Semeling students about Perpustakaan Awam Merbok
materials and services provided.
To ensure and encourage an IT literacy among the students in SK
Semeling for the future use.
Expand awareness on the importance of having an ability to use a
computer as a key to unlimited knowledge.
Change their perception towards the typical misconception of library roles
and functions.
To master the use, knowledge, and skills of Microsoft Word and Microsoft
PowerPoint.
To fully utilize library materials and services.

4.0 Date, location, and duration
Date: 20

February 2014
Time: 14.00pm - 18.00pm
Duration: 5 hours
Venue: Sekolah Kebangsaan Semeling

The Microsoft Workshop took place in SK Semeling, we choose this school
because it is in nearby area of district region as Perpustakaan Awam Merbok. The date
that has been chosen is on 20
th
February 2014, Thursday. The workshop is held on
Thursday because it is the only day where the student does not involve in extra
curriculum. The workshop starts after the school hours, because we dont want to
interrupt the teaching and learning process. Its start at 14:00 pm and end at 18:00 pm
sharp. The duration of this workshop is 5 hours. Compare to other group, our group took
the longest duration. This is due to the bundle of matters that need to be taught to the
students. During the preliminary plan, we decided to teach three software which are;
Word, PowerPoint, and Excel. However, since time is limited we decided to only cover
two software which is Word and PowerPoint.

5.0 Activities
Below is our program tentative for the Microsoft Workshop activities that have
been held by our group:

Ice-breaking
The programs began with ice-breaking
session, each of our group members
introduces ourselves to the participant.
Greetings were addressed to the teachers
and school party for permitting us to
conduct extension services at their place
and to students who willingly participate. During the ice-breaking session, participants
were asked to fill in the survey form that has been prepared by us. The aim of this survey
is to obtain information about computer literacy, skills, familiarity, and knowledge on the
matter that will be taught. The survey form that has been filled can be refer on appendix
page.

Microsoft Word
After the participants finished filling in the
survey form, the teaching and learning session
begins. Our group started the first lesson with
Microsoft Word. Participants were taught
about the basic features that are available in
the software such as;

Formatting for size, font, style, and alignment
Cutting, copying, and pasting
Bulleted or numbered lists
Saving documents
Simple table
Insert image
Spelling and Grammar
Students were given a task to create their own storybook and since the target audience is
standard 5 students, our group members decided to give a gift to students that create the
most creative storybook to draw their attention and make sure they become more involves
during the teaching and learning process.

Tea break
Long-hours learning time can make
students become bored and sleepy therefore
they are given some time-off. Our group
also provided some refreshment for
participants during the recess, each of them
received a drink and bread. Since the
workshop is carried out after school hours, we think that some time-off might be needed
by the participants.

Microsoft PowerPoint
After the tea break, students were asked to
enter the computer lab and proceed with the
next matter, which is PowerPoint.
Participants were instructed to create their
own slideshow presentation. The basic
features that are covered during the
teaching and learning process are:
Select a design
Format a slide
How to add a new slide
Use the toolbar to insert, text, images, audio, or video onto a slide
Use the toolbar to create animation with pictures and text for each specific slides
Our group members consist of four persons, while two persons teach in-front the other two
will assist participants at the back. This method can ensure that the participants receive
full attention and also create an environment for participants to ask questions.

Souvenir for participants and teachers
After we cover all the matters, our group
member continues the program with the
presentation of gifts and souvenirs to
teachers and participants. Besides that, we
also took some time for photography
session. Workshop ended on 18:00pm and
participants dismissed.

Book mobile
The books and interactive CD were place
on the right corner of the computer lab, it
is the most prominent place in the room.
The library materials from Perpustakaan
Awam Merbok are open for participants to
read during tea break and they had been
told about the existence of the materials during the ice-breaking session. There was no
further activity carried out for the book rather than being an exhibition. This is because as
stated earlier, book mobile is just a supplementary activity. Our group would like to focus
more on the Microsoft Workshop.

6.0 Target audience
Extension work is defined as those activities which are undertaken with the
objective of reaching the group of people who might otherwise be unaware of the library
services and materials. Target audience means particular group of people, identified as
the intended recipient of an advertisement or message, which were also called as target
population. We have decided to approach a specific group of children in the age around
eleven to twelve to participate in the activity that is organized by our group. During the
preliminary plan, we wanted to teach standard 6 students but because they are exam
candidates for UPSR, the schools party doesnt allowed us to teach them. Hence, our
target audience is Sekolah Kebangsaan Semeling standard 5 students. Children and
people in rural area are both users of extension services, hence he reason why our group
chooses these target audience is because we think they are the group of people who
needed this services. Apart from that, we are living in the world where everything is at
your fingertips. Therefore, we wanted to educate SK Semeling students about the
importance of computer literacy and thus increase their level of competencies with urban
area students.

7.0 Expected outcome
In our opinion, expected outcome is a statement of what the organizer expect the
participants to know, understand and/or be able to demonstrate after completion of the
activity. For our group, the end product that we expect from the participants is to receive
the information that we convey.

At the end of the talk students should be able to:
1. Master and familiar with the use of software that has been taught. By the
end of the lesson students should be able to create their own slideshow that will be fill
with their personal information by using PowerPoint, build their daily schedule or
timetable by using Excel, and create a newsletter by using word.

2. To inform the students of all the facilities offered by Perpustakaan Awam
Merbok that is available for public used. This group of young children come from a
different family background, not all of them can afford to have a computer complete with
internet connection and printer in their home. So this is where we are needed, we want
the students to be well informed that the Perpustakaan Awam Merbok provided their
user with IT materials such as computers, printers, scanners and etc.

3. Inform the children who do not used the library services and to attract
them to those services. Library is an expanding organism of information agencies that is
very essential and crucial in providing information and services for free of charge to all
the resident of a given community. Therefore, it is very important for these children to
know about the benefits of library and hoping that they will make a regular visit to these
information agencies.

9.0 Conclusion
It is very important to reach a users who are distant from the library or who may
be relatively near to it but unable to travel to it because everyone should be able to access
knowledge to upgrade and improve their life and fill themselves with something that
interest them. Hence, extension services are created for this specific group of people.
However library has to make these people aware of such services by conducting various
activities and events. It is our responsibilities as a student of Information Management to
hold an activity to inform society about the extension services. Apart from being directly
educative and recreational these activities also lead to publicity as an important secondary
product. Besides that, extension services are an effort of a library to increase the number
of its users to maximize the use of its resource. In a nutshell, our group had managed to
execute all the activities according to the preliminary plan and we think the Microsoft
Workshop had been a success. In addition, our group members hope that the Microsoft
workshop that held by us can inform the children about the importance of computer and
in the same times increase the number of visitors for Perpustakaan Awam Merbok.
