1.0Executive Summary

John Paul II College of Davao formerly Philippine College of Innovative Education 2000. A
Private Non-Sectarian which was headed by Ms. April B. Evangelista as the School Director and at the
same time the Vice President for Finance. Its main address is in Ecoland, Matina, Davao City, Davao
del Sur 8000. The school was established in the year 2000. The school offered courses like BS
Computer Science and BS Information Technology as their computer courses. Other courses includes
BS Education, BS Business Administration, BS Hotel and Restaurant Management, BS Nursing, BS
Engineering and BS Criminilogy.
The school is using EDPS (Electronic Data Processing System) in their daily operations
and transactions. An EDPS like Student Information System, Accounting and Payroll System,
Students Enrollment System, and Inventory System. These systems are being managed and
maintained by the IT department personnel and staffs which include the System Administrator,
Network Administrator and Technical Staffs. In every different department like Human Resource
Department, Administrator Department, Registrar, Accounting Department, Faculty Department and
Office of the President and School Director they are doing their daily works and transaction with the
aid of computer and technology but some of the departments are not linked with each other. The
deans dont have a direct access of computer network link to the office of the president and director
because computers are not yet connected as a network. If there is any message to be sent to deans
and vice versa with the director; they still need to go physically into directors office or to the deans
office.
In the IT department, some personnel, staffs and even new instructors are not been so
updated by additional trainings and seminars about latest trend of technology used in network and
software, and hardware. Though in some times, the school is providing trainings and seminars but are
not yet enough to meet the standard and complete Management Information System.
Looking at the existing network layout of the school, there are still some departments that
are not yet linked with each other which results to time consuming and less efficient. This propose new
requirement for management information system and their network system will hope for better
performance and quality transaction of school operations. The said proposal is subject to further
studies and research for improvements of their network system. It also suggest of additional and
further trainings for staffs and personnel. New design layout for network to effectively and efficiently
function in their daily transactions and operations.

Hope this proposal will able to consider some of the needed improvements of the schools
information management system and network system. The school will also consider providing more
trainings, seminars and updates of latest trend of technology.

John Paul II College of Davao embodies in its mission, vision, and itinerary of existence the
humble beginnings, life, experiences and the philosophy of its owners, the Evangelista family:
that in order to reach the heights and levels of the stars, the only way is through sacrifices,
hard work and dedication. As the famous adage goes, Theres no glory without sacrifices.

The personnel of John Paul II College comprise of Network Administrator coordinated by at


least three technical staffs which serves as the IT managers of the school. They are the one
who takes control of school networks which includes the computer laboratory, library, registrar,
human resource department, faculty room and the office of the director. They are the one who
makes the network structures, design, and maintenance.

In terms of communication protocol, the school has basically used the ftp as a
means of communication protocol. They havent use the http protocol yet since the
school doesnt have a website.

10.0 Media

Twisted-pair cable is a type of cabling that is used for telephone communications


and most modern Ethernet networks in John Paul II College. A pair of wires forms
a circuit that can transmit data. The pairs are twisted to provide protection against
crosstalk, the noise generated by adjacent pairs.

Their Network Operating Systems includes the Windows NT and the Linux Server.

The network hardware being used by the school is Hub, Router, Ethernet, Switch,
Workstations and File Servers.

The school is using network software like network spy which is a general purpose
diagnostic tool for administrators, programmers and students of network
technologies. It can operate in different modes depending on the application.

In terms of Network Backup, the personnel who are assigned in the school for
making backups are just using magnetic tape storage and disk storage.

15.0 Network /Systems Management


The Network/Systems Management of the school or the NMS manages the
network elements, also called managed devices. Device management includes
faults, accounting, configuration, performance, and security management.
Management tasks include discovering network inventory, monitoring device
health and status, providing alerts to conditions that impact system performance,
and identification of problems, their source(s) and possible solutions.

Network Operating System


The present Network Operating System being used by the school is the Windows
NT and Linux Server. With the propose NOS for the school, using Windows NT is
already a preferable NOS in implementing the computer network.

Systems Software
Another propose systems software to be used in the implementation of computer
Network in school is the Windows 7 Operating System, a software product from
Microsoft company and the Linux server which is just free OS software.

Application Software
The current application software being used by the school are mostly from
Microsoft, Adobe, and Macromedia products. In regards to the propose application
software, the school could still used the current software but may add the
following application software like OpenOffice which includes the Writer, Calc,
Impress, Draw, and Math. They may also add software for security like Microsoft
Security Essentials and some other reliable Virus scanner.

In terms of new staff or manpower, an additional IT positions proposal like assigning
computer lab assistant in every school computer laboratory. This additional manpower
like computer lab assistant will help the IT instructors and even non IT instructors in
using the computers, setting internet connection, control and access of server, proper
usage of laboratory facilities like printer, scanner, and projector, etc.

Identify IS training needs

Among the three main technical people from the Information System Department,
additional

training needs which I have seen is that since some are used to with the

old version of Microsoft products like MS Word, Excel, and others; A team of people
are in the process of changing their role within the business. Their new role requires
them to use Microsoft Office Excel 2007, but they have only used the 2003 edition.
They need IT training to update their skills to the new version. There are over 800
Microsoft online training courses and for some Microsoft products, such as Microsoft
Office Excel 2007, there are many Microsoft training courses available to choose from.
Aside from that a seminars and trainings about the latest software and technology
should be given to IT staff and personnel.
