2.

Field Account Number: Enter the Account Number of the customer from
whom the cash is being withdrawn. Press tab key. The account name and
message will be displayed.

3.

Field Amount: Enter the amount of withdrawal.

4.

Field Statement Narrative: Paid to appear by default. After that type


brief narration of the transaction.

5.

Click on Transmit.

6.

You will get "Cash drawer - Issue and Receive cash - Web page dialog"
Screen.

7.

Enter the amount of withdrawal in respective denominations.


CARE: The amount being entered should tally with the transaction
amount. Before clicking on Transmit, check that the Give/Receive field
is 0.

8.

Click on Transmit or press Enter key.

9.

You will get an OK message with the Name of the Customer.

10. If

the amount is beyond the Tellers capability level, it will generate a


queue reference number, which will be authorized by the Officer. Please
refer 14.01 for authorization process.

Field Account Number: Enter the Account Number in which cash is being
deposited. Press tab key. The account name and message is displayed.

3.

Field Amount: Enter the amount of cash received.

4.

Field Statement Narrative: Deposit by appears by default. Enter the


name of the person who deposited the Cash in the blank field. This will
appear subsequently on the enquiry screen.

5.

Other Fields are not relevant for the present transaction. (In case of
deposits for Janta Deposits received through the Janta Deposit Collector,
the Janta Deposits Deposit docket will also have to be filled in and all the
relevant details viz. Agent Number, JDCC Book No., JDCC Receipt No and
JDCC Receipt Date will also have to be filled in.)

6.

Click on Transmit.

7.

You will get Cash Drawer: Issue and Receive Cash - Web Page Dialog
Screen.

8.

Enter the amount of cash received denomination wise in Denom In/ Amount
In Field.

9.

Please ensure that the amount received is exactly the same as the
Transaction amount. For cash adjustments, if you have received an excess
amount from the customer, the difference amount to be refunded should be
entered in Denom Out/ Amount out Field.

10. Click

on Transmit or Press Enter key.

11. If

any Messages are set on the Account, a Message Box will appear,
displaying such Messages. Click on OK in the Message Box.

12. An

OK message along with the name of the customer will be displayed at


the bottom of the Screen.

13. If

the amount received is beyond the Tellers capability level, then a queue
reference number will be generated. The queue item to be authorized by
the officer for posting to the account. Please refer 14.01 for the
authorization process.

Changes consequent to BPR version:


After the cashier enters the cash receipt transaction and clicks on Transmit, the
Cash Drawer will get updated immediately.
A receipt will be printed for the transaction in the printer meant for this purpose.
If any exceptional conditions occur, after the transaction was committed or the
checker rejects the transaction then, the amount will be credited to a new BGL
account 98576BBBBC (Sundry Deposits Unidentified Credit Cash BPR.
For such entries in SD Unidentified Credits, system will display a reference
number for the entry and OK message with a warning. The user has to take
action for reversing the transaction manually from the BGL account.
This BGL account has to be monitored on a daily basis by the Branch officials, and
ideally there should not be any overnight balance in the account.

5. Field Instrument Type: Select 10. Savings Bank Account Cheque, or 11
for Current Account or other option depending on the type of account
from the drop down menu.
6. Transaction date is by default the system date.
7. Field Instrument Date: Enter the date of the Cheque in dd/mm/yyyy
format. Calendar help facility is also available.
8. Field Statement Narrative: Paid to is the default narration in the first
tab. Give brief narration for the transaction in the second tab.
9. Click on Transmit.
10. You will get a screen "Cash drawer: Issue and receive cash - Web page
dialog".
11. Enter the amount of cash to be paid denomination wise in the Denom Out/
Amount Out Field.
12. Please ensure that the amount paid is exactly the same as the Transaction
amount. Otherwise, system will give an error message.
For cash
adjustments, if you have paid an excess amount of Cash to the customer,

Field.

Click on Fetch fee button. This will calculate the fee etc. in case of nonhome transactions. In such cases, the Applicable Fee can be changed by the
user (the Calculated Fee is not editable). For home branch transactions i.e.
intra-branch transactions, this will be zero(0).

10. Click

on Transmit button.

If any Messages are set on the Account, a Message Box will appear, displaying
the Messages. Click on OK in the Message Box.

Field Account Number: Enter the Account Number to which the cheque is to
be credited. Press tab key. The account name and message is displayed.

Fields BCB Code enter the City Code, Bank Code, and Branch Code which
is available as a part of the respective MICR codes given at the bottom of the
Cheque.

Field Instrument Type: Select the appropriate instrument type e.g., '10.
Savings Bank Account Cheque' from the Drop Down Box.

7.

Field Instrument Date: Enter the date of the instrument, which should be
equal to or earlier than the System Date in the boxes in dd/mm/yy format.

Field Drawer Name/ Drawee Bank: fill in appropriately.

Field Statement Narrative: select one of the options Salary, Arrears,


Interest Warrant, Dividend, Bond, Refund Order, Misc from from the
Drop Down Box. Enter further details in the Box next to it.

Clearing Date: enter the date on which Clearing Advice would be


received from the Service Branch in the boxes in dd mm yy format.

Clearing Type: select the appropriate Clearing type from the Drop Down

05.07.Corrections:
A transaction that has been completed can be reversed on the same day
before EOD through the Correction Menu or using the Correction button in the
Journal. In this process, the original entry is reversed. You may wish to reverse an
entry if a wrong amount has been entered erroneously or a wrong account number
has been entered erroneously. After reversing the wrong entry, a fresh entry with
the right particulars needs to be posted.

1. You will be taken to the Screen SCR: 001120: Deposits: Correct Cheque
Deposits. This option should be carefully used for only making error
correction.
2. Insert account number, amount, Clearing type, Instrument type, Cheque No.,
City Code Bank Code, Branch Code, Instrument Date, Clearing date and trace no.
Note: Trace Number is the Host Trace No., which can be found out through
transaction enquiry in the account or through journal enquiry.
CARE: All details inserted for correction transaction shall be same as made while
original entry was posted into the system.
3. Field CMP Flag: retain the default option No.
4. Click on Transmit.
5. A queue reference number will be generated to be authorized by the checker
(Refer 14.01).
6. On authorization, an OK Message along with the Name of the account holder will
be displayed at the bottom of the screen.
An example of correction by picking the transaction from the Journal is given
below:
An amount of Rs.10000 was withdrawn by the customer. The voucher was written
for Rs.100 only. On clicking the Journal icon, the transactions are displayed as
under:

The first entry (i.e. the latest) cash withdrawal for Rs.10000 with Trace No.123036
is to be reversed; select the item by clicking once. Then click on Correction
button. This brings up the details of the transaction as shown below.

Please do not alter any information in this screen. Simply click on Transmit. Since
this is a Cash Withdrawal transaction that is being reversed, the Cash dialog box
opens for you to get back the money from the customer.

Key in the amount in the Denom In/ Amount In field. Ensure that the
Give/Receive field is 0. Then click on Transmit.

A confirmation of successful reversal is displayed by an OK message in the status


bar.

You can now do a Transaction enquiry on the account to see that the reversal has
taken place.

The next step is to put through a fresh entry for the correct amount for Rs.100/-,
which is the actual as desired by the customer.

Field Description: Enter brief description of the batch. This is mandatory.

Field Supervisor Overrides Reqired Y/N ?: It is by default Y (This enables


Supervisor overrides and facilitates on-line authorization for exceptions by the
officer for the transactions, wherever needed).

Click on Create Batch button.

Batch ID, Batch Status and No. of Items will be defaulted.

been selected, and the Loan Account Number is entered subsequently, the
Batch will be created. But on transmission, it will not be successful. The
system cannot tell you at the time of Batch creation, that you have entered a
Loan account Number, but selected the wrong Txn Type eg., Deposit: Credit.

Important Points:
When any entry is to be deleted, first add the correct entry to the batch, and
then delete the wrong entry. Click on Transmit.
If the Debit Transaction fails, the entire batch fails. An Error will be
displayed: Cannot Continue Batch Posting as Debit Transaction has failed.
Please modify the transaction before transmitting.
However, if the Debit transaction is successful, but even one of the Credit
transactions is unsuccessful, the Batch Posting Complete Message is displayed
at the bottom of the Screen, but the Status Field displays Failed.
In Batch Transaction, if any row shows "0:0:OK", with Batch Status as
Posted, it is actually a failed batch. Check the account and modify the
transaction.
Transfer Batch Functionality - changes:
1.

A new status "Host Resp Not Recvd" has been added for individual transactions
in a batch and a new button "Modify Txn Status" has been provided in the
Transfer Batch screen.

2.

Whenever there is any network error while posting a batch, the batch
transmission will Stop and the status of the item being posted at that
instant will change to "Host Resp Not Recvd". The user has to select that
particular item and perform a check by clicking on Modify Txn Status
button to see if the transaction has hit the host or not. Depending upon the
response from the host, the status of the item is changed from "Host Resp
Not Recvd" to either 'Created' or 'Posted'.

3.

When the transactions in a batch is having the status "Host Resp Not Recvd" we
cannot use the Delete Row or Modify Txn buttons.

4.

Batch Entry Screen: The label "Status" has been changed to "Batch Status" and
"Txn Status" in the respective places.

5.

Batch Status: The provision for Status Change of Batch has been removed. If
the status of a batch is either In Progress or Failed the Branch cannot send

EOD signal. If the batch is in In Progress status and the Branch does not want
to post the batch, individual transactions in the batch have to be deleted, so
that the status will change to Created. If the status is Failed, the Branch
has to retrieve the batch, modify the failed transaction or delete the failed
transaction and add new transaction to tally the batch and repost it.
6.

Batch Status Screen lists only 'Failed' and 'In Progress' batches.

Batch Search: Menu: Batch Transactions Batch Search


Fields Batch ID, Branch, Teller, Terminal are displayed.
If searching for a specific batch, enter the Batch ID. Otherwise, if the Batch ID is
not known, the Field may be left blank to locate the Batch.
Retain the Branch Code No appearing in the Field Branch.
If the Search is being done for Batch Transactions put through by a particular
Teller, enter the Tellers ID and/ or the Tellers Terminal No in the Fields Teller
and Terminal. These Fields can be left blank, if a branch-wide search is being
made.
In the Field Batch Status, select one of the options:
1: Created, 2: In Progress, 4. Posted, 5: Failed and All Statuses.
Select Transfer from the Drop Down Box.
In Field Retrieve Top, 20 appears by default. Change the number, if required.
Click on Execute.
Depending on the choice made in the Batch Status Field, the list of batches will
be displayed. The Field Status will display 1, 2, 4 or 5 for Created, In
Progress, Posted, and Failed respectively.
Select the required Batch and click on Return Batch ID.
This will take you to the Transfer Batch Screen.
Modify Batch:
Use the Batch Search menu option as detailed above to arrive at the Transfer
Batch Screen for amending the Batch.

If a transaction has been committed, the Response Message will display


Posted.
If a transaction has been created but not posted to the account, the Response
Message will display Created.

If there had been any network error while posting a transaction, the Response
Message will display Host Resp Not Recvd. In such cases, select that particular
item and perform a check by clicking on Modify Txn Status button to see if the
transaction has hit the host or not. Depending upon the response from the host,
the status of the item is changed from "Host Resp Not Recvd" to either 'Created' or
'Posted'.
If a transaction has to be modified, like changing the Account No or Amount,
select the Row and click Modify Transaction.
If a transaction has to be added, click on Add Row and enter the details of
another transaction to be added to the Batch.
If a row (transaction) has to be deleted, click on Delete Row. You will get a
message, Are you sure you want to delete the row. Click on Yes. The
transaction will be deleted.

After making the necessary corrections to the Batch, Click on Transmit.

This will take the transaction to the Queue.

If a Batch Status is In Process, a row cannot be added. In such a case, first


click on Delete Row to delete the transaction. You will get a message, Are you
sure you want to delete the row. Click on Yes. The transaction will be deleted.
Now, to add a transaction, click on Add Row and enter the details of another
transaction to be added to the Batch.
Many errors occur due to wrong account classification i.e. a CC account being
classified as Loan Account, or a G/L Account is classified as Deposit Account etc.
Transfer Batch Functionality with effect from 10.07.2006
To prevent generation of Gliff entries on account of failed transfer batches a new
BGL account Batch Posting OLRR (A/c No 99512+bbbbb+c) has been opened
which is mapped to CGL system Suspense Account (2148505001). This account is
accessible to branches for transaction enquiry purpose only.
In this functionality system will ensure that during authorization of the batch all
debits listed in the batch are transmitted and after confirmation of successful
posting of debits the credits are transmitted. System also ensures that a credit
does not happen if any one of the debits fails.
If first debit fails, system will not pass any internal entry.
If one or more of the debit posted successfully but one or more of the debit fails
then system will pass an internal entry of crediting BGL a/c 99512 with the sum of
all posted debits.
If all the debits in the batch are posted successfully but one or more of the credit
failed them system will credit A/c 99512 with the sum of all failed credits.
Branch has to enquire the above BGL account daily and ensure zeroisation of
account without fail.

If any of the transactions in the batch is a government transaction, then additional


details for the same must be entered through screen 7055. It may be noted that no
additional details are required for PPF AND SCSS accounts.
Please note that for rectification of batch the screens provided in the BGL
Batch/Technical Rectification Others should not be used.
The total of all pending failed batches will increase unrectified outstanding entries
in the CGL SYSTEM SUSPENSE ACCOUNT (INR 2148505001). To rectify the pending
entries in the failed batches, retrieve the concerned batch and rectify the failed
rows.
The details of failed batches can be obtained from Reports Printing Reports
Failed Transfer Batch Report. Once the batch is rectified the system will reverse
the entry in the BGL A/c 99512.
Split Transfer Batch Functionality:
In the existing transfer batch utility only one teller authorizes and posts the
complete batch. The split batch utility enables multiple tellers to authorize
individual items as per their financial powers, which is based on their capability.
This makes authorization and posting as separate activities.
In the new split batch functionality:
(a)

Any teller can be a maker

(b)

Maker can also be a checker

(c)

For one batch there can be more than one checker

(d)

Batches can be posted after all transactions are authorized

(e)

Any teller of the branch with a minimum capability 3 can post the
authorized batches to the host

(f)

The final responsibility of the transactions will be of maker and the


teller who authorized the individual items. The teller who posts the
batch to the host shall not be responsible for the transactions in the
batch

(g)

If all the rows are within the financial powers of the maker, the batch
will be posted directly

(h)

If one or more of the rows in the batch are beyond the financial power
of the maker, the batch will go to queue of all tellers

(i)

To a checker the system will display only those rows, which are within
his financial powers. Also all rows already authorized by tellers with
same or lower capability will also be displayed

(j)

Transactions that have not yet been authorized can be modified. If any
modification is required to be done in an already authorized transaction,
this transaction has to be deleted first and then another row with the
correct particulars is to be added

(k)

At the time of authorization only the capability level is validated

(l)

The supervisory override will be taken care of at the time of the final
posting to the host and the system will store the ID of the tellers who
authorized the override

(m)

The new functionality provides for the teller posting the batch to defer
the posting of a transaction, where an override is required. This will
enable the system to continue posting other transactions. In line with
the existing functionality, credit transactions will be posted after
posting of all debit transactions. If any transaction is deferred while
posting the batch, the status of the batch will be failed. This batch will
have to be retransmitted. The host response message will the minimum
capability level required for this override, so that the maker can resend
the transaction to a teller appropriate capability for posting the batch
finally

(Credit Balance) Transfer
You will be taken to the Screen No. \\SCR:003045 Deposits: Transfer Closure.
Field From Account: Give the account number of the account to be closed
Field To Account: Give the account number of the account where the amount
has to be transferred to.
Field Exempt from Penalty: choose YES from the Drop Down Box, if penalty is
to be waived; otherwise, if penalty is to be levied, retain the default option No.
Field Use Sp Int Rate: choose No from the Drop Down Box, if No Special
Interest Rate is to be levied; otherwise, in case any Special Interest Rate is to be
levied, choose Yes.
Field Sp Int Rate: if the above box has been set to Yes, incorporate the Special
Interest Rate in this Field.
Field Waive Period/ Event based Fees: Yes/ No.
Field Promo No: choose NF: No Fees from the Drop Down Box, if no Closure
Fees are to be levied, otherwise choose CF: Apply Closure Fees.
Click on Transmit.

The transaction will be submitted to checker for authorization and the checker has
to authorize the transaction
On authorization (Refer 14.01), an OK Message will appear.
Important: in case a Sweep has been set on the account, it must be removed
before the account is closed; otherwise an error message 2088: Sweep must be
deleted before Closure appears.

You will be taken to Screen No. \\SCR: 003080: Deposits: Accounts Closure by
Bank Cheque and Demand Draft.
Enter account number (Account that needs to be closed).
Case I (Closure by issuing Bankers Cheque/ Demand Draft):
Select Remittance type from the dropdown (1. Bankers Cheque/ 2. Demand
Draft). Insert Beneficiary Name in the Field 1 and Field 2.
Do not key in any BGL account Number.
Field Exempt from Penalty: choose YES from the Drop Down Box, if penalty is
to be waived; otherwise, if penalty is to be levied, retain the default option No.
Field Waive Period/ Event based Fees: select Yes/ No from the Drop Down.
Text Field Statement Narrative: enter the transaction details.
To key in the exchange on Bankers Cheque or Draft, click on Exchange button.
This will bring some more fields.
CARE: Key in the exchange amount in the Commission Field.
Click on Transmit.
The transaction will be submitted to checker for authorization (Refer 14.01) and
the checker has to authorize the transaction. On authorization, a Journal No is
displayed. Note down the Journal Number on the voucher as the same is to be
used for issuance of Bankers Cheque/Demand Draft later on(Refer 10.18).

Case II (Closure by transfer to BGL):


Select Remittance type from the dropdown (Transfer to BGL account/ Transfer to
RBI Suspense BGL account as the case may be).
Care: Branch Clearing Transactions are not supported on this screen.
Insert Correct BGL account number.
Click on 'Transmit'.
The transaction will be submitted to checker for authorization (Refer 14.01) and
the checker has to authorize the transaction
On authorization, Name of the account holder will be displayed at the bottom of
the screen of the authorizing officer.
05.11. Deposit Accounts: Closure Correction Credit Balances:
This option is to be used for reversal of wrongly closed accounts by issuing Bankers
Cheque/ Demand Draft/ Transfer to BGL account.
Care: In case Demand Draft/ Bankers Cheque is issued, this correction cannot be
made and Bankers Cheque/ Demand Draft needs to be paid by cancellation after
opening fresh account (to be tested).

This will take you to Screen \\SCR: 003180: Deposits: Correct Account Close by
Bank Cheque third party.
Enter the account number.
Case I (Closure by issuing Bankers Cheque/ Demand Draft)
Enter the Trace Number.
Field Transaction Date: enter the date of original transaction.
Note: Trace Number is the host trace no, which can be found out through
transaction enquiry in the account or through journal enquiry.
Do not insert any BGL account Number.
Click on Transmit.
An OK Message will be displayed at the bottom of the Screen.
Case II (Closure by transfer to BGL)

Key in the Trace Number.

Key in the correct BGL account number (The account in which amount is parked
after closure of the account).
Click on Transmit.
The transaction will be submitted to checker for authorization (Refer 14.01) and
the checker has to authorize the transaction.
On authorization (Refer 14.01), closure transaction will be reversed.
05.12. Transfer of a Deposit Account to another branch
05.12.01. TDR Transfer from a Core branch to another Core Branch:
Menu: Deposit CC/OD Accounts & Services Amend Deposit CC/ OD Account
This will take you to Screen \\SCR: 007050 Deposits: Change Details.
Select option as 9:Account Type/ Home Branch - in the return Screen.
Screen SCR: 007046 Deposits: Change Account Type/ Branch appears.
Change the Code number of the branch from the existing branch to the branch
where you need to transfer the TDR.
05.12.02. MOD A/c - Transfer to another Branch:
A MOD account cannot be transferred to another branch as this is linked to another
account (Savings Bank). Even if Screen 7050 - option 9. Account type/home br
change is used, the home branch cannot be changed.
Only after the link to the SB A/c is broken and the account becomes independent,
then only it can be transferred.
