Terminology:
1. Lodging Date: date on which instruments are being lodged; if not specified, the
System Date is picked up.
2. Posting Value Date: This is the effective date of credit and is equal to or less
than Clearing Date. This is the date on which Cheques under a particular batch
would be presented in Clearing House (Credit amount would be eligible for
interest calculation). As per RBI Guidelines, every Bank has to give credit to the
customer on the date the Bank receives the funds in Clearing. This is the date on
which customer accounts get Value date effect for interest calculation.
3. Clearing Date: This is the date on which Uncleared balance in customer
accounts will move to clear balance, on realization of cheques. This would be the

date on which the clearing credit advice is received from the service branch and
put through at the branch.
In case of Hi-Value Clearing, all the above 3 dates would be the same.
4. Session: It is defined as a combination of Clearing Type and Clearing Date.
Only one session can be opened on a date for a particular type of Clearing.
For example, there can be a session of MICR for 31-May-2005 and another session of
Non-MICR for 31-May-2005, but there cannot be 2 sessions of MICR for 31- May 2005.

13.02. Accounting entries:


The Outward Clearing Suspense Account is the intermediate account that holds the
amount of cheques lodged for clearing.
At the time of Lodging: (System-generated)
1. Dr. Outward Clearing Suspense A/c
Cr. Customer A/c
(The Cheque amount will be under Uncleared Funds in customers accounts)
Important:

When a cheque is lodged, the system will debit the corresponding Outward
Clearing Suspense A/c and credit the customers account.

The customers account is therefore credited at the time of lodgement itself.

However, the amount would be shown as Uncleared balance.

The transaction does not rank for Interest

Customer cannot withdraw the amount.

On the day of Realisation (based on TR advice received for total cheques

Separate Debits and Separate Credits is the appropriate method to be followed.
However some Circles follow the method of netting off in which case entry No.4
need not be put through.
Menu for Br Clg Txns is:

Outward Suspense A/c is not a reconciliation type of account. The account
should not accumulate balances. The account may show utmost 2 days clearing
amounts as balance depending upon the number of days involved in whole clearing
operation.
Flow of Activities in Outward Clearing:
Stages to be performed on day 1 i.e., on the day of lodging:
Stage I: Open Session Separate Sessions to be opened for different Clearing
types.
Note: Branch calendar should have been created for the month. Else error message
will be displayed as 5406:BRANCH CALENDER RECORD NOT FOUND
Stage II: Cheque Deposit Lodging of Cheques.
Enquire & balance Cheques lodged in the system.
Stage III: Close Session (Re-open Session if necessary Cheque Deposit Close
Session) it implies end of lodging of cheques for particular session.
Stage IV: Extract
Generate Outward Clearing Report
Stages to be performed on receipt of TR advice (Day 2 or Day 3):
Stage V: Mark Return

Pass TR Advice for Total Amount of Outward Clearing.

Pass TR Advice for Cheques Returned in Outward Clearing.

13.03. Session Maintenance:


Stage I: Open Session
Opening of a session this job should be done by the Officer-in-charge of
Clearing only.
Note: Cheques can be lodged in the system only after a Session (batch) is opened
for a particular Clearing Type and Date. Once the session is opened, multiple
tellers can do data entry. Separate Sessions are to be opened for different
Clearing types.
Menu: Clearing Outward Clearing Session Maintenance.
Field Clearing Type: Choose the appropriate type from the Drop Down Menu e.g.,
2. MICR from the options: 1. High Value, 2. MICR, 3. Non-MICR, 4. InterBank, 5. National, 6. Late Clearing High Value and 7. Late Clearing Others.
Field Clearing Date: enter the date on which the Credit can be released to the
customer; e.g., 3 days hence i.e., 17-05-2004 for 14-05-2004. (Note: It is not the
Service Branch/Clearing house clearing date).
Calendar facility is available for picking up the date.
Field Posting Value Date: The Posting Value Date (effective date) of credit is
equal to or less than Clearing Date. (From this date, the customer can get value
date effect for interest calculation. In the above example, the posting value date
may be 16-05-2004, when the Service branch/Clearing house has given credit to
the branch)
Field Action: Choose 1. Open Session.
Click on Transmit.
AnOK message is displayed.
Now the Tellers can lodge the Outward Clearing Cheque into the system.
Stage II: Lodging Cheques in Outward Clearing/ Cheque Deposit entry by
Tellers:
a) Single Instrument: When data entry is done for a single cheque, the Cheque
Deposit Menu can be used.
Note: The particular type of Clearing Session should have been opened before
lodging cheques.
Menu: Clearing Outward Clearing Cheque Deposit.
Screen \\ SCR:001020 Deposits: Cheque Deposit is displayed.
The following Fields have to be filled in:
Field Account Number: enter the Account Number to which the Cheque is to be
credited.

TAB KEY: After entering the account no, the user has to press TAB key so that the
appropriate screen will get automatically displayed, based on the type of the
account, for entering the particulars of Cheque and Deposit/ Loan/ BGL account
details.
Note: Once the User presses TAB key after entering the account no, the
customers name will also be displayed for Deposit and Loan accounts.
For Deposit Account: SCR: 001020 Deposits: Cheque deposit
For Loan Account: SCR: 011020 Loans: Cheque repayment
For BGL Account: SCR: 020020 G/L: Cheque deposit)
If you press F7 while the cursor is in the Account Number Field, the system will
pre-fetch customer details and display in a box.
Note: If the account is newly opened, you will get a Message at the bottom of the
Screen This is a newly opened Account. Please observe Caution.
Field Amount: enter the amount of the Cheque.
Field Instrument Type: select the appropriate Instrument type from the Drop
Down Menu e.g., 10. Savings Bank Account Cheque.
Field Cheque No: enter the Cheque number.
Fields City Code, Bank Code, and Branch Code: enter the respective MICR
codes given at the bottom of the Cheque.
Field Instrument Date: enter the instrument date, which should be equal to or
less than the Posting Value Date in the boxes in dd mm yy format.
Field Drawer Name/ Drawee Bank: fill in appropriately.
Field Statement Narrative: select one of the options Salary, Arrears, Interest
Warrant, Dividend, Bond, Refund Order, Misc from from the Drop Down
Box. Enter further details in the Box next to it.
Field Agent No: may be left blank.
Field CMP Flag: set it to No.
Field Customer Remarks: enter Remarks, if any.
Field Clearing Date: enter the date on which Clearing Advice would be received
from the Service Branch in the boxes in dd mm yy format.
Field Clearing Type: select the appropriate Clearing type from the Drop Down
Menu e.g., 2. MICR. (For which clearing session is opened)
Clearing Date and Clearing Type have been re-located at the bottom and need not
be entered again and there is no need to visit these fields after the first entry.
Click on Transmit button.
The Transaction will be submitted for authorization.

On the authorization screen , a new check box has been added : View Clearing
TXn. Click on both the check boxes viz., View all queues and View Clearing
Txns and click on execute button. You will get the outward clearing
transactions in a grid form. All the required information is available in a single
screen. The status of the transactions is P(Pending) as denoted in the left most
column before authorization. Upon authorization, the same will be updated as
A(Authorised) . Each row can be chosen and authorized. The scroll down can be
used to see more transactions. Similarly the screen can be scrolled left and right.
In case there is a validation when the record is authorized like invalid citi code,
invalid date etc., the checker is expected to take appropriate action.
On authorization, an OK message will be displayed at the Checkers terminal,
along with the Customers Name.
Note: If a Long Enquiry (SCR 032001) is made on the Account at this stage, the
Cheque amount would be displayed under Uncleared Balance. The cheque
amount would not be included in the Field Available Balance.
Note: Clearing date and Clearing Type will come as default till the user changes
these values.
Note: The user captured Drawer Name / Drawee Bank details during outward
clearing cheque lodgment will now appear in the customer Passbook/
Statement/Online enquiry along with the instrument number.
b) Batch Transaction: when the data entry is to be done for a bunch of
instruments, it can be done through the Batch Entry Menu. (For Multiple cheques
one credit)
Note: For Single cheque multiple credits, the user has to use an Intermediate BGL
account through Transfer Batch option.
Menu: Batch Transactions Batch Entry Screen.
Screen \\ SCR: Batch Prompt Screen is displayed.
Function: select Outward Clearing Batch Screen.
Fields Control Total and Total no. of items will be displayed.
Field Control Total: give the total amount of the cheques to be entered. This
total has to be done manually.
Field Total no. of items: enter the total number of instruments in the batch.
This total has to be done manually.
Click on Transmit.
This action takes you to Outward Clearing Batch Screen.
In the Field Description, give the brief description of the Outward Clearing batch
to be entered e.g., 27/05/2004.
Click Create Batch.

Field Total No of items: number of items is already displayed.


Click the white box for Supervisory Overrides.
The Control Total is displayed at the bottom of the Screen.
Note the Batch ID from the Batch ID Box.
Field Batch Status shows Created.
Click Add Row.
A new Screen for posting of the Cheques will appear. In the Field Txn Base at
the top, select the appropriate choice from the Drop Down Box:
SCR: 001020 Deposits: Cheque Deposit or
011020: Loans: Chq Repayment or
020020: G/L Cheque Deposit.
If option 001020 is selected, the system displays the same Screen as in Cheque
Deposit discussed earlier.
Fill in the entire Cheque Details.
Click on Transmit.
Note the Transaction ID displayed at the bottom of the Screen.
The entry will be added to the Batch.
In a similar manner, add all the Cheques to the Batch.
Click on the Close button to view the Outward Clearing Batch Screen.
Verify Batch Total and Control Total. They should tally.
Click on Transmit.
The Batch Transaction will be submitted for authorization.
On authorization, an OK message will be displayed at the Checkers terminal.
Batch Posting Successful message is displayed.
Click on Close button.
Clearing Total Modification:
In case the total amount and the total number of cheques differ from the control
totals, the control totals can be modified using the MENU:
Batch Transactions Clearing Total Modification.
Fill in the Batch ID and click on Retrieve Total
The original total amount and no. of cheques will be displayed
Enter the new total amount and new total number of the cheques in the
appropriate fields and Click on Transmit.

A message: Batch details updated. Please Fetch the Batch to work ith new data
ill appear.
Retrieve the batch from the Batch search Menu and transmit the batch and
proceed with the authorization as discussed above.
To enquire the total of Cheques lodged in Outward Clearing in the system, use the
Menu:
Clearing Outward Clearing Enquiries Clearing Session enquiry
This is dealt with under Section 13.05.
c) Trickle Feed Mechanism:
Trickle feed mechanism is dealt with in the chapter Interfaces.
Note:
Menu: Branch Administration File Upload Screen
Two fields Clearing Type and Clearing Date are added in this screen. These two
will be editable when OCL: Outward Clearing is chosen in the Upload type.
Stage III: Close Session.
After the data entry of Outward Clearing cheques is done, the Officer-in-charge of
Clearing will close the Session.
A Session can be reopened again, but has to be closed before Extraction.
Menu: Clearing Outward Clearing Session Maintenance
You will be taken to the Screen 002080: Clearing Session Transaction.
Field Clearing Type: Choose the appropriate type from the Drop Down Menu e.g.,
2. MICR from the list of options: 1. High Value, 2. MICR, 3. Non-MICR, 4. InterBank, 5. National 6. Late Clearing High Value and 7. Late Clearing Others.
Field Clearing Date: enter the date on which the clearing cheque amount moves
from unclear balance to clear balance; e.g., 3 days hence i.e., 17-05-2004 for 1405-2004.
Calendar facility is available for picking up the date.
Field Posting Value Date: The Posting Value Date (effective date) of credit is
equal to or less than Clearing Date.
Field Action: Choose 2. Close Session.
Click on Transmit. An OK message appears.
Re-Opening a Session:
A Closed Batch can be re-opened, provided the next stage of Extract has not
been carried out.
Re-opening of Session is done by Officer-in-Charge of Clearing.
Stage IV: Extraction

This means the list of outward clearing cheques is finalized. The Extraction
function extracts the data and creates a flat (ASCII) file for processing at Service
branch/ Clearing House. Through this Extraction process, the Branch authorises
CDC to create an ASCII file. The file will be generated at CDC and sent to the
branch for onward transmission to Service branch through floppy.
The files are available at E: Application\ CDC\ Interfaces\ extracts-from-cdc.
Menu: Clearing Outward Clearing Session Maintenance
You will be taken to the Screen 002080: Clearing Session Transaction.
Field Clearing Type: Choose the appropriate type from the Drop Down Menu e.g.,
2. MICR from the list of options: 1. High Value, 2. MICR, 3. Non-MICR, 4. InterBank, 5. National 6. Late Clearing High Value and 7. Late Clearing Others.
Field Clearing Date: enter the date on which the Clearing takes place; e.g., 3
days hence i.e., 17-05-2004 for 14-05-2004.
Calendar facility is available for picking up the date.
Field Posting Value Date: The Posting Value Date (effective date) of credit is
equal to or less than Clearing Date.
Field Action: Choose 4. Extract.
Click on Transmit. An OK message appears.
Important: After a Session is extracted, it cannot be re-opened; no cheques can
be entered after Extraction.
The Outward Clearing Report has to be printed after this. This is covered in
Section 13.08.
The Print Out has to be sent to the Service Branch with the Cheques.
After Extraction and Printing of Outward Clearing Report, the Lodging day work is
over.
On receipt of TR advice:
Stage V: Mark Return.
At the time of lodging of cheque, the customers account is credited as Uncleared
Balance by debit to Outward Clearing Suspense Account. When the cheque is
returned unpaid from the Clearing House, the user has to use the option Mark
Return to reverse the amount.
The system also recovers the applicable charges based on the reason for the
return.
Mark Return should be performed before doing the action CLEAR BATCH.
Clearing Outward Clearing Mark Returns
You will be taken to the Screen SCR: 028000 Prompt Screen for Cheque Return.
Note that the Account No. need not be given in this Screen.

Field Cheque No: enter the cheque number.


Field Clearing Type: choose the appropriate one from the Drop Down menu.
Field Clearing Date: enter the Clearing Date.
Field Amount: enter the amount of the cheque returned.
Field Instrument Type: choose the appropriate one from the Drop Down menu,
eg., 10. Savings Bank Cheque.
Field BCB/MICR Code :Fill in City Code, Bank Code, Branch Code as given at the
bottom of the instrument.
After transmitting the screen 28000, the new pop-up screen will appear for
selecting the Return reason. This pop-up screen automatically closes on transmit
and screen 28000 will be available for processing the next record.
Note: If Insufficient funds is selected as reason, charges will be levied and an
amount of Rs 55/- will be directly debited to the account of the customer.
The Transaction will be submitted for authorization and on authorization an Ok
message will be displayed at the Checkers terminal.
When a cheque is marked for return, the system debits the Customer A/c (reverses
the earlier credit) and credits Outward Clearing Suspense A/c. The system
generates the following transaction:

Cr. Outward Clearing Suspense A/c.
Branch Clearing entries to be passed after Marking Return:
Pass TR Advice for the Total Outward Clearing Amount, manually. This is a BGL to
BGL transaction. This reverses the earlier debit to Outward Clearing Suspense
A/c by debiting Branch Clearing.

Cr. Outward Clearing Suspense A/c.
Pass TR Advice for the Returned Cheques Amount, manually. This entry reverses
the earlier system-generated credit to Outward Clearing Suspense A/c.

Stage VI: Clear Batch
This action clears the batch of a clearing session, i.e. all the Uncleared balances in
customers accounts will move to Cleared Balance.

You will be taken to the Screen 002080: Clearing Session Transaction.
Field Clearing Type: choose the appropriate one from the Drop Down menu.

Calendar Facility is available.
Field Posting Value Date: effective date of credit should be equal to or less than
the Clearing Date.
Field Action: choose 5. Clear Batch.
Click on Transmit.
A message All Cheques belonging to this Session will be cleared will be displayed.
Confirm the same by clicking on OK.
A OK message appears.
The Uncleared Funds in the customers accounts will be cleared after updation at
CDC.
If Clear Batch is done first and then Mark Return, the system will not ask for
Supervisory Override. But in such cases, the funds will be available for the
customer and he/ she can withdraw funds from anywhere. Therefore, the
sequence of Mark Return, pass accounting entries, and then Clear Batch has to be
followed meticulously.
With this, the process of Outward Clearing is over. Let us now see some
special issues and menus.
13.04. Holiday Processing:
When a Holiday is suddenly announced on a particular Clearing Date (either for a
Bank as a whole or a branch of a Bank at a particular centre), use the Holiday
processing Menu to mark Holiday.
For example, Clearing Date 31/05/2004 has suddenly been declared a Holiday.
The entire Clearing Batch will be rolled over to 01/06/2004.

If the entire Clearing house is not functioning, just key in the City Code.

If all the branches of a particular Bank are not functioning, fill in the City
Code and Bank Code.

If a particular branch of a particular Bank is not functioning, fill in the City


Code, Bank Code and Branch Code.

Against Existing Clearing Date: enter old Clearing date.

Against New Clearing Date: enter the new Clearing date.

Click on Transmit.
If an Outward Clearing session has not been created, or it has been Cleared, an
Error Message appears 5062: Outward Clearing Session does not exist.

After authorisation of all cheques, enquire the balance of Cheques lodged in the
system. The following menu provides for enquiring the status of the session as
well as cheque status.

You can enquire about the status of the clearing session.
Key in the Clearing type and clearing date and click on Transmit.
The Session Status, with Total cheques with batch total will be displayed.
The various Clearing session statuses are:

OPEN: The session has been opened and the user can post the cheque for this
clearing date/clearing session.
CLOSED: The session is closed for lodging cheques. The next step is EXTRACT
where final reports are generated. The user cannot lodge any more cheques for
this clearing date/clearing session. However there is a provision to REOPEN the
clearing session and lodge clearing cheques. After entering the cheques the session
is to be closed.
EXTRACTED: The session is sealed and no more cheques can be lodged at this
stage.
READY FOR CLEARING: After the user performs CLEAR BATCH on clearing date
the clearing session status will be shown as ready for Clearing.

CLEARED: The uncleared balance in the customers account will be moved to clear
balance at this stage. After the user performs the action CLEAR BATCH it will
take sometime to clear the uncleared balance.
Cheque Enquiry:
The following menu provides for enquiring the status of a cheque lodged in
outward clearing to the customers account.
Clearing Outward Clearing Enquiries Cheque enquiry (SCR:002086)
Fill up the field Account no. The Instrument Number field is optional and a
cheque number can be entered here to enquire about a particular cheque.

Select the Instrument Status Field as 01. ALL, so that he can enquiry the
various status of the cheque deposited in the account. The other options in this
Field are: 2. Posted, 04. Corrected, 05. Returned, 06. Cleared.
Screen 002087: Cheque Deposit Enquiry is displayed.
13.06 Correction:
This menu can be used for reversing the entries put through on the same day. This
is available as sub menu. The user has to key in all the relevant particulars
including the TRACE NO of the original transaction, which is to be reversed. The
Trace No can be found from the Transaction enquiry.
Note: The user has to put through the correct transaction after reversing
(CORRECTION) the erroneous entry.
Note: There is also provision for correction in the View Journal Icon available in
the tool bar.
13.07: To clear a pending batch:
The option Clear Batch should be done on the clearing day. If for any reason
clear batch is not possible on the clearing day, the user has the option to clear on
the following day. In this case, the original clearing date is to be given in session
maintenance for clearing the previous clearing batch.
For e.g., the following are the clearing dates of the branch:

On 18.06.08, the branch has received the Transfer Responding advice for all the 3
days. After marking return in the system, for all the 3 days cheques, the Branch
has to do CLEAR BATCH for 3 times for each day (like Clearing date:
16.06.08,17.06.08 and 18.06.08) individually.

13.08. Outward Clearing Report:


Reports for Outward Clearing can be taken at branch level as well as from CDC.
a) at branch level:
Menu: Reports Printing Reports Branch O/W Clearing Report
Enter the Report Type, Clearing Date and Session Initiation Date.
Click on Transmit.
Select the Printer where the Report is to be printed.
This report contains the details of cheques lodged on a day.
Reports Printing Reports Branch O/W Clearing Report
Report type: There are two options:
1. Cheque wise report
2. Bank wise report
Choose one of these as required.
Clearing Date: Enter the Clearing Date of the session.
Session initiation date: Enter the date of lodging.
Click on Commit.
A message will be displayed: All transactions committed
Click on Transmit.
Report saved on Branch Server message will be displayed.
Note: The report has to be printed from the Server from the SavedReports folder.
Important points to be remembered while handling Outward Clearing:
Outward Clearing is one of the 15 actions to be checked in the checklist
prior to EOD.
Outward Clearing comprises 6 Stages of activities: I: Session Opening, II:
Cheque Deposit, III: Close Session, IV: Extraction, V: Mark Return and VI:
Clear Batch.
When the other Bank returns the instrument, Mark Return has to be done
after Extraction but before Clear Batch, before giving Credit to the
customer.
If Mark Return is done through the system, Charges will be recovered
automatically.
Correction facility is also provided under Outward Clearing. Menu: Clearing
Outward Clearing Corrections. Screen \\SCR: 001120 Deposits: Correct
Cheque Deposit.

Inward Clearing cheques can be processed in 3 ways in B@ncs24.


The User can use any one of the following 3 methods: 1) Manual Cheque Presentation:
Cheques are entered and processed individually.
2) Batch Process:
The user has to create Inward Clearing batch and enter the cheque particulars in
a batch and the batch of cheques gets authorized in the batches. It is
operationally convenient to use the Batch Entry option rather than the Manual
option, so that posting and / or rejection of the cheques will be done by the
system automatically.
3) Trickle-Feed Mechanism:
The file received from Service branch/ Clearing House containing the cheque
particulars is uploaded by the branch to CDC through FILE UPLOAD menu and the
cheques are processed by the system at CDC. This is covered under Interfaces.
Different types of instruments processed in Inward Clearing:
a) Customer Account Cheques
b) Non-customer account instruments like Draft (DD), Bankers Cheque (BC),
Gift Cheque (GC), Travellers Cheque (TC) etc.
Inward Clearing has 3 sub-menus: Presentation, Dishonour, and Correction.

The user has to manually reverse the OLRR dishonour account with the Transfer

Note the Transaction ID appearing at the bottom of the Screen. The entry will be
added to the Batch. In a similar manner, add all Cheques to the Batch.
Click on the Close button to view the Inward Clearing Batch Screen.
Verify Batch Total and Control Total. They should tally. Click on Transmit.
After all the instruments received in Inward Clearing are entered in a Batch or
batches by the user, the batch/ batches will be submitted to the Checker for
authorization. The checker has to verify all the cheques individually and authorize
the batch.
(Verification should be made for individual transaction, appearing as a row in a
batch, in respect of signature, correctness of customer/ account particulars etc.
After verification is made in this manner, the entire batch can be authorised).
Batch has been successfully posted message appears if all the instruments in the
batch are posted.
Otherwise Batch failed: Intimate the maker message appears. In such cases, the
user has to check for the reasons for which the batch has failed by going to the
batch search option. The Response Message Column indicates the Reason for
Failure.
Failed instruments will be posted to OLRR Suspense Account (98557 + 5 digit
Branch code + Check Digit). These have to be separated and processed (whether
to pay the cheques or dishonour it) through Online Rejection Referral Enquiry.

Enter the batch ID and remove the Teller No, Terminal No. Select the option as
Inward Clearing

The failed batch will be displayed. Select the failed batch click Return batch ID.

13.13 Correction:
This menu can be used for reversing the entries put through on the same day. This
is available as a sub-menu. The user has to key in all the relevant particulars
including the TRACE NO. of the original transaction, which is to be reversed. The
Trace No can be found from the Transaction enquiry.
Please Note that the user has to put through the correct transaction after
reversing (CORRECTION) the erroneous entry.
Note: there is also provision for correction in the View Journal Icon available in
the tool bar.
13.14 OLRR (On-line Rejection Referral)

When Inward clearing cheques are processed in an Inward Clearing Batch/ Trickle
Feed, the failed instruments (Other then DD/BC/GC/TC) are automatically debited
to OLRR Suspense account.
Note: Only failed customer cheques will be posted to OLRR account and not
remittance instruments.
The User has to separate the failed instruments from the processed batch. After
noting the failed instruments in Inward Clearing Batch/ Trickle feed, the user has
to go to following menu for processing failed instruments:
Clearing Inward Clearing Presentation Online Rejection and Referral
Enquiry.
Screen SCR: 009751 is displayed.
Enter the Transaction date.
Select the Transaction type as Batch for Inward Clearing batch [Cheque
Clearing for Trickle Feed] and enter Transacting Branch Code.
Use any one of the following filters to retrieve the failed instruments:
Account Number (or) Cheque Number (or) Account manager (or) Home
Branch (or) Transacting Branch.
Note: Account manager field is not used at present.

Action: if the User chooses to Dishonour the Failed Instruments:
When an instrument which fails in Inward Clearing Batch/ Trickle Feed is parked in
OLRR account and if the user wants to Dishonour it:
Choose the user action field as Dishonour
Select from the Field Correspondence Action Dishonour.
Select from the Dishonour Reason Field, the reason for dishonour.
The Supervisory Override screen for the Dishonour Transaction, which has to be
authorized by the checker having the appropriate capability level.
The System passes the entry by debiting the OLRR Dishonour account (BGL account
No. 97857) and crediting the OLRR Suspense account (reversal of earlier entry).
The system will also debit the Dishnonour charges as applicable.

Precautions to be taken in Inward Clearing Module:

While creating Inward Clearing Batch, the Control Total and the number
of items should tally with the instruments on hand.

For Trickle Feed Mechanism, the correctness of the file should be doubly
ensured before uploading to CDC.

Transfer Responding Advice received from Service branch has to be


responded.

Before EOD, ensure that the following Accounts have NIL balances:
o 98543:- Inward Clearing Suspense Account
o 98557:- OLRR Suspense Account

OLRR _ Dishonour (98575) account may have a debit balance equal to the
total amount of Cheques returned to Clearing house. The Transfer
Responding Advice received for Returned Cheques are to be credited to
OLRR _ Dishonour (98575) account.

Failed Instruments in Batch/ Trickle Feed should be processed only through


OLRR Equiry menu.

If the Inward Clearing cheques are processed through Trickle Feed, please
ensure that the User who had uploaded the file should not log-off while the
transactions in the queue are authorised.

Cheque books should be entered in the system whenever it is issued to the


Customers; otherwise the cheques will fail when presented in clearing.
Also, during migration, all cheques ranges must be captured properly.

Cheques of correct account type should be issued. Cheque types (savings


bank, current account, cash credit account) should not be interchanged.
This is necessary to ensure against transaction failure in Inward Clearing.

Inward Clearing Processing Thru Trickle Feed Mechanism


Trickle Feed Mechanism (TFM) will be used for posting Inward Clearing instruments
through electronic file (instead of manual posting). Under this, only instruments
relating to Savings Bank, Current Account and Cash Credit Accounts will be
handled. Other instruments like Draft, Bankers Cheque, Dividend/Interest
Warrants etc., will continue to be posted manually.
Care: If the input file contains instruments of other types (i.e. other than Savings
Bank, Current Account and Cash Credit Accounts, those records will not be
processed. They have to be processed manually.

Reports
The core banking system will generate reports for each of the file uploaded into
the system. The report is in normal text format. It contains status of each
transaction (i.e., successful or unsuccessful) and an analysis of total debits of the
transactions processed. The transactions appearing in this report should be duly
checked with the clearing instruments and authenticated by the checking official.
The checked report shall be filed for audit purposes. A consolidated Voucher
Verification Report containing all the transactions handled through trickle feed on
that day will be generated at EOD and sent to the branches.
If the reason for the failure of an instrument is No such account, it means
that in VPIS, there are more than one cheque having the same cheque number
issued to more than one customer. In such cases, identify the right account
number from the instrument and manually post these instruments accordingly
as explained under the relevant head in STEP 7
Against all unsuccessful transaction, OLRR System Suspense account will be printed
to denote that the failed transaction is parked in this account. If no account
number is printed against failed transaction, it implies that TFM has not made any
accounting entry for this record.
Precautions
It should be verified that the amount of cheque has been properly encoded.
Should there be any difference, it should be taken up with Service Branch.
It should also be verified that instruments other than SB, CA & CC are not
classified under SB, CC or CC and vice versa, in the file received from Service
Branch.
If other instruments are classified into SB, CA or CC OR an SB or CA or CC
instrument is misclassified in any one of the type in SB, CA or CC, TFM will
debit the customers account in the branch, which is having a valid cheque
number matching the cheque number in the misclassified record. (e.g., Savings
Bank Cheque misclassified under Current Account in Inward Clearing file from
Service Branch will be posted to Savings Bank account provided the cheque
number tallies). Similar problem may arise if Cheque book of one type is given
to another type (e.g., SB Cheque to Current Account)
If an SB, CA or CC instrument is classified erroneously under any other
instrument type (like draft or Bankers Cheque), they will have to be posted
manually
This mechanism is applicable for branches in MICR centres only.
Process Flow
STEP 1
Receive the input file from Services Branch through email / floppy. If the data is
received in floppy, check the floppy for virus. For this purpose, Anti-virus software
should be kept up-to-date. Do not change the order of instruments. i.e., Keep

them in the same order in which it was received from Service Branch. Separate
instruments other than Savings Bank, Current Account and Cash Credit without
disturbing the order and release any such other instruments for manual posting.
Run the program installed in the branch to verify the total of SB, CA and CC. The
total of instruments in input file should be equal to the total of SB, CA & CC
instruments. Add the total of other instruments and verify that the grand total
tallies with that of total of Transfer Advice received from Service branch.

The input file may be copied in the relevant directory of Branch Core Banking
server -- \ftp\Interfaces\Batch_uploads. (This has been explained in the draft
manual on Salary Posting)

STEP 5
A cron job will be running every 10 minutes at CDC, which will be processing the
Inward clearing file. A report will be generated immediately after processing and
ftped to the respective branches. Against each record, the report gives the
status. Processed means successful. Otherwise it gives the reason for failure and
the account number where the failed transactions have been posted. If no account
number is indicated against failed record, it means that no accounting entry has
been passed by the system. In which case, necessary accounting entries are to be

On completion of posting of all Inward Clearing instruments (either through TFM or


manually, explained above under various heads) are completed, the balance in
Inward clearing suspense a/c will be equal to the total of Transfer Advice received
from Service Branch. By debiting Inward clearing suspense a/c and crediting
Branch Clearing General a/c manually, the balance in Inward clearing suspense a/c
will be zero. If not, reconciliation should be carried out.
CARE: In a rare situation, TFM may not post an instrument into an account on
account of a failure, reason of which has not been defined in the system. In such
cases, the total of instruments appearing in Trickle Feed report will not be equal
to the total instrument uploaded. This can be identified by the non-appearance of
any account number against rejected transaction in the Trickle Feed report. This
has to be handled as explained.

On Transmit, applicable charges will be recovered and no accounting entries will


be posted as Trickle Feed has already debited OLRR Suspense account. At the end
of the day, balance in OLRR Suspense a/c should be equal to the amount of
cheques dishonoured (which should be reversed on receipt of TR from Service
Branch). If there is no return, then the balance should be zero in OLRR Suspense
a/c.

be paid (honoured)
Go through the following menu, Clearing Inward Clearing Presentation
Manual Cheque Presentation. The following response screen (051071) appears.

Cheque rejected by Trickle Feed and NOT debited to OLRR Suspense a/c but is to
be returned unpaid.
In a rare situation it may happen that a cheque has been rejected by Trickle Feed
but not debited to OLRR Suspense a/c and Inward Clearing Suspense a/c is not
credited. To add to the complication, if the cheque is to be dishonoured, the
following screen (Inward Clearing Dishonour Cheque Dishonour should be
used for posting. Posting through this specific menu will debit OLRR Suspense a/c
and Credit Inward Clearing Suspense a/c. If not done, there will be difference in
the total clearing instruments (SB, CA & CC) received from Service Branch and the
total of Trickle Feed posting.
