Any changes to search navigation are prohibited. If you have a strong business
need for custom search navigation, please see the Sharepoint Collaboration Service
Manager.
Indexing frequency: Indexers run approximately every 15 minutes. Content
changes such as adds, updates, or deletes should be reflected in search results within
15 minutes.
Re-Index Site option: This option is generally discouraged as all site content will be
reindexed on a regular basis by the Sharepoint search crawlers. However, electing
the re-indexing option may be appropriate if a site has changed as per below and
search access is needed urgently (faster than 15 minutes):
Note that most content changes to a site such as additions, updates, or deletes will
get reflected in search, i.e., seen by users, within 15 minutes or so, so the Re-Index
Site option should be used only in urgent situations.
Managed search properties are configurable at the site level.
Best Bets will be supported in Sharepoint Search 2013. Details on Best Best
administration are work in progress.
HP Data Drive hosted in HPs private data cloud is intended to replace your
business usage of public cloud services like DropBox and Box. With this new solution,
you can store, sync and share your HP business files across multiple devices.

Access Services

SQL Reporting Services requirement and version compatibility management issues
between Access clients and SharePoint.

DESCRIPTION
Self-service site creation allows users to provision SharePoint sites themselves. Toplevel self-service site creation is configured by SharePoint farm administrators,
whereas self-service site creation for sub-sites within a site collection is configured by
the site collection administrators.
In all server farms that allow self-service site provisioning, HP customizes the
standard SharePoint provisioning page to ensure that all sites have a unique name
across the entire enterprise. Enforcing name uniqueness enables HP IT to support
permanent site names and our short URL feature. Unique names also make migration
and site moves easier.

Default site templates are provided by SharePoint for top-level and subsite creations.

Online web part gallery is a power user feature. To avoid confusion, online web part
gallery is blocked. Users can still upload customized web parts manually to their
site's web part gallery.
Recycle Bin
POLICY
SP2013includes a two-stage recycle bin consisting of a Stage 1 recycle bin, which is
site focused, and a Stage 2 recycle bin, which is site collection focused. The content
expiration period, after which content is automatically deleted, is 30 days,
cummulative, for the two bins.

DESCRIPTION
SharePoint supports two levels of Recycle Bins at the site level (Stage 1) and site
collection level (Stage 2). Items in the Stage 1 recycle bin can be recovered by users
with the appropriate permissions. Recovered items are restored to their original
location. The Stage 1 recycle bin is counted as part of the site collection quota.
The Stage 2 recycle bin is a site-collection-level recycle bin, accessible only by toplevel site administrators and site collection administrators. It includes all existing
items in the Stage 1 recycle bins within the site collection, items that have been
deleted from the Stage 1 recycle bins, and any sites that have been deleted within
the site collection. The Stage 2 recycle bin is not counted as part of the site collection
quota, and its capacity is adjustable by SharePoint farm administrators.

POLICY
The HP IT Collaboration farms will support sites in English and Japanese.
DESCRIPTION
Language packs enable site owners and site collection administrators to create
SharePoint sites and site collections in multiple languages. English and Japanese are
the only two supported languages.
Inbound Email
POLICY
Email-enabled lists are enabled in all Collaboration farms. Maximum message size is
25 MB in 2013 farms (reduced from 50 MB in SharePoint 2007 farms to align with
Messaging).

DESCRIPTION
Incoming email enables SharePoint sites to receive and store email messages and
attachments in lists and libraries. This new feature enables teams to store the email
that they send to other team members without opening the SharePoint site and
uploading the content that was sent in email. This is possible because most types of
lists and libraries can be assigned a unique email address.
Outbound Email
POLICY
Outbound email is enabled in all Collaboration farms. SMS is has not been
implemented by HP IT.
DESCRIPTION
Users can configure SharePoint to send email alerts that are triggered by certain
events, such as changes to lists or documents. SMS support has not been
implemented because of telecom contract dependencies.
RSS Feeds
POLICY
RSS feeds are enabled on all Collaboration farms.
DESCRIPTION
Real Simple Syndication (RSS) feeds deliver new content to you on the topics in
which you are interested. RSS provides a convenient way to syndicate information
from a variety of sources, including news stories, updates to a Web site or important
bulletins. Most people take advantage of some form of feed-reader software to
monitor updates to RSS feeds.
SharePoint offers server-side RSS feeds, as well as a client-side RSS reader (RSS Web
Part) to consume RSS feeds from any RSS-enabled site. When RSS is enabled for a
web application, you can modify a list or document library to publish RSS feeds. For
each feed, you can configure the RSS channel options, document options, what
columns to publish, and how many items to include.
By default, the RSS Web Part supplied with SharePoint only supports anonymous
feeds. Authenticated feeds require constrained delegation, which must be configured
by IT. Thus, for the RSS Web Part to consume SharePoint feeds on the HP
Collaboration farms, you may need to enable anonymous access to the list or site.

Workflows
POLICY
Predefined workflows and declarative (created with Designer) workflows are allowed
in all farms. Note that Sharepoint 2013 workflows will not be supported until early FY
15. Until then, Sharepoint 2010 workflows will work in SharePoint 2013 sites.
Compiled workflows (created with Visual Studio) are not supported because
they require the deployment of server-side code. Server-side code creates
significant performance risk and maintenance challenges.
By default, email-enabled workflows are disabled. This means workflows will not start
when items are added via email. IT has security and performance concerns with autostarting workflows by email.
Usage of workflow history lists for long-term (greater than 30 days)
history/auditing is strictly prohibited. Workflow history lists are system
assets and subject to administrative actions, such as deletions for file
management purposes, and cannot be relied upon for archival, validation,
or other purposes. If your workflow management requirements dictate that you
need workflow history data for longer than 30 days it is recommended that you store
this data in a custom list on your site.
DESCRIPTION
Workflows can be used to consistently manage common business processes within an
organization by enabling the organization to attach business logic to documents or
items in a SharePoint list or library. Examples of business processes that could be
facilitated by workflows include contract approvals, issue tracking, and content
publishing.

DESCRIPTION
WebDAV is a protocol that allows SharePoint sites to be accessed by UNC path name,
for example, \\ent11.sharepoint.hp.com\teams\myproject. This allows users to use
standard Windows Explorer to drag and drop files into SharePoint sites. Users may
enter the UNC path directly in an existing Windows Explorer window, or launch
Windows Explorer from Internet Explorer.
Document Conversions
POLICY
This feature is not available on the Early Adopter farm, and there are no plans yet to
offer this feature on other farms, as IT has not completed testing, and user interest
has been low for this feature.
DESCRIPTION
Document Conversions transforms files from document types to standard web pages.
Built-in convertors shipped in a default SharePoint installation include Microsoft Office
Word, Office Infopath, and XML. This feature enables users to create documents in a
familiar program and then publish them as Web pages within a site collection.

Content type hub is not supported due to IT unresolved issues with content type
ownership and change management of shared content types.
DESCRIPTION
This service consists of a centralized term store and provides the following features:
Enterprise Keywords words or phrases created by end users, used in social
tagging (which is a triplet consisting of user, URL, term) as well as content tagging
(terms associated to specific list items or documents). Keywords are reused globally
(across farms and site collections).
Global term sets (Enterprise taxonomy) pre-defined (managed) terms that are
often organized into a hierarchy, and shared across site collections. Only authorized
users with appropriate permissions may update the managed terms. Currently, there
are no managed terms in the global term set.
Local term sets allows list owners to specify taxonomy scoped to a single site
collection.
Content type publishing allows for sharing of content types across site
collections.
DESCRIPTION
PowerPivot for SharePoint extends Excel Services by integrating the PowerPivot's
large scale data processing capability into SQL Server and SharePoint. PowerPivot
allows workbooks to exceed the one million row limit, but they are still constrained by
SharePoint's 2 GB file size limit. PowerPivot server components must be installed on
both SharePoint and SQL Server.
PowerPoint Services
POLICY
PowerPoint Services is enabled in all Collaboration farms. Broadcasting is not
supported because slide sharing during presentations are already supported with HP
Virtual Rooms.

DESCRIPTION
PowerPoint Services is a component of the Office Web Apps feature, newly released
with SharePoint 2013. It renders PowerPoint slides (ppt and pptx extensions) in the
browser, for viewing as well as editing. Broadcast Slide Show is a new feature in
Office 2013that allows presenters to broadcast a slide show to remote users via a
web browser. It requires SharePoint farm administrators to define a PowerPoint
Broadcast Site collection. Presenters may use broadcast sites hosted by their IT
organization, or the public broadcast service by Microsoft.

PerformancePoint Services
POLICY
HP intends to support PowerPivot in mid-FY14.
DESCRIPTION
PerformancePoint Services 2013 allows users to quickly create business intelligence
dashboards on SharePoint 2013. Authors use a client-side application called the
Dashboard Designer, which allows for definition of KPIs, scorecards, charts, and so
on.
PerformancePoint can leverage a variety of data sources to render its dashboards,
including SharePoint lists, web services, and line of business data sources.
Sandboxed Code
POLICY
Sandboxed code is NOT supported in Sharepoint 2013. Sandboxed code has been
deprecated and replaced by App Catalog capabilities.

Security
POLICY
Anonymous access is allowed in all Collaboration farms. It is up to site and content
owners to enable this.
Currently, SharePoint 2013 farms are generally not accessible over the Internet.
However, some employees may use the HP Secure Web Access (SWA) service on a
limited basis to access internal web sites. An investigation effort is underway to test a
general purpose solution for accessing SharePoint for mobile employees at customer
sites, and mobile devices.
DESCRIPTION
Anonymous access allows unauthenticated users read-only access SharePoint
content. The common use cases for anonymous access are Unix desktop users who
do not have Active Directory accounts.
Anonymous access can be enabled on a SharePoint site, list or library. If anonymous
access is enabled on the site, users will be able to view all pages in the site, as well
as view all lists and items which inherit permissions from the site. If anonymous
access is enabled for lists and libraries, users will be able to access only the specific
lists and libraries that have enabled permissions for anonymous users.
SharePoint Designer
POLICY
Site owners may not make any changes that alter or removes HP IT branding,
including detaching from the default master page, customizing master and layout
pages, or detaching pages from the site template. Sites that are used for publishing
and branding belong in the WPC service. In the interim, if you require advanced
branding capabilities in your 2013 site, approval is required by Collaboration Service
Management.
IT discourages the use of Designer for modifying SharePoint content and
does not support changes made using Designer.

Changes made by Designer often remove key Sharepoint tools located in the
standard banner and hinder manageability and migrateability. Site owners are
responsible for the risks introduced through the use of Designer.
Note: SharePoint Designer is not deployed as a standard PC COE application. Users
must install it manually on their desktops. It is essential that Designer and Sharepoint
releases align.

Changing location of web part zones, width of column of pages, layout
changes
Configuring the DataView web part
Creating workflows (SP2010 workflows ONLY are supported until early FY15,

during migration. HP IT does not support migration of highly customized sites.

DESCRIPTION
SharePoint Designer is an optional Office client that offers a richer integration with
SharePoint. It allows rapid development without the deployment of server side code,
and other advanced capabilities, such as branding, configuration of the data view
web part, site url navigation, content backup and restore.

The UPA enables social computing features on the SharePoint 2013 collaboration
platform. It provides a central location for storing and managing user profiles. Some

DESCRIPTION
This feature allows users to view Visio 2013 web drawings (.vdw files) in the browser,
so that viewers do not need the Visio client installed on their local computer. The web

IT blocks files mainly for security or performance reasons. The blocked file type policy
is very permissive. The main types of blocked extensions are Access databases and
Outlook personal folder files. Compressed (zip) files are allowed, so as a workaround,
you can zip up files that SharePoint does not allow.

Managed Paths
All sites will be placed under /teams to avoid breaking relative links after data
migration. IT does not support custom managed paths, as this may cause confusion
for end users in deciding which path to use during self-service provisioning.
The SharePoint Partner farm will remain /external.
Site Quota
New site collections start with 500mb default quota. Site owners can self-upgrade
site quotas up to 20 GB. Quotas beyond 20 GB require approval because the site
must be moved to a dedicated database for recoverability. A site outage will be
required when upgrading sites to a quota larger than 20 GB. Beyond 20 GB, quota
increments are 5 GB. Individual templates will be applied for sites >20 GB.
SharePoint emails site owners when the site reaches the warning threshold.
