Qualifications and Duties and Responsibilities of Top and Operating


Management

Board of Directors
Corporation law and its by-laws provide that:
The board of directors shall be elected by the stockholders and shall be
composed of not less than five (5) and not more than fifteen (15). They must own at
least one (1) share and the majority must be residing in the Philippines.

President (CEO)
Corporation law and by-laws provided that:
The president of the corporation must be a director. He has no greater power
than director other than the power to preside meetings of directors. He shall not assume
the position of a treasurer and/or secretary at the same time.
He is responsible for managing daily business and in carrying out policies
established by the Board of Directors. The CEO is required to report periodically to the
companys Board of Directors. The president shall be the presiding officer, unless the
by-laws provided otherwise.

Secretary
He must be a resident of the Philippines. He must possess administration and
interpersonal skills to be able to assist the higher officials in carrying out the objectives
as well as the plans of the organization.
Basically, he is the one who keeps the minutes of directors and stockholders
meetings; in charge of the entry in the corporate book; gives notices to stockholders and

directors; compiles the document and/or supplementary records; responsible for


compliance with government reportorial requirements with the Security and Exchange
Commission and with Philippine Stock Exchange and others in line with his duties.

Vice President for Operations


He assists the chief executive officer in managing daily businesses of the
company. Unlike the companys CEO, he is directly involved in the assistance of the
developing plans of the company. He directs the business operations when the president
is not around the company premises.
It is a requisite that he must have at least five (5) year experience in the
operations department in any industry he was previously employed to ensure his
necessary expertise in the field of operating activities.

Vice President of Sales and Marketing


Vice president of sales and marketing have three primary tasks: finding leads for
their business, closing sales, and making sure that subordinates are closing sales. He
seeks out potential customers; contact them to close their own sales by using methods
such as follow-up calls and emails. To ensure that subordinate salespeople are doing
their job they need to be, the vice president of marketing monitor sales and procedures.
The vice president of marketing and sales must be well versed with the hotel and
resort, prices, and any other potentially relevant details that a customer may need to
know.
It is a requisite that he must have at least five (5) year experience in the sales
and marketing department in current industry to ensure his necessary expertise in the
field. A MBA is an advantage.

VP of Sales and Marketing reports directly to the President.

Vice President for Procurement


Vice president for procurement direct efforts to improve supply chain efficiency,
maintains product quality standards, and reduces costs. He develops and conveys
strategies, policies, and procedures for the procurement of supplies for the entire
organization and lead the evaluation of suppliers and work to reduce vendor risk by
developing scorecards and analyzing vendor performance.
He supervises and directs activities such as furniture fixtures acquisition, food
and beverage and supplies purchases as essential part of day to day operation.
It is a requisite that he must have at least 5 year experience in procurement
department to ensure his expertise in the field. A Masteral in Business Administration is
a must. VP for Procurement will report directly to the President.

Vice President for Finance and Accounting


Vice President for Finance and Accounting will be responsible for providing dayto-day leadership for the companys accounting operations, financial reporting and
budgeting activities. He also will perform financial modeling exercises and be a strong
contributor in the strategic planning and operation of the company. He will direct the
companys bookkeeping, accounting, accounts receivable, payroll and financial reporting
policies in accordance with accounting standards and best practices. He will have the
opportunity to build the companys finance team.
VP for Finance and Accounting will report directly to the President.
Qualifications:

Bachelors Degree in Accounting or Finance; MBA a plus

Minimum of 5-years work experience with a recognized accounting firm or inhouse agency

Experience establishing financial reporting standards and processes for internal


and external distribution

Knowledge of finance, accounting, collections, budgeting, tax, banking, cash


management

Strong interpersonal skills

Ability to manage and prioritize multiple projects while simultaneously meeting all
goals and deadlines

Executive Secretary
Takes dictation and transcribes letters, reports and memos; answers telephone,
screens calls and takes messages; prepares replies to routine enquiries, maintains daily
calendar and appointment schedules and receives personal callers, takes meeting
minutes and maintain filing system; provides administrative supports.
Qualifications:

College graduate of any related field

22-30 years old

Single

Proficient in MS Word

Excellent written and oral communication skill (English)

RESPONSIBILITIES AND QUALIFICATION OF OPERATING MANAGEMENT


General Manager
The General Manager is responsible for achieving optimal guest satisfaction and
a good working environment to attain all set objectives. He should run the hotel and
resort in accordance with the Standard Operating Procedures and Policies as set out by
the company. Hotel manager, resort manager, bar and restaurant manager, other
services director and recreational director report directly to General Manager.
Qualifications:

Possess a Bachelor's/College Degree, Hospitality/Tourism/Hotel Management or


equivalent.

At least 3 year(s) of working experience in the related field is required for this
position. Minimum of 4+ years experience at an executive committee level in a
luxury hotel.

Experience with several hotel operation systems

Proficient in written and spoken English language.

Skillful in project planning/ tasks and able to prioritize projects/ tasks.

Able to work well with a progressive company that believes in balance of people,
product and profit.

Hotel/Resort Manager
Responsibilities:

Responsible for the proper, efficient and profitable functioning of the Day to Day
operations of the Hotel/Resort.

Clarify duties and responsibilities of departments and ensure that work flows are
in a logical and good order.

Ensure that the hotel is clean and well maintained throughout, ensure proper
staffing levels, and ensure that hotel/resort standards, policies and procedures
are understood and followed

Assist in prepare annual departmental operating budgets as well as capital


expenditure and manpower budgets

Attend/Lead daily morning briefings and any other meetings as scheduled

Analyze rate discrepancy reports to ensure room revenue control.

Develops annual priorities and operating plan and supports the hotel's long term
strategy.

Lead, motivate, engage at all levels

Qualifications:

Must possess at least a Bachelor's/College Degree, Hospitality/Tourism/Hotel


Management or equivalent.

At least 3 year(s) of working experience in the related field is required for this
position. Minimum of 4+ years experience at an executive committee level in a
luxury hotel.

Proficient in written and spoken English language.

Able to foster good working relationships at all levels and the ability to assume
total control of the operation when the GM is absent.

Able to work well with a progressive company that believes in balance of people,
product and profit.

Restaurant and Bar Manager


Responsibilities:

Responsible for the smooth running of the Bar & Restaurant Department in line
with company standards of Procedures, predetermined budgets and all relevant
legislation.

Supervise the activities of all Bar & Restaurant team to ensure all team members
are aware of their responsibilities and are performing all duties to a consistently
high standard.

To work with the Head Chef and General Managers on menu planning through
monitoring of food sales and introducing new menu ideas.

To communicate our services and facilities to guests as required.

To be aware and ensure compliance with all company policys regarding: Fire,
Health & Safety, Hygiene, Food Hygiene, and Customer Care & Security.

Qualifications:

Bachelors degree in Business Administration, HRM or any related field

At least 3 years of experience in F&B industry & at least 2 years in managerial


position

With expertise in people management & development, store operations, profit &
loss

With mature, happy & positive disposition; dynamic and flexible

Other Services Supervisor


He is responsible in managing the entertainment room, fitness room and sauna
as part of the other services being offered by La Puesta del Sol. He directly reports to
General Manager.

Qualifications:

College graduate of any Management related course

Fresh Graduate is highly appreciated

With excellent leadership skill

With mature, happy & positive disposition; dynamic and flexible

Willing to undergo training

Recreational Supervisor
He is responsible in managing recreational activities offered by La Puest del Sol.
He orients and guides people working under his control in making sure that safety
procedures are performed in an orderly manner. He directly reports to General Manager.
Qualifications:

College graduate of any Management related course

Fresh graduate is highly appreciated

With excellent leadership skill

With mature, happy & positive disposition; dynamic and flexible

Willing to undergo training

Marketing Manager
He orients and guides people who will work for him in the day to day marketing
activities of the organization and long term marketing strategy for the company. He
directly report to VP for Sales and Marketing.
Responsibilities:

Develop marketing strategy for the company in line with company objectives

Oversees the companys marketing budget

Plan and implement promotional campaigns (online and print)

Overall responsibility for brand management and corporate identity

Monitor and report on effectiveness of marketing communication

Qualifications:

Bachelors Degree in Marketing or any related field

Masters in Business or Marketing preferred.

At least 3 years of progressively more responsible positions in marketing,


preferably in a similar industry

Experience supervising and managing a professional staff

Goal oriented

Marketing Analyst
As his title suggests, he is bound to scrutinize and develop promotional activities
and strategies to maximize the companys sales potential. He shall conduct researchers
to identify and evaluate doable marketing strategy. A more advanced task for him is to
design appropriate spreadsheet programs for market share analysis.
Qualifications:

Bachelors degree in Business, Marketing or related

Two years equivalent work experience preferred.

Strong communication and interpersonal skills, excellent writing skills

Strong analytical and reporting skills

Experience creating marketing pieces, including presentations and email


marketing campaigns, Market experience preferred.

Excellent proficiency in Microsoft Word, Excel and PowerPoint

Furniture, Fixtures and Equipment Manager


He is responsible in the acquisition of furniture, fixtures and equipment
necessary for operation and relative day to day operation.
Qualifications:

Bachelors degree in Business Management or any related field

2 years of Furniture Fixtures and Equipment (FF+E) planning experience

Experience writing sub-contracts and management of sub-contractors

Strong written and oral communication skills

Background in engineering or construction management preferred

Food and Beverage Manager


Ensures that the food and beverage outlets operates profitably and efficiently and
to maintain the consistency of high food and service standards in the food and beverage
department. Trains and supervises subordinates and applies relevant service principles
to ensure that the needs of guests are consistently exceeded.
Qualifications:

Bachelors degree in Hotel & Restaurant Management or any management field

At least 2 years significant food and beverage experience

Experience of working in positions of high responsibility in the hotel or food and


beverage sectors and managing teams

Supplies Manager
He is responsible in acquisition, monitoring the quality, quantity, cost and
efficiency of the movement and storage of supplies of La Puesta del Sol Hotel and
Resort.

Qualifications:

Bachelors degree in Business Management, Supply Chain/Logistics, or any


related field

Fresh graduate is highly appreciated

20-35 years old

Accounting Manager
Accounting manager assists in the preparation and distribution of financial
statements. He ensures that all deliverables comply with regulatory guidance and
professional standards. Assist with completion of the quarterly and annual regulatory
filings;

pages/schedules. Assist with annual external audit. Complete requested materials.


Assist in preparing assigned schedules for the annual and interim audit.
Qualifications:

Finance Manager
Finance manager manage funds in such a manner as to maximize return on
investment while minimizing risk, and while also ensuring that an adequate control
structure is in place over the transfer and investment of funds. Further, the finance
manager engages in financial analysis in such areas as forecasting, budgeting,
engaging in cost reduction analysis, and reviewing operational performance.

He also maintain a documented system of accounting policies and procedures,


manage outsourced functions, oversee the operations of the treasury department,
including the design of an organizational structure adequate for achieving the
department's goals and objectives.
Qualifications:

Bachelors degree in Financing or Accounting.

Preference will be given to candidates with the Certified Public Accountant or


Certified Management Accountant designations.

Excellent communication skills are essential

At least 3 years working experience

Junior Accountant
Provide support to department activities with specific responsibility for the
processing, recording, updating and reconciling fiscal information in compliance with
established policies; providing instructions, recommendations and/or accounting support
to other personnel; and analyzing expenditures against budget.
Qualifications:

Bachelors degree in Accounting

Bookkeeper
Compute, classify, and record numerical data to keep financial records complete.
Perform any combination of routine calculating, posting, and verifying duties to obtain

primary financial data for use in maintaining accounting records. He will also check the
accuracy of figures, calculations, and postings pertaining to business transactions
recorded by other workers.
Qualifications:

Graduate of Bookkeeping or any related course with background in bookkeeping

Treasury staff
The treasury staffs have to check the net finances of the firm. It is their duty to
monitor the cash flowing in and out of the corporate business and accordingly analyze
whether the firm is experiencing enough profits.

Human Resource Manager


Responsibilities:

Maintains organization staff by establishing a recruiting, testing, and interviewing


program; counseling managers on candidate selection; conducting and analyzing
exit interviews; recommending changes.

Prepares employees for assignments by establishing and conducting orientation


and training programs.

Maintains employee benefits programs and informs employees of benefits by


studying and assessing benefit needs and trends; recommending benefit
programs to management; directing the processing of benefit claims; obtaining
and evaluating benefit contract bids; awarding benefit contracts; designing and
conducting educational programs on benefit programs.

Ensures legal compliance by monitoring and implementing applicable human


resource federal and state requirements; conducting investigations; maintaining
records; representing the organization at hearings.

Maintains management guidelines by preparing, updating, and recommending


human resource policies and procedures.

Maintains professional and technical knowledge by attending educational


workshops; reviewing professional publications; establishing personal networks;
participating in professional societies.

Corp. Chief Engineer


The Chief Engineer is responsible for the overall upkeep and maintenance of the
hotel. Hotel chief engineer manages the maintenance staff and ensure that hotel

facilities and systems operate properly. Accordingly, chief engineers may work in both
an office setting, scheduling workers on repair assignments, as well as in the field,
solving air-conditioning or other system malfunctions. Aside from maintenance duties,
these professionals may also be responsible for coordinating with contractors on
renovations, remodels, and new construction.
Qualifications:

Have a degree in mechanical and electrical engineering

At least 3 years experiences in a similar role within the hospitality industry.

Have gained extensive experience with installing and troubleshooting electrical


switches, operating boilers, and repairing appliances.

Prior supervisory experience.

One- to two-year certificate or associate's degree program in building


maintenance, technology or related field.

ADMINISTRATIVE AND LOW LEVEL OPERATING STAFF


Front Desk Supervisor
These hotel/resort employees oversee that guests are welcomed, registered into
a hotel's/resorts computer system and assigned an appropriate room or suite. They also
perform or delegate various tasks, such as making or confirming reservations, verifying
and collecting guests' payments, issuing room keys and contacting housekeeping or
maintenance when guests report a problem.
Qualifications:

1 - 2 years of front office supervisory experience

2 years front office agent experience, including handling large group arrivals

Excellent command of the English language is essential, both written and verbal.

Cook/Chef
The chef will train and manage kitchen personnel and supervise/coordinate all
related culinary activities; estimate food consumption and requisition or purchase food;
select and develop recipes; standardize production recipes to ensure consistent quality;
establish presentation technique and quality standards; plan and price menus; ensure
proper equipment operation/maintenance; and ensure proper safety and sanitation in
kitchen. The chef directly supervises kitchen personnel with responsibility for hiring,
discipline, performance reviews and initiating pay increases.
Qualifications:

Bachelor's degree or related culinary degree

With 3 years of industry and culinary management experience

Receptionist
Receptionist is responsible for attending to the needs of guests, especially during
check-in and check-out as well as providing information to guests about hotel policies,
services and amenities. Respond to requests from guests for assistance and information
about the local area (e.g. directions, places to eat, etc.). Sells rooms to walk-in
customers, entering/changing reservation information on the computer system, posting
charges to guest accounts, processing payments from guests, informing housekeeping
department about room status/availability, and listening for and responding to guest
complaints are essential responsibilities of a receptionist.
Qualifications:

College Graduate or with Certificate in General Hospitality or any related field

Has excellent written and spoken communication skills

Strong customer service skills, friendly, has a professional telephone manner and
ability to adapt to different guests

Has ability to stay calm under pressure and look after several things at once

Has the ability to use computerized technology

Bartenders
Bartenders prepare and serve drinks to customers in bars and restaurants. He
serves customers in a friendly and helpful manner, handle and move objects, such as
glasses and bottles, using hands and arms. Mix ingredients according to drink recipes.
Perform physical activities such as lifting and stooping. Maintain and monitor an
inventory of supplies. He reports directly to restaurant and bar manager.
Qualifications:

High school diploma or equivalent preferred.

Previous bartending experience required.

Excellent oral and written communication skills required (English).

Positive interpersonal skills required.

Food Handlers Card

Bell Captain
Supervises guest services in the lobby area and by bell boys, assists guests with
parcel packing/delivery requirement; co-ordinates with front office cashiers for collection
of unpaid accounts from departing guests before their baggage leaves the hotel;
arranges newspaper/ guest letter distribution to guests rooms; set up signage boards
according to daily event orders and group orders.
Qualifications:

High School Graduate

25-40 years old

Safety Director
Safety director makes sure that all safety procedures and safety gears are
implemented.
Qualifications:

High School/College graduate

First-aider, with certificate in First Aid

Physically and Mentally Fit

Has the ability to act calmly and quickly in emergencies

Ability to communicate clearly and with authority, especially in emergencies

A tactful but firm approach with people who are breaking safety rules

RANK AND FILE


Bell Hops/ Doorperson/Valet/Parking Staff

Picks up and delivers guests' baggage in and out of the hotel; escorts guests
from front desk to their rooms and introduces room facilities; runs errands for
executive office; delivers newspaper/guest letter; operates guest elevators for
VIP arrival, ensures flags are flying in the right position. Directs traffic and
parking of vehicles at main entrance; provides door service to guests arriving and
departing; orders taxis or hires car for guests upon request;

Waiter/Waitress

Collects food from kitchen, cleans up table and changes linen, knows all items on
menu; good understanding of the common menu items

Cleaner/Dishwasher/Kitchen Helper (kitchen/restaurant)

Washes crockeries by hand and by machine, sweeps the floor and wipes
stainless counters in kitchen; disposes garbage; cleans stove and top of exhaust
fans; delivers dishes from the kitchen to the food and beverage outlets.

Qualifications:

At least high school graduate
