THE ORGANIZING FUNCTION OF ADMINISTRATION OF CHRISTIAN EDUCATION
Meaning of Organization
Used in several ways by those working in the field of administration:
1. The need for improved coordination of activities. (e.g. Lets get things organized
here!)
2. A demand for defining the jobs to be done and relating these to each other so
that a definite structure is established.
3. The administrative activity of setting up the general structure of an enterprise
and arranging the jobs within that general pattern (William Newman).
Structure of Organization
1. The Line Function direct activities and makes decision.
2. The Staff Function gives advices
3. The Informal Function
Informal social groups
Not involved in the organization chart
Evolve slowly and almost imperceptibly from within the organization until
they become an integral though still informal part of the structure.
Kitchen cabinets because of the policies they develop on a very unofficial
basis.
Clique since they may devise plans of action which may catch the
administrator off guard.
Not detrimental in every case.
4. External Communication Function channel of communication outside the line
and staff structure.
Principles of Organization
1. The purpose of organization is to secure the accomplishment of institutional
objectives, especially its unique and primary objective.
2. The advantages of organizational charts sufficiently outweigh their disadvantage
to make them evidently worthwhile.
3. An effective organization provides for both a line and a staff 1, with unity of
management present in the line to as great a degree as possible. The functions of
the line and staff should be clear to all persons in the organization.
4. The wise administrator will recognize the existence of informal groups or cliques
and attempt to integrate them constructively into the formal organization.

5. Generally speaking, new organizations are organized from top downward while
older organizations are organized (or reorganized) from both top and bottom
simultaneously.
6. The number of persons supervised by an executive in the line depends upon (a)
the variety of tasks performed by the subordinates; (b) the degree of responsibility
connected with the tasks performed by the subordinates. The span of control
becomes smaller the higher one moves in an organization.
Delegation
Two administrative sins:
1. Exhausting oneself with work detail.
2. Depriving others in the Body of Christ from exercising their gifts and
responsibilities in the ministry of the church.
In an analysis study made by Donald Laird among 500 leaders, he found out that 73
per cent were good or excellent and 27 percent were fair, poor, bad. The good and
excellent leaders were found to be the ones who made the most use of delegating.
The failures were concentrated among those who were seldom or occasionally
delegated.
Importance of Delegation
1. Give more time for working administrative processes.
2. They usually has a more intimate knowledge of the circumstances within which
the problem have developed and out of which the solutions must come, if they are
to come at all.
3. Educating men in leadership skills.
4. People will take greater interest in the program of an organization.
5. Morale will rise.
Decisions Which May Be Delegated
1. Decisions of a routine nature.
2. Decisions to be reported.
3. Decisions requiring consultation.
Methods for Preparing People for Accepting Responsibilities
1. Example-Setting Approach
The executive arranges for potential leaders to observe him at work in a number of
different situations and sometimes assist him in minor projects.
2. Group-interaction Approach
Encouraging their membership our committees and boards as the group
meet.
3. Informal-control Approach

The assignment of a challenging project to a potential leader with supervision


where informal conferences were held for the administrator to suggest each step in
the project.
4. Assignment-with-freedom Approach
Assigning a major responsibility to a potential leader and allowing him to
fulfill it without any formal or informal controls.2

2 The point of all these methods is simply to say that a good administrator is one
who trains others to receive delegated assignments.
