SYNOPSIS
Technology wont replace teachers, But Teachers who use technology, will
probably replace teachers who do not.
In today's world, the structure, content, and process of work have changed. Work is
now:

more cognitively complex


more team-based
and collaborative
more dependent on social skills
more dependent on technological competence
more time pressured
more mobile and less dependent on geography.

Moreover, due to competitive pressures and technological breakthroughs,


organizations today are:

leaner and more agile


more focused on identifying value from the customer perspective
more tuned to dynamic competitive requirements and strategy
less hierarchical in structure and decision authority
less likely to provide lifelong careers and job security
Continually reorganizing to maintain or gain competitive advantage.

A successful organization has its foundation in the effectiveness of their communication


skills; all employees should be able to communicate at the workplace with their colleagues.
Technology allows individuals and organizations to be able to communicate better in the
workplace. Managers embrace technology and encourage workers to enable themselves
and their co-workers to work smarter, faster and more productively. No matter your place
of work, either in an office or a factory technology links workers globally, it gives everyone
the power of instant access information. Today it will be hard to catch up with the
competition if we did not have all the technology advances use in organizations today

MISCOMMUNICATION AT WORKPLACE
Lack of communication in the workplace can occur on a large scale, such as between
management and employees, as well as on a smaller scale between individual
employees working in same or different departments. Failure to communicate
effectively often leads to conflict, which can harm an organization. Poor
communication can create conflict in a number of ways.
Creating Uncertainty
A lack of communication can create uncertainty that leads to stress and
conflict. For instance, one worker may be waiting for a colleague to deliver
key information so he can complete a task on time. If the colleague does not
respond to the worker's request for a status report or the colleague neglects to
keep the worker "in the loop," the worker may begin to worry that the
colleague will not deliver in a timely manner. As a result, conflict between the
two may occur.
Sharing Resources
Companies with limited resources, such as office equipment, may experience
conflict if workers don't communicate their needs for the resources.
Poor Teamwork
Companies often rely on teams to complete special projects or even to carry
out the routine functions of a department. If members of the team do not
communicate well with each other, it may not be clear what roles and
responsibilities each member must assume. Some tasks might overlap while
others might be overlooked completely, leading to confusion and conflict
between team members and the ultimate failure to achieve objectives.
If we consider, precisely, the case of Operation and Maintenance Dept. of NTPC,
we see that miscommunications are very common. For example, when the location
of the fault intimated by the observing personnel is to be forwarded to the concerned
dept. personnel, or when the know-hows of a task is to be explained to the
subordinate.

Furthermore, when too many tasks are happening on site simultaneously during unit
overhauling or maintenance or commissioning, the frequency of miscommunication
increases due to uncertainty about the current status of the ongoing tasks.
The major causes of miscommunications explained above are: Unavailability of Audio/Video aids in E-shift logbook, thus creating some
ambiguity in the minds of the persons taking over the next shift, about the
exact progress of the ongoing tasks.
Absence of one-to-many information transferring process: So the personnel
in-charge has to inform each and every dept. concerned about the current
status of the task.
Time delay in sharing information at a common platform: Each and every
concerned person holding charge of the tasks have to merely wait for morning
or evening meetings of the different departments to make the decisions on the
ongoing and future tasks.
Information loss during shift change in operation department and
maintenance department, thus, leading to loss and misinterpretation of
crucial inter-departmental information

NEED OF THE HOUR FOR NTPC

To tackle all these in-house work-related challenges and thereby improve the
overall efficiency and transparency of working environment, NTPC needs:-

A robust, hassle-free and easily accessible information system which


could process information instantly so that it can be used by the concerned
user with ease and on time, without much delay.
System supplying ubiquitous information: An enhanced knowledge
management system that is safe and secure and with which the data and
information should be accessible anywhere, be it home, plant or while
travelling, to any authorized concerned person.
Instant one-to-many broadcast of information of defects: A User-friendly
mechanism by which any defect or observation from any person can be
easily sent to many people at the same time, with the facility to convey the
message with the help of audio/video tools.
Cost effective communication: The information management system
should be inexpensive to sustain, maintain and use.

The mobile revolution has forever changed so many of our daily experiences
how we stay in touch with friends, how we learn, how we get news and
entertainment, how we pass the time waiting in line or sitting on the train. Is it any

wonder, then, that its also transforming our experience at work?


Companies and organizations across the world are realizing the immense potential
that these rapidly developing mobile apps have and are striving to unleash it to
their advantage.
The need to make sure everyone is working off the same version of a document
especially in regulated industries is incredibly important. Apps offer a nice
solution for this: You can send updates to a field app that keeps everyone on the
same digital page.
There are only two major platforms for mobile apps (iOS and Android). So
creating a consistent experience across them is a much simpler affair.
With increasingly mobile workforces, there are multiple ways you can use location
services and image capabilities to connect employees more effectively and share
information more efficiently.

Problem Observation, Intimation and Rectification Process Using
WHATSAPP
In this case study, a situation is depicted where a problem is observed and intimated
on Whatsapp to Operation dept. This observation is then further intimated by
Operation dept. to other concerned depts. The subsequent steps of rectification of
the problem is being tracked by all the departments simultaneously as at each step,
its status is being posted on Whatsapp group, till the problem is finally solved.
In this manner, a proper and coherent flow of all the steps regarding the status of the
task is made transparent to all the concerned depts. personnel in real time
simultaneously.

Use of mobile apps for sending observations of defects in text, audio or video form
to operation and maintenance dept. personnel is being done on a small scale in an
informal manner by some of us in JGGPP, thus making the task of conveying
problem, identifying its location and its subsequent rectification very easy.

CASE STUDY #2
The Chaotic Times of Overhauling and Commissioning

Overhauling and Commissioning are those crucial events in power plants, when
numerous activities happen simultaneously round the clock, engaging each and
every employee of every department. Lot of efforts, discussions and planning goes
into making it a successful execution.
Considering the enormity of the event and the extremely high level of engagement
of employees at all levels, engrossed in their respective tasks, all the pre-requisites
pertaining to the tasks must be completed and ensured because even a small
ambiguity of miscommunication or delay or casualness can prove detrimental and
the entire planning of the event could go for a toss.
Coordination among the various participating departments is the key in the
successful their successful completion, particularly in inter-departmental tasks.
Lets take a look as to what line of action is generally adopted during overhauling
and commissioning phases in any project

As it can been seen from the above flow diagram, everyone ultimate has to wait for
the morning/evening meeting of all department heads so that the exact progress of
the ongoing tasks can be intimated to all at one go. Moreover, crucial discussions,
brain-storming, analysis of results and decisions on future course of action are taken
only in these meetings. Before these meetings, to know about the status of the tasks,

one has to contact the individual person in-charges making the process of task
progress tracking a procrastinating and painstaking affair.
This process of task execution generally followed in overhauling activities has its
own repercussions:-

Frustration due to miscommunication during break hours if maintenance


dept. is not informed at time and their work lags, paving way for interdepartment clashes.
Too much reporting/repeated communication, which may lead to
compromising on accuracy of work in progress / problem in briefing what
exactly going on site.
Waiting for report to be sent by MTP and other departments to move
forward wastage of precious work-hours.
In a nutshell, here too, there is an absence of a common interactive platform for
knowledge sharing and real-time tracking/ live feed of the ongoing tasks and its
broadcast to all concerned departments, which would be of great help in facilitating
prompt actions and decision-making.

Workflow management Using Cloud Services
Basics of Cloud

Cloud storage is a model of data storage where the digital data is stored in logical
pools, the physical storage spans multiple servers (and often locations), and the
physical environment is typically owned and managed by a hosting company. These
cloud storage providers are responsible for keeping the data available and accessible,
and the physical environment protected and running. People and organizations buy
or lease storage capacity from the providers to store user, organization, or application
data.
Cloud storage services may be accessed through a co-located cloud computer
service, a web service application programming interface (API) or by applications
that utilize the API, such as cloud desktop storage, a cloud storage gateway or Webbased content management systems.

Features of Cloud Storage

Companies need only pay for the storage they actually use, typically an average
of consumption during a month. It incurs operating expenses rather than capital
expenses.
Organizations can choose between off-premises and on-premises cloud storage
options, or a mixture of the two options, depending on relevant decision criteria
that is complementary to initial direct cost savings potential;
Storage availability and data protection is intrinsic to object storage
architecture, so depending on the application, the additional technology, and
effort and cost to add availability and protection can be eliminated.
Storage maintenance tasks, such as purchasing additional storage capacity, are
offloaded to the responsibility of a service provider.
Cloud storage provides users with immediate access to a broad range of
resources and applications hosted in the infrastructure of another organization
via a web service interface.
Cloud storage can be used for copying virtual machine images from the cloud
to on-premises locations or to import a virtual machine image from an onpremises location to the cloud image library. In addition, cloud storage can be
used to move virtual machine images between user accounts or between data
centres.
Cloud storage can be used as natural disaster proof backup, as normally there
are 2 or 3 different backup servers located in different places around the globe.

Why use Cloud in NTPC??


So that frequently-used documents are segregated at one place, making their
retrieval much easier and faster in times of need.
To ensure easy accessibility from all places like plant, home or on official
tours.
Real time monitoring of the important works like overhauling, commissioning
and other daily routine tasks.
Knowledge management: All the vast resources of the company are pooled
under a single roof in safe password-protected custody, ensuring accessibility
rights are fully secured. Also, data up gradation and addition becomes very
easy for authorized users.
Sharing of documents within seconds from anywhere and from any user to
another.

How to Use Cloud in NTPC An Illustration Using Google Drive


Cloud Storage would integrate the resources of all the concerned departments of
Operation and Maintenance to facilitate mutual communication and sharing.
Lets take an illustration.
Suppose the Operation and Maintenance Dept. of NTPC Jhanor-Gandhar is
integrated using a Cloud storage provider - Google Drive

Each authorized employee of a dept can access his Google Drive by just logging into
his Google Account with a username and password from any platform, very much
like accessing your email account.

Now, MTP holds responsibility of maintaining all the resources and data in NTPC
Jhanor. So, here is a view of the Google drive account homepage of MTP Dept.
Reports and findings in any format can be very easily uploaded by MTP in their
account. MTP can also share the data from its resource pool to any person with
utmost ease.

Now, if an important overhauling test result is to be discussed, say Steam Turbine


rotor ELCID Test Results and trends. The same can be viewed by the concerned
persons and not only that, comments can also be exchanged between them in real
time.

FORESEEING PROBABLE RESISTANCES


Any new innovation or technology that is in pipeline for adoption is bound to be
questioned by its to-be-end users. There are always some inherent doubts and preconceived notions in their minds regarding the pros-cons of the new technology.
Mobile apps and Cloud services, too have their user speculations which will be
discussed here:1. PROBLEM OF HAVING SMARTPHONES FOR USING WHATSAPP
About 85% executives and about 80% non-executives possess
smartphones.
About 70% of them use Whatsapp or some other app for social networking.
2. REQUIREMENT OF INTERNET CONNECTIVITY FOR CLOUD
AND WHATSAPP
Cloud Services like Google Drive can be accessed by anyone who uses
Google & pre-installed in mobiles
Internet connectivity is there in almost every computer of our Station.
Every person having a smartphone has internet connectivity through
inexpensive 2G or 3G networks.
3. ALREADY SAP SYSTEM IS IN PLACE, WHY USE OTHER
SYSTEMS?
Cloud would not replace SAP, but would complement it.
Cloud would enhance data accessibility many-folds and improve tracking
of various processes
Cloud is an ideal platform for knowledge sharing, which is quite tedious
in SAP.
4. PEOPLE ARE NOT USED TO WORKING ON CLOUD SYSTEM
Even working on SAP and ESS was not comfortable initially.
Cloud is much easier to use - would hardly take time to get used to it.

GI CLOUD MEGHRAJ
The Government of India launched the National Cloud, MeghRaj, on Feb 2014, in
order to accelerate delivery of e-services in the country, while optimizing ICT
spending of the Government.
The project launched by Kapil Sibal, the Minister of Communications and
Information Technology, will come under the governments MeghRaj Initiative
and is being implemented by NIC. The initiative under MeghRaj, formerly known
as GI Cloud, will ensure better development and deployment of eGov applications
with better utilisation of the existing infrastructure.

MeghRaj will encompass a set of discrete cloud computing environments spread


across multiple locations, which is built on existing or new (augmented)
infrastructure. It will follow a set of common protocols, guidelines and standards
issued by the Government of India.

Two Policy reports i.e GI Cloud Strategic Direction Paper and GI Cloud Adoption
and Implementation Roadmap have been prepared by the Department of Electronics
& Information Technology (DeitY).
The National Cloud will help the departments to procure ICT services on demand in
the OPEX model rather than investing upfront on the CAPEX. The Cloud Services
available are Infrastructure as a Service (IaaS), Platform as a Service (PaaS),
Software as a Service (SaaS) and Storage as a Service (STaaS).
Some of the features of the National Cloud include self-service portal, multiple
Cloud solutions, secured VPN access and multi-location Cloud.

Tata Power Trading Company (TPTC) Employing CLOUD


to its Advantage
It is a company with a work-force of around 35 odd employees, makes annual
revenue of around Rs. 2,000 crore, but has a comparatively much lower profit margin
of only around Rs. 14 crore.
Before TPTC implemented a CRM solution, customers used to contact the company
over phone, email or other means and state their requirements. Based on the amount
of power to be supplied, a suitable client proposal would be generated using SunGard
ZaiNeta risk and trading solution that was implemented back in 2009 and was
hosted on Tata Power's private cloud.
This quote would later be sent back to the client, and after their approval, the power
scheduling, dispatching, and billing processes would be initiated. This process was
predominantly time-consuming, and manual intervention made it highly error-prone
as well. Even though TPTC had not experienced instances of an error causing severe
losses, the company CEO wanted a fail-proof system to make sure no avenues for
revenue loss were open. This would also help the organization stay ahead of the
curve in the power trading sector.
Given this scenario, they realized it would be impractical, as well as financially
unviable to develop an internal IT infrastructure for the power trading company.

Also, he recognized that as the TPTC business would grow over time, its business
processes needed to be streamlined as well.
The best way to achieve this goal was with the help of cloud computing. The cloud
fit TPTCs bill perfectly as there wouldnt be any upfront costs to be paid.
Solution
Starting from 2009, when the decision was taken to host the SunGard ZaiNet on the
private cloud,to moving to the public cloud to avail Salesforce.com's CRM solution
in 2011, he made sure that the power trading company's operational efficiency
increased, while at the same time, the overallcosts involved in setting up such
implementations were kept to a minimum.
Benefits to TPTC
Opting for a cloud CRM solution has helped TPTC streamline its business processes.
TPTCscustomers can now log online with the required credentials and place their
requirements throughthe Salesforce.com app. Moreover, with Salesforce.com,
TPTC doesnt need to worry about the apps availability, because even if the app
goes down suddenly and unexpectedly, Salesforce.coms backup instance would be
up and running.
Also, implementing the SunGard ZaiNet solution helped TPTC re-deploy resources
who were earlier involved in the manual calculation of risk and other related
calculations to other areas.
Since the public cloud model involves no capex and Tata Power is providing for the
private cloud, all the necessary payments are now made from the profits that TPTC
makes, and thus, the business model for the power trading company has been made
sustainable.

7. Introduction:
The main benefit of information technology is that it empowers people and organizations
to do what they want to do. It lets them be creative, productive and enable to learn things
they didn't think they could learn before, and so in a sense it enhances our overall potential.
8. Executive Summary:
At our respective workplaces, we perform innumerable no. of tasks-planned or unplanned.
In order to ensure proper execution of all the tasks with safety and as per schedule, proper
communication is of utmost importance and so is their tracking to know their current status.
This becomes a tedious and time-consuming affair, considering the fact that there are too
many people involved in these tasks simultaneously at each level of their execution.
Furthermore, data are stored and their records are maintained for analysis during
overhauling and commissioning, reviews during various conventions and auditing
purposes. Thus maintenance of information at individual or group level makes life difficult
as in time of need, one has to run helter-skelter to get the required data from the person
possessing one.
9. Conclusion:
Time and manpower are the key ingredients of any successful company. With the
application of smart IT tools like Cloud Services and Mobile-based applications,
intimations of defects and status, workplace communication, real-time tracking of all the
tasks and knowledge management through a centralized pool becomes hassle-free and very
easy to manage, thereby enhancing the overall work efficiency, delivery of services.
