The Consulate General of Switzerland in New York is seeking a qualified candidate for the position (80% 100%) as registrar/archivist. If youre an avid reader and can think of nothing better than being in an
intellectual job and have a natural interest for the business of the United Nations, International Politics, the
Swiss Foreign Policy and for Switzerland in general and want to learn more about it, then you might be the
candidate we are looking for.
The candidate will be responsible for maintaining the records not only for Permanent Mission of Switzerland to
the United Nations but also for the Consulate General of Switzerland. One of your main tasks consists in
electronic and paper filing with our document filing system (Data Management System). Data refers to
information, knowledge, and conceptions obtained by observation, investigation, interpretation, visualization,
and mental creation.
You will ensure that the daily incoming correspondence (hardcopy and electronic) will be registered and
distributed to the proper section. Additional duties beyond those listed here will be determined and assigned
as needed. Preference will be given to those candidates who have a relationship with Switzerland and / or
Swiss citizenship.

Duties and Responsibilities:

Register documents for proper placement by analyzing the given information

File records away in accordance with our system

Analyze requests to determine needed information and locate the appropriate files

Process and scan files to be entered into computer in digital database

Close files and prepare them for the in-house archive, maintain file lists

Maintain in-house archive and prepare for off-site archive

Ensure proper distribution of daily correspondence

Distribute incoming mail

Prepare & drop off outgoing mail/packages

Work with electronic storage media

Be able to explain the filing system to others


Requirements:

Employment experience in a related field (e.g. librarian,) and in Data Management System preferred.

Fluency in written and spoken English, German and French

Full computer literacy with Microsoft Office

Able to multitask and pay attention to details

Excellent organizational skills and ability to work independently

Hold either a Green Card or a US work permit

Administrative Assistant in the
Swiss Business Hub Team
Starting date: As soon as possible
Hours: Part time (40%)
The Consulate General of Switzerland in New York is seeking a qualified candidate for a permanent position
as Administrative Assistant in the Swiss Business Hub Team (SBH), whose main focus is Export and
Investment Promotion. This is a locally recruited position and is located within the SBH unit at the Consulate
General to support a team of four including the Head of SBH USA.
Our ideal candidate is highly motivated, proactive and flexible. He/she is able to multitask and work
under pressure in a team environment. He/she must also demonstrate excellent organizational skills,
ability to work independently, attention to detail, proficiency with Microsoft Office, CRM and social
media, and be multilingual (German or French and English).
Due to the nature of the work, preference will be given to a Swiss national or to those candidates who
have a relationship with Switzerland. Understanding of the field of export and investment promotion is
helpful. Additional duties beyond those listed here will be determined and assigned as needed. Training
will be provided.

Support of core activities in the unit

Administrative tasks including spreadsheets

Travel arrangements and logistics

Simple accounting duties daily


Requirements:

Excellent command of English and either German or French (verbal and written)

Excellent organizational skills, high degree of personal integrity and trustworthiness

Previous work experience in an administrative position

If not a US citizen, must hold either a Green Card or a US working permit
