GUIDELINES FOR OUT OF SCHOOL TRIPS AT CTMS

The local goal of CTMS is to use the resources of the community and therefore
school trips are encouraged if they support the children’s learning or the local
goals. To achieve safe outdoor learning experiences, students, staff, parents
and caregivers need to work together and actively demonstrate shared
responsibility.

REGULAR TRIPS
Library
This visit will happen fortnightly and for Kahikatea home group the class
teacher will be the supervising adult. Kowhai will have a teacher and second adult
on these visits. Kauri homegroup will have a teacher and two adults on these
visits depending on class size.
The cellphone will be taken and kept on in case the group needs to be contacted.
Children will walk through the city in a considerate and safe manner, with a
teacher leading the group and adults regularly spaced.
Sport
A weekly visit to Kelburn Park will be made for sport.
Teachers do a headcount prior to leaving and note absences.
Children will walk to the park in pairs with adults standing in the middle of the
road at crossing points (Clifton Terrace, Everton Terrace) so that the children
can cross safely.
If a child needs to go to the toilet while at the park they will,
 seek permission of an adult,
 go with another child (of appropriate gender) and
 return from the toilet with the same child
 tell the adult they have returned
Before returning to school the adults will check that every child is partnered
with the child they came with.
Teachers do a headcount to confirm returning numbers.

TRIPS BEYOND THOSE THAT ARE REGULAR
Prior to the Trip/Visit:
 Discuss the proposed trip with other members of staff and the
CoPrincipals. Staff discretion requires appropriate documentation if the
activity is deemed higher risk
 If there is a cost, check that there is money in the budget for the trip.
Notify parents of costs and collect money from parents, if applicable.
 Arrange parent support if it is needed. (Parents should ideally be given at
least one week’s notice of any trip that requires assistance and
preferably longer).
The Trip/Visit
 Check which children are present prior to leaving, during the visit and
before returning to school. Teachers to do a headcount prior to leaving
and note absences.
 Ensure children have a partner to be with and that they take
responsibility for each other.
If parents/caregivers are present check that they understand what is required
of them regarding supervision and their role in the learning process.

EOTC
School overnight experiences may be planned during a child’s time at CTMS with
the intention being that every child who is at the school until year eight will
have at least one major EOTC experience during that period.
This experience will be designed to meet the learning needs of the specific
group of children who will be attending.
On most occasions, children involved in overnight trips of more than one night
will be in Years 6-8 and on occasions including Year 5 also.
Whilst the older children attend camp the younger members will have an EOTC
week based at school with day trips and on some occasions an overnight
excursion.
Parents/caregivers will be encouraged to attend a yearly meeting and/or read
the Guidelines for Providing Assistance on School Trips.
 RAMS document completed by staff prior to EOTC trip for an
overnight trip.
 Parental permission forms (signed) are required for any activities
deemed by staff/BoT to be of a higher risk level.
 Medical register will be updated prior to EOTC trip.
 Parent helpers will be briefed before any EOTC overnight stay.

SAFETY PROCEDURES FOR TRIPS OUT OF SCHOOL

A local goal at CTMS is to assist pupils to acquire safety and personal survival
skills for city living. The following guidelines are to support those adults
accompanying children when outside school.

Trips by Car
All children will:
• Use seat belts, correctly fastened

Walking in Town
All children will:
• Walk with a partner.
• Walk on the left side of the pavement.
• Stop at driveways, entrances and street crossings, and wait for on adult
to guide them across.

Visits to Local Parks/ Recreation Venues


All children will:
• Stay in the area prescribed by the adult supervisor.
• Tell an adult if they need to go beyond the prescribed area, (e.g. to the
toilet). They will be accompanied by another child (of appropriate
gender), and will inform the same adult of their return.
