Hotel Admin User Guide

Hotel Admin Interface is a

user friendly tool which allows access to our system.

You may find detailed explanation on further functions of the hotel admin system below.

1. Reservations
When you logged on the hotel admin interface, the first link you will be viewing will be the Reservations part. This function
allows you to check your bookings
There are four different statuses for the reservations which are:
1. Reconfirmation pending:This shows the reservations waiting your reconfirmation. Go to Details link and click
reconfirm button. The reservation status will be Confirmed.
2. Cancellation Pending: This shows the reservations which are cancelled by the client . Go to Details link and click
reconfirm button. The reservation status will be Cancelled
3. Cancelled: This status shows the cancelled reservations.
4. Confirmed: This status shows the confirmed reservations.
5. Invoice link shows the invoice of the specified booking
You may sort the bookings with several functions; below you may see these functions

2. General Info
To start the process of adding your hotel to the system you need to enter general information about your property
onto the General Info page.
You can view the several categories within the Category, Style, Location, Star Rating, Accomodation Type,
Year Build inputs, which will generally identifies the characteristics of your hotel.

3. Details
Please use the Details page to enter further information. It is essential that you enter international dialing
codes to both the phone and fax fields.
All the communication process will be comitted by e-mails. Therefore it is very important to enter your
email account(s) properly.
The reservation confirmation e-mails, authorization forms, cancellation requests will be send
automatically to the e-mail address that you have entered into Reservations input within Contact Info
section. It is vital to put the correct information and update when necessary.

4. Room Details
You may add the room types that you would like to make available from this
section. When you enter the Add New Room link you will be viewing a new
page opened

You may select the room type and number of pax will be staying in this room type from this pop up and
click on Add button.

When you add the new room types you may select the room facilities/amenities by using the check boxes under
the room type, and save your records by using Save Room Details button.

5. Location Info
Use Location Info to enter details of local transport, amenities and places of interest. Please enter specific
information into the upper fields.
Please try to enter distance in the most useful way. While "0.1km is helpful "5 minutes on foot can explain
distance better.
There is also a text area where you can enter any additional information about location, local attractions and
amenities.

6. Release Date
Release date determines how many dates prior to check in date the hotel accept
reservations. Unless the hotel closes allocation it they can receive reservations today
which are checking in today.

7. Minimum Length Of Stay (MLOS)


You can set MLOS for different periods like fairs, christmas, new year, etc.
Please note that MLOS operates independently from rates and any other
discounts.
Keep in mind that if a period is effected more than one MLOS, the highest
number will be applied.

8. Cancellation Policy
Cancellation Policy determines the cancellation deadline, meaning how many days priors to check in
date a reservation can be cancelled without any penalty. Different cancellation policies can be defined by
pressing Add New Cancelation Policy button. You can set details on the opened pop up window;
Cancel Policy; the days before check in which the policy will take affect. 0 (zero) means same day.
Cancel Type; select percent if your cancellation penalty is based on a percentage amount. Select
nights if you plan to charge for a certain amount of nights.
Cancel Amount; enter the amount according to your Cancel Type. If you want a full charge; select
percent above and set amount to 100 %
Valid From Valid To; the period which the cancellation rule will be affective.

9. Allotment
You will be able to optimize your occupancy by accessing your allotments and close/open days from this section.
Also please note that you will be responsible to close the dates from Allotment part or inform us
beforehand if you are fully booked because the bookings we receive to the hotels are confirmed to the customer
automatically.
Please make sure that Total allotment is entered. If you enter the allotment for the specific room types but not

total then your property will not be available.

9. Allotment
You may view the allotments day by day by selecting the months and pressing show status button.

In order to close the dates, please select the days that you would like to close
by using check boxes and press Close Dates. When the days turn into Red
the days are closed.

You can set your daily inventory to Free Sale and you can receive bookings
unless you close your inventory.
Click on the box indicated and hit Update Free Sale to save your changes. A
green box indicates that you have Free Sale, a Red Box means you have
number of stated allotments.

Remember you can still close your close out dates even if you have free sale.

10. Rate Info


You may add your room rates by entering the Add New Rate option in the
rates section. When you click on Add New Rate, a pop up page will be
opened with the room types, the inputs to enter rates and other details about
rate.

When you enter your rates, save the records by using Add Rates button. You will be viewing all the
rate information in a table

Hotel Admin Interface allows you to load 2 different rate types according to the
contract
These rate types are as follows,
Net Rate (B2B)
Sale Rate (B2B)
If a property has 2 rate types, Net Rate will be the wholesaler rate and will be
listed on our B2B channel www.hotelspro.com
Sale Rates will be the public rates and will be listed on our B2C channels.

Loading the Sale Rate is optional. Should the property prefer not to load sale
prices, then net rates will be used with an additional markup automatically for our
B2C channels. Please make sure and double check your rates in order to avoid
any problems.

11. Pictures
Pictures can be uploaded in 8 categories. There are some rules to follow while uploading;
1.The filename should only include characters a-z and numbers 0-9. Special characters and spaces are not
allowed.
2. Neither picture width nor picture height can exceed 1024 pixels.
3. Picture size cannot exceed 300KB

12. Map
The Map page enables you to select the exact position of your hotel in our centralized map system. Under the
hotel name and address inputs you will see the LG (Longitude) and LT (Latitude) selections which shows the
coordinates of the location of your hotel. The coordinates within the stated inputs will be showing the
coordinates of the city that your hotel is located.
The default map will be showing the city of your hotel. By clicking on the map you can change your position and
find the exact location of your hotel. The red point that you have clicked will be the center of the new area
shown.
In order to change the zoom level of your map you can use map controls; zoom in and zoom out. After you find
the area of your hotel in the map, by zooming in, you can see a more detailed appearance of the area. When
you find the exact place of your hotel, click on the exact point and save the changes. The red point in the area
will show the new position of your hotel.

13. Languages
You have the option to enter German, Spanish and French translations of your
hotel information in this section.
