Scenario
JEM Bookshop is a large, busy city centre bookshop selling a wide variety of books.
The
Bookshop is open seven days a week and has a number of full- and part-time staff
working on a rota basis to ensure that there is sufficient cover while the bookshop is
open. At present all administration is done manually.
You are a junior systems developer with an IT consultancy firm that specialises in
spreadsheet solutions for retail outlets.
Task 1
You have been asked to prepare a short presentation on the uses of spreadsheets,
with particular emphasis on how JEM Bookshop could make use of them. You will
need to give at least three specific examples that would apply to JEM. (Mention:
formulae, functions, graphs, charts, pictures, diagrams, type of formatting and look
online for examples of spreadsheets and spreadsheet templates).
Create a PowerPoint presentation with supporting notes to show evidence for this
task.

Following your initial contact with JEM Bookshop,


you have been asked to develop a proposed
spreadsheet solution. JEM have outlined their
initial requirements for a weekly spreadsheet and
have confirmed that they receive a 25% discount
from their suppliers against the retail price of each
book. One of your colleagues has produced a
sample data set of weekly figures based on recent
JEM sales (this data can be found in the Book data
table.)
Initial requirements from JEM for their weekly
spreadsheet are:
- clear display of retail price, cost price, book
sales, income and profit by book title
- title on top of spreadsheet (add your name to
spreadsheet)
- calculation of total weekly sales (all books)
- calculation (and display at the bottom of the
spreadsheet) of the average, minimum and
maximum retail price of the books listed
- graphical display (chart) of sales for the first 10
books listed. (Headings and legends and names
for axes). P6
- Using the data provided in the Book data table
for week 1 only create a suitable spreadsheet
to meet these initial requirements.

JEM needs to be convinced that the calculations and results produced by your
spreadsheet are correct.
Show that you have checked the results of all formulae and functions by comparison
with an independent method, for example calculation, mental arithmetic. You need
to discuss each different formula you have used and motivate why it is correct. Use
callouts and the spreadsheet in task 3.

The final spreadsheet should be reviewed to ensure appropriate data presentation,


ie check that the data types and applied formatting are appropriate, for example
ensure that key information is emphasised, decimal places are realistic and
consistently applied and all data is visible. Use Task 3a for this and make call-outs
to explain.

Create a test plan for any one of the four weeks. Discuss different input data and
also what the expected outcome should be. Use this table to do the test plan:

Produce a user guide for the employees. This will help them to use your
spreadsheet effectively. Mention the following in your guide:

General usage of your spreadsheet


How to add a new book
How to remove a book
How to change formulas if percentage discount changes
How to change a books retail price
What each of the totals mean
How to interpret the chart (of all four weeks)

Use screen dumps (print screens) with explanations to create this guide.

JEM would like the option of seeing the weekly figures combined into a multi-page
spreadsheet with a chart showing total weekly book sales over the fourweek period.
Use the spreadsheet developed in Task 3, together with the data for weeks 2, 3 and
4 from the Book data table, to produce a multi-page spreadsheet showing a weekly
analysis for each individual week. (Chart must be on separate tab).
Due to the current economic climate, the discount has changed from 25% to 15%.
Adjust your formulas to reflect this).
Any additional formulae and functions used must be checked and confirmation that
they are working correctly provided. Make screen prints and explain how your
results are different from task 3.

In order to agree a contract with JEM your sales manager has suggested that you
show JEM how much more they could get from a spreadsheet solution by using
techniques such as filtering, sorting and additional charts. Using the original four
weekly sales data sheet provided in the Book data table, add a column to display
the total sales and total profit for each title over the four-week period.
Use this amended spreadsheet to illustrate the following techniques/tools:
