Westside High School Choir Officer Application

I.

Introduction

Thank you for your interest in the Westside High School Choir Council. The Officers of
the Choir Council have a tremendous duty to serve the Director and members of the
Choir, making this the smoothest, most efficient organization it can be. We are looking
for qualified individuals who will lead all members of all choirs by example and who will
tirelessly work to ensure the continued high standards of excellence.

III.
Standards for Officers
To be qualified to hold an elected office, a nominee must be a current
member of choir and enrolled in choir for the next school year.
President and Vice Presidents must be current members of Chamber Singers.
Individuals must be in good academic standing (this includes conduct grades) and
have a proven track record of maintaining UIL eligibility.
Individuals must have participated in all required activities of the WHS Choir and have
a proven track record of good standing with the Director.
IV.

Election Process and Deadlines

Applicants must submit a complete application, which includes:

Two teacher evaluations. These should be filled out and returned them directly to Ms.
Douris no later than Friday April 4th.
Schedule a lunchtime interview with the Director and current Choir Council for either
April 17th or 18th.

Deadlines / Future Dates:

Applications available: March 7th


Applications due: March 28th
Teacher evaluations due: April 4th
Interviews: April 17-18 (during lunchtime - after school on an as needed basis)
Closed Elections: April 23rd

Leadership Camp (for all current and new officers): May 5-8 from 3:30-5 PM
First 2014-15 officer meeting: May 19th at 3:30 pm

The final determinations Choir Council members will be calculated as follows:

Application and Submitted Evaluations- 10%


Interview- 60%
Current standing in Choir and with Director- 30%

V.

Term

Officers will serve one school year term, beginning immediately after public posting. Each
member of the council must re-run the following year, even if it is for the same position.
Choir Council members may be removed from their positions at any time if they cannot
meet the requirements of their position (either in duties or behavior inside or outside the
classroom) and/or have excess demerits.

VI.

Officer Duties

All Officers Must:

Attend the Officer Workshop May 5-8 from 3:30-5


Attend the first 2014-15 officer meeting on May 19th at 3:30 PM
Be present for the post school meetings (2014-15 planning) on the designated
days at the beginning of June.
Be present for officer pre-choir camp events and meetings August 1-3
Be present for assigned duties at choir camp August 4-8
Assist in logistics and facilitation of all WHS Choir Department concerts that we host
or are a part of.
Wear a choir shirt on Wednesdays to represent your organization
Assist with work in the Choir Room at least one hour a week either before school,
after school (except Fridays), or during Study Hall/Lunch.
Ensure that the Choir Room, Uniform Room and Practice Rooms are tidy.
Be present the first Friday of every month before school for Breakfast in the Choir
Room events
Be positive and feel like they are the guardians of the WHS Choir.
Foster an attitude that the Choir Room is a great place to hang out.
Attend every choir event.
Help all WHS Choir members feel welcome and part of the Choir Department - make
an effort to get to know who you dont know.
Lead the WHS Choir by example Sing With Pride!
Attend and assist with organization and implementation of all WHS Choir activities.

Always check with the Director in advance for permission to be absent and/or tardy to
events. Remember, asking for permission is very different from actually receiving it.

Please see the President and Director immediately if you have issues / conflicts
with the above dates!
VII.

Officer Positions Described

President

Embodies the visions, attitude, talent, and commitment that is the WHS Choir
program
Supports the Director in all endeavors, embracing professionalism and a common
goal
Be present and accounted for at all choir events - you are always going to be the one
who comes early and leaves late!
In charge of all student officers
Create agenda for weekly Choir Council meetings with Director
Run all the Choir Council meetings
Delegate assigned duties for all concerts and events

Ensure that all officers are fulfilling their jobs and following the chain of command

Delegate jobs to other officers and students


Demerit students that are not fulfilling their obligations and inform the Director if
further action is needed
Plan major social activities, concerts and service projects with Director
Maintain communication with students and parents on an as needed basis via
CHARMS

Administrative Vice President

Oversee and assist the secretaries / treasurer to ensure that tasks and deadlines are
met with quality
Take the official minutes and attendance for all Choir Council meetings and events as
needed (via provided or personal laptop in MS Word)
Distribute the minutes via e-mail to members and/or students in a timely fashion
Send out official reminders/announcements to students and parents via CHARMS
Keeps track of Letterman points for students
Keeps track of demerits for Choir Council officers

With assistance from secretaries / treasurer and proper delegation:

Maintain an accurate record of students on CHARMS.


Maintain an accurate calendar of choir events on CHARMS.
Keep track of Choir Council service hours

Create all programs and posters for the WHS Choir Program
Maintain all forms of social media (Choir Website, Twitter, and Facebook)
Assist in creating and duplicating documents on an as needed basis
Deliver approved invoices and items to WHS Music Boosters drop box
Print and e-mail FSA fee update lists via CHARMS
Assist Director with event and UIL documents on an as needed basis
Assist Director with field trip documents on an as needed basis
Coordinate Choir Representatives from the classes ensuring that tasks and deadlines
are met with quality

Vice President of Inventories and Record

Oversee and assist the librarians / uniform managers to ensure that tasks and
deadlines are met with quality
In charge of facilitating student and parent surveys through Survey Monkey on an as
needed: basis

With assistance from librarians / uniform managers and proper delegation:

Maintain an accurate and organized record of music on CHARMS


Check in and out music to students in all classes via CHARMS
Maintain an accurate and organized record of folders distributed to students
Order folders on an as needed basis
Facilitate music collection and sorting at the end of each semester and on an as
needed basis
Barcode music that is to be used
Order new music via AMC and other companies for choir
Assist treasurer in keeping record of music that is missing / not turned in via CHARMS
Assist the Uniform Managers and to ensure uniforms are properly checked in, checked
out and maintained on CHARMS.
Assist with document creation on an as needed basis

Vice President of Public Relations and Logistics

Oversee and assist the historians / spirit leaders to ensure that tasks and deadlines
are met with quality
Designing and dispersing flyers and banners for all concerts and fundraising
activities (within school and in town)
Write materials for school announcements, school email, and press releases
Assume responsibility of coordinating lighting / stage crew with choir and theatre
students (includes posting on call boards)
In charge of organizing the monthly Breakfast in the Choir Room events

In charge of organizing Choir Movie Nights and all other social events
In charge of managing alumni participation and events on an as needed basis.
Responsible for the monthly parent e-news document sent via CHARMS
In charge of maintaining our website blog The Voice

With assistance from Historians / Activities Coordinators managers and proper


delegation:
Maintain the storage room, collect food and supplies donations
Keep a record of all WHS Choir Department activities for the year through photos,
articles, journals
Create a digital scrapbook of these activities
Generate a calendar for the year that includes a schedule for taking pictures of
each class in the choir department (in class and at events)
Diligently take pictures and video of concerts and students / classes in action
throughout the year for our electronic scrapbook and website
Take and print officer pictures for the display cabinet

Prepare a video for the banquet that reflects the work of all the choirs during the

year.
Preparation of the Pop Show Senior slideshow
Maintain and facilitate the decoration of the display case in the Fine Arts Hall
Keep a binder of all programs from performances for the school year
Maintain the organization of our historical documents

Secretaries (3)

Maintain an accurate record of students on CHARMS.

Coordinating and facilitating planned bonding activities / games throughout the year
for the building of pride, unity, and spirit
Coordinating and facilitating planned bonding games / activities for Choir Council
throughout the year
In charge of organizing the monthly Breakfast in the Choir Room events

In charge of assisting Director with relations pertaining to WBMS on an as needed
basis
In charge of assisting Director with generation of coordinated carpool lists on an as
needed basis

Choir Representatives (Chosen via election in each class September 2014)

Choir Representatives have numerous responsibilities. Primary duties of the officers


are to:
Serve as members of the Uniform, Set-Up and Library Committees as such:
Maintain uniforms for their choir and assign/collect replacement parts if a student is
missing pieces. Keep in close contact with Vice President of Inventories and Record
for this duty.
Assist in the set up of concerts and all other events. Keep in close contact with
Administrative Vice President for this duty.
Assist in maintaining and overseeing music distribution for their choir. Keep in close
contact with Vice President of Inventories and Record for this task.
Decorate the Choir Room, Choir Bulletin Board, and the Choir Council Board.
Assist with ushering at choir shows and concerts
Assist the Director in taking attendance at all concerts, after school rehearsals, and
during regularly scheduled class time
Assist the Director with uniform checks at concerts and events

Officer Discipline

If an officer does not complete their duties or acts in an inappropriate manner, the
following consequences will result:
First offense meeting with the President and Director

Second offense probation for one month


Third offense dismissal from the position.

Immediate dismissal will occur if you do not represent the WHS Choir in a positive manner,
follow protocols, or if you treat students, choir parents, or Directors with disrespect or
dishonor in or outside of school. WHS Choir Officers are held to a very high standard.
Termination of an Officer
If at any time during his/her office an officer fails to live up to the standards of the WHS
Choir Handbook, the Westside Way, or his/her choir expectations, an officer can and will be
subject to termination from their position, this includes (but is not limited to) things such as:
failure to attend rehearsals, failure to be prepared, failure to participate in required
activities, failure to attend officer meetings, failure to pass all classes including Pre-AP and
AP classes, general failure to fulfill the responsibilities of the office. the Director and
president jointly have the authority to remove the individual from office. A replacement will
be appointed by the Director after consulting with the President and other officers, as
needed.
