Sample Customer Reports Workbook
How to use this workbook

This workbook contains several examples of PivotTable reports, including the source data from which the reports were made. You can follow the
steps in the article 25 Easy PivotTable Reports to create these reports, and try out the commands on the PivotTable toolbar and menu to learn
about the ways you can customize a PivotTable report.
This workbook is set to print on most printers. Click Print on the File menu, click Entire Workbook under Print what, and then click OK.
Because the Source Data list and the Customers report are both fairly long, print areas were set to print out only the first three pages. If you
want to print all pages of either of these worksheets, click the worksheet, point to Print Area on the File menu, and then click Clear Print
Area.
Example reports in this workbook
The PivotTable reports in this workbook were all based on the first report, Customers!PivotTable1. When you create several reports from the
same source data in the same workbook, basing them all on one report minimizes the size of the workbook and the amount of memory used
when you open it. The reports all behave independently, however: you can refresh, format, and change the layout of each report separately.
The example reports in this workbook are formatted using the Report 5 format. Use the Format Report command on the PivotTable toolbar
to apply this format to your own reports.
When you click a report in this workbook, the PivotTable toolbar and the PivotTable Field List window should appear. If not, right-click any
toolbar and then click PivotTable to display the toolbar, and then click the Show Field List button at the right end of the toolbar to display
the field list.
Source data contains the original source records that provide the data values for the reports.
Customers analyzes which products each customer buys according to the quarter when they purchase.
Top 2 Products lists the two most popular products for each customer.
Top Q1 Customer finds the customer who purchased the most overall in the first quarter and lists the products that customer bought.
Top 2 Customers lists the two biggest customers for each product.
Chart contains a PivotChart report that represents the products and amounts purchased by the top three first-quarter customers graphically.

The data to the left was used to create the reports in

this workbook. If you scan through this source data,
you'll notice that it's difficult to see the trends and
results, even if you sort or filter the data. There are
just too many records to analyze at a glance.
Compared with the large databases your company
may have available, or you may have found on the
Internet, this 948-row list is fairly short and simple.
Excel can retrieve much larger amounts of data than
this, and PivotTable reports are one of the best Excel
tools for extracting the significance from a large,
detailed data set.
The data is organized in list format, similar to how a
query returns database records: each column contains
similar data, the columns have headings in the first
row, and the list isn't interrupted by any blank rows or
columns (although blank cells within the data are OK).
To see how PivotTable reports can summarize this data
in a flash, view the sheets in this workbook in
sequence from left to right.

Determining which products are most popular

This report lists the two products each customer purchased the
most of in the third quarter. Finding this information takes two
steps. First, click the Product field, and use the Sort and Top 10
command on the PivotTable menu to display the products with
the top two third quarter purchases. Then click the dropdown
arrow in the Customer field, and hide the customers who made
no third-quarter purchases.

Finding the biggest customer for a quarter is easy: click the

Customer field, and use the Sort and Top 10 command on the
PivotTable menu to show the top 1 customer for the first
quarter.
If you had previously used the dropdown list for the Customer
field to hide some customers, when you set the Top 10 AutoShow
options, Excel omits the hidden items from the calculations. For
example, if you hide customer RATTC and then find the top
customer for the first quarter, the result will be a different
customer, not RATTC.

PivotChart Report on the Chart Sheet

The chart on the Chart sheet is a PivotChart report that provides a graphical representation of the summarized data used in the PivotTable
reports in this workbook. A PivotChart report has many features similar to a PivotTable report: you can change the layout, sort, filter, and group
the data.
To create a PivotChart report, run the PivotTable and PivotChart Report wizard, in step 1 select PivotChart (with PivotTable), and then
complete the steps of the wizard as you would for a PivotTable report. Or, if you already have a PivotTable report that you want to chart, click
the report and then click the Chart Wizard button on the PivotTable toolbar.
A PivotChart report always has a dependency on a PivotTable report that provides the data to be charted, called the associated PivotTable
report. When you make changes to a PivotChart report, its associated PivotTable report reflects the changes. To allow you to make changes to
the example PivotChart report without affecting any of the example PivotTable reports, the PivotChart report was created independently from
the source data. The associated PivotTable report for the example is hidden. If you want to see it, point to Sheet on the Format menu, click
Unhide, and then click Data for Chart.
A new PivotChart report always appears on a separate chart sheet, because PivotChart reports tend to include lots of data and therefore
usually need plenty of space. You can easily move a PivotChart report onto a worksheet, for example to put it on the same worksheet as its
associated PivotTable report. Just click the chart and click Location on the Chart menu.
You can use most of the chart type, formatting, and options available for regular charts to customize a PivotChart report. For more information,
ask the Excel Answer Wizard about PivotChart reports.
